Conventions Used in Polycom Guides
Polycom guides contain graphical elements and a few typographic conventions. Familiarizing yourself with
these elements and conventions will help you successfully perform tasks.
Information Elements Polycom guides may include any of the following icons to alert you to important information.
Icons Used in Polycom Guides
Name Icon Description
Note
The Note icon highlights information of interest or important information needed
to be successful in accomplishing a procedure or to understand a concept.
Web Info
The Web Info icon highlights supplementary information available online such
as documents or downloads on support.polycom.com or other locations.
Timesaver
The Timesaver icon highlights a faster or alternative method for accomplishing
a method or operation.
Power Tip
The Power Tip icon highlights faster, alternative procedures for advanced
administrators already familiar with the techniques being discussed.
Typographic Conventions A few typographic conventions, listed next, are used in Polycom guides to distinguish types of in-text
information.
Typographic Conventions
Convention Description
Bold Highlights interface items such as menus, menu selections, window and dialog
names, soft keys, file names, and directory names when they are involved in a
procedure or user action. Also used to highlight text to be entered or typed.
Italics Used to emphasize text, to show example values or inputs (in this form:
<example>), and to show titles of reference documents available from the Polycom
Support Web site and other reference sites.
Blue Text Used for cross references to other sections within this document and for hyperlinks
to external sites and documents.
Courier Used for code fragments and parameter names.

Before You Begin
This Polycom® RealPresence
® Media Manager User Guide provides instructions for end users of web
portals powered by RealPresence Media Manager. This guide shows you how to use the features
available to a general user of one of these portals.
Required Software RealPresence Media Manager portals can be viewed on most networked devices, including tablets, smart
phones, and computers, with any supported web browser including the following:
● Microsoft Internet Explorer 9 and above
● Google Chrome 9 and above
● Mozilla Firefox 14 and above
● Safari version 7 on Mac OS
Get Help For more information about installing, configuring, and administering Polycom products, refer to
Documents and Downloads at Polycom Support.
The Polycom Community The Polycom Community gives you access to the latest developer and support information. Participate in
discussion forums to share ideas and solve problems with your colleagues. To register with the Polycom
Community, simply create a Polycom online account. When logged in, you can access Polycom support

Explore a Portal
Content in a portal powered by RealPresence Media Manager is displayed on a web page and viewed in
the way you would access a standard website using a web browser. This section shows you how to find
and view content that is available on a portal that has been made available to you to attend a course or
presentation or view related videos, presentations, surveys, and other information.
Open a Portal You can watch stored and live video presentations and access other information that has been posted on
any Portal to which you have been given a web address and been granted access.
To open a portal:
1 Using a networked Windows PC or Mac, or a compatible mobile device such as an Apple iPad or
Android tablet, open a supported internet browser.
2 In the browser’s address bar, enter an http domain name or IP address of a portal you want to
access, as shown in the following examples:
http://<123.456.78.9>
http://<realpresence.polycom.com>
Entering the address displays the default portal, or web page, that you want to view. By default,
most portals are configured for anonymous users, which means you can watch any of the
unsecured content that is displayed in the portal without logging in. You must log in to view secure
content.
Log in to a Portal To view secure content, you must first log in to the portal using a supported web browser on a supported
computer or mobile device.
To log in to a portal from a standard web browser:
1 Open the portal web site in a web browser.
2 Do one of the following:
In the Login dialog, enter the email address or user name and password that you use to access
the portal. Then click or tap Login.
If you do not yet have a username and password, click or tap Register. Then enter an email
address and Password of your choice, as prompted in the Registration dialog. Then click or tap
Register, and follow the prompts to set up a user name and password for the portal.
View Content on a Portal Content is organized within categories on the portal. Content available within any category can include
images, video streams, presentations, links, conferences, surveys, audio files, and other items that portal

administrators have included for users to view. The category that is currently open is shown to the right of
the Category drop-down menu on the main portal page. Content available in the category is displayed in
the top pane of your browser.
To view content on a portal:
1 From the main portal page, do one of the following:
Click the Categories menu to display a list of available content categories, as shown in the
following example.
Sample categories
Click any category listed on the horizontal menu bar, as shown in the example below.
Click the layout icon on any window heading to display the contents of that window in the
main viewing pane of your web browser, as shown.
2 Click any thumbnail to view the video or other content that is linked to it.
3 Click the Play btton to view a video or presentation.
View a Presentation You can view either live or archived presentations that have been made available on your portal.
View a Live Presentation
You can view live presentations through links that are listed in the Live and Upcoming Events pane in
your main browser window. View the details of those live events to determine the times and dates that
they are scheduled to occur.

