ABOUT THIS DOCUMENT

Welcome to the SDL Trados 2007 Overview Guide. This guide introduces you to SDL Trados 2007 and

explains how to get the most out of working with SDL Trados tools. This guide contains information

for all SDL Trados 2007 users.

WHAT IS SDL TRADOS 2007?

SDL Trados 2007 is a suite of software tools that work together to provide a complete solution to the

challenge of creating, managing and completing translation projects in the most efficient and cost-

effective way. SDL Trados 2007 enables translation teams to share translation tools, translation

memories and project files across an organization. Some Trados components are installed on users’

computers and others are shared over an intranet or over the Internet. This setup enables bothindividual and team working.

SDL Trados 2007 can also be a single-user tool. In this setup the SDL Trados 2007 software and

translation memories are located on your computer and there is no interaction with translation

memories or projects over an intranet or the Internet. This is how SDL Trados 2007 Freelance

works.

Components Installed on Your Computer

Components installed on your personal computer are known as ‘client’ components. The SDL

Trados client components are: SDL Trados Synergy, Translator’s Workbench, TagEditor and Server

Manager.

SDL Trados Synergy

SDL Trados Synergy is the primary SDL Trados component. It provides comprehensive project

creation, tracking and management tools and is a single point of access to all other SDL Trados tools.

From the SDL Trados Synergy application you can open and work with:

C Project management tools

C Translation memory management tools

C Translation tools

C Terminology management tools (if you have SDL MultiTerm installed).

Translator’s Workbench

Translator’s Workbench is the translation memory tool where you can create and manage translation

memories that are stored on your computer. Through Translator’s Workbench you can connect to

server-based translation memories and work with them interactively as you translate documents.Translator’s Workbench also incorporates the Microsoft Word translation interface where non-

tagged files are translated. Refer to the SDL Trados 2007 Translator’s Workbench User Guide for more

information about working with translation memories and translating in Microsoft Word.

TagEditor

TagEditor is where tagged files are translated. The special editing environment ensures that

information in tags is not lost during translation. When you are working in TagEditor, translation

memory tools are provided by Translator’s Workbench.

with TagEditor.





Server Manager

SDL Trados Server Manager is where SDL Trados administrators create and manage server-based

translation memories and also manage user credentials for accessing server-based translation

memories and project tracking services.

Refer to the SDL Trados 2007 Administrator Guide for more information about working with Server

Manager.

SDLX

SDLX is an alternative translation management tool from SDL International. It is distributed with

SDL Trados to support users who currently work with SDLX files and to provide support for some

specific file types that are not currently handled by SDL Trados. See SDLX on page 19 for more

information about SDLX.

Components Installed on Servers

Server components are installed on server computers and enable you to access and work with server-

based translation memories and online project tracking services. The server components are: TM

Server, TM Anywhere Server, Synergy Server, User Manager Server and License Server.

Refer to the SDL Trados 2007 Administrator Guide and the SDL Trados 2007 Installation Guide for more

information about server components, what they each do and how they work together.

TM Server

TM Server manages all communication with server-based translation memories. Translation

memories are stored in databases which no other server component can access directly. When you

want to work with a server-based translation memory, you must first connect to a TM Server; the TM

Server then handles all transactions between you and the selected translation memory.

2007 Translator’s Workbench User Guide.

TM Anywhere Server

TM Anywhere Server is required if users need to access server-based translation memories through

the Internet.





Synergy Server

Synergy Server provides project tracking services. As project team members work on project files,

they send file status updates to Synergy Server where they are stored and collated. The collated status

information enables project managers to view the status of projects at file, language or whole-projectlevel, in ‘real-time’. Project managers view project status information in SDL Trados Synergy.

User Manager Server

User Manager Server is where user credentials and access rights are created and managed.

For information about managing users and their credentials, refer to the SDL Trados 2007 Administrator Guide.

License Server

License Server is used to manage product licenses.

For information about managing users and their credentials, refer to the SDL Trados 2007 Installation

Guide.

Databases

User credentials and translation memories are stored in databases which are managed using SDL

Trados Server components. The databases may be Microsoft SQL or Oracle databases.

HOW TRADOS CLIENT COMPONENTS WORKTOGETHER

The table below shows how the SDL Trados client components work together in a typical set-up.

