AIESEC United States is a non-profit, student organization dedicated to the promotion of cultural understanding and cooperation through international training programs, internships, and volunteer opportunities.
The Responsible Officer position carries full responsibility for the administration of all aspects of AIESEC’s J-1 Intern and Trainee Programs in compliance with US Department of State regulations. This position operates in collaboration with AIESEC Business Development and the Global Current Exchanges (a division of AIESEC) to maintain administrative processes. This position is full-time (40 hours per week) and reports to the President and Board of Directors.
Principle Responsibilities• Maintain 100% program compliance according to program regulations• Interpret J-1 regulations for programs sponsored by AIESEC US• SEVIS management (DS-2019 processing, participant monitoring, status
updates, annual reports, updates to program officials, redesignation reports, program expansion, etc.)
• Review all J-1 applications sponsored by AIESEC US• Communicate with government agencies concerning J-1 program
administration, ongoing grant-based programs, and other matters as needed• Monitor and report program requirements (participant validations and
evaluations, ongoing support, etc.)• Advise exchange visitors sponsored by AIESEC US• Develop and maintain program policies to provide ongoing compliance and
improvement to program processes• Develop and maintain program materials (applications, forms, support
documents)• Manage communication with clients in cooperation with Global Current Program
Manager• Conduct site visits and in-person meetings• Attend relevant conferences• Collaborate with managers of outbound and volunteer programs for
improvement of program policies and processes
Administrative Responsibilities• Receive and evaluate program application and training plans• Communicate with Program Manager and clients concerning program approval
and compliance• Process insurance enrollments of participants• Deliver services to participants including on-going support and collection of
program evaluations• Maintain program files and database

Requirements• Must be a US Citizen or Legal Permanent Resident of the United States in order
to comply with the federal requirements for SEVIS users• Bachelor’s degree• 2-5 years experiencing managing J-1 exchange visitor programs • Prior experience as an Responsible Officer or Alternate Responsible Officer with
a US exchange visitor program, preferably in the trainee and/or intern categories
• Excellent written and oral communication skills• Strong interpersonal and organizational skills • Self-starter, confident working independently with little direction • Must be articulate, motivated and a confident decision-maker• Ability to communicate effectively with people of diverse cultures and
backgrounds• Skilled knowledge of MS Office programs and experience with CRMs and internet
