Day to Day Procedures
Planning, Preparation and Assessment Time
All teachers are entitled to 10% of their teaching and learning time to be used for planning preparation and assessment. Therefore, all teachers will be given a morning or an afternoon out of class. In addition to this, at Seven Mills, we believe that the pressures on teachers are great so we will provide additional reflection time as set out below:
● 1 additional lesson when music is being taught ● 1 additional lesson when BADU sports are teaching your class ● An additional half a day for the English and Science coordinators on a Friday
morning on alternate weeks ● An additional afternoon for ALL subject leaders covered by the Deputy
Headteacher on a weekly rotational basis ● Reflection time may be directed by your line manager
Some things to note about PPA:
● You are allowed to take your PPA off site but this must be agreed with your line manager prior to each occasion
● If you have a morning session for PPA this will alternate to an afternoon session during the next term and vice versa
● PPA for part time staff will be 10% of their working hours ● You may be required to attend planning and/or assessment meetings as part of
your PPA ● Reflection time is subject to change or cancellation at short notice and may not
be ‘paid back.’
Google Apps for Education Seven Mills is moving towards having as much of its work in the cloud as possible during the 2019/20 academic year. We will ask for all new documents to be created in Google Drive, emails to be sent using Gmail and the calendar app will be used as the whole school calendar. The move to Google, will aid collaboration on documents, the ability to store things securely in the cloud and will save on wasted paper as we try to print less.
INSET INSET days are an important opportunity for all teachers and TAs to develop their own practice and plan for improving the school. This year we will have five INSET days as set out in the term dates. As part of this we will be having 3 x twilight sessions over the year

so that we can make up for the two days that we are taking as INSET in July 2020. Details to follow but these are for ALL staff.
Staff CPD meetings
Staff CPD will take place on a Tuesday at 3:45 - 5:00 pm and will usually take place in the headteacher’s office. The outline for staff CPD will be given to staff at the start of the academic year but are subject to change depending on the training needs. Meetings for support staff are TBC. In addition to this, there will be a weekly briefing to take place on a Friday at 8:30 am in the staff room for ALL staff where the following week’s information will be shared. If you do not work on this day, it will be emailed to you.
Duties
All staff are required to do duties before school and at playtimes. Duties rotas will be available in early September and will be on Google Drive and in the staffroom.
Reporting to Parents
Teachers report formally to parents by:
● parent consultation meetings in Term 2 ● parent consultation meetings in Term 4 ● written reports in July, with a ‘right to reply’ evening before the end of term
In order to ensure efficient communication, we request that all teachers are available to pass on a daily concern directly to parents. If there is an issue that can’t be resolved, this can be escalated to the teachers direct line manager. Once these avenues have been explored, it can go up the chain to the deputy headteacher and finally the headteacher. Most issues can be resolved with a confidential chat to parents in the first instance and helps develop relationships with parents.

Timekeeping, Sickness and Leave of Absence There is a core of directed hours (1265 per year) which teachers are required to work in school under the direction of the headteacher, in accordance with statutory terms and conditions for teachers in state schools. At Seven Mills, this core of directed hours includes:
● Teachers should be at school at least 15 minutes before the start of their duties, by 8.25 am at the latest. Any teacher working a half-day in the afternoon should similarly be in school by 1.00 pm.
● Teachers should remain on school premises at least 15 minutes after the end of the school day, until 3.45 pm.
● Weekly staff meetings ● Parent consultation meetings held in the autumn and spring terms, and one
evening in the summer term. Punctuality Please make sure that sessions begin and end punctually, so that both breaks and lessons start on time. Please also make sure that if you are on duty, you arrive before the children, so that children are never left unsupervised. Clocking In and Out We will continue to monitor rigorously staff clocking in and out on the fob readers by the main door in the hall and the main door next to the office. We have to make our clocking in and out register accurate for fire safety reasons. This is also a mechanism for monitoring staff punctuality. At Seven Mills we follow the Tower Hamlets sickness and leave policy. Here are a few key points to note:
● If you are absent for work, you must ring the school office and leave a message prior to 7:30 am
● Please phone in on a daily basis before 3 pm if you are off sick for longer than a single day
● On returning to work, please collect a return to work form, complete it and arrange to see the headteacher on the day you return for an informal chat
● Persistent absence, long term sickness or a pattern of absence will lead to more formal absence meetings to support your return to work - see policy of details
Leave of absence other than for sickness may be granted in exceptional circumstances, but staff must fill out a request for leave form which can be found in the office, 10 days before the date required. A paid request for leave may only be granted for the following circumstances: compassionate leave, personal events or emergencies, moving house, interviews for jobs, presentation of degrees, hospital appointments. Any other reasons are at the discretion of the headteacher and governors and will be unpaid.

