Installation Procedure for the BEM 2K3 version 3.8.3 Package
If you have an earlier version of BEM currently on the computer that you are going to install the new version,
please run your existing version and record YOUR current settings in the BEM Options screen for
Event File Back-up Path and Passing Files Back-up Path.
You will need to re-enter these details at the first run of the new version.
BEM version 3.8.0 MUST be removed before installing this update.
Recommended action is after a successful installation of this update, all earlier versions of BEM be removed to
avoid inadvertently running earlier version that will not be compliant with the current UCI Regulations.
Those who have assisted with running test versions 3.8.1.x should remove that version also at this time.
Removal Procedure Note that screen shots are taken from Windows 7 Pro and may vary depending on the version of windows
installed.
Click Start, Control Panel, Programs and Features (Add and Remove Programs in Windows XP)
Right click on the selected Bem2K3 or BMX Event Manager then Left click on Uninstall.
Answer Yes to any prompts required to complete the removal of the earlier version.
Unzip and save the BEM Production 3.8.3.msi file contained in the distributed
BEM_Production 3.8.3_PW.zip file. Note that a password is required for this action.

Double click on the BEM Trial 3.8.3.msi file to start the installer.
The following screen is displayed.
Click Next to proceed and the following screen is shown.

Click Next to start the installation and wait for the Installation Complete message (below).
Note that the installation hardcoded into is into the folder structure:
C:\BEM\Programs\Events\3.8.x for BEM and Series programs
C:\BEM\Programs\Report\3.8.x for the RRD program.
If not done previously as per step 2.2 on page 13 of this document, Office 2007 and Office 2010 users should
include the path C:\BEM\Programs in the Excel list of trusted locations.
The installation procedure installs the BEM, RRD and Series programs, adds the BMX Event Manager group in
the Programs Menu and provides shortcuts on the Desktop.
Note: if the shortcuts are added but with default rather than the custom icons, please contact
[email protected] for assistance to resolve this issue.

First Run Setup
Double click on the BEM 3.8.3 icon to start the program.
Select the required language option then click OK
The BEM version and your PC’s Excel version and build details will then be shown.
Check that your BEM version is shown as 3.8.3.
The banner also includes the Excel version and Build numbers running on your computer as a quick check that
you have the latest Microsoft Office updates installed. If you do not have versions at least matching the
following, there is a good chance that your version of Excel is not up to date and may result in unpredictable
operation of the BEM program.

Select the appropriate Association / Region or UCI if used for other than the listed Associations.

Note that the first time the BEM program is run, a reminder message that the Event Files and Passing Files
back-up paths need to be set.
Note that the Event File Back-up Path and Passing Files Back-up Path are blank and need to be set.
If you recoded the settings from an earlier version BEM installation restore those settings now.
To select the paths, click on respective Select button, navigate to the required back up folder and then click on
the Save button.

Once the Event File Back-up and Passing File Back-up paths are selected and the Scrambled Motos Run-off
setting is made you can close the options screen and select an Event File.

While there are more variations available in the BEM System for non-official variations that some Associations
use, the following configurations of Class_Code, Score_Code and Finals_Code are the only configurations to
use for compliance with UCI BMX Rules for 2015 and 2016:

BEM Changes from version 3.8.0 to 3.8.3
This section describes the changes and new features introduced in the update.
UCI BMX 2015-2016 Rule Compliance
The update continues the compliance changes first introduced in version 3.8.0 to the Clarification – Part VI
BMX Races Annex 2 section of the UCI Paper, 2015 BMX Race Procedures – v. 20150324.
Note that this rule change is optional for 2015 and mandatory from 1 January 2016.
Class Code Implications
The following existing Class Codes have modified functionality from version 3.8.0 to deliver the
“clarification” which is effectively a rule change by a different name.