Project Manager Uses Synergy to create a new translation project:

C Adds the files to be translated.

C Selects the translation memories, terminology databases and

PerfectMatch files that will be used to pre-translate project files.

C Sets up project tracking.

When the project has been created uses Synergy to:

C Create project packages for distribution to translators.

Packages include files for translation, a project translation

memory and instructions.

C Monitor project progress.

Translator Uses Synergy to open and work on project packages:

C From Synergy, open Translator’s Workbench and TagEditor or

Microsoft Word where the project files are translated. The

project translation memory automatically opens in Translator’sWorkbench.

C Sends project file status updates to Synergy Server.

C Runs quality assurance checks on translations.

C Creates packages containing translated files and sends the

packages to the reviewer(s).

Reviewer Opens project packages in Synergy and then:

C From Synergy, opens project files in TagEditor or Microsoft

Word and reviews the translations.

C Edits translations if necessary.

C May also run quality assurance checks on translations.

C Sends file status updates to Synergy Server.

C Creates a return package for the project manager. A return

package contains reviewed, approved, translated files.

Project Manager Opens return packages in Synergy and then:

C Finalizes projects by updating translation memories with final

translations and converting translated files to their original

format ready for distribution to customers.

C Closes and archives projects when completed translations have

been distributed to customers.

SDL TRADOS BASIC CONCEPTS

This section describes some of the basic concepts behind SDL Trados 2007.

What are Projects and Project Packages?

A translation project is a single translation request prepared for translation in SDL Trados Synergy.

A project may contain a single file for translation into one language or hundreds of files for

translation into many languages. It may also contain reference material, a project translation

memory and instructions for translators.

Project files are distributed in project packages. A project package contains files for translation,

reference files, the project translation memory and links to server-based translation memories. The

project translation memory is automatically loaded from the package when users open project filesfor translation from SDL Trados Synergy.

Once a project has been created, the project manager can manage all aspects of project effort and

monitor project progress using the project management tools in SDL Trados Synergy.

What is a Translation Memory?

A translation memory is a database containing source language sentences and translated versions of

the sentences. The sentences, known as segments, are retrieved from completed and approved

translation tasks and added to the translation memory at the end of a project. When a new project

file is being prepared for translation, Synergy checks the translation memory contents and

automatically applies translations from the translation memory to the new project files.

In addition to general language translation memories you can also create industry and customer

specific translation memories. These can be applied to project files in addition to general translation

memories.

Translation Memory Types

There are three types of translation memory available in SDL Trados 2007:

C Server-based translation memories are located on a server computer on your network. Users

access server-based translation memories through a network or through the Internet. You can

work online, interactively, with a server-based translation memory as easily as if it was local to

your computer. This means that however widely distributed project team members are, they

can all work with the very latest versions of the same translation memories.





C File-based translation memories are created by you and stored on your computer. For this

reason, file-based translation memories are also referred to as ‘local’ translation memories.

Other users cannot access your file-based translation memories but, if you are responsible for

creating new projects, Synergy can pre-translate project files using translations from local

translation memories.

C A project translation memory is created for a particular project and is distributed with the

project files. To create a project translation memory, Synergy checks the source segments in

local and server-based translation memories and finds all segments that have some content in

common with the segments in the file being translated.These segments and their translations

are placed in the project translation memory. At the end of a project you can destroy a project

translation memory.

Setting up and managing server based translation memories is described in detail in the SDL Trados

2007 Translator’s Workbench User Guide and the SDL Trados 2007 Administrator Guide.

Translation Memory Matching

Where the content of a translation memory segment exactly matches a source language segment in

a project file, this is known as a 100% match. In the case of a 100% match, the segment translation

retrieved from the translation memory generally does not require further editing by a translator.

Where the degree of match is less than 100% this is known as a ‘fuzzy’ match. Fuzzy match

translations are also useful to have as they can provide a starting point for translations.

What is PerfectMatch?

PerfectMatch is an SDL Trados application that automatically retrieves translations from a

previously translated version of a file and applies them to a later translation request for the same file

(or a related file). For PerfectMatch to work, you need to have the bilingual version of the previously

translated file. The bilingual file is the file that translators work on in SDL Trados translation tools.

