It is that time o year when weall start peering anxiously overthe horizon into 2010. The

bling and I know in the end has made us all stronger! Al-

IntegratingMicrosoft SharePoint withMicrosoft Dynamics CRM

Consider this scenario… You have a powerul Microsot SharePoint implemen-tation running in your company. You’ve been utilizing the unctions o theBusiness Data Catalog, Excel Services, and the robust Enterprise Searching

capabilities or some time. You also have just nished an implementation o Micro-sot Dynamics CRM to help track and maintain your sales prospects, leads, contacts, marketing campaigns, etc.

Combining Two Powerul Technologies

Two powerul Microsot technologies are right at your ngertips. Now, i onlythere were some way to harness the powerul eatures o both into one easy to useand access place. Enter… the native unctionalities o both products that make aseamless integration possible. That’s right! Now you can utilize both applications inone location using your own preerred weapon o choice.

Document Libraries in Microsot Dynamics CRM

There are three ways that integration is achieved between the two technolo-gies. The rst is pulling Microsot SharePoint data (specically lists and libraries)into your Microsot Dynamics CRM solution. Here’s an example: You have mul-

tiple documents stored or each o your accounts. The currentsolution is to have a separate older sharing solution where eachaccount has its own older. Sometimes, things don’t get savedinto the correct olders; it’s hard to nd exact ly what you’re look-ing or, etc. With Microsot SharePoint and Microsot DynamicsCRM, we can create separate document libraries and tie them toa contact or account within Microsot Dynamics CRM and putall inormation in one, convenient location.

Microsot Dynamics CRM in WSS or MOSS

The second integration technique pulls Microsot Dynam-ics CRM data into your Microsot SharePoint site. We can pullMicrosot Dynamics CRM inormation into either WindowsSharePoint Services (WSS) 3.0 or Microsot Oce SharePointServer (MOSS) 2007. I our solution is a Windows SharePointServices 3.0 installation, there is a Microsot Dynamics CRMweb part available or download rom Microsot. With this webpart, we can pull inormation rom Microsot Dynamics CRMand display it in a web part in Microsot SharePoint. Most enti-ties are available, and only one entity at a time can be pulled inper web part.

With Microsot Oce SharePoint Server, there are severaladditional options to pull in data. Besides using the WSS web

part, we can util ize the Business Data Catalog or Excel Servicesto pull in the Microsot Dynamics CRM inormation. I we uti-lize the Business Data Catalog, we can write our own Applica-tion Denition File or utilize one that comes with the MicrosotDynamics CRM Accelerators. Once this Application DenitionFile is uploaded to the Business Data Catalog, we can createBusiness Data web parts in Microsot SharePoint to display thedata, even display data rom related entities!

Microsot Excel Services

Finally, through Microsot Excel Services, we can displayinormation rom within Excel Worksheets to our SharePointsite. This is accomplished by pulling Microsot Dynamics CRMdata into Microsot Excel through real-time data integrationsand displaying this inormation as Pivot Tables or Charts. Wecan then publish that inormation to Microsot SharePoint andMicrosot Excel Services and have real-time graphs and tablesstraight out o Microsot Dynamics CRM. This data can be usedin Dashboards and other Microsot SharePoint pages.

There are some exciting ways to integrate your MicrosotDynamics CRM and Microsot SharePoint deployments. Formore inormation on how we can better integrate your systems, please contact us!▲

Improve Efciency with

Electronic BankingJanelle Montplaisir, Microsoft Dynamics Consultant, MCT

Maintaining control o cash and bank accounts are business criticalunctions in every organization. From paying vendors and collect-ing customer payments, to balancing bank statements – unortu-

nately, managing your checkbooks and cash fow can require a signicantamount o time. Microsot Dynamics GP includes a number o dierent banking tools to help manage your banking activities more eciently andsecurely while saving signicant resource time and administrative ex-penses.

Electronic Bank Reconciliation

Most businesses maintain multiple checkbooks. Some even maintainmultiple checkbooks or multiple companies. Bank reconciliations are tra-ditionally a very manual process and oten take a considerable amounto time and eort. Think about the amount o time your employees are

spending each month to correctly recon-cile all o your checkbooks. With Elec-tronic Bank Reconciliation, employeescan download a le rom the bank di-rectly into Microsot Dynamics GP Bank Reconciliation and the system automati-cally matches any transactions, saving   your business and employees valuableresource time while reducing data entryerrors and increasing accuracy. Imaginethe many more productive hours yourteam could spend on other tasks i youallow Electronic Bank Reconciliation todo the work!

