This guide provides comprehensive conceptual and procedural information about using Promo Weblets tool within Site Manager. If you are new to the Promo Weblets tool, please read through the guide to familiarize yourself with its features. The chapters in this guide are structured for easy reference.

Promo Weblets Guide Overview

Using Promo Weblets

A weblet is a subsection of content located in a specific place within the WebMD Health Manager. These subsections can highlight new tools, events, or offers available to the user. You can use the Promo Weblets tool to update or remove content in these promotional weblets.

The Promo Weblets tool allows you to create custom content for weblets, edit existing content, add formatting using HTML codes, and add hyperlinks. Weblets can also be archived or scheduled to go live on a particular date. Weblets display immediately on the site when they are activated.

Accessing the Promo Weblets ToolYou can access the Promo Weblets tool within Site Manager with the following steps:

1. Click the Tools tab in the top navigation bar.

2. Click Promo Weblets in the left navigation pane.

Each weblet map includes white and gray weblet locations. The content contained in the white weblet locations is defined in the higher level sponsor’s site specifications and is administered by WebMD. The content in the gray weblet locations is defined and administered by the sponsor (e.g., activated or inactivated).

Following each weblet map is a sample page with the weblets highlighted, to show what they look like in the application.

Platinum Login Page Weblet Map

The following weblet map shows the layout of the Platinum Login page. It will display at sites that have implemented the Platinum or the Platinum Plus home page. A single weblet is available for display on the Platinum Login page, in keeping with the clean design of the theme.

If a login weblet is not defined, the Privacy statement displays directly below the Hero graphic. Note that the Hero graphic on the Login page is not specific to the user’s age and gender, since those demographics are not known before login.

Platinum Home Page Weblet Map

The following weblet location map is a typical layout of the Platinum home page. Six home page weblets are available for display. However, to maintain the clean look of the Platinum home page and to focus on user next steps, WebMD recommends using weblets 1 and 2, and additional weblets only if absolutely necessary.

Platinum Plus Home Page Weblet Map

The following weblet location map is the typical layout of the Platinum Plus home page, introduced with Release 2014A. It is the go-forward home page for new clients or an alternative to Platinum home page for existing clients. The same 6 home page Promo weblets are available from the Promo Weblets Home Page category and display on either version of the home page, if activated at the appropriate sponsor level.

The Platinum Plus page also features 3 custom client weblets that can accommodate images and URLs; they display in a horizontal layout below the Action Plan. They can be client-defined in the Promo Weblets tool; see page 65. The 6 promo weblets display toward the bottom of the page.

Up to 3 custom client weblets can display below the Action Plan; they can accommodate images and URLs as well as text. Clients can set up and maintain these weblets with little or no Integrations support; see page 65

The following weblet location maps are typical examples of how the Health Assessment pages display. (Note that your site may have its own naming conventions for the Health Assessment questionnaire.) The weblet options are available under the Health Assessment category within the Promo Weblets tool in Site Manager.

There is one weblet for the Health Assessment Landing page and one for the Health Assessment Results page; both can be configured through Site Manager Promo Weblets.

Health Management Centers were sunset with the July 2013 release (2013B), in favor of corresponding Health Topics. Please refer to the Health Topic weblet map and sample screen shot on page 22 if you wish to set up a topic-specific weblet.

Note that existing Health Management Center weblets do not display anywhere to the user and have no effect.

Your Health Coach pages might look different depending upon your higher level sponsor’s specifications. They also differ depending on the user’s relationship to the coaching program: pre-Health Assessment (displays only if the low-risk coaching protocol is implemented), enrolled, or engaged.

The sponsor-controlled weblets (shown in gray) display only if client content has been entered in them. Core components now display HA information (for Coaching Not Enrolled users) or Tools information (for Coaching Enrolled users) as indicated in the map below.

Sample Health Coach PagesThe weblet areas available for client content on the current site’s Health Coach Lobby Page are highlighted in the example screens below. (If no client content has been entered, the weblet does not display.) The screens differ slightly depending on the user’s relationship to the coaching program, but the placement of the weblets stays relatively the same.

