• Updated Roundtrip site – the new version of OfficeMax roundtrip (OrderMax) includes many new features to improve the ordering process.

• User recognition – the system recognises each user when they access the roundtrip session and provides a personal profile that includes each users favourite items, templates and held orders.

• Handy tools – Other useful tools include the ability to do Quick Add/Import of items, Stock Availability and Product comparison – these, and other features/information, are described in more detail at the end of this user guide.

• User Guide – This user guide provides basic step by step instructions on accessing the roundtrip, searching for products, selecting items and returning them to MarketSite.

Manage your Shopping Cart Click on View Cart and review the cart details. Options include amending or deleting items, Quick Add of items, Keep Shopping or Hold Order (be sure to Hold any time you wish to retain the cart for future use).

Click ‘Review Cart’ when your order is ready for completion.

• Product searching - You can search for products using either keyword, OfficeMax product code or manufacturer’s code,

• or browse for a product using the Product Menu

• Filters, Sorting and Viewing your search results – you can filter your search results, Sort by Product Code or Description and View by List or Grid.

• Preferred items – Items marked as Preferred attract the highest level of discount to the University.

• Favourites – You can add items to your personal list of favourite items when viewing the product details.

• Templates – Once you have created a Cart you can Save as Template which allows you to give the Template a name, and use the Template for future orders.

• Held Orders – If you are not ready to complete your order you can put your order on Hold by clicking on Hold Order and if required giving it a Reference. To retrieve your held order next time you are in the system click on Order on Hold and Continue. Once you have opened a Held Order it will only be re-held if you click on Hold Order again.

• Stock Availability – Items will display real-time stock availability. To view stock on hand add the item to your list of favourites and view your favourites.

• Compare Products – To compare products select the Compare button when viewing your Search Results and then click on Compare Selected. It’s possible to compare 3 items at a time.

• Quick Add – If you know the item number of the items you wish to order you can go straight to View Cart and use the Quick Add tool – simply enter the product code and quantity and click Add.

• Order Import – it’s possible to import a .csv file or paste details directly into your Cart – handy for large orders. To do this click on Quick Order Pad on the Navigation Panel and follow the instructions.

• Recommended Minimum Order Value – Otago has a recommended minimum order value of $50. If it is not practical to increase your order value or hold your cart then click on Continue to proceed to the Checkout.

• Order completion – When you are ready to complete your order and return it to MarketSite click on View Cart from the navigation panel. This allows you to review your order and make any necessary changes, add/remove items, Save as a Template or Hold the order. If you are ready to complete the order click on Review Cart and then Return Cart. The OrderMax window will then disappear and the product/qty details will be returned to your shopping cart in MarketSite. You can then apply your account codes and Submit your order. The order will then be sent automatically through to OfficeMax or for approval if the value exceeds your spending limit.

• Time out – Your OrderMax session will time out after 3 hours, however MarketSite will time out after 45 mins of inactivity.

OfficeMax Returns Process

1. Contact OfficeMax Quality Response Team on 0800 10 20 44 to arrange the return of goods. Please ensure you have the sales order/invoice/packing slip number ready.

2. OfficeMax will provide a RETURN AUTHORITY (RA) form/number that should be attached to the goods/packaging to be returned.

3. Please arrange with Campus Courier (Dunedin departments) to collect, ext 8043. Returns arranged from other centres will be collected by Courier Post – this will be arranged by OfficeMax.

4. When entering your receipt in MarketSite, enter the qty that is OK with an ‘OK’ Status, and then enter the qty that is being returned with a status of either ‘Goods Damaged’ or ‘Awaiting Credit’. Please ensure you add a comment explaining what has happened – this is useful during the invoice matching process when allocating invoice charges and credits.

5. Any items that are returned and need to be replaced need to be re-ordered by placing a new MarketSite order.
