Building a Tactical Communications Plan will help you define and track all communications needed to successfully promote your IT Operations efforts and get users excited about the new capabilities that will be available to them.
Step 1: Set Clear Objectives
What objectives do you want to accomplish? As soon as your project objectives align with your organizations’ objectives, you will start to see results.
When creating your plan, consider the following:
• Situation Assessment: Where are you now? What are you trying to do?
• Visioning: Why are you working on this project?
• Goal Setting: Where do you want to be?
• Strategy Development: How do you get there?
Step 2: Get Creative
How can you grab people’s attention? Proactively address your audience’s pain points in ways they do not expect. Brainstorm the most effective ways to reach your audiences.
Step 3: Identify Communication Methods
Select the most effective methods of communication available to you based on:
• Timeframe: How much time do you have to communicate your message?
• Resources: How many people will be involved in the rollout of this plan?
• Budget: What financial resources do you have to use?
• Past Performance and Brand Guidelines: What communication methods have been used at your organization in the past? Which were most effective? Least effective?

Step 4: Build the Plan
After organizing your methods of communication, think about the following:
• Target Audience – Who are you trying to reach with this tactic? What do they careabout?
• Channel – Which communication channel or medium will you use?
• Purpose – What is the purpose of this tactic?
• Person Responsible – Who will be responsible for executing this tactic?
• Tactic Frequency – How often will you use this tactic (daily, weekly, monthly, etc.)?
• Timeframe – From when to when will you be using each tactic?