Health Coach Lobby for an eligible user (pre-HA) who is not yet enrolled in Coaching:

• This version of the page only displays if the site has implemented the low-risk level protocol of Health Coaching.

• A core component promotes taking HA for users who have not yet enrolled in Coaching.

• Coaching Not Enrolled Weblet #1 displays above the HA component if client content has been entered in Site Manager.

• Coaching Not Enrolled Weblet #2 displays below the HA component if client content has been entered in Site Manager.

• Note that any existing client weblet content that promotes HA may now be redundant on this page.

Promo Weblets Tool

The Promo Weblets tool provides lists of weblets by category for all licensed tools, their current title, location, and whether or not they are set to Live. Live weblets are visible on the site where you are currently logged in (Live or Staging), and are marked in the Live column with a green dot.

For example, when you access the Promo Weblets tool in Site Manager, the list of defined weblets for the Health Assessment Category Group displays by default.

The following information may be displayed for each weblet in the list:

• Live - a green icon in the Live column indicates that the weblet displays on the site’s health portal.Note: A blank space in the Live column indicates that the weblet has been set up but not flagged for display.

• Title - the name defined for the active weblet displays in the Title column. “Update Weblet Name” displays for weblets whose title has not been defined.

• Current Location - this is the system-defined location or description of the weblet. It can help you locate where the weblet will display.

Tip: If a category displays no defined weblets on its page and the New Weblet window lists only the default weblet for the category (if any), it is likely that it is not licensed by the current sponsor.

The dropdown list includes all categories, but only those that the client has licensed will display viable weblet options that the current sponsor can edit.

Selecting a Weblet.The weblet list is organized into several categories.

To select a weblet, you must access its category, check for it in the list of already-defined weblets, or check in the list of new weblets, as described in the following steps.

1. Access the Promo Weblets tool: Site Manager > Tools > Promo Weblets.The Login Page list of weblets displays by default.

2. Select the weblet Category you need; Health Topics, for example.

3. Check the list of previously defined weblets that displays. If available, select the weblet and update it, following the instructions for “Weblet Maintenance” on page 49.

4. If necessary, click Add Weblet and open the list of the category’s available weblets that have not yet been defined.

FYI: In an “out of login” licensed configuration, weblets will be identified by (CCL), i.e. Client Controlled Login. CCL weblets are not used with a standard portal for registered WebMD users.

5. Select the appropriate weblet and define it as needed, following the instructions for “Adding a Weblet” on page 64.

Default Weblets

The weblet categories in the table below have a default weblet available for definition:

For Health Topics and WebMD Health Care Advisor categories, shown in bold above, the Default Weblet applies to all pages within its category that do not have other weblets already defined. For example, you can define the Health Topics Category Default weblet to display on all topics, except those for which you define specific weblets. If you subsequently define a weblet for a specific page, it supersedes the default weblet text.

Follow the instructions for “Adding a Weblet” on page 64 to add a new default weblet, or for “Weblet Maintenance” on page 49 to update a default weblet after it has been activated. Prior to being defined, the default weblet is the last item in each category’s list of new weblets.

Weblet Maintenance

To update a weblet that appears in the list of previously-defined weblets, click its title. The Weblet Maintenance window opens where you can edit the weblet content and settings.

The maintenance window includes a number of settings and features for configuring the weblet, including the title and body content.

The following topics describe the tabs, icons, and options that you can use to customize your weblets.

Live, Scheduled, and Archived Tabs

Each weblet has three content tabs: Live, Scheduled, and Archived. Each content tab is used differently by the Promo Weblets tool. In a distributor model, these tabs have additional effects; see “Using Weblets in a Distributor Model” on page 62 for more information.

Tab Description

Live This tab holds the content currently shown on your site in that weblet location. The Allow on Live site check box must be checked so that the content displays to users.

