Two years after the start of Solvay’s worldwide migration project, called Cheyenne, 32 major sites have migrated legacy PBX systems to the centralized OpenScape Enterprise environment, representing more than 8,000 users. “We have installed sites around the world on a centralized OpenScape Enterprise voice solution. Our communications system is now more uniform, enabling our team members to work in the same way, and communicate seamlessly,” says Helmuth Manteuffel.

This compelling rate of progress is the result of a close collaboration between Siemens Enterprise Communications and Solvay’s support staff. “Our collaboration keeps getting better, and more productive as we discuss next steps, develop new approaches and translate them into procedures that accord with our security guidelines,” says Mr. Manteuffel. “We have created a range of deployment procedures, such as procedures on how to prepare for an installation, including a numbering plan, user rights, and call features and capabilities.”

Small, expert local teams manage technical and physical requirements at the various sites

The process starts when a particular site signs up for a migration. “Our team is a virtual team, we have sites all over the world, and we ask the management at the site to outline their needs. They provide their in-depth requirements which will translate into the configuration of an OpenScape Branch solution at their site. We do the LAN and IP configurations together.” The local teams on-site during the migration are small; a site expert and a technician are able to manage the physical installation. Communication with Mr. Manteuffel’s centralized support team happens with OpenScape Voice and OpenScape Web Collaboration tools.

The Cheyenne team migrates one site about every two weeks. The installations are standard: a minimal gateway to connect the local trunk line, OpenScape Branch, and an analog gateway for analog phones. “All of the sites are connected to our MPLS network, so we can secure the quality of service. The special sites are those where they don’t have this connection, but have an internet VPN connection instead.”

Secure connection always top priorityHaving a session border controller already integrated into the

OpenScape Branch solution makes network integration easier, says Mr. Manteuffel. It creates a secure connection over the internet between a main site and a satellite site. OpenScape Branch provides many integrated capabilities, such as a media server for local voice conferences. This saves on bandwidth costs. OpenScape Branch is also capable of working in survivability mode, in the event that communications between the host and remote site are lost. It provides a robust set of features in survivability mode which mitigate any business impact during a network outage. Depending on the site configuration, there are several options for ensuring communications during a network outage, making OpenScape Branch one of the most robust branch office solutions today.

Teamwork enables continuous improvements to the migration proceduresThe Solvay team works with a Belgian-based team from Siemens Enterprise Communications To kick off a migration, the project manager from Siemens Enterprise Communications reaches out to the local Solvay IT manager, who looks after local resources. After

the migration and installation are complete, the Siemens Enterprise Communications service delivery manager takes over responsibility for operational supervision.

“The way that we work together is getting better. Over the past two years, our joint team has learned a lot in terms of preparing for, and implementing, the migration of a site.

And the latest migrations show that our procedures are very effective; the procedure is fully documented, and everyone knows their role,” says Mr. Manteuffel. “We have reduced the installation time considerably, compared to the early stages. Our IP solution currently is 60% faster to install than the TDM solution used to be. The installation is simpler and requires less physical time on-site, as many of the settings on phones and the network can be preconfigured. In fact, we install sites in as little as a day, without any interruption to the service.”

Addition of user training helpslocal sites get up-and-runningfasterUser training has now been added to the migration process. “We’ve seen that some users have difficulties when changing telephone equipment. We’ve realized we need to provide a minimum of user training so they can use the system without fear and understand the key functionalities. So we give them an initiation, and encourage them to learn more by using the application. If they’re keen, they’ll learn more themselves, others are satisfied with the basics.”

Solvay has moved its office workers to a full Google office environment. In a campaign called “Gollaborate”, Google-based collaboration tools have been made available to 15,000 Solvay staff members to enable “Gollaboration”. Solvay plans to integrate the OpenScape UC Application with this cloud-based platform in the future.

“We agreed with Siemens Enterprise Communications to opt for Fusion for Google. This will further integrate our unified communications with the cloud platform, offering interesting features such as the OpenScape call control buttons in the Google browser and synchronization of a staff member's presence status with their Google calendar," says Helmuth Manteuffel.
