Section 2 – Safety and Security

Arrival and Dismissal

Students are permitted to enter the building at Pearl Cohn Entertainment Magnet High School at 6:40 a.m. It is important for teachers to be at their classroom doors by 6:50 a.m. to greet students and to help usher them along in the hallways.

Dismissal is at 2:30 p.m., and once again, teachers are to be at their doorways to help ensure a safe and orderly departure from school. Students are to exit the building by 2:40 p.m. unless they are engaged with a teacher or other adult sponsor. All staff members are asked to help by encouraging students to leave the building.

SPECIAL SITUATION DRILL PROCEDURES

When the security drill is announced, check the hall and pull in any student not already in a class.

Lock your door. Your door may be locked from the inside or the outside. Pull window shades closed, and cover any glass openings on your door. Take your classroom phone off forwarding! Check your students’ attendance and list any extra students that you may have gained.

Check your email periodically for further instructions. DO NOT allow anyone to leave your room during the drill. Control classroom

conversation about the incident to avoid escalating the problem. Manage student use of cell phones. If an incident has occurred where you have

information that will assist school administration, please email the information to all principals.

Proceed with your class as routinely as possible. Expect communication from your zone leader.

When the announcement is made that the drill is over, you may unlock your doors and release the extra students who are in your room.

For a lockout, lock all exterior doors, lower and close the blinds. When there exists a threat that exposes specific classrooms to danger (e.g. gunfire is being received from outside), move below window level (drop and cover) or behind concrete walls/barriers until an interior safe area is available. If the alert calls for evacuation, take the attendance book, and lead your class out of the building by the prescribed route, in an orderly manner. If the alert requires that you shelter-in-place, either stay in you classroom, or go to the appropriate place of shelter (as in a tornado warning).

2. Immediately take attendance. Add the names of any students or adults present but not normally assigned to your class, unless evacuation requires immediate departure from the building.

3. DO NOT ALERT YOUR STUDENTS THAT THERE MAY BE A SITUATION. IT IS EXTREMELY IMPORTANT THAT YOU REMAIN IN CONTROL OF YOUR CLASS. Continue usual classroom routines, but under no circumstances release anyone into the hallway.

4. Open your door only at the predetermined signal, when you visually recognize a Crisis Team member, or when proper identification is provided by emergency personnel. Submit a copy of your attendance with additions to the Crisis Team member.

5. When directed, guide your class from the building in a controlled manner to the area designated by the Crisis Team member. Take your copy of the attendance record with you. LEAVE YOUR CLASSROOM DOOR LOCKED. Students may not go to their lockers or the restroom.

6. At the relocation site, retake attendance. NOTIFY YOUR CRISIS TEAM MEMBER OF ANY DISCREPANCY.

7. Supervise students until the Incident Commander releases them. Students must remain under your supervision until released.

8. Consider yourself dismissed only when the Incident Commander advises. Do not return to the building without clearance.

9. Be cautious in making statements or allowing the media access to your students.

2. The head custodian or designee is a Crisis Team member and should cautiously proceed to the appropriate Command Post with keys ONLY if "Report to CP1 or CP2" is announced.

CAFETERIA WORKERS

1. Respond to the security announcement by going to the appropriate area. If the announcement is to lockdown, lock your doors, account for your staff and list names of personnel and others present.

2. The cafeteria manager or designee is a Crisis Team member and should cautiously proceed to the appropriate Command Post with kitchen keys, if possible, ONLY if "Report to CP1 or CP2" is announced.

3. Workers remain in the preparation area for additional direction by a Crisis Team member or emergency responder unless the security announcement is to evacuate or shelter-in-place. Evacuate the building by the pre-determined route. Shelter-in-place according to instructions.

4. When directed, move to the relocation site.

5. Consider yourself dismissed only when the Incident Commander advises. Do not return to the building without clearance.

Lockdown Drill

Please keep all students in the classrooms and when the announcement is made for the security drill, please ask any students in the hallway near your classroom to step into your classroom.

When a security team member comes to your door, we will slide a sign under your door at that time please slide the Lockdown Drill Information Reporting Form under the door into the hall.

If you have an exterior window, please post the form requesting the “number of people/number of people injured” in your classroom window.

Faculty meetings will be held once a month or as deemed necessary by the Executive Principal. Every Tuesday from 2:45 pm – 3:45 pm is a designated meeting time. Meetings may include department, academy, professional learning community, interdisciplinary planning/PBL, focus group, leadership meeting, etc.

Academy team common planning meetings will convene each week and are considered priority. All academy teachers are expected to attend and participate in activities.

The Academy of Entertainment Communication common planning team will meet 1st block weekly.

The Academy of Entertainment Management common planning team will meet 2nd block weekly.

Global teachers will meet for common planning 3rd block weekly. The Freshman Academy will meet 4th block weekly.

Content team common planning meetings will occur weekly and are considered priority. All content teachers are expected to attend and participate in activities.