Use the Scheduled tab to activate the weblet on a particular date and replace the Live tab content. At that time, the previous Live content is moved to the Archive tab.

Save, Live, Schedule, and Archive Buttons

Content and settings in each tab must be saved before any changes take effect. The content of each tab can be moved to another tab using the buttons at the bottom of the Weblet Maintenance window. The following table describes the effect of moving content to a different tab.

Allow on Live Site

Use the Allow on Live site check box to display the weblet content to users. Even if the Live tab of a weblet has data, that weblet does not display content to users unless this check box is marked.

If the Scheduled tab activates its content (copies to the Live tab) on a specified date, the content does not display to users unless the check box on the Live tab is marked.

Scheduled This tab is used to replace the current Live content of the weblet on a specific date with the content under the Scheduled tab. For example, if during a specific month you would like to emphasize immunizations, you can create immunization content ahead of time and schedule it to activate on a specific date. This tab must be set to Allow on Live site so that the weblet displays when activated.

Archived The Archive tab is used to store pre-existing content from either the Live or Scheduled tabs so that the previous content is not lost between promotions.

Weblet Content

You can enter weblet content into the Promo Weblet title field and Promo Weblet body field. Most weblets automatically display a bold title in WebMD Health Manager. Basic HTML formatting for paragraphs and line breaks is applied automatically as you enter text. The formatting icons at the top of the body text area can be used to add additional formatting as needed.

Additionally, basic HTML formatting can be added to the body text in Source mode to further customize the weblet. For more information, see “HTML Tags” on page 75.

Most formatting will display its results in the text pane, or you can use the Preview button to view/test the effect of links or targets. For more information, see “Preview Button” on page 61.

Using the Formatting Icons

You can use the formatting icons to apply special effects as follows:

Using the Link Icon

You can create a hyperlink in the text of your weblet. To create a hyperlink, do the following:

1. Highlight the text that you want to display as the link.

2. Click the link icon. The window to create a link displays.

Highlight text and click the link icon to set up a targeted link within the weblet; see “Using the Link Icon” on page 52.

Highlight an existing link and select the broken link icon to remove it.

Highlight text and click the numbered list or the bulleted list icons to create a numbered or bulleted list.

Highlight text and select the font size from the drop-down Size list.

Highlight text and select a color from the drop-down color pane.

Anchor the cursor where you want to insert a line break, if necessary, and click the “Return” icon.

Click the popup icon to create an interstitial page for display with a link to an external target. See “Adding an interstitial popup” on page 58.

Linking to a Document in Content Uploader Tool

This section describes how to set up a non-breaking link to a hosted document that has been uploaded to the Materials tab via the Content Uploader tool. The advantage of linking to Content Uploaded documents is that the documents can be updated/replaced without disturbing the links that point to them.

To create a link from a Promo Weblet to an uploaded document, do the following:

1. Access the Content Uploader tool in Site Manager > Materials Tab > Content Uploader:

2. Locate the document you want to link to, and click the Copy Link option that displays below its name:

3. Allow web page access to the Clipboard as needed. A confirmation displays that the link has been copied to the Clipboard.

4. Navigate to the Promo Weblet that is to include the link to the uploaded document. Example: Caregiver Health Topic weblet.

• Select the https// protocol from the drop-down, paste the remainder of the copied Content Uploader link into the Link window and click OK.

• The link is built automatically in the weblet; click Preview to view how the weblet will display.

Linking to Tools within Weblets

Weblets can contain links to WebMD Health Manager tools to provide users a quick, direct link to the tool. Linking to tools requires that you highlight the text in the weblet to be linked and enter the following HTML code in the Link tool:

/start.aspx?toolid=ToolID

Example for Shingles health topic tool id:

/start.aspx?toolid=3063

Troubleshooting TipsIf a link fails or times out, you can try the following variations:

• Use “startid” in place of “toolid”Example: /start.aspx?startid=3063

• Copy the example string from this PDF, paste it into Notepad, copy/paste the string from Notepad into the weblet link tool and edit as needed. This ensures the correct font and formatting of the text.

