HISTORY OF THEROCKY MOUNTAIN CHAPTER

IN THE B EGINNING… In1995, SGMP National President, Sadie Rogers, tasked all SGMP chapter presidents to write a history of their chapter and bring the documents with them to the SGMP National Education Conference. Presidents were given a set of questions (as outlined) to answer. Claudette Ferris was the 1995 president of the Colorado Chapter and began writing this document. This document remains a “living history” of the Rocky Mountain Chapter. The Chapter’s History committee is tasked to keep this document updated in order to have a comprehensive archive of the Rocky Mountain Chapter.

History of the SGMP Rocky Mountain Chapter

STORIES FROM THE EARLY DAYSSince the chapter history project began in September 1995, and the Colorado Chapter was chartered in 1985, it was difficult to connect with any of the originators to reminisce about the early days.

DATE OF CHARTEROctober 21, 1985 - Colorado was the third SGMP Chapter to charter.

The following information was taken from the SGMP National newsletter, dated December 1985:

MILE HIGH CITY 3RD SGMP CHAPTER

“On Monday, October 21, 1985, the new Colorado Chapter of SGMP was installed by National President, Bob Driscoll, at the Brown Palace Hotel in Denver. The Denver Inn hosted the evening. Roger Smith, President, Denver & Colorado Convention and Visitors Bureau, was the Emcee.

The Chapter was installed with 22 members and was attended by a total of 65 people. Bob Driscoll presented a plaque to the incoming President, Virginia Burns, of the Environmental Protection Agency.

The two people most instrumental in starting the Chapter are Becky Ellis, Governor’s Court Hotel, and Elly McFadden, Radisson Hotel Denver. Elly served as Acting Chair until the election. Bob Driscoll commended the Colorado group for putting the Chapter together in a span of just four months.”

In an August 11, 1995, letter from Debbie Beamer, Beamer and Associates, to Colorado Chapter President Claudette Ferris, Ms. Beamer stated that National Headquarters did not have any records of the Colorado Chapter charter. The letter also stated “this was due to SGMP having two other management companies before signing on with Beamer and Associates, Inc. in July 1988. Either those companies didn’t keep copies of charters or one was never provided to them. Possibly the person responsible for helping Colorado Chapter didn’t give the information to the office.”

History of the SGMP Rocky Mountain Chapter

ORIGINAL NAME OF CHAPTER? …If name was changed, date of change, new name and reason for change

The original name of the Chapter was the Colorado Chapter, although once in a while it was referred to as the Denver Chapter in the National newsletters.

In November 1998, the Chapter changed its name to the Rocky Mountain Chapter to reflect more of its encompassing states of New Mexico, Utah and Wyoming.

WAS THE CHAPTER ORIGINALLY PART OF ANOTHER CHAPTER?

No, the Colorado Chapter was never a part of another chapter.

New in 1998: a different version of the Supplier Tradeshow was held, called the “Dine Around,” where suppliers paid for a table, rather than an exhibit booth. This was held during lunch, and suppliers were given the opportunity to meet one-on-one with planners and other suppliers {progressive dinner theme}. Every table had a different menu item, and suppliers were given 10 minutes to promote their property.

FUNDRAISING ACTIVITIES Details, Successes, as well as failures and reasons

SILENT AUCTIONS/FOOD DRIVES

The Colorado Chapter holds an annual silent auction to raise money for charitable donations and to provide planner members with financial assistance to attend the annual National Education Conference.

The Chapter Treasurer sends a letter to all supplier members to solicit items for purchase in the silent auction. Items are collected and minimum bids are assigned to each.

On the day of the auction, a copy of the item is placed on a table with a bid sheet announcing the minimum bid. Members bid on the items they would like to purchase in specific increments. Bidding is usually 30-45 minutes in length. Once bidding is complete, committee members review bid sheets and announce the highest bidders.

December 1989 - First charitable event for the Chapter - a canned food drive to the Denver Victims Service Center, a local agency dedicated to helping the innocent victims of crime. $200 and food items were donated.

1991 sets new record - HUGE SUCCESS - November 21, 1991 - $1,100 raised - record amount to date. Of that money, $500 was donated to Angel Tree Project, an organization that gives to children whose parents are incarcerated. Also contributed to the Educational fund to continue building on our programming.