Routine medical or dental appointments should be made outside of the school teaching day or during school holidays. If you attend a school residential trip to France or Gorsefield, you are entitled to 1 day in lieu which can be taken at any time as long as a minimum of 10 days notice is given. Please see the draft Special Leave Policy for details taken directly for the Tower Hamlets and EPM model policies.

Safeguarding Child Protection Safeguarding is everyone’s responsibility. Tom Foster, Matthew Tranter and Amy Hughes are the school’s Designated Safeguarding Leads. Any concerns about a child or a family, or any disclosures made, must be passed on immediately to one of the Designated Safeguarding Leads. Currently, there are concern forms which must be used to record any concerns. These can be found on the safeguarding board by the office. These forms must be used so that all the necessary information is included. Please ensure that the day, date and time are recorded. Please also ensure that full names are used throughout the forms. If you need support completing a form, please speak to one of the Designated Safeguarding Leads. Please follow the flowchart on the next page. During the year, the safeguarding procedures will be transferred to CPOMS, where any concerns regarding the children can be logged. Training will be given to staff about how to use this online system to share sensitive information. Please remember: we can never offer confidentiality to children if they want to disclose information to us. All staff receive safeguarding training on a regular basis, and there is an update at least annually on the government guidelines contained in Keeping Children Safe in Education. See the Child Protection Policy for more detailed guidance about best practice and statutory guidance. Staff Safety For the protection of staff, no adult should ever be in a room alone with a child with the door closed. If you have to speak to a child alone in privacy, ensure that the door to the room is open – ideally with another adult just outside. If privacy is not required, make sure that at least one another child is in the room. Please refer to the Intimate Care Policy and the Positive Handling Policy for further information about providing intimate care and best practice around positive handling.

Behaviour The behaviour policy will be reviewed early in the Autumn Term with staff. At the start of the year, the School Council will determine the school’s annual behaviour expectations which will be introduced to the whole school in an assembly. The children will be ready, responsible and respectful. Each class will also write a class charter at the start of the academic year. This will ensure the children are ready, responsible and respectful. It will be phrased using positive language and will be agreed by the children in the class. Please note that no children are to be sent out of class unsupervised. However, you may send a child to another teacher’s class with work to do, if that child needs removing from the classroom. On the next page is the behaviour flowchart that will be used while the behaviour policy is reviewed. This must be adhered to by all staff, including midday supervisors. CPOMS From September, CPOMS will be used as a way of recording and sharing information about children’s behaviour. This system will be introduced to staff and staff will be trained in how to share and access information on this system. This should make information sharing easier and more transparent. Jewellery and Uniform The only jewellery that is permitted in school is a watch and small stud/sleeper earrings. During PE lessons these should be removed by the child themselves and kept safe by the class teacher. Toys on the Playground Toys and cards are not allowed to be brought in from home. Mobile Phones If any child needs to bring a mobile phone into school for any reason (e.g. a sleep-over away from home after school), the phone must be handed into the office and kept in the safe until the end of the school day. If children do not adhere to this rule, class teachers must send the child with the phone to Tom or Matthew. Scooters and Bicycles These are currently stored by the side of the annex.