The CTE/Pathway and Social Studies planning teams will meet 5th block weekly. The Science content planning team will meet 6th block weekly. The Language Arts content planning team will meet 7th block weekly. The Mathematics content planning team will meet 8th block weekly. Global and Exceptional Education content planning teams will attend planning

sessions on the weekly according to the master schedule.

School-wide Positive Behavior Support

Pearl Cohn Entertainment Magnet High School Discipline 2016-2017

School-wide Positive Behavior Support (SWPBS) is a proactive approach based on a three-tiered model of prevention and intervention aimed at creating safe and effective schools. Emphasis is placed on teaching and reinforcing important social skills and data-based problem-solving to address existing behavior concerns. SWPBS is being implemented in several schools in MNPS. The implementation of the SWPBS framework across the country has demonstrated a reduction in discipline problems and an increase time for instruction.

Personal Technology Defined:

Personal technology includes, but is not limited to, cellular phones, wireless earpieces,iPods, iPADs, other mp3 players, calculators, and portable gaming devices.Headphones must be used for personal technology used to play music or video.

Use of technology during instructional time

MNPS Policy States: A student may possess a cellular telephone or other personal technology on school property and may use such technology during lunch and transition times. Use of personal technology during instructional periods is generally prohibited.

Assumption of Risk: A student who brings his/her device to school shall do so at his/her own risk. No searches or investigations will be conducted for lost or stolen devices.

Pearl-Cohn Policy and Consequences

MNPS District Policy will be fully enforced. Policy will be communicated during advisory, in classrooms and through the

announcements during the opening week of the semester Offenses and Consequences

o 1 st Offense : Teacher takes phone/electronic device from student, puts phone is a secure location, and returns the phone/electronic device/electronic device to the student at the end of the block

o 2 nd Offense : Teacher takes the phone/ electronic device from student and gives phone to administrator along with a referral for student violation of cell phone/ electronic device policy. Administrator will contact the parent. Parent must come to school to retrieve student phone/electronic device from the administrator.

o 3 rd Offense : Same as above and 1 day ISS will be assigned.o Additional Offenses : Same as above and ISS and/or OSS may be assigned

Non-Compliance : If a student refuses to surrender the phone to their classroom teacher, the student will be referred to the office for non-compliance and removed from the classroom. Administrators will take the phone, contact the parent to retrieve the phone, and issue any necessary additional consequences. Any refusal to comply with an administrator request will result in automatic OSS.

Safekeeping of Confiscated Cell Phones:

Personal technology which is confiscated must be taken to school administration and will be secured in a safe location. The device may not be searched while in possession of the school unless the building administrator has individualized suspicion, consent or waiver by the owner of the device, or extenuating circumstances that pose a grave security threat.

Severe Clause:

Highly inappropriate activities include but are not limited to:

Communication that contains inappropriate content, profanity, intimidation or threats to others;

Cheating and other forms of academic dishonesty Taking or showing inappropriate photographs Communicating with groups or individuals in a manner that

causes a disruption of the school environment, The refusal to relinquish phone to persons of authority upon

request.

Violation of the severe clause may result in suspension from school for up to 10 days regardless of the number of previous offenses.

It is our pleasure to have you as a substitute teacher at Pearl-Cohn High School. Our vision is to be the number one choice for all learners. At Pearl-Cohn High School, we expect results in student achievement; therefore everyone (including substitutes) is expected to give our children and their teaching 100%. We believe that an effective teacher and effective substitute teacher is “on their feet and not at their seat” for the majority of the day. This means that you are actively engaged with the students by teaching, monitoring, and assisting them.

You are the Professional Teacher for today; therefore, the teaching staff and I expect a substitute to exhibit and/or do the following:

• Your hours are from 7:00-2:30 p.m. if serving a full day. You are expected to remain and actively participate in dismissal.

• Teach and implement the teacher‘s plan for the day/week.

• Stay on schedule.

• Give it your personal touch by learning the students‘ names as much as possible

• Be friendly, fair, but firm about expectations to students.

• Supervise students at all times. Never leave student(s) unattended without a teacher‘s supervision. Avoid being alone with a student. This includes class changes. Please be in the halls monitoring students

• Insists that students follow classroom rules and procedures.

• Be friendly to parents, fellow co-workers, and other visitors approved by the office.

• Be cautious about student safety by keeping a watchful eye at all times.

• Keep students engaged in lessons and assignments to minimize discipline issues.

• Release students to the office only for early dismissal. Never release a student to an unknown or known adult from the classroom. All students must be signed out in the office. Adults/Parents are required to report to the office first. The office will call for a student to be dismissed.

• Dress appropriately and professionally following the dress code for MNPS students.

• Remain with us during dismissal taking the duty of the teacher you are substituting for. Fulfill

all assigned duties of the teacher during the school day.

• Closely monitor the students‘ comings and goings from the classroom. At Pearl-Cohn High School, when we have to send students to other parts of the building (library, office, Restrooms,) we send them in pairs to maximize safety. No student should exit the building without an authorized teacher.

• At the end of the day, please fill out the MNPS substitute feedback form and leave it in the office.

• Do not conduct personal business using cell phones or computers during instructional time. Computer usage for personal reasons is not permitted during times when students are present with you.