December 1992 - The Chapter raised more than $800 from Silent Auction; $500 was given to Angel Tree Foundation. This was also the annual food drive for Food Bank of the Rockies.

December 1993 - The Chapter raised $1,437 from the Silent Auction; $500 was donated to Angel Tree Foundation; the balance went to the Scholarship Fund. Non-perishable donations were given to the Food Bank of the Rockies.

December 1994 - The Chapter raised $2,074 at the Annual Silent Auction; $500 was donated to Angel Tree Foundation and the balance going towards the Scholarship Fund. Non-perishable items were given to the Food Bank of the Rockies.

December 1995 - The Chapter raised over $1,400 from the Silent Auction; $500 was donated to Angel Tree Prison Fellowship, with the balance going to the Scholarship Fund.

Also, 250 pounds of food was collected (185 meals) from Chapter members for the Food Bank of the Rockies.

In 1996, in addition to the Chapter holding its annual silent auction, a live auction was held for “goodie-filled” balloons. The Chapter raised $1,300 from the auctions. A check for $500 was

donated to Angel Tree Foundation.

In October 1997, at the Annual Fall Education Conference, the Chapter held a “live auction.” Donations were from planners, suppliers and guests. Two auctioneers conducted the auction; the Chapter raised $1730.

In November 1997, at the Chapter’s Annual Silent Auction, $1839 was raised; $300 was donated to Angel Tree Foundation.

In December 1997, the Chapter also held its annual food/toy drive with donations going to Food Bank of the Rockies.

In December 1998, at the Chapter’s Annual Silent Auction, $1,464 was raised; $300 was donated to Angel Tree Foundation.

1999 - There was no Annual Silent Auction held.

2000- The Chapter held a mini-Silent, seeking donations from both Planners and Suppliers. The Chapter raised $ .

In January 2001, in order to offer scholarships for planners (registration fees to the National Conference), Suppliers were asked to “donate” a themed-basket or other items that would be raffled off. The Chapter raised approximately $500 between January – April. Five planners received their registration fees to the National Conference in Kansas City.

At the October 2001 Fall Educational Conference, the Chapter raised more than $700 at the Chinese Auction, which raised money towards educational scholarships. All Chapter members supplied donations.

At the October 2002 Fall Educational Conference, the Chapter raised $1,056 at the Chinese Auction, which raised money towards educational scholarships. Donates were supplied by all Chapter members.

April 27, 2010 – The chapter raised $350 in cash donations for a raffle. The chapter matched that amount and donated $1,000 to Cancer Action for the National Education Conference national charity held in Kansas City, MO.

GOLF TOURNAMENTS

On Friday, September 16, 1994, the first Colorado Chapter SGMP golf tournament was held at the Wellshire Golf Course, which raised $1,404.50 for education and scholarships.

In September 1995, the second annual Colorado Chapter SGMP golf tournament raised $1,100 for education and scholarships.

In 1997, the Chapter had a miniature golf tournament, which raised $800.

There have been no golf tournaments since 1997.

COMMUNITY SERVICE PROJECTSDecember 14, 2004 - Members contributed canned food items for the Foodbank of the Rockies.

December 13, 2005 – The chapter assisted the Denver Human Services by providing Christmas gifts to the teenagers in the Denver area.

COOPERATION WITH OTHER CHAPTERS

None.

PUBLIC/COMMUNITY RELATIONS

In August 1995, the Chapter formed its first Public Relations Committee. Press releases were sent monthly to various newspapers: The Denver Post, Rocky Mountain News, Denver Business Journal, Stateline (a Colorado employee newsletter), announcing our monthly chapter meetings and special conferences. These notices were published in the calendar sections of each newspaper on the Monday prior to the monthly meeting. Meeting notices were also sent to Meetings in the West, a meetings publication from California. Announcements were also sent to the media in Utah, Wyoming and New Mexico to reach our members in those outlying states.

In 1997, the Chapter participated in Kid’s Cafe, part of Network for the Needy, and members volunteered one day a month serving hot meals to kids who came from needy families. It was quite a rewarding experience for all those who volunteered.