Health and Safety Individual Children – Health and Personal Issues Class teachers have an obligation to be fully informed about any health or safety issues affecting the individual children in their class. This information will be passed onto you as part of the handover meetings and will be included in the class overviews which you will receive. This includes ensuring that you know the medical needs of the children in your class, as well as any safeguarding concerns. Please ensure that the medication is in date and that the care plans/consent is kept together with the medication in the medical boxes. Supervision Children should never be left unsupervised during lesson times or playtimes. Children must not be sent out of class unsupervised during lessons. If a child needs to be removed from the lesson, please send them to another class with work. Refer to Section 5 for further clarification. First Aid Procedures
● First Aiders are listed by the staffroom on the medical display board ● First Aid equipment is stored underneath the lockers in the staffroom. Please
notify Shirley if stock is running low ● If you leave the school site with the children, you must take a full First Aid kit with
you and ensure that it is fully stocked ● First Aiders on duty must take with them a First Aid kit
If a child has any kind of injury, a qualified First Aider must check the child. If First Aid is needed, a First Aid accident form must be completed by the qualified First Aider who dealt with the injury. The class teacher must ensure that this form goes home on the same day. Please use your discretion and notify the parent/emergency contact in the event of a more serious injury. Bodily fluids Any spillages of blood or vomit should be reported to the premises officer immediately. Please speak to the admin team to contact him. If he is not on site, please ensure that gloves are worn when the bodily fluids are cleaned up and that John is notified so that the area can be properly cleaned by the cleaning team. Head Injuries All head injuries must be recorded in the Accident Book and an accident slip sent home. Please use your discretion about whether to phone the parents/emergency

contacts to explain the nature of the injury and any signs of concussion of which they should be aware. Other accidents All accidents, including staff accidents, should be reported in the Accident Book and the green tear-off slip completed. If any adult or child attends hospital as a result of an accident in school, an Accident and Incident Reporting Form (AIRF) must be completed by the Deputy Headteacher and sent to the borough. Asthma All children with asthma should have an asthma care plan prepared by the school nurse or other medical professional. This should be stored in the class medical box along with the medication. It must be labelled with the prescription label and be in-date. Staff must follow the asthma care plan when supporting a child with asthma. If a child does not have an asthma care plan, please see the information below about supporting children with medication. Medication At the school’s discretion, prescription medication can be administered to pupils, if no Healthcare Plan is in place. The school only administers prescribed medicines if these are in-date, labelled, provided in the original container as dispensed by a pharmacist and include instructions for administration, dosage and storage. If administering medicine, please ensure you complete a Form 2 (copies can be found in medical boxes or on the medical needs display). Before prescription medication can be administered, the parents/carers must meet with the Inclusion Lead to give parental permission (see Appendix 2) and dosage and triggers will be discussed. If there are longer-term medical needs, parental permission is sought by the Inclusion Lead to make a referral to the school nursing team so that a Healthcare Plan can be written with healthcare professionals. The Inclusion Lead reserves the right to decide that prescription medication may not be given if the staff have not been suitably trained to safely administer it. All medication is stored in the class medical boxes with the care plan/consent form. Medication which has not been prescribed or which is not properly labelled, in-date and in the original container as dispensed by the pharmacist is not administered by the school. The only exception to this is travel sickness tablets. The member of staff who administers the medication, must record that medication has been administered using the appropriate medical form (see Inclusion Lead). Please see the policy for Medical Needs for additional guidance.

Fire Drill There will be a fire drill at least each half term. Please make sure that your class team and your class know your point of exit and the muster point. See signs and John for details. Healthy Eating Children in EYFS and KS1 receive free fruit every day. Children in Key Stage 2 may bring fruit in from home for a playtime snack. If you see children eating anything else, please give it to the parents at the end of the day. School Trips If you are arranging a school trip, you must have visited the site before completing the risk assessment. This must be approved before any letters are sent home to parents. Please ensure that you add your medical needs for specific children to your risk assessment. Amy is the named Outdoor and Adventurous Activities co-ordinator, but all trips are authorised by Tom and Amy using the Tower Hamlets online Evolve system for risk assessing trips. Once a trip is booked, please inform Rose who needs a minimum two weeks’ notice. Children are entitled to a packed lunch from school, but many prefer to bring one in from home. Please ensure that you send the trip letter out informing parents of what a packed lunch from home should include. PE Children must remove watches, ear studs or any other accessories before going into the hall. (In extreme cases of children not being able to get ear studs out, please cover and speak to parents.) Please keep a register of children who do not have their PE kit in school. A PE kit letter must be sent out if a child does not have the appropriate kit, as PE is a statutory requirement of the curriculum. If a child does not have their PE kit on three occasions, please arrange a meeting with the parent to discuss your concerns. This can be logged on CPOMS. PE and Art Cupboards No children are allowed in the PE or Art cupboards. Staff are responsible for ensuring that all equipment is replaced neatly in the correct place after use. Hot Drinks Travel cups with lids can be used to take hot drinks from the staffroom during breaks. Teachers are encouraged to model good practice to the children by using a drinking bottle with a sports top for drinking water during the school day.

