Organizing your data in SciNote

When you create your account in SciNote, you also choose the name of your team (e.g. John‘s Lab).

You can use SciNote individually or invite your colleagues to join you. It is also suitable for work with students.

In SciNote you can organize your data by your individual projects, or projects on which members of the team collaborate. You can also be a member of multiple teams.

Team members i.e. users have different roles and permissions.

SciNote is flexible enough to support different types of experiments and processes, while at the same time it provides the necessary structure for lab data to be systematically organized.

Step 3. Each experiment is composed of one or more tasks. Tasks can be arranged as you wish, in flexible workflows.

Step 4. Inside each task, you can add notes, pictures, files, tables etc. SciNote is integrated with Microsoft Office Online, you can view and edit the files directly in SciNote.

Within each task, you can create a step-by-step protocol as well. You can start writing your protocol as you open your task, or create it first in the Protocols section and then add it to the task.

SciNote enables you to manage all your resources: protocols, samples, reagents, lab equipment, plasmids, etc. You can assign inventory items to your tasks, to keep track of the use of each resource in your experiments.

Inventories can be accessed from the menu on the left and within each task.

Free SciNote users can have up to 6 different Inventories, while Premium Academia or Industry users can have up to 15.

You can edit the columns according to your needs. While creating a new column simply choose what type of column it should be – text, files or dropdown. This enables you to, for example, add a picture or a document to an item in the inventory.

All of your newly created inventories will appear in the navigation bar

SciNote can generate detailed project reports for you instantly.

Simply choose a project and tick the boxes to select the type of content you want to include.

Investing some time in the beginning to organize and connect your data in SciNote will allow you to find anything you need in an instant. SciNote‘s powerful search option enables you to search through all your data and contents of the data.

Team collaboration in SciNote

Detailed overview over the activity on existing projects, users who are assigned to each project, notifications and comments is just a click away. It enables users to keep track, communicate and collaborate efficiently.

Each user has their set of permissions within the team and within each project, so hierarchy and access to data is defined.You can also invite external colleagues as guests.

When collaborating on the same project, users can add comments and discuss everything within SciNote – no need to export data, send it via email and wait for the response.

By using @ you can tag a team member, and by using # you can tag projects, experiments, tasks, even inventory items in their comments.

You can have a detailed overview over the progress of the projects (date, time, name and actions performed per each user). This functionality keeps detailed records on what was done in the lab, when and by whom. You can see the overall activity, activity per project or activity per task.

If you are collaborating with external partners, you can add them to the project in SciNote. You decide which data they can access and whether they can only see it or edit it by assigning them the “guest” or “viewer” role. No need to send numerous emails. You can collaborate within SciNote.

It allows your organization to periodically reset passwords of all organization members (Passwords can also be reset on demand for individual users).

System log

This functionality automatically records system activities and detects potential unauthorized access to SciNote. It gives you a detailed overview over invalid and valid user logins, user logouts and system errors.

System log records can be exported in comma separated file (.csv) format that can be re-opened in Excel as a spreadsheet table.

Only Organization administrators can access system logs. This is an additional SciNote Premium user role.

SciNote also maintains an audit trail i.e. a recorded history of all changes made in the system.

You can select which record type you want to see e.g. project, experiment, task, samples or results, and from which time period.

If you click expand in the Values column, you can also see the data before and after the changes.

As mentioned earlier, SciNote Premium includes a new user role called Organization administrator.

Organization administrators can see all teams within the organizationand have full access to manage individual teams and their members.

Electronic signatures

This feature allows you to complete and electronically sign i.e. lock specific tasks that were completed within projects. When atask is signed, date, time and name of the responsible person who signed it are automatically recorded. It is also possible to co-sign a task if there are two levels of supervision within an organization. User permissions that differ among users determinewhether a person can electronically sign a task.

How does SciNote keep your data safe?

SciNote uses the strongest data security protocols to protect the privacy and integrity of exchanged information. All data isencrypted and transferred over safe connections.

1. Your connection to SciNote server is secure

Strong HTTPS protocol (TLS 1.2) guarantees protection against third party security breaches. This way, your data cannot be read or forged by third parties.

2. Powerful private encryption of all your data

SciNote uses RSA SSL certificate and strong 256-bit key exchange for secure data transmission. It is a strong private encryption that protects your information.

3. Strong cryptography when transmitting data

SciNote communicates with external services using safe connections (SSL technologies): Heroku PostgreSQL database (SSL) and Amazon S3 (HTTPS). These are cryptographic protocols that encrypt network connections.

The basic difference between cloud-based software and local installation (SciNote offers both) is the following:

Cloud version means that your files are located on a secure Amazon cloud i.e. on the Amazon's machines, instead on your local machine at your institution. Amazon is one of the strongest cloud providers today. Technically speaking, everything that you (your institution) store in SciNote (Amazon Cloud) can be accessed by you only and you are not giving away any rights or ownership over your data.

Today, experienced cloud providers’ main aim is to store encrypted data in advanced data-centers with high security to prevent any unauthorized access. You are the only owner of your data and have full control over it. Cloud providers also maintain regular backup of your data and have recovery solutions in place.