In October 1997, the Chapter was the fourth SGMP Chapter to have its own web page: www.osburn.net/sgmp. The Web page included the names of the Board members, a complete copy of the newsletter, membership information, and information on the annual education conference. The Web page was created and updated by Gary Osburn (the husband of one of our Chapter members). In October 1998, the Chapter web page was changed to: www.colosgmp.org, and in 1999, it was changed to www.sgmp-rockymt.org to reflect the Chapter’s new name. In July 2002, the Chapter signed a contract with a new Webmaster.

CHAPTER AWARDS PROGRAMThe Colorado Chapter’s Awards Recognition was established in 1989 under President Lynette Schick and was originally part of the September educational conference. Carl Thompson and Sandi Lynn, National Board officers, were in attendance.

In 1990 and 1991, the awards recognition was held at the June meeting and was a very special event. In June 1992, the Awards banquet became a weekend venture and held in our mountain

properties. Families were highly encouraged to attend. Friday nights were usually get-togethers; Saturday activities were planned or just time for families to roam the sites of the city. The formal banquet and recognition was held on Saturday evening with music and dancing.

The Awards Committee usually begins preparing 10 months prior to the event. In April, nomination forms are sent to Chapter members in good standing asking them to nominate an individual they feel should earn the recognition of Outstanding Planner of the Year and Outstanding Supplier of the Year. The Chapter President awards the “President’s Award” to an individual who he/she feels has done exemplary service for the Chapter.

Outgoing Board members receive gifts of appreciation, which are chosen by the Chapter President.

The Chapter President may also give a personal note of thanks and gift to the Board of Directors. Committee chairman are recognized for their dedication with Certificates of Appreciation. All members who have served on committees receive Certificates of Appreciation.

In August 1997, since the awards weekends were not as profitable as anticipated, and attendance became lower each year, the Board approved to move the awards banquet back to the June monthly meeting, being a more formal occasion. The Board felt that when a member receives a special award, it’s more rewarding to have all Chapter members share in their joy. Starting in June 2009, the Awards Gala was once again moved to being an evening reception.

In June 1998, the Chapter Annual Awards Banquet was held at the Arvada Center for the Arts and Humanities, with 73 in attendance, which included spouses, guests, and bosses. Neale Brown, news anchor for KUSA-Channel 9 TV, was our emcee and introduced the committee

chairmen and presented the outstanding awards.

At the 2001 Awards Banquet, the Chapter was honored to have as its Master of Ceremonies actor John Ashton. Colorado State Representative Debbie Stafford gave the official oath of office to the new Chapter officers.

At the 2002 Awards Banquet, the Chapter was honored to have Colorado State Representative Debbie Stafford as its Mistress of Ceremonies, who also gave the official oath of office to the new Board of Directors.

In 1998, the Chapter created two new awards: New Member of the Year and Company of the Year. Criteria for the New Member of the Year included: a) nominee must be a member in good standing and have joined within 18 months of nomination date, b) nominee must be an active member of a committee, c) nominee may not be a member of the Awards Committee and d) nominee must have attended a minimum of three meetings.

Candidates for the Outstanding Planner, Outstanding Supplier and New Member of the Year had to submit their qualifications: a) professional achievements, b) contributions to SGMP, c) participation in other community, civic, or other voluntary or professional organizations and d) continuing education credentials, awards, honors.

Criteria for Company of the Year included: a) nominee must be a property/company which holds SGMP membership, b) nominee must provide a consistently high level of customer service, c) nominee must maintain a superior overall atmosphere and quality of product and d) nominee’s representative must have demonstrated active involvement in SGMP. Their qualifications also included having to list how many SGMP functions they hosted or had participated in.

Qualifications for all candidates were reviewed by three judges not affiliated with SGMP but were in the meetings/travel industry.

CHAPTER NEWSLETTER When started; how often? Published?

The Rocky Mountain Chapter publishes its newsletter Mountain Views every other month. The first newsletter was published in June 1989.

In June 2007, the newsletter editor completely revamped the newsletter, giving it a more professional appearance.

At the 2010 National Education Conference, the “Mountain Views” newsletter placed third in the National Newsletter of the Year competition. This is the FIRST time that the chapter newsletter had ever placed in the national competition.

SUCCESSFUL FUNDRAISING EFFORTS (Program, Educational Conference, Fundraiser, Membership Drive, Etc)

As of May 1996, the Chapter’s most successful fundraising activity was the 1994 Silent Auction, which raised $2,074. Of that amount, $500 was donated to Angel Tree Foundation and the remainder, $1,574, went for scholarships for members to attend the National Education Conference.