Curriculum Our curriculum follows the statutory guidelines from the 2014 National Curriculum, whilst remaining committed to the principle of a topic-based curriculum with lots of opportunity for creative, meaningful activities for the children. During 2019-2020, we will be reinvigorating our curriculum to ensure we are providing the breadth and depth of curriculum necessary. We will be considering the aims of our curriculum and ensuring the quality of education is inspiring. More details can be found in the Draft Curriculum policy September 2019. Planning Teachers create Long Term Plans for their year group as an overview. These make as many cross curricular links as possible. Each subject is on the plan and trips are planned for. One half term is a whole school topic. In 2019-2020, this will be Spring 2: Saving Planet Earth. From these, teachers create Medium Term Plans which provide an overview of the half term. These are saved into the Shared Curriculum folder on Google Drive before the start of the half term. Subject leaders use these to monitor progression in their subjects. Short Term Planning (weekly plans) are at the teacher’s discretion. These can be using a formal planning template, smartboard flipcharts, etc. Teachers should use their MTP to support progression over the half term, but all STP should be meaningful and supportive for individual teachers. There is no expectation for teachers to produce daily plans. Trips We aim to enrich the lives of our children and make the most of living in London. Trips or visitors are planned each half term. We aim to have trips from many curriculum areas. Exercise Books In EYFS, we use:

○ All maths learning is completed in pencil ○ Y6 should use pen for all other learning ○ Y4 and Y5 can begin to use pens if presentation is good (pen licence)

Assessment and Feedback
Our assessment systems will be reviewed during 2019-2020. More details can be found in the Draft Assessment and Feedback policy September 2019. At Seven Mills, we see assessment as an integral part of teaching and learning and it is inextricably linked to our curriculum. The Education Endowment Foundation shows that high-quality feedback can provide an additional 8-months progress in pupil attainment per year, if used properly. We use three broad overarching forms of assessment:
1. day-to-day formative assessment (Assessment For Learning) 2. in-school summative assessment (Assessment Of Learning) 3. nationally standardised summative assessment
Pupil Progress Meetings Following teacher assessment at the end of each term, pupil progress meetings will be held to discuss the learning of all pupils. Pupil progress against prior attainment is discussed, as well as children’s well-being, breadth and depth of knowledge, understanding and skill levels.
Their aim is to support class teachers with pupil progress and identify underperforming children. Also, they provide an opportunity to analyse the impact of interventions and teaching strategies. Where possible, all adults involved with the children take part in the meetings, including TAs and LSAs. These meetings help support action planning for the following term.
Below is a proposed assessment cycle based upon the model set out by Tower Hamlets Education Partnership (This will be reviewed by SLT in the first two weeks):

Classroom Expectations
We believe that the classroom, which is the primary place of learning therefore, is paramount to good teaching and learning. Learning takes place in an environment where:
● Classrooms and surrounding areas are tidy and well-organised. All staff take responsibility for this.
● The classroom reflects all children’s achievements and the school’s expectations ● There are working walls/displays and activities promote individual and
collaborative learning. Working walls include steps for success. ● Displays celebrate the diversity and wealth of cultural and different family
backgrounds. ● Resources are labelled, easily accessible and take into account the needs of
any EAL and SEND pupils within the class. ● Classrooms are organised to accommodate individual, group and whole class
needs, including considering specific SEND needs (e.g. quiet areas for children with ASD, proximity to whiteboard for dyslexia/visual needs).
● Classroom doors are clearly labelled with a photo of the staff and the year group ● Visual timetables are used in all classrooms. Individual visual timetables are used
for specific children, where needed. ● Teacher desks are tidy and well-organised as a model of good practice ● Book corners are a colourful and exciting place to promote reading for pleasure ● Only use display boards to put things up. Do not use blu-tac or staples on bare
walls. If you require support for attaching things, please see John. ● Children are healthy and safe
Each classroom is equipped with resources and books as appropriate to the age range. Specialist resources are stored in a central resource cupboard and are audited by curriculum coordinators. Consumables are replenished as necessary.

