How to print1. To print a document A4 double-sided, black and white from a student PC, just press Print.

2. Then you need to ‘release’ it at a Print Copy Scan machine. You have up to 24 hours to do it.

3. Find a Print Copy Scan machine (see page 4 for locations).

4. At the printer swipe your KentOne card or log in.

5. Use the touch screen to select and print your file.

Use the touch screen panel to select and print your work

Print formats such as A3 or colourA4 black and white (mono) and double-sided is the setting used from most student PCs if you don’t change it. These alternatives are available:

• A3

• colour

• coloured paper (yellow or blue available: see page 4 for details).

To choose A3 or colour:

1. Before you send your file to print, find the Print options for your document.

2. Click on the selected printer.

3. Choose A4, A3, colourA4 or colourA3 from the list.

4. If you can’t see any other printers, click Add a printer and search for the name of the printer you want; eg A3.

5. Find a colour printer to release your work: see ‘Where to print’ on page 4.

Single-sidedYou can change the print settings using the Print dialog box for your document. The option to print single-sided should be under Settings, Properties or Preferences.

Yellow or blue paper printer in the LibraryYou can print on coloured paper if you use the ‘yellowA4’ or ‘blueA4’ printer. When you send a file to this printer it prints immediately (double-sided A4) and you’re charged straight away. Collect your work from the printer in the Templeman Library: D Block, Floor 1 PC Room.

To print you’ll need to Add the correct printer:

• click Start

• search for \\printserver2\yellowA4 or \\printserver2\blueA4

See the Print from your own device (page 4) for how to print from your laptop.

Save your choice of printerThis makes it available to you from any student PC.

• Click Start then search for the server name in this format: \\print\ or \\printserver2\

• A list of printers pops up. Double-click on any printer in the list to add it

• That’s it! From now on this printer will be available when you print from any student PC.

Print from your laptopWeb Print You can print PDF, Word, Excel or PowerPoint files using Web Print. It works best on a laptop and could work on a tablet if you know how to find your document.

Most campus printers are available. Study Hub and PC room printers are listed individually. For Templeman Library printers choose the A4, A3 or colour options:

• visit printing.kent.ac.uk and log in with your Kent username (eg abc1)

• click Web Print in the left-hand menu and follow the instructions.

Will you use that printer a lot?If so you can ‘Add’ the printer to your laptop: this makes it readily available when you press Print from any document. Unfortunately not all Macs are compatible.

Add a printer to your laptop (Windows)You need to be on the University network: WiFi (eduroam) if on campus or the VPN from off campus.

• click Start then search for the server name in this format: \\print.kent.ac.uk\ or \\printserver2.kent.ac.uk\ If that doesn’t work, try \\print.ad.kent.ac.uk\ or \\printserver2.ad.kent.ac.uk\

• A list of printers pops up. Double-click on the printer you need from the list. This will add it for you and make it available whenever you want to print.

If asked enter your username like this: ukc\username – if your username is abc1 enter ukc\abc1.

Add a printer to a Mac with OS XNot all Macs are compatible so please use Web Print instead (see Print from your laptop page 5). On our Print Copy Scan web page there are detailed Mac instructions if you want to try them:

Print from email• Attach a PDF, Word, Excel or PowerPoint document* to an email, and send it to:

[email protected] or [email protected]

• You will get an email back and need to click the link to confirm.

• You will see confirmation on screen that your printout is waiting for you. You have up to 24 hours to release it at any Print Copy Scan machine.

• For a full list of file types you can email, go to www.kent.ac.uk/itservices/print/email.html

How to pay for printing and copyingYou can print before you pay, and then top up your Print Credit account when you get near your £2 overdraft limit. Your overdraft is equivalent to 40 sides of A4 printing or copying.

To buy print credits online search for print credits on the Kent website.

Or you can pay at a print credit machine in the Templeman Library. Minimum charge: 10p. Machines don’t give change. To log in, hold your KentOne card next to the reader for a few seconds.

Costs1 pence = 1 credit, and you have a £2 (200 credit) overdraft facility.

• Colour A4: 20p per side

How to copy and scanTo copy

1. On screen press: Use copier functions > Next > Copy

2. Place item on glass. Close lid. Press the green button.

To scanFor high quality scans or text (OCR) scanning, you can use a flatbed scanner in the Templeman LIbrary in Block C on Floor 1.

1. On screen press: Use copier functions > Next > Mail2Me

2. Place item on glass. Close lid. Press the green button.

3. For more pages repeat steps. Press Complete. Your scan is emailed to you.

Convert scanned files to accessible formatsAfter you have scanned a page of text, you can turn it into an accessible format such as editable text, MP3 audio, DAISY text and audio, and Braille.

1. Go to: www.kent.ac.uk/library/accessibility/file-conversion.html or search for Sensus Access on the Kent website.

2. Upload a file and choose the format to convert to.

3. Enter your Kent email address and click Submit.

You’ll soon receive an email with the converted file attached.