• Do not eat in front of the children. If a medical issue requires you to eat frequently, please see the building principal.

• Check with the building principal/designee before taking students outside, or other locations in the building not specified by the classroom teacher.

• Do not show a video or allow students to watch television unless specified in the teacher‘s plans.

It is very likely that you will be visited by me, my designee, or other office staff today. Please be sure to take your role as our guest teacher seriously. Today you have an opportunity to teach!

Section 4 - SCHOOL WIDE PROCEDURES

Absence of Teachers, Classified Staff and Custodians Metropolitan Nashville Public School's employee/substitute management system is

SmartFind Express. Employees and Substitutes must log in using their Employee Numbers as their Access IDs and their Personal Identification Numbers as their PINs when reporting an absence. This is a professional responsibility of the employee. It is not the responsibility of the school secretary. NOTE: It is a professional responsibility of the employee to request a substitute as early as possible- BEFORE 6 AM. For professional and non-emergency personal leave, this should be done as soon as leave is requested. For sick and emergency personal leave, this should be done as soon as the teacher is aware of the need to be absent from work.

o Except in cases of emergency absences, employees must contact their designated supervisors, as soon as possible and prior to the start of the workday.

o Teacher lesson plan binders will remain in the school’s office for substitute teacher use in case of an absence. These daily lesson plans are to list standards and objectives, be easy to understand, and be consistent with the current curriculum.

o In cases of planned and unplanned absence, the substitute binder must be updated upon the teachers return.

Accident or Job-Related Injury The Occupational Safety and Health Act (OSHA), requires that all employees be

informed of their rights and duties. A copy of such rights and duties will be posted in a central location.

Announcements Each morning will begin with the Pledge of Allegiance, moment of silence, birthdays and

announcements. Students should be attentive during this time. Student representatives will assist in the daily Pledge of Allegiance. Announcements and information to teachers is transmitted by MNPS e-mail. Please be

sure to check your e-mail throughout each day.

Arrival of Students Students may enter the school building at 6:40 All children eating breakfast should report immediately to the cafeteria. Students are dismissed to go to classrooms at 6:50.

All teachers must be in their classrooms by 6:50 to receive the students.

Arrival of Teachers The teacher’s work day is 7 ½ hours in length. All teachers are expected to be in their

classrooms at 6:45 a.m. Team leaders will call the office if a neighboring teacher is not in their classroom at 6:45

a.m. This is to insure that all classrooms are covered. Please make sure you hear both morning and afternoon announcements.

Attendance Recording Procedures Teachers are responsible for taking attendance within the first 20 minutes of every block It is the parent’s responsibility to send a note with the child on the day the child returns

but no later than five school days after an illness. After 5 unexcused absences, the parent must obtain a note from a doctor for each

absence or a letter documenting an ongoing medical condition.

The State of Tennessee dictates what may be an excused absence. These reasons are:

1. Personal illness2. Illness in the family requiring temporary help from the child; a physician’s statement

may be required.3. Death of a family member; the absence is limited to three school days.4. Head lice, up to three days per infestation.5. Recognized religious holidays regularly observed by persons of the child’s faith.6. Court appearances or legal mandates.

All excuse notes are kept by academy secretary Make up Work – Students with an EXCUSED absence shall be provided the opportunity

to receive assignments missed during the absence and to make up the work upon their return for the full grade. Make up work must be requested by the student or parent no later than three days after returning to school. The work should be turned in at a mutually agreed time frame between the teacher and the student. The attendance record is not changed when missed work is completed. At the K-12 level, students with UNEXCUSED may make up work at the teacher’s discretion. A suspension is an unexcused absence.

Behavior in Hallways When groups of students leave your classrooms, they must be under the supervision of

an adult. Please be on time to deliver and pick up your students. Students are expected to go through the hallways in a quiet, organized manner as

students in other grades are working.

Children should line up away from the walls. Please no hands and feet on the walls.

Bullying MNPS strives to provide a positive educational environment that prohibits any type of

intimidation or bullying of students. Intimidation or bullying should be reported to any staff member, who must report the incident to the principal. The principal must take prompt action to prevent future harm. Guidelines for investigating bullying allegations will be followed and appropriate actions will be implemented to address and alleviate bullying behavior.

Cafeteria Breakfast is served from 6:50 to 7:00 each morning. Children who eat breakfast go directly to the cafeteria upon arrival at school. Breakfast serving line closes at 7:00. All classes should arrive and depart on time for lunch.

Cell Phone Use by Employees Personal use of cellular phones shall be limited to off-duty time. Employees may use

cellular phones for job related communication during work hours provided such use does not disrupt the learning environment.

District Policy - MNPS treats any incidents of child abuse or neglect with the utmost gravity and care. Therefore, all MNPS personnel are required to immediately report suspected child abuse or neglect to each of the following:

Department of Children’s Services – Central Intake. Metropolitan Nashville Police Department – In a building with a School Resource Officer

(SRO), notify the SRO; in a building without an SRO, call MNPD. The Office of the Assistant Superintendent of Student Services at the MNPS Central

Office. Use the DCS Disclosure Form included in the Forms section of the handbook.

