Taleo Inbox for Lotus Notes 8.0.2

Taleo Inbox is a Web Service-based solution that enables you to view and take action on various Taleotasks from within your Lotus Notes application without logging into Taleo applications directly.

Using Taleo Inbox, you can perform the following tasks:

• Provide feedback in response to a feedback request.• Comment on and approve or reject feedback approval requests, succession plans, goal plans and

development plans.• Create unsolicited feedback about an employee, create feedback regarding a development activity,

a goal, a competency goal, a scenario (succession plan), a job role or a competency and includethe feedback in a performance review.

• View your goals and related comments, add comments and update your progress rate.• View your development activities and related comments, add comments and update your progress

rate.• Forward an email to a Feedback Journal that can be referenced later for a performance review.• Respond to network invitations.• Capture candidate information from an email and create a candidate file.• Match a candidate to a requisition.• Look up a candidate's contact information.• View your tasks that have not been completed.

Installing Taleo Inbox for Lotus Notes 8.0.2

Prerequisite

Lotus Notes 8.0.2 must be installed on your computer.

Lotus Notes 802FP6 (Fix Package) is required.

You require a Lotus Notes user name and password.

The C:\Program Files\IBM\Lotus\Notes\framework\rcp\plugin_customization.ini file mustcontain the following line: com.ibm.notes.branding/enable.update.ui=true

Steps

1. [Lotus Notes] File > Application > Install

If you do not see the Install option make sure that the plugin_customization.ini file has theupdated string added. That flag in the .ini file provides the option to Install.

2. Select Search for New Features to Install, click Next

3. Click Add Folder Location and select the folder containing the Taleo Inbox for Lotus Notes 8.0.2installation file. Your system administrator will be able to provide this location.

Once you click OK another pop up will appear (Edit Local Site), just name this something familiarlike Lotus Install Path.

4. Select the features to install, select Show the latest version of a feature only, and click Next.

5. Select I accept the terms in the license agreements, click Next.

6. Review the features that will be installed, click Next.

7. Select Install this plug-in, click OK.

8. When the installation displays the prompt to restart, click Yes.

Result

Once Lotus Notes comes back up the Taleo Inbox for Lotus Notes plug-in is installed.

Configuration

A variety of configuration options can be set to customize Taleo Inbox for Lotus Notes 8.02 in theorganization.

Users can change the current interface language to another language.

Users can direct the system to scan for Taleo products. The Scan for products button enables the userto "recall" all of the Web Services if, for example, a configuration on the user's profile has changed. Ascan might also be performed if there was a disruption in access either to Taleo Performance or TaleoRecruiting.

Users can choose to display or hide the Dashboard and Create Feedback buttons in the TaleoNotestoolbar and display or hide the corresponding items on the Taleo submenu of the Lotus Notes mainmenu.

Users can choose to display or hide the Address Book and Create Candidate buttons in theTaleoNotes toolbar and display or hide the corresponding items on the Taleo submenu of the LotusNotes main menu.

If users select the Compose email option, they will be able to create and send an email to someoneafter searching for and selecting the person in the Inbox Address Book.

Users can specify the default language in language fields in the candidate creation process.

Users can specify the default country in country fields in the candidate creation process.

Users can specify whether the system should use Recruiter Title or Manager Title if, during thecandidate creation process, users use Title as the search criterion at the Match Requisitions step.

Users can reset their user name and password if necessary.

Users can specify the address of the Taleo server used by their organization and proxy information (if aproxy is used by the organization).

Users can specify that any of the following windows, once opened, are displayed on top of all otherwindows until they are closed: Dashboard, Address Book, Create Candidate, Create Feedback.

Users can direct Taleo Inbox to open Lotus Notes Mail when it is closed when they click CreateCandidate or Create Feedback in the Taleo Inbox toolbar or sidebar. For example, if the user is usingLotus Notes Calendar and clicks Create Candidate, Taleo Inbox will open Lotus Notes Mail, enablingthe user to select an email message and create the candidate.

Users can specify if you want the application to display Taleo Inbox icons, labels or both.

System administrators have the option of installing a custom configuration file locally once the TaleoInbox for Lotus Notes 8.02 plug-in is installed. They can then place the same configuration file on anetwork drive if they want users to use the defined values of the network configuration file. The networkfile path will need to be added to the local configuration file so it will be read instead of the defaultpath in the local file. The local file will need to have the network path placed for this keyword in theconfiguration file - CENTRALIZED_CONFIGURATION_FILE_PATH=

• Users can use Taleo Inbox in the language of their choice.• The configuration options offer the system administrator and Taleo Inbox users more options with

regard to Taleo Inbox as implemented in their organization.• The system administrator has the option of editing a wide range of Taleo Inbox parameters (proxy

information, for example) in the configuration file that accompanies the Taleo Inbox for Lotus Notes

Proxy

Taleo Inbox for Lotus Notes 8.02 can be configured to work with a proxy used by the organization.