OTHER PERTINENT INFORMATION

In 1993, the Chapter began a pilot program targeted at higher-level managers in government, entitled “SGMP Awareness Program.” The intent of the program is to introduce SGMP to the top decision makers and promote the organization as a cost-saving measure, both in staff time and dollars spent, in order to obtain the endorsement of SGMP from the top down. This is an ongoing project of the Chapter.

In May 1994, the Chapter established its Bylaws, which were approved by the National Board

and the membership; each member received a copy of the finalized Bylaws. In 2003, under the direction of the SGMP National Board, all SGMP chapters operate under the SGMP National Bylaws. Committee Policies and Procedures were also established in 1994 and are revised as needed.

The Chapter Board of Directors receives a complete packet of Bylaws and Committee Policies and Procedures in their Board handbooks. Committee chairmen are given copies of their respective committee policies.

In 1995, the Chapter first contracted with a management company to handle all Chapter mailings, registrations, Chapter archives, name tags, membership directories, to name a few. Committee chairmen are responsible for coordinating with the contractor for mailings, which saves on postage because several items can be mailed to the membership at one time.

In March 1995, in an effort to recruit new members, the Chapter Membership Committee conducted a “Meeting Planning Basics” one-day seminar. The cost of registration included a one-year’s membership in SGMP for new members. Current Chapter members were given the opportunity to attend at a reduced rate.

The agenda included a back of the house tour, negotiations, meeting room setup, and contracts. Members had the opportunity to talk to suppliers at the trade show.

In April 1997, the class was taught by Lynette Schick CMP.

In order to provide the best service to our Chapter members, the Chapter contracted with a voice messaging service, giving the Chapter one central number (303-402-7777), which contained pertinent updated information on Chapter activities. When the Chapter contracted with its new management company, the number was changed (720-529-8766). A member of our management company returns calls within 24 hours.

In July 1997, the Chapter members, at the annual strategic planning session, developed a Chapter theme: “Relationships--If you Build Them, Success Will Follow.” This message was printed on all agendas, programs, letterhead, etc.

In September 2000, the Chapter hired its third management Company, Catalyst Meetings and Conferences, bringing our Chapter to new levels of professionalism. There is a dedicated phone line just for our Chapter, and we have a centralized mailing address.

In May 2010, the Rocky Mountain Chapter ended its contract with The Meeting Edge so that the chapter members could play more active roles in the chapter. Roles from the management company were divided up among the chapter board and committee chairs. The money that was used to pay the management company was then spent on quality speakers and/or education programs and scholarships.

On January 21, 2012, the Chapter held a “Meeting Planning 101 Boot Camp. Approximately 20 members were in attendance. Three contact hours were given to attendees to apply to their CGMP recertification.

Certified Government Meeting Professional ( CGMP ) Certified Meeting Professional (CMP)

On July 20-23, 2010, the CGMP course was held in Denver, Colorado, with 15 members in attendance. All successfully passed!

As of January 2012, the Rocky Mountain Chapter currently has 20 members who hold the Certified Meeting Professional (CMP) designation and 11 who hold the CMP (Certified Meeting Professional designation; several members hold both certifications.

August 2012 the Chapter will hold its second CGMP course in Denver .

COMMUNITY SERVICE PROJECTS

2000 Children’s Hospital Teddy Bear Drive

o New toys were donated to Children’s Hospital for children who are in the hospital for an extended period of time. Members were able to donate on an individual basis.

Denver Rescue Missiono The Chapter as a whole gave a monetary donation of $250.

2001 Greyhound Rescue Association.

o Members of the Colorado Greyhound Association foster dogs until they can hopefully be adopted. Chapter members individually gave monetary donations (totaling $60), as well as donating dog food, toys, etc.

for Women, Inc, which offers free job training, job placement assistance and ongoing help in traditional and non-traditional careers, primarily to Latinas and youth. They also offer skills classes in small business development and GED preparation.

The chapter donated a multitude of teddy bears for Children’s Hospital Annual Teddy Bear Drive

The chapter raised $250 for the Denver Rescue Mission The chapter donated $250 to the Colorado Fireman’s Fund The chapter donated candy, soap and other hygiene products to the Salvation Army for

the fire fighters fighting the forest fires in Colorado The chapter donated teddy bears to be used by police and fire fighters for children who

have gone through a traumatic experience.