The completed translations sent to customers are generated from the bilingual files.

With PerfectMatch, you can be sure that the retrieved translation is not only 100% accurate but also

that it is being used in the correct context, as translations are not re-used unless the text surroundingthe segment being translated also matches in both the old and new versions of the file.

PerfectMatch is applied to project files during project creation in SDL Trados Synergy.





Benefits of Using SDL Trados 2007

These are the key benefits of using the SDL Trados 2007 suite of tools:

CThe time and effort involved in creating new projects and preparing project files fortranslation is significantly reduced as the process is automated by the Create Project wizard.

C You can re-use translations, thus reducing the number of words that require translation in

new tasks and ensuring translation consistency.

C You can reuse translations from previously translated files. PerfectMatch automatically

retrieves translations from earlier, translated versions of project files and applies them to new

translation requests for the same file (or related files). This ensures that both the translation

and the translation context are correct, reducing the need for review.

C Translation memories can be shared over an intranet or the Internet making it possible forwidely distributed team members to work with the same translation memories no matter

where they are located.

C You can easily distribute project files and related information in ‘project packages’.

C You can track project status in real time at file, language and project level. You can also track

project file location and ownership.

C You can view project data in a variety of ways in the Synergy screens and reports.

C

Translators use market-leading translation tools.

C You can easily and quickly perform translation quality checks on individual translation tasks

or batches of tasks.

C All SDL Trados 2007 tools can be accessed through one application, SDL Trados Synergy.

Synergy’s easy to read graphical interface incorporates standard point-and-click and drag-and-

drop functionality and links to all other SDL Trados 2007 tools.

INTRODUCING SDL TRADOS SYNERGY 2007

SDL Trados Synergy 2007 is the SDL Trados project management tool. It also provides you with a

single point of access to all other SDL Trados 2007 components. From Synergy, you can open and

work with:

C Translator’s Workbench, the SDL Trados translation memory management tool.

C TagEditor, the SDL Trados translation tool.

C SDL MultiTerm, SDL’s terminology management tool.

ABOUT SYNERGY TRANSLATION PROJECTS

Project managers can manage all aspects of project creation, user effort and project progress using

the project management tools in SDL Trados Synergy.

Creating Projects

Projects are created using the Synergy Create New Project wizard. When you have specified project

settings and selected the project files, the wizard automatically:

C Creates a project and adds it to SDL Trados Synergy where it is managed.

C Pre-translates project files by applying translations from translation memories, terminology

databases (termbases) and PerfectMatch files.

C Creates a project translation memory for distribution with project files.

C Produces translation analysis figures for viewing on screen in Synergy and in Synergy reports.

Optionally, the wizard can also:

C Place the project details on the Synergy Server where they can be tracked.

C Save all of the project settings in a project template for reuse.

The project files are now ready to be placed in project packages and sent to project team members.

Project Templates

Project templates further reduce the amount of time and effort involved in creating new projects. A

project template contains the settings and selections you used to create a previous project. Select a

template and all of the settings and selections stored in the template are automatically applied to the

new project files in the Create New Project wizard screens.

You can use exactly the same settings to create a new project, or you can edit them first.

Project Tracking

As work progresses on project files, file status information is sent to the Synergy Server by users

working on the files. The file status information is collated at project level and stored on the Synergy

Server but is viewed in SDL Trados Synergy.





At file level, you can see who is working on a file and what stage of the localization process the file

has reached (for example, translated or reviewed). At project level, you can track progress for the

entire project or for each language in the project. Project tracking is optional and will only take place

if it was set up when the project was created.

Synergy Project Packages

Project files are distributed in project packages. A package can contain the original source language

files, the files prepared for translation by the Create New Project wizard, PerfectMatch files, reference

material, a project translation memory, links to termbases, instructions for translators and any other

material needed by team members. Packages are easily created in Synergy and are e-mailed from one

user to the next.

Package Round Trip

After creating a new project, the project manager creates project packages and sends them to the first

person to work on them; typically, the translators. Translators open the packages and work on the

files. When a translator has finished, they put the translated files, and any other material, into new

packages and send them to the next person in the workflow. Finally the completed translations are

placed in return packages and sent to the project manager. This entire process is called a package

‘round trip’. Below is an example of a simple round trip.

