In order to set up the hall prior to the start of your Symposium, we would recommend arriving to your Symposium 15 minutes prior to the event start time, where a member of the logistics team will be available should you need any assistance. If a technical rehearsal in the hall itself is required, please make arrangements directly with the meeting audio visual coordinator, Mike Perchig at: [email protected] We ask presenters to follow the time schedule precisely in order that the day’s events may run smoothly. SECTION 5: SYMPOSIUM ADVERTISING Symposium Session Title If there are any changes to your Sponsored Session title or program, or you have not yet provided your complete programme details, please inform Sharon Gamliel at: [email protected], no later than Monday, July 3, 2017 Symposium Invitation Bag Inserts Should you be entitled to a bag insert per your contract, please follow the below procedure should you wish to promote your symposium activities.
1. Please email the invitation draft (including graphic design) prior to printing for approval to Robert Nesbitt at:

2. There is no size restriction for the invitation; however, we recommend that the invitation does not exceed standard A4
dimensions.
3. A quantity of 2000 inserts is requested.
To assure the safe and timely arrival of your inserts and inclusion in the conference bag production line, please follow the instructions included in SECTION 7: Shipping Instructions of this Manual. Symposium Signage Each company is entitled to produce up to 3 signs and to place these in the below areas on the day of their session:
- Registration Area – this sign only can be placed at the registration area during the opening hours of the registration desk. - At the entrance of the session hall - Exhibition Area
All signs have to be STAND ALONE – size up to 90cm wide x 200 cm high. The sign should include: Sponsored Session Title, logo of sponsoring company and the ESID 2017 logo. During the symposia, your company may produce and place in the session hall additional signs (To be provided by the Sponsor): • 1-2 x free standing vertical sign to be placed on the stage inside the session hall measuring up to:
150 cm wide x 250 cm high.

Kindly note that Hermes is the sole official on-site agent nominated by KENES to handle all in/out shipments arriving to this congress. All cargo/ shipment will be moved in / moved out from the building only via the official nominated agent. We are pleased to inform you of the arrangements for shipping, international freight forwarding, customs clearance and on-site services for 2017 congress. Please note that you may use any transport company up to the venue door. However, no other company is permitted to deliver, operate, and handle goods inside the venue. Range of services

Shipment Categories All shipments must be packed, labeled and sent according to the appropriate category (see below). Please use only the attached labels. Please do not mix different types of shipments in one box. It is not recommended to use a courier service for shipping your goods to the congress venue. In case of sending a courier shipment, please be sure to send us a pre-advise with the full details of the shipment: courier company, number of pieces and tracking number. All courier shipment must be send DDP terms. (Delivery duties paid) Courier charges for handover of import shipping documents GBP 85.00/ document. Shipments that arrive without pre alert and payment confirmation will not be accepted. Kindly note that any delay with delivery of direct shipment will be under the full responsibility of the shipper.
Insurance We strongly recommend that all exhibitors arrange insurance coverage to include transit to and from the exhibition, whilst on display and in storage. Please note that Merkur Expo Logistics do not insure automatically unless asked to do so in writing. Please note that it is the exhibitors’ responsibility to ensure that if goods are left on the stand, adequate security measures are taken to ensure the security of such items. Merkur Expo are not liable for any losses, left or pilferage. Basic Conditions of Contract All services will be billed according to the official Handling Tariff. Introduction
Leith’s at the EICC are passionate about food. Our aim is to ensure that the quality of our
cooking and the style and environment in which it is presented reflects positively on our clients, whatever the event.
To provide the best food possible is our highest priority. We buy from local suppliers and use
ingredients that are at their peak flavour to ensure we deliver quality time after time.
This commitment to excellence is demonstrated by Leith’s becoming the first caterer in
Edinburgh to achieve ISO 9002 for the provision of food preparation services. ISO 9000 (formerly BS 5750) is the internationally recognised standard for a quality management
system and offers the solid assurance that Leith’s will deliver their promise consistently.
The menus that follow reflect our ethos that food should be simple, fresh and delicious. They
are designed to meet the requirements of the diverse events that the EICC attracts, should
you wish, we will create bespoke menus and themes designed for your needs and budgets. Our aim being always, to exceed your expectations.