2005 Chapter members donated non-perishable items for Food Bank of the Rockies. The

chapter also adopted a unit station in Iraq (the 793rd Medical Detachment) to show its support for our troops and to make the holidays brighter for our brave service men and women stationed in Iraq. Many items were collected for a very large “care package.”

Chapter members donated school supplies for the Annual School Supply Drive for the Denver Human Services.

2006 Chapter members donated non-perishable food items for the Jeffco Action Center food

bank. Jeffco Action Center is a haven of hope for so many in Jefferson County.

The anniverary was held at the charter site of the Chapter - the historic Brown Palace Hotel. Guest speaker for the evening was Andrea Storey, National Board. Her topic was "New Chapters to be Chartered -- the Growth of the Organization." Officers were installed that evening. Virginia Burns gave a short "thank you" to the outgoing Board. September 1988 - National Board Meeting /Chapter President’s Roundtable

After only four short years as a Chapter, the Colorado Chapter hosted the 1989 Annual Conference in Denver. On the following page is a press release announcing the conference:

PRESS RELEASE ANNOUNCING THE SEVENTH ANNUAL CONFERENCE

Denver, Colorado, is the site of the Seventh Annual Conference of the Society of Government Meeting Planners. The Conference will be held at the Sheraton Hotel DTC, April 13-16, 1989. The Conference will include a series of professional and instructional seminars, an education exhibit session, and the annual membership meeting of The Society. This forum will provide meeting planners the opportunity to exchange ideas, as well as meet many national and local suppliers. The registration fee for the Conference (for meeting planners) is $75.

SGMP is a non-profit educational society, dedicated to improving the efficiency and cost-effectiveness of government meetings. Meeting planners from all levels of government (city, county, state, and federal) should plan to attend this informative Conference.

November 8, 1991 - The Colorado Chapter hosted a reception for the SGMP National Board of Directors at the Red Lion Hotel in Denver.

July 22, 1994 - The Colorado Chapter hosted the National Board meeting at the Radisson Hotel in Denver. On Thursday, July 21, 1994, the Chapter held its monthly Chapter meeting in order for the members to get to meet the “Stars” of our organization, the National Board of Directors.

July 1999 – National Board Meeting with newly elected President Lynette Schick CMP, held at the Holiday Inn SE. The Rocky Mountain Chapter Board of Directors also held its meeting at this time in order to get acquainted with the National officers. A welcome reception was held for all Chapter members.

January 19-20, 2001 – The National Board, Chapter Presidents’ and Second Vice Presidents’ Roundtables all met in Denver at the Adams Mark Hotel Denver. A welcome reception was held on January 18, 2001 for the Rocky Mountain Chapter members to meet their peers from other states.

July 2005 - Several members of the SGMP National Board, along with Carl Thompson, Executive Director, attended the July 2005 Chapter meeting. They were in town after attending the CIC Hall of Leaders gala the previous evening.

September 2005 - The September 2005 Joint Leadership Forum was held in Denver at the Grand Hyatt Regency. Attendees included members of the National Board, both the Executive and Deputy Directors, Chapter Presidents Roundtable and the Supplier Leadership Roundtable. Attendees got a feel of the sites and sounds of Denver for the upcoming 2006 National Conference to be held in Denver.

May 24-28, 2006 – “The SGMP Educational Summit” The 24thAnnual Educational Conference was held at the new Hyatt Regency Convention Center; the tradeshow was held at the convention center. …..The Mile High City of Denver attracted more than 870 members to the educational summit amid the beautiful Rockies. Mountains and people were moved with the keynote speaker Steve Ford, actor and son of the late former President Gerald Ford. Steve gave us insight into the White House through the experience of his truly American family and the foundation. Workshops covered ROI, meeting planning, supplier skills, technology trends and legal reviews. Suppliers and planners were given a free night to make plans with each other, plus a night to explore downtown Denver, in the first Network Night. The annual tradeshow was pure red, white and blue, from patriotic decor and Uncle Sam to the entertainment of the Liberty Belles, not to mention the Big Blue Bear that looked over the convention center all week.
