QC Feedback Instructions
The Source Intelligence Conflict Minerals Compliance Program (CMCP) Quality Control (QC) process provides suppliers the opportunity to respond to QC Flags that are raised during the analysis of each submitted Conflict Minerals Reporting Template (CMRT) or declaration. Each declaration submitted into the Source Intelligence platform is analyzed for missing or incomplete data, and based on the analysis, may require feedback from the supplier. If multiple responses (declarations) have been submitted, for example to different requestors, feedback may be required even if the declarations are the same. Once a supplier has submitted feedback for a declaration, the requestor will see the response move from the category of “Following Up” category to “Complete” on the platform dashboard. Based on the QC Flags raised, you may want to submit a new declaration to your customer/requestor. You may do so by following the same process used to submit your original response. If you feel that a response is no longer relevant to your customer, you may request that it is “archived.” You will be sent three electronic reminders to provide feedback to your customers; after the third reminder the feedback for all QC Flags raised will be set to the default response of “I will not take any further action at this time” and submitted to your customer on your behalf. In order to provide your QC feedback, you will first need to log into your Source Intelligence account. This can be accessed at https://www.sourceintelligence.net/login with your username (email) and the password you created when you first registered. If you cannot remember your password or are locked out of your account, please click here: https://www.sourceintelligence.net/password/account-‐lookup You may be receiving this email because your contact information was provided on the declaration submitted. If you have never registered for the Source Intelligence platform please email [email protected]. Please include the following information in your email: • Your email address • Your company name • The Source Intelligence customer(s) you would like to provide feedback for Once you have logged on to Source Intelligence please follow these steps to provide your feedback:
1. Click on the “Profile” button from the login landing page.
2. Click on the “Conflict Minerals” tab within your company’s profile page.
3. You will now see the list of all declarations that have been submitted to your customers
4. Click on the page icon to access the declaration detail page.
5. The declaration detail page displays which QC Flags were raised, and which ones require feedback.
You may scroll through this page to see the answers that were sent to customers on this declaration, including any smelter names or products. 6. QC Flags with a check icon either do not need feedback or have had feedback previously provided. Those with a flag icon still require feedback to be provided to the customer.
7. Hover over the “?” to see an explanation of the QC Flag.
8. Click the green “Provide Feedback” button to select from available feedback options.
9. After clicking “Provide Feedback” a modal will appear with each QC Flag and a dropdown menu to select your feedback response. Each feedback response selection is initially set to the default response of “I will not take any further action at this time.”
10. Click the dropdown menu to view and select your feedback response.
11. You may also provide additional comments for each QC Flag by clicking on the comment icon to the right of the dropdown.
* Note: Comments will be made available for viewing by your customer; please do not provide any information in the comments section which you do not want your customer to see. If you have supply chain information that you would like Source Intelligence to act on, you must provide this information to Source Intelligence through email, Source Intelligence will not be responsible for any information provided in the comments section.
12. If your QC Flags included providing invalid smelter information you can view which smelters were invalid by clicking on the “detail” link on the left-‐hand side.
13. If you are not ready to submit your feedback to the customer you may either click “Cancel” in the bottom left, or the “X” in the upper right. Clicking either of these will cancel your feedback selections and comments without saving.
14. Once you have finalized all of your responses and are ready to send them to your customer click the “Submit to Customer” on the bottom right-‐hand side.
15. Once feedback has been submitted you will be able to hover over a check to view the feedback and any comment that was submitted.
You may note that the notification has changed from a red “Feedback Required” to a green “Feedback Sent to Customer.” The button has also changed from “Provide Feedback” to “Update Feedback.” You may change the feedback provided to your customer at any time.
16. If you would like to generate a CMRT from the answers that were submitted to your customer click the “Export as CMRT” button in the upper right of the declaration detail page.
If you would like to submit an updated response to your customer you may use the downloaded CMRT as a template for your updated answers. If you would like to archive your previous response so that it is apparent to your customer that a newer response has been or will be submitted please email Source Intelligence and request that response is archived. Email the request to archive a previous response to [email protected]. Please include the following information in your request: • Your company name • The name of the customer(s)/requestor(s) for which the declaration was submitted • The date on which the declaration was submitted.
