Importing Data Directly

1.Underthesaveorexportfunctionwithintheonlineservice, selectorclicktheSavetoRefWorksoption.(A1) 2. IfyouhaveyourRefWorksaccountalreadyopen,theimport shouldautomaticallybegin.Ifnot,thenyouwillbepromptedto logintoRefWorks;afteryoulogin,theimportwill automaticallybegin.3.ClicktheViewLast Imported Foldertoreviewtheimportedrecords.

Helpful Hint:EveryreferenceaddedtoRefWorks(whetherimportedorenteredmanually)isgivenaprintorelectronicdesignationcalledSource Type.ThisassistsinensuringyouhavealltherelevantdataREQUIREDinyourbibliography.AdefaultSource TypemayhavebeensetbyyourlocalAdministrator.UserscansettheirownsourcetypeintheCustomizearea.(A2)

Converting References from Other Bibliographic Management ProductsRefWorksiscompatiblewithanumberofotherbibliographicmanagementproducts.YoucaneasilyconvertanexistingbibliographicmanagementdatabasesuchasEndNoteintoRefWorks.Fordetailsrelatedtoimportingdatafromspecificindividualbibliographicmanagementproducts,pleaserefertotheonline Help sectionofRefWorks.

Importing Data from Saved Text Files

ReferencescanbeimportedintoRefWorksfromatextfile(.txt)createdbysavingreferencesfromawidevarietyofonlineservicesandotherbibliographicmanagementprograms.

1.Retrievetheresultsyouwanttoexportfromtheonlineservice orbibliographicmanager,andsavethemasatextfile.Ifthe databasevendorlistsseveraldifferentformatsforsavingthe references,seetheRefWorksHelpfileforfurtherdetailsonthe appropriateselection.2.AccessyourRefWorksaccountandclickReferences fromthe drop-downmenu;thenselectImport.3.Onthesubsequentmenu,accessthedrop-downmenunextto Import Filter/Data Source andclickthesourceofthedata.(B)4.ClickontheDatabasedrop-downmenuandselectthe sourcedatabase.5.ClickontheBrowsebuttontoselectthetextfiletoimport.6.Clickonthe Import into Folderdrop-downmenutodesignate thespecificfolderwhereyouwanttofiletheimportedreferences. Bydefault,referenceswillautomaticallybeplacedintheLast Importedfolder,evenifyoudesignateanexistingfolderforthem togoto.7.ClickonImport.Whentheimportiscomplete,clickthe View Last Imported Folderbuttontoreviewandmodifythe importedreferences.

Importing from RSS FeedsRefWorkshasintegratedanRSSFeedReadersoyoucaneasilyaddyourfavoriteRSSFeedsfrompublishersandwebsites,viewtheinformationandimportdataintoyourRefWorksdatabase.

1.LocatetheRSSFeedyouwishtoinclude.2.Rightmouse-clickonthe RSS Feed icon or linkandselect Copy Shortcut.3.FromwithinRefWorks,selectRSS Feed fromthe SearchMenu.4.PastetheshortcutintothetextbarandclicktheAdd RSS Feed button.5.ConfirmtheadditionoftheRSSFeedbyclickingOK.Yourfeed resultswillbedisplayedinanewwindow.Selectthereferences youwishtoimportintoyourRefWorksaccountandclickImport.

Manually Entering References

1.Clickonthe New Reference button.2.Selectapotentialbibliographicoutputstyle(e.g.,APA, Chicago,MLA)underView fields usedbytoenablethe AccuCitefeature.(C)3.Designatethetypeofreferenceyouareentering(e.g.journal, bookordissertation)underRef Type.Thefieldnamesthatare associatedwiththespecificoutputstyleandreferencetype youchosewillappear,indicatingrecommendedinformation neededtoproduceanaccuratebibliography.These fields are not required to save the actual reference in RefWorks. Toview additionalfields,clickon Additional Fields atthebottom leftofthewindow.4.Enterinformationintheboxesprovidedandclickthe appropriate Save buttonwhenfinished.

Attaching Files to a Reference

Youcanattachfileswhenaddinganewreferencemanuallyoreditinganexistingreference.Attachmentscanbeanytypeofcomputerfile(PDF,TIF,JPG,GIFetc.)thatyouwanttoassociatewiththebibliographicinformationyoustoreinyourRefWorksdatabase.Forfurtherinstructionsonattachingfilestoyourreferences,pleaserefertothe Help file.