Users can enter proxy information and perform certain actions related to proxies on their workstation:

• run a proxy authentication test• specify that the organization uses a proxy• direct the application to detect the proxy• enter the proxy server name or address and the port• enter the user name and password required to access the proxy server• specify that if Lotus Notes is closed and later reopened, the user will have to provide the proxy user

name and password again before gaining access to Taleo Inbox

This means that if the user has this option selected and Lotus Notes is closed and re-opened, the userwill be prompted to Authenticate the Proxy user name and password again to connect through TaleoInbox.

The system administrator can enter much of the proxy information in the configuration file for TaleoInbox for Lotus Notes 8.02 and then place the file on a network server.

Benefits

• Employees of Taleo clients who use a proxy server can access Taleo Inbox for Lotus Notes 8.02.• Taleo Inbox users do not have to renter the proxy information each time they open Taleo Inbox or

one its features (for example, Create Feedback).

Prerequisite

[Lotus Notes] Mail > Taleo > Options...

Steps

1. To change the language of the Taleo Inbox interface, click the arrowhead next to the Languagefield and select from the list.

2. Run a scan for Taleo Products.

3. To select which Taleo Performance features you want to make available from the Taleo Inboxtoolbar and the Taleo drop-down menu, click Performance Management Options and make yourselections.

4. To select which Taleo Recruiting features you want to make available from the Taleo Inboxtoolbar, the Taleo drop-down menu and while creating email, click Recruiting Options and makeyour selections.

5. To display Taleo Inbox icons or text or both in the Taleo Inbox toolbar, click the correspondingradio button.

6. Click Change Taleo Server Address.

a) Copy and paste the Web address you want to use to connect to the Taleo server.

b) Select the check box next to Use Proxy if you have been instructed to do so and then clickOK.

c) Click Reset user name and password, enter the appropriate values in the correspondingfields and click OK.

7. Click Scan for Products.

a) Select the language you want to application to use.

b) Configure the Performance options.

c) Configure the Recruiting options.

d) Configure Other Settings.

8. Click OK.

Result

Taleo Inbox for Lotus Notes is configured for Lotus Notes and is ready for use.

Dashboard

The Taleo Inbox Dashboard enables you to take action on talent management tasks from within LotusNotes.

Detailed Description

You can perform the following tasks with the Taleo Inbox Dashboard:

Configuration File

The Taleo Inbox for Lotus Notes 8.02 configuration file contains a host of parameters that can bemodified to customize use of Taleo Inbox in the organization.

The configuration file typically accompanies the Taleo Inbox installation file. The file is used whenthe organization wants the same Taleo Inbox configuration parameters to be applied throughout theorganization. After editing the parameters in the file, the system administrator places the file on anetwork drive and specifies in the local file the file path to the file on the network drive. The settings inthe configuration file override the local settings.

Though a brief explanation of most parameters is provided within the configuration file, a few of themare discussed in this section in more detail.

CENTRALIZED_CONFIGURATION_FILE_PATH=

This is the section of the configuration file where the system administrator can specify the path tothe network drive where the edited file is stored. Each time changes are made to the file, users haveto open Lotus Notes again before the changes come into effect. The system administrator typicallyinstalls the Taleo Inbox for Lotus Notes 8.02 installation file and then edits the configuration file andplaces it on a network drive.

A2) PROXY CONFIGURATION

The parameters in this section can be modified to configure Taleo Inbox for Lotus Notes 8.02 for usein your organization. The section contains a larger number of parameters than the proxy options in theTaleo Inbox application.

A3) LANGUAGE

In this section, the system administrator can set the locale and the default language. Danny:What's the difference between LOCALE and DEFAULT_LANGUAGE? I presume thatDEFAULT_LANGUAGE determines the language of the GUI in the application but what doesLOCALE actually do?

Section B: Non-cached key-value items

This section deals with caching. With caching enabled, users can close Lotus Notes and whenthey later reopen the application, their previous session is restored in the sense that they do nothave to enter their login information again and their proxy settings and authorization credentials areunchanged.