Classroom Cleanliness All trash and pencils must be picked up off the floor and all materials neatly put away

before the students leave each afternoon. Desk tops should be washed often for cleanliness and germ control.

Classroom Management Each teacher should prepare a discipline plan for his/her classroom. The following

guidelines are suggested for developing this plan:1. Establish behavior rules for your classroom. Students may enjoy and take more

ownership of rules that they develop as a class (with your guidance). When determining rules, be sure that they are observable. The key rule that must be in effect at all times is that students should follow your directions the first time they are given.

2. Determine disciplinary consequences for your classroom. The consequences you choose should be:

a. ones that you are comfortable administering consistentlyb. ones that are disliked by the students without being physically or

psychologically harmful to themc. included in a discipline hierarchy

3. Determine positive reinforcement for your classroom. Guidelines for positive reinforcement include:

a. responses with which you are comfortableb. things that the student want and enjoyc. things provided as soon as possible after the student exhibits

appropriate behavior d. things that can be provided oftene. planned to reward specific appropriate behavior

4. Display your plan prominently in your classroom.5. Communicate your discipline plan to your parents in writing, and at Open

House and in conferences. Use the following steps:a. Determine standards for student behavior in our classroomb. Communicate your standards to parents and students from the

beginning of schoolc. Attempt to give two positive reinforcements for every one negative

consequenced. Document all misbehaviore. Be prompt – at the first sign of a problem, contact parents

BE CONSISTENT, FAIR, AND IMPARTIAL in dealing with students, not only in discipline, but also in all aspects of your classroom. Avoid even the appearance of indiscreet haste in the disciplining of students. Often a waiting period is helpful to both teacher and student. Avoid punishing the entire class for the misbehavior of a few students. Remember that it is NEVER appropriate to embarrass or humiliate a student. Carefully avoid overreacting or responding in anger to a student’s misbehavior. We are professional adults and must conduct ourselves in a professional, mature manner at all times.

Communication with Parents Frequent, positive parent communication is extremely important. Be sure to talk with

all parents and not the few whose children are having difficulty. Graded papers will be sent home weekly. Note parent communication on the S&I page of PowerSchool SMS

Copier Access All teachers will receive a copy code from the secretary. The PTSO Riso may only be operated by someone who has been trained on the machine.

You must make 20 or more copies for each master. For example, work needed by the whole grade level.

Corporal Punishment The Metropolitan Nashville Board of Education banned corporal punishment in 2001. Verbal abuse and ridicule of children does not improve students’ behavior and is not

permitted. Do not yell at or intentionally embarrass a child. If we want the respect of our students, we must first show them respect.

Cumulative Records Cumulative records must be signed out on a Log in the Records Room, and must be

turned back in by the end of the day. No cumulative records may be removed from the school. The office staff will have keys to the records room. To gain access to the records room,

find a person with a key.

Custodial Services Please route your request for custodial services to the head custodian in writing.

Emergency situations are the exception to this. For repairs, please contact your academy principal.

Data/ Data Warehouse It is a professional expectation that teachers use data for the purpose of increasing

student achievement. School and district training is available. The Data Warehouse can be found through the MNPS intranet at http://datawarehouse.mnps.org/reports

All student data records that are found in the Data Warehouse are protected under FERPA (Federal Education Rights and Privacy Act). With that in mind, there are district policies in place to protect this information. See District Policy IM 4.168: http://policy.mnps.org/AssetFactory.aspx?did=53562

Discipline of Students and the Office When a student is sent to the office because of a discipline problem in the classroom,

they are there for us to help correct their misbehavior. Please arrange with another teacher to reciprocally use each other as time out, if you wish to have such an

arrangement. Generally, if a child’s behavior is bad enough to be sent from the classroom, it is bad enough for the child to be referred to the principal.

Our goal is to correct the misbehavior and get the student back into the learning situation as quickly as possible.

The job description of the secretaries does not include dealing with discipline problems. Children may not come to the office to sit with the secretaries for time out or to watch them for you.

Dismissal of Students Everyone is expected to be a part of afternoon dismissal. All teachers should stand by

their doors. Teachers may not leave the building before 2:20 PM. A child must have a note if there is a change in the mode of transportation. Do not

take a child’s word that their transportation has changed. These notes should be sent to the office for signature.

Dress Code Teachers are expected to dress professionally. In some cases, such as physical

education classes which require outdoor attire, other appropriate dress may be professionally appropriate. At a minimum, teachers should exceed the standards of dress set forth for students. Clothing and/or appearance of a distracting nature is not considered professional dress. Specific information regarding dress is to be discussed and outlined by the building principal.

Faculty and staff should also read the MNPS Dress Code Policy for Grades K-12 in order to be fully informed about dress expectations for students.

Duty-free Lunch All teachers are entitled to a thirty minute duty-free lunch. Please plan to have your

children to the cafeteria in time to get them started through the line before your thirty minutes begin. When rare emergencies arise, you may be asked to assist in the cafeteria.