Adding an interstitial popup

You can add an interstitial pop-up to your weblet to inform users that the link is taking them to an external site. The pop-up opens a new window on top of the existing page to display an interstitial message.

To add an interstitial pop-up, do the following:

Note: The interstitial popup does not display in weblet Preview mode. Access the UI as a test user and click the external link in the weblet to view the popup that informs you that you are leaving the WebMD site.

4. The Source view displays the HTML code that creates the interstitial popup and the external link.

5. Preview the weblet. Note: Clicking the link in Preview mode will take you directly to the external target without displaying the interstitial.

6. Access the UI as the Test User to view the weblet and test the interstitial that displays between clicking the link and continuing to the external site.

Users may see a “secure content” message after clicking Continue (due to the “https://” element in the target URL) but it does not prevent access to the external site.

Using Weblets in a Distributor Model

In a distributor model, higher level sponsors directly affect their lower level sponsors’ weblets by setting one of the behavior options for each weblet.

Weblet Behavior Options

Set the behavior option when you create or edit a weblet. These option selections are illustrated in the figure shown below. Each option dictates how the weblet behaves to the lower level sponsor below you.

Each behavior option and its effect on a lower level sponsor are described in the following table. In this context, the terms “client” and “sponsor” are used interchangeably.

Using Each Behavior Setting

• Use the Force the weblet to display for all clients. Clients may not edit it option when the lower level sponsors are similar user populations, or user populations within the same company who should have the same user experience.

• Use the Copy the weblet to all clients but let clients edit their copy option if the user populations are significantly different, or if the lower level sponsors are different companies.

• Use the Copy the weblet only to clients who do not have it. Let clients edit their copy option to send this weblet to sponsors who do not already have the weblet.

Behavior Option Result

Force the weblet to display for all clients. Clients may not edit it.

Lower level sponsors cannot access the weblet.

Lower level sponsors mirror exactly what the higher level sponsor has in the Live and Scheduled tabs.

Copy the weblet to all clients, but let clients edit their copy.

Lower level sponsors can access the weblet in the weblet list.

Lower level sponsors can edit the Live, Scheduled, and Archive tabs of the weblet.

Copy the weblet only to clients who do not have it. Let clients edit their copy.

Moving Tab Content in a Distributor Model

The following table shows the effect of moving content to a different tab within the Weblet Maintenance window at both the higher level sponsor and lower level sponsor levels. This table only applies to the Copy the weblet to all clients but let clients edit their copy option. If the weblet is required for lower level sponsors, they cannot edit it in any way.

Adding a Weblet

You can use the Add Weblet button to add a weblet that is not currently shown in the weblet list. This button can only add weblets that are available to the upper level sponsor and have not been clicked or accessed by the upper level sponsor.

Adding a Weblet1. Click Add Weblet. The Weblet Maintenance window displays.

2. Enter the title in the Promo Weblet title field. 50 characters/numerals maximum.

3. The Allow on Live site option is selected by default. Click this box to deselect it if you are not ready to include the new weblet on the live environment. Otherwise, leave the check box as is.

4. Click the Location drop-down box and select the weblet location.

The Add Weblet button accesses the available weblets that are associated with the current weblet category group.

5. Enter the weblet text in the Promo Weblet body field. See note below on behavior of extensive text.

6. Use the Bold, Italics, Link, Numbered or Bulleted List, Font, Color, Line Break, or Interstitial icons as needed to add formatting to your weblet.

7. Click Preview to review the weblet in a test user environment.

8. Click Insert to finish adding the weblet or click Cancel to disregard your changes.

Custom Client WebletsSites that have implemented the Platinum Plus home page will see a Custom Weblet link at the top of the Promo Weblets tool page.

There are 3 custom weblet locations available on the Platinum Plus home page; see examples on page 14.