Previous Behaviour.
Allocation of starting lanes in motos was random for Moto 1 then assigned
starting lanes for Moto 2 and 3 according to the table in Annex 2 depending
on the starting lane for Moto 1.
New Behaviour.
Riders choose their starting lanes for Motos in order of their seeding (ranking
or Time Trial) according to the table in Annex 2.
For example, if the highest ranked rider in a heat wanted to have position 1 in
Moto 3, then he would have to choose position 7 in Moto 1 and position 6 in
Moto 2 – according to the table.
HTML Reports
All HTML report formats have been revised for a cleaner look and compliance with the latest web standards.
Transponder Interfaces
Revised passing file import handling is provided for the BeChronized transponder system however this is not
yet production ready as development testing with the manufacturer is not yet finalised.
Bug Fix
This updated corrects a problem for Scrambled Motos where Runoff with the Countback option is selected. The
fault can impact the scenario where a Runoff is required and there are riders on the same moto points as those in
the Runoff who are excluded from the Runoff and ranked ahead of those in the Runoff by virtue of the
Countback rule. In this situation there was the possibility that a rider who should be excluded from the
subsequent stage on the basis of the Runoff results can be wrongly included.
RRD Changes for version 3.8.3
Updated FTP sending options for Auto Reports near real time upload to either eZeventing or
SportsLists phone App. To use this facility please see the Auto Reports section in the RRD User Guide
and register with the respective service provider to obtain an unique upload key per event:

Operator selectable new format HTML UCI Moto Draws report available in Auto Reports when the
event is run under UCI Rules.

Series Changes for version 3.8.3
Revised format HTML reports.
Correction for Series points for the scenario where Series relative points are awarded to a 9 rider class
with 7 rider final where “not in final” points are used so that the 8th
placed rider will now get not in
final points and not 8th
placed points.
Correction where the “Show Rider Sponsor” setting was not being saved and needed to be set each
time the Series program was run.

Operating System Requirements
The recommended PC environment is:
Operating System: 32 or 64 bit versions of Windows XP, Vista (OK but best avoided if possible), Windows7,
Windows 8 & 8.1 (full versions, not the RT tablet version).
If you are using BEM in a networked environment to run transponder timing or the RRD program, use of the
Professional rather than the Home versions of Windows are strongly recommended.
Microsoft Office: Office 2003, 2007 or Office 2010 (32 bit).
BEM does not run on Office 2013, Office 365 or the 64 bit version of Office 2010 as Microsoft have not
maintained full backwards compatibility with Office 2010 (32 bit), 2007 and 2003 versions.
For new PCs that come pre-installed with Office 2013, the following options are suggested.
1. If you don’t have a specific requirement for Office 2013 and haven’t paid the Office 2013 licence fee:
a. Totally remove Office 2013 from the PC.
b. Buy and install a legitimate version of Office 2010 from eBay (normally cheaper than the Office
2013 licence).
2. If you need to keep Office 2013 on the PC with either Win7 or Win8.
a. Do a partial installation of Office 2010 installing only Excel 2010 which will happily co-exists
with Office 2013.
b. To get BEM to open with Office 2010 when you also have Office 2013 installed then either:
i. Open Excel 2010 before clicking on the BEM icon.
ii. Set up your own shortcuts to BEM, RRD, Series and Toolbox that direct to Office 2010.
I.e. in the Shortcut Target use “C:\Program Files (x86)\Microsoft Office\Office14\EXCEL.EXE” “C:\BEM\Programs\Event\3.5.1\Bem2K3.xls”
The following preparatory actions if not already implemented from earlier releases of BEM will avoid
compatibility problems.
1. Download and install the latest applicable Office 2003 / 2007 / 2010 service packs and updates. This is very important as there is a history of unpredictable operation should the latest Microsoft updates not be installed.
2. For users running Office 2007 and Office 2010.
2.1. The RRD program will not run on the out of the box version of Office 2007 or 2010 as those Office versions do not ship with the required Office 2003 Web Components. This can be overcome by downloading and installing this missing component from the Microsoft web site using the following link: http://www.microsoft.com/downloads/details.aspx?FamilyID=7287252c-402e-4f72-97a5-

Once this is done, you should then run Windows Update that will download and install the Service Pack and security updates for the web components.

2.2. Include the C:\BEM path and any other locations where you save BEM files in the list of Excel Trusted Locations. Method:
2.2.1. Open Excel.
2.2.2. Select File then Options.
2.2.3. Select Trust Center.
2.2.4. Click on Trust Center Settings… button.
2.2.5. Click on Add new location… button and add any required paths and select the Subfolders of
this location are also trusted if appropriate and then click on OK to accept and close the dialog
2.2.6. . • Click on OK to close each of the dialogs until back in Excel which now can be closed.