Early Student Dismissal Parents must come by the office to have a student dismissed. A secretary or administrator will call the room and asked that the child be sent to the

office. A student must stay three and one half-hours to be counted present for the day (8:00-

11:30). Picture I.D. is required of all persons leaving early with a student. No early dismissals will be admitted after 1:30p.m., unless it is a doctor’s appt. or

emergency.

Emergency Location Cards Emergency location cards will be on file in the office for immediate use in the event of

an emergency. These cards should always be current along with the Chancery information.When

updated telephone numbers are sent by parents, please forward those to the office. These cards/sheets will go home on preview days or the first day of school. As they are

returned, make a list of the students. Each child must have a card on file, so be persistent. Make a copy of the cards/sheets for your use before they are sent to the office.

Faculty Advisory Committee According to the Educational Agreement, a Faculty Advisory Committee (FAC) “shall be

established in each school through the mutual cooperation of the faculty and the principal.”

Its purpose is “to establish and maintain positive relationships and communication among the faculty and staff.” It also serves as “the vehicle by which proposed changes in existing policies and practices…may be considered.”

Field Trips Field trips should be extensions of classroom teaching and learning, thus they should be

Field trips are direct extensions of units of study in the curriculum. Please refer to the forms section for the appropriate forms to complete when planning a field trip.

**Field trips must be approved before transportation can be scheduled. Please allow at least one month for the approval process.**

Buses are leased for 3hours. Any time over 3 hours will be billed as overtime. The cafeteria manager must be notified in writing at least three weeks prior to any trip

which will alter the lunch menu or number of lunches needed. Mark the field trips on the school events calendar inside the office. All field trip money must be turned in 24 hours prior to the trip. The secretary will write

the check on the day prior to the field trip. No additional money will be accepted on the day of the trip.

All necessary field trip forms must be submitted to the appropriate principal and or Executive Director** at the same time.

Field trip requests may be denied if all stipulations listed above are not followed.

Funds for Teachers BEP 2014-2015 allocations of BEP are $200.00 and an additional $100.00 for pooled

money. Part time staff earns pro-rated amount. Your receipts will be put in one envelope, just remember not to exceed $200. **Make sure your receipts are clean (only school items). We will not accept them if other items are on the receipt.**

New Teacher fund – New teachers to Metro will receive $200 for their use in obtaining classroom supplies.

Room Set Up – The Board agrees to provide $100 in recognition of extra work and preparation for those ten and eleven-month certificated personnel who are not on the administrative pay scale and elect to prepare classrooms or work areas prior to the start of the school year. Recognition pay will be included in the employee's first full paycheck of the school year upon verification by the principal or supervisor that preparation has been completed. However, if verification is not received in the Payroll Department prior to the closing date for the first full payroll, the Board agrees to honor and pay any recognition verification it receives through the first 30 calendar days after school begins. bookkeeper for the necessary paperwork and guidelines. All fundraisers must have Executive Principal approval and district office approval before planning, purchasing any items and beginning the fundraiser. All fundraiser request forms must be submitted, per district policy, 30 days prior to the beginning of the fundraiser, and must be approved before any expenditures related to the fundraiser can be made.

Grades/GradeSpeed/Gradebooks See Instructional Calendar on MNPS website at www.mnps.org/Page63080.aspx for

dates of mid-quarter progress reports and end-of-quarter report cards. Gradespeed is locked for reporting purposes at different times of the school year. Ask

local school administration for those times at your building. For all grading policies according to your unique tier, grade level and/or subject area,

Illness of Students Any head injury or injury you have doubt about, please be safe and let us call. The

secretary or office assistant will contact the parent and inform you of the parent’s decision on the back of the office pass. Students who are not feeling well may be sent to the clinic to lie down for a few minutes. Students will not remain in the clinic for extended periods of time.

Inclement Weather Absences or Tardiness From time to time, school may be cancelled for inclement weather. See the following

process of assessing the situation in the early morning hours. Do not expect the district to make the decision to cancel school for the following day until that time.

Leaving the Building If for any reason you must leave the building, you must contact your supervisor for

approval before departure from the school grounds. There will be a sign-out/sign-in notebook that must be used when leaving and upon returning to document an approved leave from campus located in the main office. Teachers may only sign out during the 30 minute duty-free lunch period, unless taking sick or personal leave.

Leaving School Grounds with a Child No staff person may leave school grounds with a child unless the principal and parent

have given permission and know where you are going and when you will return. Under most circumstances, permission will not be granted unless the parent is notified prior to the transportation of the child. Being alone with a child has many possible legal ramifications.

Lesson Plans Lesson plan books will not be provided by the school. Please use a lesson plan template

on the computer. These daily plans should have objectives, be legible, be easy to understand, and be consistent with curriculum. Plan wisely to meet your goals and objectives.

Unit Plans will be submitted to department Academy Principals and Department Principals on the first Monday of every month by 2:30 PM.

Long Range Planning Content teams should plan the units from the new standards which have been passed

out to you. Content teams should meet at the first of the year to map out what will be taught during each nine-week period.