Weblet Text ConsiderationsThe Promo Weblet Body area can contain large amounts of text, but be sure to check

how it will look in the User Interface. The weblet does not display slider bars to accommodate lengthy text, it simply expands on the UI page to display its entire

content. We recommend that you use the Test User feature on Staging to view the weblet as it would appear to your population before configuring it on Live.

Overwriting an inherited webletInherited weblets that have been defined at a higher sponsor level and set for inheritance will display in the Custom Weblets Available for Inheritance area.

You cannot edit an inherited weblet to make it inactive but you can replace it with a site-defined weblet with the following steps:

1. Expand the inherited weblet and note its Weblet ID number (1, 2, or 3).

2. Assign the same Weblet ID number to a site-defined weblet.

3. Set the site-defined weblet to Active status, if necessary.

When your site implements WebMD applications that have been translated into Spanish, existing weblets are also translated into Spanish. Currently two Spanish packages are available for purchase within the WebMD portal configuration: a core set of applications in Spanish and an extended offering in Spanish. The table below provides a quick listing of the steps required to perform common tasks associated with Spanish weblets. If you need more information or screen samples, see the referenced pages.

Step Procedure Reference/Page

Convert Existing Customized Weblets This assumes that you are implementing Core and/or Extended Spanish Support applications and that customized weblets already exist in English. This task may be performed by the client or by WebMD as determined by the scope of the implementation.

1. Identify the applications that are newly available in Spanish on your system

2. Log in as a user.

3. Within a target application, view a page in English that has a customized weblet.

See “Triggering a Weblet Translation” on page 95.

4. Click En Espanol to view the page in Spanish; the customized weblet displays in English.

Note: Viewing the page in Spanish, even though the weblet still displays in English, causes the weblet to be queued for translation.

5. Repeat steps 3 and 4 for each page in Spanish that has a customized weblet.

Tip: You can optionally go directly to the Spanish page to queue the weblet for translation, without viewing the English page first.

6. After 24 hours (or as your Client Advisor indicates) view the Spanish pages to verify that the customized weblets have been translated and now display in Spanish.

Add or Edit a custom weblet for translationThis assumes that you are entering or editing a customized weblet that is to display on both the English and Spanish pages, with no difference in text, links, or references.

1. In Site Manager, select Tools > Promo Weblets

2. Select a weblet category that has a Spanish application.

Refer to Core and Extended Spanish applications on page 88.

3. Add or edit a weblet, selecting All as the Language option.

4. Enter and save the weblet text in English.

5. Log in as a user and view the weblet on the Spanish page; it displays in English.

6. After 24 hours, verify that the weblet has been translated and now displays in Spanish.

Add an English-only webletThis assumes that you are entering or editing a customized weblet (where there is a corresponding Spanish page) that is to appear only on the English page or that will have a different version in Spanish.

1. In Site Manager, select Tools > Promo Weblets

2. Select the appropriate weblet category. Refer to Core and Extended Spanish applications on page 88.

3. Add or edit a weblet, selecting English as the Language option.

4. Log in as a user.

5. Verify that the weblet appears only on the English page and not on the Spanish equivalent page.

Add a Spanish-only weblet for translationThis assumes that you are entering or editing a customized weblet for a Spanish page that will differ from the version on the English page, or where there will be no weblet on the English page.

1. In Site Manager, select Tools > Promo Weblets

2. Select the appropriate weblet category. Refer to Core and Extended Spanish applications on page 88.

3. Add or edit a weblet in English, selecting Spanish as the Language option.

4. Check the Requires Translation check box.

5. Log in as a user.

6. Verify that this version of the weblet does not display on the English page.

7 View the weblet (in English) on the Spanish page.

8. After 24 hours, verify that the Spanish page displays the weblet in Spanish.

Add or edit a weblet in SpanishThis assumes that you are entering a customized weblet in Spanish or editing a weblet that was previously entered in Spanish.