1.Selectareferenceinyourdatabase;clickonthe Edit button().2.Clickon Browse.Selectafiletoattach.SelectOpen.3.ClickonAdd attachment.(D)

Helpful Hint: ThenumberoffilesthatyoucanattachtoareferenceisdeterminedbyyourlocalRefWorksadministrator.Themaximumsizeofanyindividualattachmentis20MB.(Thedefaultsettingforattachmentsinanaccountis100MB.TheRefWorksadministratormayincreasethissettingupto5GBperaccount.)

Note: TheAttachmentFeatureisnotavailableforindividualsubscriptions.

Importing from Online Catalogsor Databases

YoucanuseRefWorksasasearchinterfaceforanumberofonlineresources.(E) RefWorksprovidesaccesstomanypubliclyavailableservicessuchasNLM’sPubMedaswellasmanyuniversities’OnlineCatalogs.Additionally,institutionalsubscribersmayalsoprovideaccesstosubscription-basedonlineservices(e.g.,OvidorProQuest)throughRefWorks.

1. FromtheSearchpull-downmenu,select Online Catalog or Database.2.Selectadatabasefromthe Searchdrop-downmenu.3.Selectthe Max. Creating Folders and Sub-Folders

1.ClickontheNew Folder button.2.Enteranameinthetextbox;clickCreate. (G) Thereisnolimitonthenumberoffoldersorsub-foldersyou cancreatewithinyourRefWorksaccount.3.Tocreateasub-folder,clickonNew Folder button.4.ClickontheCreate sub-folderlink.5.SelectaParentfolderforyoursub-folderandenteraname intheNew Folder Nametextbox.6.ClicktheCreatebuttontosaveyoursub-folder.

Helpful Hint: TheLast Importedfoldercontainsonlyreferencesfromyourmostrecentdataimport.Referencesfromimportspriortoyourlastimportnotassignedtospecificfoldersremainavailableinyourprimarydatabasebutunfiled;unfiledreferencesarecalledReferences Not in a FolderandmaybeseenbyclickingtheOrganize and Share Folderstab.

Putting References into Folders

1.Markdesiredreferencesfromthesearchresultspage,thenclick thebuttontitled Selected. Theselectedreferencesfeatureworks onapage-by-pagebasis;thismeansthatyoumustaddthe manuallyselectedreferencestothedesiredfolderbeforemoving tothenextpage.Alternatively,youcanmark All orallona Page.2.Clickonthe Add To: foldericon()andselecttheappropriate folderfromthedrop-downmenu. (H)3.Referenceswillautomaticallybeaddedtotheindicatedfolder.

Helpful Hint: Referencescanbeassignedtomorethanonefolder.

Sorting References1.Fromeitherthe View pull-downmenuorthe Organize & Share Folders tab,selectafolderorgroupofreferences.2.Usingthepull-downmenu Sort by,locatedinthetoolbarabove thereferences,choosetoviewreferencesbyvariousfieldswithin yourdatabase.

Globally Editing References

1. Fromthemainnavigationarea,clickontheGlobal Edit button().2.SelecttheappropriateoptionforReference to Use.3.The Add optionisdisplayedbydefault.4.Choosethespecificfieldtoeditfromthedrop-downlist.(I)5.Typeinthedatayouwanttoaddtothefieldinthetextfieldbox.6.Selecttheappropriateoptionforhandlingthefield-Append to Existing Data;Overwrite Existing Data(whatyoucurrentlyhave inthefieldwillbegone);Leave Existing Data Alone (ifthe fieldcontainsdatatheeditfeaturewillskipoverthatparticular reference).7.ClickonAdd Data.

AdvancedSearchmakesiteasytoperformfield-specificsearches(e.g.,Author,Title,Keyword),constructBooleanqueries(i.e.,AND,OR,NOT),andlimitthesearchtoaspecificfolder(s).TheresultsofanAdvancedSearcharedisplayedalphabeticallybyauthor,withthesearchtermshighlightedunlessacustomizedsortsettinghasbeenapplied.
