Introduction

What does it do? This application provides the user with the ability to create DOCX or XLSX

documents containing the source and the target text from a fully populated SDLXLIFFIMPORTANT : THE APPLICATION SEEMS TO ALLOW THIS BUT IF THERE ARE EMPTY TARGET SEGMENTS IN THE INITIAL EXPORT YOUR SUBSEQUENT IMPORT WILL NOT BE SUCCESSFUL

It also allows the user to import a reviewed DOCX and update the SDLXLIFF with the changes made to the target text

Prequisites You must have SDL Trados Studio 2009 SP3 installed You must download and install OpenXML SDK 2.0 (only the 3.8 Mb file)

You do not need to have any version of Microsoft Office installed to run the application, but you might need this to see the files produced

Installation Files Simply run the SDLXLIFFConverter.msi This will add an application icon to the Start menu under Start -> All Programs ->

Export Tab• Used to create DOCX or XLSX files

containing source and target

Overview

Import Tab• Used to match SDLXLIFF and DOCX

files for import and update

Settings Tab• Used to configure available options in

the application

Settings

Status Categories• Select the background colour used to represent different match values• If you are exporting to Excel then you can also choose to lock cells with a particular match

value• You can also choose to export a selection only. This is useful for spell and grammar

checking a large document so you don’t have to waste time going through exact matches

Comments• Choose whether or not you wish to include comments from the SDLXLIFF

in the exported file• Excel format will create an additional column with the comments• DOCX will place the comments into the Microsoft Word commenting

balloons• NOTE: If you don’t extract comments and there were comments in the

SDLXLIFF, then when you import the file the comments in the SDLXLIFF will be removed

Prefix• The value entered here will be appended to the

exported files• The value entered here will also be used for the

‘Automatch’ feature when importing reviewed files. This allows for versioning of the translated and reviewed files

Conversion types• Choose whether you wish to export the files as Excel,

DOCX or XML• Excel files can make use of locked segments and

different column widths on export• Excel files CANNOT be imported• DOCX files can be imported after review• DOCX files can be exported as two columns

(Side-by-Side) or in a source over target view (Top-down)

• XML is useful where the content is used within an online reviewing tool for example

Updated segment status• If you choose to tick this option all segments imported will be

given the status selected in Studio• Note: You do not have to import the entire file. You can delete as

many segments as like (always source and target) and this will ensure that deleted segments retain their original status in the SDLXLIFF. This is particularly useful when you only export the segments you wish to check and then import then back with a different status.

1. Drag ‘n’ Drop a single SDLXLIFF, ormultiple SDLXLIFF files into thiswindow…. …. or use the “Add” Button

1. Drag ‘n’ Drop all the SDLXLIFFfiles in a Project by draggingin the SDLPROJ This automatically picked upthe SDLXLIFF files for the German, Dutch and Frenchtranslations in this Project

2. Or Click on the “Load files fromproject ” button

Exported Files• When you click “Export” a copy of the DOCX (or XLSX if you chose the Excel option)

will be placed into the same folder as the SDLXLIFF’s• If you used SDLPROJ the files will be added for every SDLXLIFF in each

language folder (here you can see it’s the German language folder• Naming convention is to

• add Preview.docx or Preview.xlsx to the end of the SDLXLIFF filename instead of sdlxlliff

• Append the prefix added in the ‘Settings’ tab to the beginning of the SDLXLIFF filename

• In this example, Merged file sdlxliff.sdlxliff becomes translation_Merged file sdlxliff.Preview.docx

environment in Studio• 100% matches are coloured green. Note: these can also be removed before export

if required• Comments made in Studio are added to an additional column• The column widths are controlled in the settings, but they can of course be adjusted

in the spreadsheet after export by unprotecting the worksheet

Import single files

Exported Translated file• The exported DOCX looks like this

• Segments numbers against each matching source and target pair

• Segment Status of each segment in the SegmentID column

Reviewed file• I deleted the first segment because I was happy with it and wanted to change the

status of only amended segments on import• I changed “zwei” to “drei” and added a comment in word to clarify this• I saved the file in the same folder but renamed it with a “reviewed_” prefix so as

not to lose the original• I also changed the settings prefix to read “reviewed_” instead of “translated_”

2. Make sure that the “File name prefix”is correct and then click “AutoMatch”This will add the “reviewed_...” DOCXto the application. NOTE: You can hoverover the “AutoMatch” button to check this

Conversion Finished• I now open the SDLXLIFF in my Project Folder in Studio

• NOTE: This is the same file in my existing project, not a new one

• The changes I made have been applied to the second segment and the segment status is now draft

• I can also see the comment, and based on the username in Word I can also see who carried out the review, in this case pfilkin at 20:47 on 10 Oct 2010

Import Project Files

1. Drag ‘n’ Drop the SDLPROJ, check thatthe prefix is the correct version, thenclick “AutoMatch”.

2. All three SDLXLIFF files have been chosenand their corresponding “reviewed_...”files chosen automatically for the updateClick on “Import” and all SDLXLIFF fileswith matching DOCX files in this panewill be updated.