2. Select the appropriate weblet category. Refer to Core and Extended Spanish applications on page 88.

Weblet Language Options in Site Manager

When you implement the Core and/or any of the Extended Spanish Support modules, the Promo Weblets tool in Site Management automatically displays a list of languages that you can choose for your weblets. Currently the options include All, English, and Spanish.

Note that the language option list box displays for all weblets, even though only certain ones pertain to applications that have been translated. This allows maximum flexibility to accommodate weblet translation in additional applications that will be made available in Spanish (or other languages) in the future.

All Languages

To add or edit a weblet that will have the same content on both the English and Spanish pages, do the following:

1. Log in to Site Manager and choose Tools > Promo Weblets.

2. Select a weblet category.

3. Select an existing weblet or add a new weblet that can display on a Spanish page.

4. In the Language list, select All. This is the default. All indicates that your entries (in English) apply to the weblet when translated into all other available languages.

5. Make your entries and save them.

6. Queue the weblet for translation; see “Triggering a Weblet Translation” on page 95

English Only Weblets

This option allows you to enter an English weblet that will not display at all on an equivalent Spanish page.

For example, on the English page you may want the weblet to refer to another tool or module that is not available yet in Spanish. On the corresponding Spanish page, you can define a Spanish-only weblet that does not refer to the unavailable features.

1. Log in to Site Manager and choose Tools > Promo Weblets.

2. Select a weblet category.

3. Select an existing weblet or add a new weblet that can display on a Spanish page.

4. In the Language list, select English. This indicates that your entries apply to the weblet only on the English page. The weblet will not be eligible for translation.

5. Make your entries and save them.

6. Verify that the weblet displays on the English page only.

Spanish Only Weblets

1. Log in to Site Manager and choose Tools > Promo Weblets.

2. Select a weblet category.

3. Select an existing weblet or add a new weblet that can display on a Spanish page. It can be a weblet that was previously saved as English-only, allowing you to create a Spanish-only version of it as well.

4. In the Language list, select Spanish. This indicates that your entries apply to the weblet only on the Spanish page. The system allows you to create a separate instance of the same weblet as long each is flagged for a specific language only.

5. When you select Spanish as the language, a Requires Translation check box displays. Do one of the following regarding translation of the weblet:

• If you want this weblet to be eligible for translation, check the Requires Translation check box. This is the norm if you enter text in English.

• If you want the weblet to display as is on the Spanish page, whether you enter text in Spanish or English, leave the Requires Translation check box blank. The weblet will not go through translation.

6. Make your entries and save them.

7. Queue the weblet for translation if appropriate; see “Triggering a Weblet Translation” on page 95

Working in Spanish

You can work in Spanish to enter weblets, or to edit weblets that have previously been entered in Spanish, without going through the translation process.

1. Log in to Site Manager and choose Tools > Promo Weblets.

2. Select a weblet category.

3. Select an existing weblet or add a new weblet that can display on a Spanish page.

4. In the Language list, select Spanish. This indicates that your entries apply to the weblet only on the Spanish page.

5. Make your text entries in Spanish, which can include pasting text from other sources.

6. Leave the Requires Translation check box blank. The weblet will display as is without translation.

7. Save your entries.

Note that weblets display in Site Manager in the language in which they were entered. If a weblet was entered in English and subsequently translated, it will be available in the Promo Weblets tool only in English.

Triggering a Weblet TranslationCustomized weblets are queued for translation by viewing them (in English) on the translated application page (Spanish).

Do the following to queue a customized weblet for automatic translation after it has been entered or edited in English:

1. Log in to the WebMD Benefits Manager as a user.

2. Do one of the following:

• Optionally, access the English page to verify the English version of the weblet. Then click En Espanol to display the equivalent page in Spanish.

• Or, if desired, skip the English page and go directly to the Spanish page.

3. Verify that the weblet displays in English on the Spanish page. This action of viewing English on a translated (Spanish) page triggers the weblet to be queued for translation.

4. In 24 hours, access the Spanish page and verify that the weblet now displays in Spanish.