A package round trip is completely flexible and can contain as many people and stages as the project

demands. Packages can also move backward as well as forward. The status of the files in packages

may be notified to the Synergy Server at every stage of the trip.

Synergy Project Tools Summary

The tools available in SDL Trados Synergy enable project managers to:

C Create new translation projects quickly and easily using a wizard.

C Distribute tasks to project team members in 'project packages'.

C Monitor project progress in 'real time' at project, file and language level.

Check how far team members have progressed with their tasks.

C Run project reports.

C Update project settings.

C Convert translated project files into finished files for distribution to customers.

C Finalize projects and archive them on their computer.

C Pass ownership of projects to other project managers.

Translators and other team members can:

C See which project files they are currently responsible for and how work is progressing on

those files.

C Open packages.

C Open project files in Trados translation tools directly from the SDL Trados Synergy screen.

C Run quality checks on translations.

C Update the project status as they work on files.

C Create project packages and send them to another user.

All Synergy functionality is available to all SDL Trados users.

NOTED

SDL Trados 2007 Freelance users can open Synergy project packages and create returnpackages. However, they cannot create project packages for their own projects.

SYNERGY VIEWS

Synergy screens are known as views . Each view gives you a different view of project data and provides

access to different project tools. There are five Synergy views: Start, Today, Projects, Reports and

Files.

Start This is the Synergy opening screen. From here you can:

C Create a new Synergy projec and open project packages.

C Access other SDL Trados applications.

C Access SDL Trados documentation and tutorials.

Today This view displays:

C The project and project file you last worked on.

C All projects that are due to be completed in the next 10

days (or a number of days specified by you).

C All projects that are now overdue.

From here you can select a project and view detailed project and file

information. The navigation pane displays the latest news from a

web site that you choose. By default, it shows SDL information.

Projects This is where you view and work with all projects. Select a project to

view detailed project and file information and track project and file

status.

Reports This is where you run project reports. The various reports provide

detailed translation analysis figures which feed directly into the

project planning and budgeting process. There is also a report thatshows the results of running quality assurance tools on completed

translations.

SDL TRADOS LANGUAGE SUPPORT

The SDL Trados 2007 user interface is available in English, French, German, Spanish, Chinese and

Japanese. For information on how to change the user interface language, see the SDL Trados 2007

Synergy User Guide .

In general, language support in SDL Trados 2007 corresponds to the language support installed on

your system. However, you may need to check that the DTP package you use supports your language.

For more information about specific support for bi-directional (Hebrew and Arabic) and double-byte

character set (DBCS) languages (Chinese, Japanese and Korean) in Translator’s Workbench and

TagEditor, see the relevant online Help system and the product release notes. Further information

is available from the SDL online support center at http://support.sdl.com.

SDL TRADOS SUPPORTED FILE FORMATS

In SDL Trados 2007, source files need minimal preparation before adding them to your projects.

The table below summarizes how file types are handled, however you should refer to the File

Formats Reference Guide for more detailed information. The File Formats Reference Guide

describes which file types are handled by SDL Trados 2007, how certain file types need to be

prepared for use in SDL Trados and which file types can be handled exactly as they are.

Some file types are prepared in SDLX. See SDLX on page 19 for more information about SDLX.

SDLX

SDLX is also a translation management tool from SDL International. SDLX is included as part of the

SDL Trados 2007 package and is automatically installed in the SDL Trados 2007 folder. To start

SDLX, go to Start > Programs > SDL International > SDL Trados 2007 > SDLX > SDLX.

In the past there was no overlap between SDLX and SDL Trados, now however, it is possible to

translate SDL Trados Tag (*.TTX) files in SDLX and SDLX (*.ITD) files in SDL Trados. This means

that file types not currently supported by SDL Trados can be prepared for translation in SDLX and

then translated in either SDLX or SDL Trados. After translation, files prepared in SDLX must be

returned to SDLX in order to generate the translated file in the original source file format.

Thes following file types are not currently supported in SDL Trados and should be translated in

SDLX:

C Mac-based QuarkXPress (version 6 and earlier versions are supported)

C C, C++

C Visual Basic

C OpenTag.