Library We are proud of our library and our selection of books and materials. We want to

encourage our students to check out and read as many books as possible. Our library will operate on a flexible schedule. Guided reading books and Essential Literature books will be housed in the Book room.

Mailboxes Teachers should check their email and mailboxes in the office daily.

Medication See District Policy SP 6.129: http://policy.mnps.org/AssetFactory.aspx?did=49040 As required by the State and MNPS policy, all medications, with the exception of asthma

inhaler and anaphylaxis medication are to be stored in as secure locked cabinet or drawer. At least two staff at the school are trained annually to assist students with self-medication. Only trained school personnel can assist students with self-medication. Students who carry their inhalers and/or anaphylaxis medications are to have the signed medication forms in the school office and should have Individual Health Plans written by the school nurses.

(Prescription or non-prescription medication requires a written parent/guardian request on a specific form: Request For: Assisted Self-Administration of Prescription and Non-Prescription Medications.)

Money Collected from Students Money or property received by a school official, employee or volunteer, acting in his or

her official capacity, becomes public money or property. The money is the property of the respective school. Such money must be appropriately managed and safeguarded. All money collected and received on behalf of the school becomes the property of that school and must be accounted for, handled appropriately and safeguarded. Collection forms must be filled out appropriately and accurately.

Collection logs must have the date, purpose of money, amount and students’ names. Log sheets may not be altered. If logs are incorrect, they will be returned to be corrected. After deposit into the school account, a copy of log sheets and receipts will be returned to retain for year-end auditing.

All money must be turned in to the bookkeeper daily and in a timely manner. Do not hold any money in the classroom or send money to the office by anyone but yourself . Never leave money on the bookkeeper’s desk or with office personnel. Money must be transferred with the collection logs directly from collector to bookkeeper.

Monitoring of Electronic Mail Communications E-mail and Internet-generated electronic records that are created in the normal course

of official business and retained as evidence of official policies, actions, decisions, or transactions may be a public records subject to public inspection. These records are subject to records management requirements under Metro Code 2.140 and Tenn. Code Ann. 10-7-503.

In the course of their work, system administrators or other authorized individuals may monitor users’ Internet and e-mail activities at any time without the user’s permission or notification. Additionally, the content of these activities may be monitored during investigations of inappropriate use or non-compliance with this Policy.

As with any MNPS-provided resource, the use of the Internet and e-mail should be limited to legitimate MNPS business and is governed by rules of conduct similar to those applicable to the use of other resources.

Please remember to check your email several times a day, such as before school, during lunch, and after school.

Make sure to monitor the size of your mailbox. Each e-mail mailbox has a size limit. To insure that you don’t go over your limit, delete unnecessary e-mails periodically. If you have any questions regarding this limit, contact the MNPS Helpdesk.

Payroll Metro is trying to encourage all employees to have their check Direct Deposited into

their bank account. This way you would not have to wait for your funds. See Bookkeeper for the Direct Deposit form. They have added more banks, just call

payroll to see if your bank is now accepted.

Planning Period Planning is designed for instructional support for student achievement. It is the

expectation of the district that all teachers utilize planning for the use of reviewing and analyzing data, lesson planning and/or collaboration, teaming, and/or other administrator approved activities.

PTSO We ask that you participate in and attend meetings of the PTSO. It is very important

that we all work together to reach the goals of our school.

Record Keeping Part of our responsibility as professionals is the accurate and orderly keeping of records.

It is imperative that all records be kept in good order. The classroom teacher is responsible for keeping school records on each child assigned to him/her. All records should be accurate, current, and complete.

Report Cards (See the District Policy Section – Grading Procedures K-12)

Restroom Breaks The students are responsible for the general cleanliness of the restrooms. Students

should put their paper towels inside the trash can. Groups of children may not be sent to the restrooms without a teacher present.

Make sure you know where students are at all times.

S-Team ProcessFunctions of the Student Support Team

Student Support Teams function as problem solving teams which schools can make available to assist all students. For example, Student Support Teams may address such serious issues as attendance, academic, emotional and/or behavioral problems which do not constitute disabilities but are disruptive to students’ educational progress. Parents must be invited and encouraged to attend, but do not have to be present at the initial S-

team. The referring teacher, grade level members, and any others invited should attend this meeting.

Step 1 - Fill out the S-team referral sheet (1/2 sheet). Give it to the school counselor. After an initial observation of the student, they will give you an S-team packet. DO NOT tell the parent that you will see that a child gets tested. If you do, you could be obligating yourself to the expense of an outside evaluation.

Step 2 - S-team folders are fairly straightforward. All of the information is necessary for documentation purposes. A psychologist will not test if any piece is missing. The vision and hearing screen must be current (within the past 12 months) so that can be ruled out as the cause of problems. Please use only school forms. This is necessary for consistency throughout Metro.

Step 3 - An S-team is scheduled when your completed folder is turned into the administration. The meeting will be scheduled on the day that the psychologist is here.

Step 4 - Please bring work samples and evidence of the interventions that you have already tried. If the interventions are working, there will be no need to test. If they are not working, the team needs to figure out what action to take next. We cannot do that without samples of the child’s work.