To view a live presentation:
» Click a link in the Live and Upcoming Events pane, as shown, to open a presentation when it is
scheduled to begin, and then click Play to start the video stream.
View an Archived Presentation
You can view any presentation on the portal that has been shown previously and archived on the portal
for viewing. The tabs shown below a presentation give you access to different types of information and
offer more options for interacting with it. You can view details, chapters, or slides within a presentation.
To view details associated with the presentation:
» Click the Details tab to view available information about the presentation, such as the title, speaker,
description, and presentation date.
To view chapters in a presentation:
» Click the Chapters tab to view a list of chapters within the presentation. Then click to go to the
chapter you want to review
To view individual slides within a presentation:
» Click the Slides tab to display a thumbnail listing of individual slides within the presentation. Click
on any slide to view it or to start viewing the presentation from that point.
Choose the Screen Layout for a Presentation
If a live or archived video presentation includes slides, you can view both the video content and the slides
within your browser. The layout icons at the left of the presentation screen allow you to arrange the two
windows in a way that is most comfortable for you, as shown in the following table.
To select a screen layout for a presentation:
» Click the screen layout icon that represents the layout you want to use to view the presentation, as
shown in the following table. You can change the screen layout at any time.

View Presentation Slides in a Separate Window
While viewing either a live or stored presentation that includes both video and slides, you can open the
presentation slides in their own window and then move the slide to another part of your screen or make it
larger to view fine detail. You can also adjust the size of the window on your screen for viewing. This
Zoom Slide feature is available in Windows and Mac desktop operating systems, and iOS and Android
mobile operating systems.
To view presentation slides in a separate window:
1 Play a presentation containing slides in the RealPresence Media Manager player.
2 Hover your mouse over a slide during the presentation and click the left mouse button. The slide
opens in its own window.
3 Click the slide, and then drag it to another part of your screen.
4 Drag a corner of the slide to adjust the size.
5 Click the close button in the top-right corner to close Zoom Slide.
Ask a Question During a Presentation
If the administrator has enabled questions, you can submit questions to the speaker, owner, or moderator
of the presentation while a live presentation is in progress.
To ask a question about a presentation:
1 On the presentation page, click Moderated Q&A.
2 Type your question in the Ask A Question field.
3 Select the Submit question anonymously check box if you want to hide your user name from the
moderator.
4 Click Submit to send the question to the moderator.

Ask a question about a presentation
View a Speech-to-Text Transcription of a Presentation
Some presentations may include a speech-to-text transcriptions that allow you to read the text of a video
presentation.
To view a speech-to-text transcription of a presentation:
1 On the main page where the presentation is located on the portal, click the Transcript or RAMP
tab.
2 In the Sentence column, read the transcribed audio and note the time that the audio segment
occurs and the name of the speaker. View the start time of the sentence in the Time column, and
the speaker in the Speaker column.
3 Click next to a sentence to go to the point in the video where the sentence occurs, as shown in
the example below.
Search a Web Portal Search through the web portal for presentations or for information about any presentation that is stored
there. You can also search metadata related to a presentation, including words in a transcript.
Search with Key Words
Use the search dialog to search for content based on key words.

To search through portal content with key words:
» Enter key words in the search dialog and click the search icon.
Search with Advanced Criteria
Use the advanced search feature to search based on metadata that has been associated with content on
the portal. You can search based on such information as a title, description, date, rating, tags, or other
metadata. You can also filter the data by content type.
To search through the web portal using advanced criteria:
1 Click Advanced next to the search dialog in the upper right-hand corner of the portal web page.
2 Enter search criteria based on the title, description, date created, rating, or other metadata in the
corresponding dialog.
3 Use the Type dropdown menu if you want to select a specific type of content, or filter.
4 Click Search to open an advanced-search dialog.
5 Enter data into the fields that you want to use to search for content. Then click Search to generate
a list of available content that meets your search criteria.
Search with Data Tags
If administrators and data owners have included data tags in the details for videos and other content, you
can use those tags to search for other site content that includes the same tags.