Financial Procedures Staff Cash Handling Most cash transactions can take place directly with the office. If teachers collect money from children at the start of the school day (eg. for trips) this should be passed on directly to the office after collection by an adult. Teachers and TAs are not normally required to hold cash, with a couple of exceptions below: Pocket money on residential trips. This is kept in a cash box in a safe place by the trip leader – generally speaking the leader’s own room. A written record of how much and when money is given out to children. Charity collection. Teachers collect in money e.g. for own clothes day and then pass it on to the office. In such events, class lists will be kept in the office so that the admin office can tick off the children’s donations as they are made. Breakfast club. Sara holds a small balance of breakfast club money which covers day-to-day payments from children (recorded in the register) and running expenses. This money is paid into Nazma/Shirley every week, who keeps the account. Money is held in a cash box in a locked cupboard. Children’s Personal Money. Children should be discouraged from bringing any cash into school with them, unless it is absolutely necessary. If children must bring money into school, it should be in a named purse or container and should be given to staff for safe- keeping in a locked drawer. Petty Cash Since September 2012 we have operated a for ‘petty cash’ purchases of small consumables as follows:
● When class teachers wish to purchase small ‘consumables’ for class use they may do so using separate school fund petty cash slips, which are held by Karen in the office. Teachers should get receipts for any consumables they buy and Karen will issue petty cash slips and keep a record book showing how much each class has spent on these consumables.
● Class teachers should not purchase books out of this fund, or anything which costs more than £30. Larger items should be ordered in advance through Nazma in the usual way.
● The Bursar will only pay claims for petty cash if they are sent to her via a signed ‘Petty Cash Payment Slip’ with a proper VAT receipt attached. Do please remember – a till receipt is not necessarily a valid VAT receipt. When you receive

goods or services always check that the receipt you are given is a VAT receipt. A business must issue you one if you request it. See below.
● ‘Petty cash’ constitutes any money up to £30. Anything above that will be reimbursed by cheque.
● If you require food for cooking or continuous provision from Asda, please ensure you have emailed Karen by Thursday morning so it can be ordered directly and delivered on Fridays.
● ALL STAFF ARE REMINDED THAT NO PURCHASES SHOULD BE MADE USING PERSONAL CREDIT CARDS. If totally unavoidable, a school credit card could be used, but this is not really desirable either.
Residential Trips The office issues a written receipt to parents every time a payment is made. Payments are made directly to the office. Ordering and Purchasing Some teaching staff manage budgets for their own specific curriculum areas or areas of other responsibility. Nonetheless, we expect any planned expenditure to be authorised before an order is placed with Tom/Matthew/Nazma. Nazma will then arrange for an order to be placed. Staff should not place their own orders; everything must go through Nazma, who puts it through the school’s system. Tom and Nazma together regularly review the entire budget and spending against individual cost centres. Budgets may close at anytime at the prerogative of the Headteacher and Bursar. Declaration of Business Interest All teachers and any other members of staff involved in the ordering and payment process will be asked to sign a ‘Declaration of Business Interest’ at the beginning of each academic year. Ordering All orders must be placed via the Bursar to ensure there is no overspending of budgets, and that correct financial procedures are followed. If you receive goods that you have ordered, please check the items off and return any despatch notes signed and dated (and also invoices if contained in the package) directly to Nazma/Karen as promptly as possible. Goods on Approval If you have requested items such as books or computer software on approval for evaluation, you must make the Bursar aware of what they are when you ask for them and when the approval period expires.

Goods should be evaluated without delay and if not required, returned promptly to the supplier. If they are to be kept, please inform the Bursar and headteacher of your decision and raise purchase orders straight away. VAT Receipts The school can reclaim VAT on most items of expenditure, but only if you obtain a proper VAT receipt when purchasing goods. Obviously, some items such as books are zero rated, but in all cases it is important that you get a proper itemised receipt for the money you have spent. By being able to reclaim VAT, we all benefit as our budget goes further. A till receipt should contain the following information;
● Supplier’s name and VAT registration number ● Description of goods/services ● Amount payable (including VAT) ● Date of supply ● Rate of VAT in force at the time of supply
Photocopying and Printing
In order to reduce the amount of money we spend on toners and to reduce the amount of wasted paper, all teachers will now have to print to the photocopiers by the admin office. If you need to print something in colour please speak to someone in the office and they will help you with your request.