Step 5 – The S-team process could lead to interventions, testing, 504 plans, or they may certify a child to receive special services.

Section 504 Disabilities The Student Support Team process must be completed for students who are considered

to be disabled under Section 504 of the Rehabilitation Act of 1973 but do not qualify for Special Education services. Parents must be a part of the S-team process if a 504 Service Agreement is given. Not allowing parents to be involved in this process is a direct violation of Section 504. Contact the 504 office if you have any questions - 259-8556.

Follow all accommodations and modifications provided a student under the 504 plan. Reconvene the 504 plan, at minimum, annually to update. A general education teacher, administrator, counselor, school psychologist, and parents should be present for this meeting.

Exceptional Education Referrals No student can be referred for Special Education services until the Support Team

process has been exhausted. There must be an S-team, with interventions written, tried and documented for a period of six to nine weeks. After this period of time, the process stops and the interventions are continued. If not, a decision S-team is scheduled. At this meeting, parents, classroom teacher and the Decision S-team members must be present. This team will determine where the process will move forward from this point.

Exceptional Education Services These services are given to students after and evaluation has been completed, and it is

determined that a disability exist and services should be rendered. All teachers are expected to attend the IEP meeting. It is require that an administrator,

general education teacher, and the special education teacher are present to all IEP

meetings. All attempts must be made to have parents in the meeting. Meetings should not be held without parents receiving notice from the school.

All teachers should receive and be notified of the students accommodations and/or modifications. All accommodations and/or modifications must be followed by the general education teacher.

School CounselorSchool Counselors serve as advocates for all students and are available to consult with parents and teachers. Consultation serves as an avenue to support the efforts of the teacher/parent to facilitate student academic, personal, and social progress. All students are free to talk with their counselor about personal concerns they may have. The School Counselor adheres strictly to confidentiality practices, as this fosters trust between counselor and student.

Procedure for referring students for individual counseling:

(Students can be referred by teachers, staff, administration, parent, self)

1. Use the guidance referral form. 2. Fill out the form completely, being as specific as possible when stating the

reason for referral.3. Attach S-team/IEP documentation if counseling is stated as part of the

intervention.4. Return to the guidance mailbox.5. Any information that is given regarding a student is kept confidential, except

in cases of abuse, threat of harm to others, or self.6. A follow-up letter will be returned to referring person after the child has

been seen.

Procedure for Classroom Guidance

The School Counselor will accommodate class schedules as much as possible.

Guidance classes will be cancelled if student emergency or S-team takes priority. Guidance scheduling does not allow for classes to be made up at another time, but the missed lesson content will be incorporated into the next scheduled class.

Whenever possible, the teacher is encouraged to observe or participate in the lesson and carry it into other activities and discussions.

Substitute Folders Each teacher shall compile a folder of pertinent information for a substitute. The folder

should include schedules, fire drill procedures, teacher duties, daily routines, names of students with particular problems, student helpers, reading and math groups, and any other pertinent information.

Lesson plan should be accessible, current, easy-to-follow, and complete. A list of available substitute teachers will be on file in the office.

Sunshine Committee The Sunshine Committee will be responsible for allocating funds contributed to the

Sunshine Committee. Basic guidelines for the use of these funds will be reviewed by the faculty each year. Suggestions for guidelines may be given to the Sunshine Committee members.

The amount to be collected from each staff member will be announced after the committee has had a chance to meet. The funds will be deposited into the Sunshine Account and checks will be written as the committee dictates.

Supervision of Students Students must be under the direct supervision of professional school personnel at all

times. There is never a time when students are to be left unattended. Do not put students outside your door unsupervised.

Tardiness of Students All students late to school (except bus riders whose bus is late) must sign in! Please do not admit any child late to school without a late note.

Tardiness of Teacher Teachers are expected to be at school on time. You must notify your immediate

supervisor when you will be late to school. This notification must be made more than fifteen minutes prior to the school day. This is a professional expectation and responsibility. If a pattern of tardiness exists, it may become necessary for the principal to address concerns with the teacher and employee relations.

Telephones, Voice Mail, and Email Teachers should update their voicemail greetings. As a professional responsibility,

teachers should check voicemail daily and return calls within 24-48 hours. Classroom phones should be set to voice mail during instructional time, and should not

be used during instructional class periods. Personal cell phones are not to be used during instructional time and should not interfere with instruction.

Expectation for email - It is a professional responsibility to check email regularly and respond, generally within 24-hours.

Textbooks It is the responsibility of the administrators and teachers to protect all school textbooks.

No board of education shall require a pupil or parent to purchase any textbooks except in cases where the pupil or parent damages, loses, or defaces such textbook either through willful intent or neglect. Please use a form to account for the textbooks that are given to each student.

Time on Task Instructional time is precious. Research on effective schools shows clearly that time on

task or “academic engaged time” has a positive effect on student achievement. And it costs nothing even though it is the most highly effective teaching strategy!

Use of Media and Computer Software Use of videos should be limited to those that support the grade level curriculum.