To search through content using data tags:
1 Select a video or other content piece that is posted on your portal.
2 Click More Details to open the content in a browser window.
3 In the Details for the content you have selected, view the data tags that have been created for the
video or other content piece that you have selected.
4 Click one of the tags to search through the portal for other content that contains the same tag and
generate a list of available content.

Share Video or Other Content on a
Portal
If sharing has been enabled by the portal administrator, you can share a presentation on another portal,
website, blog, or other sharing platform, either by embedding or linking the content.
Link or Embed Content on Another Web Platform
If sharing has been enabled, you can link or embed a video or other content on another web page or
sharing platform.
To link or embed content on another web platform:
1 On the presentation page, click Details to open presentation details.
2 In the Details tab, click the Share button.
3 Do one of the following:
Click Link if you want to provide a link to the video or presentation on your sharing platform.
Click Embed, if you want to embed the video or presentation within your sharing platform.

4 Select the Display Options that you want to include with your shared content, as outlined in the
following table:

Captions Include captions with the video if they are available.
Details Include details about the video with your link or embedded video.
Auto play Enable auto play so that the video plays automatically when a user opens it.
5 Copy the html code to the appropriate location in your preferred web sharing platform or website.
Share Content on an Available Social Network
You can also share content in email or on your social networks if such sharing has been enabled by the
portal’s administrators or content owners. Familiar icons will be available for social networks and other
platforms that have been enabled. If social network icons are not displayed in the content details, then
sharing has not been enabled for those social networks.
To share video or other content on an available platform:
1 Select Details for the video or other content piece you want to share.
2 Click the icon for the platform or social network on which you want to share the content, as shown.
3 Follow the prompts in the pop-up windows that direct you to log in to or select an account for the
selected social network, add comments, and share the content on the social network you have
selected.
Upload User-Generated Content to a Portal You can upload various content – including videos and presentations – to a portal if the portal
administrator has enabled user-generated content for it. Some uploads may require separate approval by
an administrator or moderator before they can be shown on the site.
Currently, the portal supports video and presentation uploads in *.zip format that have been created using
any of the following platforms:
● Polycom Media Editor / Accordent PresenterPLUS (ZIP Packaging Option)
● Camtasia Studio for Windows v8.3.x
● Camtasia for Mac v2.7.x
● Camtasia Relay v4.x
● Mediasite v5.x (PublishToGo Format)
● Mediasite v6.x (PublishToGo Format)
When for archiving presentations for upload, follow the instructions in your media platform, and use the
*.ZIP packaging option. When you are uploading a file for sharing on the portal, the server checks the file
to verify that it was created using one of the supported media formats. Multiple presentations per archive
or *.zip file are supported. Each presentation must be in a separate folder within the *.zip file.

Upload a Video Presentation
Presentations must contain media files that allow for progressive downloads, for example *.wmv, *.mp4,
and others.
To upload a video to the portal:
1 Log in to your default portal.
2 In the top-right corner of the portal, click My Uploads.
3 Click Upload a file.
4 Browse to the video archive you want to upload. Select the file, and click Open. The video begins
uploading.
5 While the video is uploading, you can enter information in the Title and Description metadata
fields.
6 After uploading is complete, from the list in the Category field, select Default Category, or any
category except User Generated Content.

By default, the User Generated Content category is preconfigured to require an administrator’s
approval for an uploaded video to be playable in the portal. When you select a category other than
the User Generated Content category, such as Default, the portal upload feature automatically
transcodes the video and makes it available to all users of the portal.
7 Click Save Changes. The video is now available in the portal in the category you selected.
View Uploaded Content in the Portal
You can view the video you uploaded to the selected category in the portal to verify that an upload has
been successful.
To view your uploaded video content in the portal:
1 In an Internet browser on a Windows PC, Mac, or mobile device, log in to the portal.
2 Click or tap the Categories button to display the portal tree.
3 Click or tap the category you uploaded the content into. The video content you uploaded appears
on the page for the category you uploaded to.