EFT or Payables Management

Electronic Funds Transer (EFT) orPayables Management allows you to cre-ate a secure payment le or all electronicpayment vendors and submit it directlyto your bank. The process o generating an EFT vendor payment is the same as aregular vendor check batch, except rath-er than printing checks you generate anelectronic payment le which is submit-ted to your bank. Electronic paymentsnot only decrease time and costs by nothaving to print and mail checks but italso reduces the potential or raud thatpaper checks can introduce.

EFT or Receivables Management

Electronic Funds Transer (EFT) orReceivables Management can help guar-antee customer payments by automati-cally withdrawing unds rom your cus-tomers’ bank accounts or outstanding invoices. To create the electronic undstranser le or your customers, enter acash receipt as normal or that paymentin a batch, and it will be marked as EFT.When the batch o cash receipts is posted,an electronic le is generated or all cus-tomer payments in that batch. The le isthen submitted to the bank and you willelectronically receive payment or yourcustomers’ accounts. Payments receivedelectronically help decrease the cost o processing payments, guarantee custom-er payments, and improve your businesscash control.

The best part – depending upon yourlicensing plan or Microsot DynamicsGP – you may already be entitled to someo the tools or no additional cost! Con-tact us to visit more about any o theseElectronic Banking solutions or Micro-sot Dynamics GP.▲

One o the new benets available within our new ManagedService plans is the Microsot Dynamics GP Resource Stang  benet. Many companies have experienced having a key personout on a maternity or medical leave; or possibly it is the busyseason and you simply need an extra resource or a month. We

Unlimited Training

Another new benet or our Premium Managed ServicePlan customers is unlimited training. Is xRM Right orYour Organization?

What is xRM?

Acronyms abound in the world o business applications andtechnology and xRM is an especially popular one, lately. Theshort and marginally helpul answer is –  ‘xRM is whatever you

want it to be.’ The ‘x’ is the variable and the ‘RM’ stands or Re-lationship Management… an application to manage any kind o relationship. We like to think o xRM simply as a platorm that isvery well suited or the development o business applications.

This platorm is based on the Microsot Dynamics CRMplatorm, leverages Microsot SQL Server as the database, andthe application customization toolset is bui lt right into MicrosotDynamics CRM to build out custom business applications. TheMicrosot Dynamics CRM application can really be thought o as a eature set that includes sales, marketing, and service unc-tionality built using the xRM platorm. Lots o other things can be built on this platorm that accomplishes very dierent busi-ness processes.

xRM: No More Build vs. Buy

For IT departments everywhere, one o the most commonquestions is ‘Build vs. Buy?’ when it comes to line o businessapplications. To build your own business application, the typi-cal benet is that it is highly customized to your exact businessneeds. The drawback is those applications are expensive to build, maintain, and support. Some advantages o buying industry spe-cic or pre-packaged applications include being typically wellsupported by the vendor, easily deployed, and easily supported, because there are a lot o other customers out there like you.The drawback – the infexibility o those applications oten ailto meet your business needs and processes get sacriced to makethe company work the way the sotware does.

With xRM as the platorm, you have the benet o bothBuild and Buy. It provides the benets o a scalable, well sup-ported solution on a well known and documented platorm likeMicrosot Dynamics CRM with the fexibility and customiza-tion capabilities to be a truly customized solution.

Why Use xRM as a Development Platorm?

From a business standpoint, it makes good sense. Train-

Year-EndProceduresfor Microsoft Dynamics GP Sheila Ochoa, Microsoft Dynamics Consultant, MCT

With 2010 nearly upon us, it remains important to review year-end proce-dures or the various modules within Microsot Dynamics GP. The mostimportant thing to remember prior to doing year-end close or any mod-

ule is to make a recoverable backup. The second most important item - review allo the necessary closing procedures prior to making that backup.

Year-End Closing Procedures

Planning ahead and making a back up is the most important thing. Ninety-nine percent o module year-end closes go fawlessly as long as processes and pro-cedures are ollowed. I at any point you are unsure o these procedures, pleasetake a moment to call us and discuss any uncertainties you may have.

