St. Simons On-the-Sound Episcopal Church Vestry Minutes 20 March 2014 Attendees: The Rev’d Mark Fitzhugh, Rector, The Rev’d Eric Zubler, Associate Rector Bob Hauge, Senior Warden, JoAnn Gorsuch, Junior Warden Ellen Dodson, Clerk of the Vestry Mike Sheppard, Treasurer Vestry Members Present: Rhoda Adam-Reiss, Barbara Bethea, John Gardner, Netta Holley, Donna Kendrick, Renee Larson, Alex Meri-Akri, Mike Mitchell, John Sanders Vestry Member Absent: Jackie Glover Guests: James Chapuis, Steve Larson, Josh Woods Holy Eucharist was held at 5:30 p.m. in the Chapel, followed by a call to order in the Parish Hall with opening prayer by Rhoda Adams-Reiss. Motions: 1. A motion was made by Barbara Bethea to approve the presented agenda and seconded by JoAnn Gorsuch. During discussion, Netta Holley added “Brick Pavers” to the agenda. The agenda was amended and the revised motion was approved by a unanimous vote. 2. February 2014 minutes were approved by a unanimous vote after a motion to approve by Barbara Bethea and a second by John Sanders. Vestry Retreat: A Call to Action Bob Hauge and Steve Larson distributed and reviewed the Retreat Outcome Summary (attachments 1-5) from our January retreat. Pastoral Care remains effective, and ministries are doing well at cleaning up after room use. Discussion ensued on Elderquest follow-up and as a result, a group consisting of Bob Hauge, Renee Larson, and John Sanders will brainstorm this further. Several parishioners have expressed an interest in helping with stewardship later this year. In regards to “Adopt A School“, Fr. Mark would like to visit Edwins Elementary and received an offer from John Gardner to join him. Important New Business - Gospel/Mission focused ministries 1. Youth Ministry - James Chapuis introduced himself with a short bio and related what is going on with youth activities, grades 6-12. The name of the present Sunday School curriculum is “Confirm Not Conform” which focuses a lot on making choices as a teenager and young adult. They’ve covered some history of the

early church, and recently have discussed Eucharistic items such as the Nicene Creed, The Lord‘s Prayer, and words we use each week, not always thinking about what they mean. He requested help when needed on Sunday morning Sunday School, so it was suggested that he feel free to call a vestry member. 2. Young Adult Ministry - Josh Woods introduced himself with a short bio and related what is going on with young adult activities. The group is now meeting on Friday evenings and this is working well. He talked about the Millennial Generation relative to church/religion/society, etc. In his research, Josh is discovering that this generation is looking for religion that is transformative rather than conventional. Many of the generation receives spiritual enrichment not always at a church, but in discussions at coffee shops, individuals homes, and various other places including social media. This present young adult group wants to be accepted by St. Simon’s parishioners, especially the older generation who are used to things being as they’ve always been. A typical Millennial wants to become involved with activities only after a relationship has been established, i.e. the relationship is the bridge to responsibility. 3. The project of installing brick pavers around the newly refurbished sound side cross is being researched by Netta Holley in collaboration with John Fitzgerald. Old Business 1. The Disaster Planning Book update will be assigned to a Facilities Committee member at some point soon 2. The Facilities Committee Project Approval Matrix (attachment 6) was approved by a vote of 7 yea votes to 3 nay votes via email on 2/17/2104. Clergy & Staff Updates 1. Rector a) Fr. Mark gave kudos to Fr. Eric for “wearing two hats” while we are in the search for a Christian Formation Director. b) John Fitzgerald is on a brief medical leave this week. c) A request has been made to St. Simons from the diocese to fund $10k for the Bishop Search Committee since funds for that are low. Discussion yielded some ideas which will be continued at the April vestry meeting. 2. Associate Rector a) Quiet Day (for women AND men) led by Dr. Lynn Huber will be held Saturday, April 12. b) VBS will be held at Holy Trinity Lutheran Church June 23-27, 5:30 - 8:30 pm. in community with our Lutheran brothers and sisters. c) Fr. Eric met with the nursery staff this week, verifying responsibilities upon the hiring of two new employees. d) The 2014 Pictorial Directory is moving along well with guidance from Office Manager Cassidy Coffari and Steve Larson. There will be a mockup in a few weeks which will give parishioners an opportunity to make corrections to their profile. e) Fr. Eric gave instructions on signing up for the online training modules for “Safeguarding God’s Children”. Vestry members are requested to complete this as soon as possible. 3. Treasurer - a) The Finance Committee is working well together and has some valuable new members. Our Plate & Pledge is close to budget projections at this point for 2014, and year to date actual expenditures are $700 less than year to date income. b) Some cable expenses have been reduced, and bank charges have been decreased by $600-700 after the finance office experts researched credit card

fees. c) “Amazon Smiles“ is a great way to contribute to St. Simons, free money in a manner of speaking, so heed advice from Barbara Bethea on our website and in the e-Pistle. d) Finance Manager Nancy Charitat recently discovered a provision in the new healthcare law which qualifies St. Simon’s for a tax credit since we provide health care for employees. The amount of recovery for 2013 is about $9,000. 4. Facilities Commission - JoAnn Gorsuch distributed and reviewed the March 2014 Facilities Commission Report (attachment 7). Room Request Forms are now in the kitchen, and Maintenance Request Forms are in the library. Two recent achievements are a load of gravel for parking lot renewal arrived on Feb 27, and the pantry (which is now locked) was recently cleaned by a task force of about eight parishioners.
