RESPONSIBLE TO: Service Manager Transformation WELSH LANGUAGE ASSESSMENT: Welsh language skills are desirable. The Purpose of this Role:- To provide support and assistance to the Leadership Team of Social Care, Health and Safeguarding through the provision of comprehensive Business Support. We are looking for someone who brings reliability, commitment and enthusiasm to the role alongside technical skills and knowledge. Someone who understands the importance of business support and the difference it makes to the effectiveness of the Leadership Team Expectation and Outcomes of this Role:-

Key element in supporting the business within the Directorate

Provision of key tasks to support strategic meetings.

Provide key support for projects and programmes that the directorate is responsible for and involved.

To ensure all business process are organised recorded, monitored and kept on track.

Your responsibilities are to:- Admin

1. Responsible for timely and profeshional managing of all correspondence.

2. Responsible for all admin tasks. e.g photocopying, scanning, printing.

3. Provide business support to key leadership groups including QUIP, Finance, Workforce, WASCG, Health & Safety.

4. Co-ordinate agendas take accurate minutes, action notes and follow up of

actions and progress on completion of actions.

5. Booking of rooms/venues for meetings / events.

6. Chasing progress and ensuring actions are progressing in a timely manner for key projects.

7. File Management. Maintain document folders for the Leadership Team as

required

8. Organize and take minutes of various meetings as required by the leadership team. Tracking & following up on actions.

9. Carry out an admin & co-ordination role in directorate recruitment processes.

10. Project Work. To support and carryout project work in line with the relevant

service area.

11. Accurate Tracking and record keeping (e.g Risk management process)

12. Communication. Support the development of all communication channels both with the directorate and with all partners. (via HUB, SCH&S website etc.)

13. Be the digital champion for the leadership team within the directorate. Finance

14. Provide financial administration duties as required and directed by the Finance Manager

15. Raise purchase requisitions and orders on the Authority’s system as required

16. Process goods receipt notes and payment of invoices on the Authority’s

system

17. Deal with suppliers as necessary with any payment queries. Communication

18. Responsible for working as part of a team and building relationships of trust through open and interactive communication.

19. Be open and flexible towards new ways of working, as part of the business