Whether you run on a Fiscal Year or Calendar Year, both sets o closing in-structions rom Microsot are provided with each module. For more inorma-tion on each module, see the Summit Group Sotware website or art icle links atSummitGroupSotware.com/php/announcements.php . For your convenience, thearticles or closing each module wil l be published directly at our website or down-load once they are released rom Microsot.

Module Close Order

Another important item related to year-end closing is the ORDER in which

ing and learning curve costs can be sig-nicantly lower by leveraging a platormthat could be used or numerous otherapplications in the organizations and viaMicrosot Outlook. I it looks, eels, andacts like your other applications – it is alot easier or sta to learn and really canincrease productivity.

From an IT standpoint, the reasons

are compelling and numerous. The previ-

ously mentioned point about building vs.

buying is one o the best reasons. Use the

xRM platorm as an incredibly cost eec-

tive starting point or a custom business

application. The platorm already has well

dened development methods and is well

documented and supported. It is incred-

ibly fexible and easily extended – using

rst and oremost a powerul customiza-

tion tool set built right into the application

interace. But also using jscript, .NET-en-

abled programming languages, and the

reporting engine o SQL Reporting Ser-

vices – just about anything can be done.

From a supportability standpoint – no more ‘black box’ mystery to all andno one let to support it in the organiza-tion. Microsot Dynamics CRM is a wellknown and well supported environment, which scales or growth and upgrades ina ar more superior way than a custom built application because it leverages thestrength o Microsot Windows, SQLServer and .NET Platorms.

Is xRM Right or YourOrganization?

It just might be. We have deployedmany varied xRM projects across indus-tries and types o applications. Theircommonalities were issues with dispa-rate spreadsheets, no reporting insight incurrent systems, old systems lacking dataintegrity and/or no sta within the orga-nization who knew anything the aboutthe old systems. Some companies hadpeople that were eeling like they wererunning blind in decision making orspending time patching together the ail-ing systems… all signs that something is‘broken’ and xRM might just be the plat-orm to x them.

some examples of xRM deploy-

ments we have worked on? Visit the

It is an exciting year in the Microsot world and that ex-citement was on display on October 29, 2009 at SummitGroup Sotware’s inaugural user conerence. Over 100

Microsot Dynamics GP 11 will berolling out just around the cornerand we are dedicating a number o

resources to inorming our clients aboutthe exciting product enhancements. Check out our blog or additional sneak peeks atthe new eatures you can expect to see.One o my avorite new eatures that will be included with Microsot Dynamics GP11 is the ability to print your reports toMicrosot Word orms and also be able toemail those reports, right rom within Mi-crosot Dynamics GP.

Yes, you heard right! Microso t re-ceived a lot o eedback to have reportsavailable through another source otherthan Report Writer, and they have an-swered with new unctionality aroundMicrosot Word. With Microsot Dynam-ics GP 11, you will be able to print most o  your reports as either your existing ReportWriter report, or you can print them withnew Microsot Word templates. Microso twill be shipping a number o templates outo the box, as well as the ability to createand customize your own templates and usethem to print your documents. These tem-plates will be able to be used i you’re onMicrosot Oce 2007 or newer.

The way this is going to work is rela-tively simple and will not require any ad-ditional sotware. When you choose togenerate a report to Microsot Word, it stil lgoes through Report Writer, which is the“processing engine”. However, instead o it

being printed then in Report Writer, it will be pushed to Word as an XML ormat, andWord will then be the “design engine” or the report. With the inormation being pushed to Word, we will now have the ability to easily manipulate the design o thereport, as well as adding our own graphics and style!

Microsot Dynamics GP 11 is also introducing the ability to email documents

rom right within the product. With this eature, we can now email reports directly

to our vendors, customers, etc. Microsot Dynamics GP will util ize the power o Out-

look to send the emails, either as an attachment or embedded directly into the body

o the email. This will reduce the cost o postage and printing or an organization, as

well as simpliy getting inormation out.

Some pretty useul eatures coming in GP 11 surrounding Word orms andemailing documents. Check our website to read upcoming blog posts, in which Iwill ta lk about a ew more eatures coming!▲