MUST_ATHENTICATE_WHEN_USE_PROXY

If this parameter is enabled, the Taleo Inbox application will detect the presence of a proxy server ifone is present and will determine if the proxy name and password have not been provided previously.The application will request users to authenticate themselves. The information entered is displayedafterward in the corresponding fields of the Change Taleo Server Address window (in the Taleo Inboxapplication).

The configuration file offers the possibility of customizing the text and field names as they appearin the proxy information authentication window. The changes won't be reflected, however, in otherlanguages. For example, if German is the language chosen for Inbox, the authentication window willcontain the German text provided by Taleo.

Other parameters in the configure file enable the system administrator to enable or disable otheraspects such as Taleo Recruiting options, Taleo Performance options, Dashboard options, amongothers.

• Taleo clients can implement the same Taleo Inbox configuration parameters throughout theorganization.

• Because the configuration file contains many more parameters than options found in the optionswindows within the application, the system administrator has more control over more aspects of theTaleo Inbox for Lotus Notes 8.02 implementation and operation.

Taleo Sidebar

Taleo Sidebar is a component that plugs into Microsoft Internet Explorer browser (provided Taleosupports the version of Internet Explorer you use). It enables users to capture candidates directly intoTaleo Recruiting without having to quit the active browser window.

Detailed Description

Taleo Sidebar provides users the ability to execute tasks such as:

• copy a candidate's resume to the Taleo Sidebar to create a candidate file• match a candidate to a requisition

Benefits

• Enables users to capture candidates directly while browsing job boards or other online resourcesusing Internet Explorer.

• Enables users to copy and paste a candidate's resume displayed on a Web page into TaleoSidebar.

• Enables users to be productive even when they have not opened a Taleo application.

Taleo Sidebar Installing Taleo Sidebar - Single Installation

Installing Taleo Sidebar - Single Installation

Taleo Sidebar can be installed on computers individually.

Prerequisite

Any previous version of Taleo Sidebar must be removed before installing a newer version.

Internet Explorer must be closed.

Taleo Sidebar can be installed in any directory; during the installation, just select the directory youwant to designate.

If your organization did not implement SSO, you will need to enter your Taleo user name andpassword.

Steps

1. From Salesforce, download the Taleo Sidebar installer file for a single computer and save thefile to the Windows desktop or to a local directory on your computer.

2. Double-click the installer file.

3. Follow the on-screen instructions.

Preparing to Install Taleo Sidebar on Multiple Installations

Taleo Sidebar can be installed on multiple client computers via push technology.

Prerequisite

Any previous version of Taleo Sidebar must be removed from the targeted computers beforeinstalling a newer version.

Internet Explorer must be closed.

Taleo Sidebar can be installed in any directory; during installation, just select the directory you wantto designate. during the installation.

If your organization did not implement SSO, you will need to enter your Taleo user name andpassword.

Steps

1. From Salesforce, download the Taleo Sidebar administrative installer file and save the file to theWindows desktop or to a local directory on your computer.

2. Double-click the installer file.3. On a domain controller, open Active Directory - Users and Computers.4. Right-click an organizational unit that contains the computers on which you want to install Taleo

Inbox.5. Click New.6. Assign a name to the new policy.7. Highlight the new Group Policy Object Link and click Edit.8. In the Group Policy Object Editor window, go to Computer Configuration > Window Settings >

Scripts (Startup/Shutdown) > Startup.9. Right-click Startup, click Properties, click Show Files... in the Startup Properties window.10. Copy the Taleo Sidebar plug-in setup files to the location that appears in the new Windows

Explorer. The location will be similar to: \\domain.local\SysVol\domain.local\Policies\<GUID>\Machine\Scripts\Startup.

11. In this new directory, create a new batch file called Setup.bat.12. Edit the following line and then copy and paste it into the batch file:

• msiexec /italeo.plugins.msoutlooksetup.msi /quiet taleohostname=“http://www.taleo.com“13. Replace “http://www.taleo.com/“ by your Taleo server hostname.14. Click Add... in the dialog from the previous step.15. Click Browse... then choose the Setup.bat files that you copied in the previous step.16. Click OK twice, close the Group Policy Object Editor and click Close for the organizational unit’s

properties.

Result

Your Group Policy is now ready to automatically distribute the client via a Machine Startup script.

Taleo Sidebar is now ready to be installed on workstations.

If a previous version of Taleo Sidebar is installed, you can create an Uninstall.bat file and followthe same procedure to uninstall the old Taleo Inbox version before installing the new one. Use thefollowing command line in the batch file: msiexec / uninstall taleo.plugins.msoutlooksetup.msi /quiet.