Educational videos are ideally used in conjunction with instruction when they are stopped and discussed throughout the viewing. All videos should be limited to 30 minutes of viewing time.

Withholding Records for Money Owed A school can withhold all grade cards, diplomas, certificates of progress or transcripts of

progress of a student who owes money to the school or to an approved school organization such as the PTO whose funds are accountable through the local school’s bookkeeping system and the debt is the fault of the student.

If you do not bring your child to school, the absences will be unexcused and reported to the Metropolitan Nashville Public School Attendance Officers, and your child may receive zeros on all graded work and tests missed. Children should not create disturbances at the bus stops or on the bus. If someone bothers your child, please report the problem to the assistant principal.

Remember, the safety of all children on the bus is an important factor. Please do not tell your child to hit back if someone hits them. They should report to the assistant principal and he will resolve the matter.

TRANSPORTATION - Bus Rules for Students

In order to receive the privilege of transportation a student must be eligible in terms of the appropriate distance from school and must observe the following rules:

A) Rules for Boarding the Bus1. Students must be at the designated bus stop five (5) minutes prior to the

scheduled bus arrival time.2. Students who must cross the road before getting on the bus shall

wait for the bus to arrive, wait for the driver to display the proper warning signs, and wait for the driver’s signal before crossing the road.

3. Students must cross the road IN FRONT OF THE BUS, never behind.4. Students shall always stand a safe distance off the road and never in the road

while waiting for the bus to arrive.5. While at the bus stop, students should:

B) Rules For Disembarking The Bus 1. Students must use the service entrance door while unloading and not the

emergency exit door. The emergency exit is to be used only in emergencies.2. Students who must cross the road after getting off the bus should cross at

least ten (10) feet IN FRONT of the bus, look both ways to be sure no traffic is approaching from either direction.

3. Students should WALK across the road…. never RUN.4. Students should not ask to be let off at stops other than their assigned stop.

Caution: Drawstrings on coats, backpacks and other articles can be caught on handrails and in doors, thus attaching student to outside of the bus.

C) Rules For Riding The Bus1. Students shall take seats promptly after boarding the bus. No seats can be

reserved. Should the driver assign a student a seat, the student must comply.

2. Students will remain in their seats while the bus is in motion.3. Students shall not open windows of bus unless asked to do so by the driver.4. Students must keep arms and head inside the bus.5. Students shall not use alcohol, drugs or tobacco in any form.6. Students shall not throw objects on the bus or out the windows.7. Students shall not distract the driver.8. Students shall not eat food or drink beverages.9. Students shall not transport live animals.10. Students shall not litter.

11. Students shall not transport items that may endanger the health or safety of any other passengers.

12. Students shall not transport weapons.13. Students shall not violate the school’s dress code.14. Students shall not use inappropriate language as follows:

It is unacceptable to use language or gestures that are lewd, obscene, profane or in general offensive and objectionable as measured by the prudent and prevailing standard of the community and the Board of Education.

15. It is unacceptable to be defiant or refuse to obey and follow a legitimate request, command, rule, regulation, directive or order.

16. Students shall not be disrespectful.17. It is unacceptable to be discourteous, impolite, rude, insubordinate or

unruly.18. It is unacceptable to interrupt in any of these settings, the orderly

course of transportation affairs by any means, way, form or fashion.19. Students shall not be abusive or aggressive.20. It is unacceptable to mistreat, misuse, hurt by treating badly, demean, insult,

intimidate, extort, mock, jeer, ridicule, threaten or use excessive force. Fighting will not be tolerated

Note: Students are subject to being recorded on video cameras at any time they are riding a school bus.

Disciplinary ActionViolations will be reported to the Principal for disciplinary action.Message To Parents Or Guardians:

Parents or guardians are ultimately accountable for the behavior of their children. The drivers need your cooperation and support of their efforts to enforce the rules that are essential to the safety and security of our children. Parents or legal guardians who fail to act responsibly in terms of the teaching, requiring and upholding the school system rules may be subject to:

1. Providing your child’s own transportation to and from school. Remember riding a school bus is a privilege not a right.

2. Facing disciplinary action from the Juvenile Court Judge, which may include attending classes with your child to improve understanding of bus etiquette and to learn behavior modification strategies.

Policy 5112.

2. On a space available basis, without altering the existing bus route, or assigning additional stops, the principal may recognize hardship conditions and temporarily assign empty seats on buses to children (grades K-12) who reside less than the eligible distance. Students will be picked up and discharged at the closest existing stop from which the student resides. Empty seats are defined as the seats remaining after eligible riders have been assigned. The school principal shall ensure the Request for Transportation Service form is completed prior to assigning hardships to a bus route.

3. If empty seats are not available (paragraph 2 above), the principal may identify specific, (not general) safety hazards and make a written request to the Director of Transportation for additional seats. The request shall be based upon specific external environmental hazards such as areas of high traffic or unsafe conditions. The Director of Transportation will verify conditions and may or may not adjust routes to accommodate the request for additional seats if it can be accomplished within existing resources.
