Introducing the Great days at work Survey Tool

Welcome to the Great days at work Survey Tool…

Great days at work survey tool is our brand new, innovative tool will enables you, as a Manager, to quickly gauge how your team(s) are feeling about work. The tool consists of a short, 18 question Commitment survey and gives you access to the valuable survey responses for you to assess the current commitment of your direct reports and your wider team. The tool will provide you with a level of commitment as a comparison against previous surveys taken by your team, as well as the rest of your sector and the wider company.

The purpose of the tool is to give you the ability to understand the commitment levels of your team and to discuss the feedback provided, openly and honestly, to help create more Great days at work.

This user guide has been created to assist you when navigating the reporting section of the Great days at work survey tool.

Taking a Survey

The Great days at work survey tool link is: www.greatdaysatcompass.com

Those who have a survey available to take will vary and the launch date will be communicated to the relevant people via flyers, posters and during team meetings. Once a survey is live, the relevant people should visit the Great days at work website to take the survey. Surveys will be live for a varied amount of time so it’s important that individuals take the survey as soon as they can. Individuals can chose to take the survey anonymously if they wish, however please note, no reporting will be available for this individual.

The tool is most compatible with Personal Computers, Apple and Android mobile devices.

To take a survey, you will need your Employee ID and DOB to hand.

Please note, your date of birth must always be entered in the format of dd/mm/yyyy in order for it to be accepted.

If you do not have a survey available to you, a message will be displayed to advise you of this.

Anonymity in Surveys & Reporting

Before an individual starts a survey, they have the option to complete it anonymously. If they chose this option, this cannot be reversed and their identity is totally protected throughout both the survey and the reporting.

Their name will not be displayed anywhere during the reporting however, any verbatim comments they choose to leave will be displayed.

To protect people's identity, if a member of the team chooses to be anonymous or if less than 20% of the total team have completed the survey, then all survey responses are kept anonymous. This cannot be altered.

How to Log In & Register an Account

To access the reporting tool, including the Organisation Structure, you will need to first register an account. To get started, you will need to have your Employee ID number and password ready. Firstly, click ‘Log in’ as displayed below:

If you haven’t already registered your account, you will need to do so first by clicking the ‘Register’ button:

The details needed to register your account are displayed below:

1. Employee ID2. Date of Birth3. Password4. Confirm Password

Please note, your date of birth must always be entered in the format of dd/mm/yyyy in order for it to be accepted.

Once you have entered your details, make a note of your password for future reference and select ‘Register Account’.

Homepage Navigation

Once you have logged in, you will see the page below. From here, you can navigate to the following areas of the reporting tool:

• Take a Survey: If you have a survey available to you, you can continue on to take thesurvey by clicking the “Take a Survey” button.

• My Personal Responses: View the results and responses you provided in your ownsurveys.

• Reporting: Click through to view the results and responses from both your directreports and wider team. Please note, you will only be able to review the results foryour direct reports and wider team once a survey has closed.

• Organisation Structure: Here you can view your direct reports and full linemanagement reporting struture.

You can also access this information or return to the homepage at any point by selecting the ‘Hamburger’ menu tab in the top left hand corner.

Organisation Structure

You can view and check your team structure at any time by selecting Organisation Structure in the main menu on the homepage. Please see the example below:

By clicking on one of your direct reports, you can see who reports directly into them and so on. This enables you to everyone within your wider team and who they report to.

To make changes to the Organisation Structure you must do the following:

• To make less than 10 changes to the structure, please action this via the self-serve HRPortal.

• To make more than 10 changes to the structure, please contact the HR OrgManagement team at [email protected]. All changes made to yourstructure in the HR Portal will be updated in the reporting tool within 48hrs.

Viewing Participation from an Active Survey

The responses and main reports are not available until a survey has closed, however, whilst a survey is live, you can have an accurate view on who has completed it, so far.

To do this, first select the ‘Reporting’ button on the homepage. This will populate the previous survey reports, and also will display the ‘Active’ survey. Click on the ‘Active’ survey, shown below.

This will present the page below which shows current participation at direct report level. A red cross indicates that the individual has not yet taken the survey and a green tick indicates that they have completed it already. This information is presented in real time.

To view the participation of individual teams within your wider reporting structure, you can click on the name of the manager, highlighted below in blue.

This will generate a second participation report for that team alone and this is drillable down to all levels of your hierarchy.

Viewing Survey Responses from a Closed Survey

All responses from previous, closed surveys will be available to you in a consolidated report. One report will show the responses given by your direct reports (i.e. those who report directly into you) and a separate report will show those from your wider team (i.e. your direct reports and their own teams), if applicable to your role.

Assuming a survey has closed, you’ll be able to view your existing reports by selecting the “Reporting” button from the homepage, shown below.

Next, choose the closed survey you wish to view an existing report for. The screen below shows the previous reports which are available for this example user.

Viewing Survey Reports for Direct Reports and Your Wider Team

On this summary page, as a Manager, you can view the participation and survey scores for your “Direct Reports” which is everyone who reports directly into you and “Team Reports” which includes everyone within your reporting structure. For example, a Regional Manager’s Team Report would include their direct reports and everyone within their region /area.

Should your direct reports also have line managers within their team, you can click on the manager link below their name to expand the page and view the results of individual teams within your hierarchy. This page cascades down through each level of management. Please see below:

Detailed Survey Reporting

To view the detailed survey responses of your own direct reports or wider team, you will need to select either ‘Direct Reports’ or “Team Reports” from the screen above. This will populate the page below. At the top, you can see how many of your Direct Reports / Wider Team responded and a summary as follows:

o The completion figure shows you how many of your direct reports have completedthe survey

o The participation figure shows your completion as a %o The score figure shows your team's overall commitment survey score as a %.

The arrow in the screen below highlights where you can compare the current Completion, Participation and Score against that of your previous survey.

By selecting the ‘Show More’/ ‘Show Less’ link, circled below, you can also compare your own participation scores with that of your sector(s) and wider company.

By selecting the ‘Show Details’ link, also circled above, you are able to compare the previous sector and company results vs. your current survey statistics. The questions and average scores will show and for ease, a traffic light system is in place to help you interpret the comparisons at a glance.

• Green = your team have scored higher than the comparison score• Grey = your team have scored the same as the comparison score• Red = your team have scored lower than the comparison score

Finally, you are also able to download the detailed report to a PDF and print.

How are the scores calculated? Individual survey scores are calculated using the twelve questions which have a one to five score range (Q6-Q17.) The maximum score is therefore 60 (100%) and the minimum score is 12 (20%).

Example: Survey score out of a max. of 60 48 Percentage (48/60 x 100) 80%

As a Manager, your overall survey scores is an average of your total team’s score divided by the total number of people within the team at the time of the survey taking place.

Example: Survey’s Completed 8 Total score for all completed survey’s 264 Average score (264/8) 33 Percentage Score (33/60 x 100) 55%

Participation percentage – is calculated by taking the number of completed surveys in your team and dividing by the total count of people in your team.

Example: Total Count of Team Member’s 25 Count of Completed Survey’s 15 Percentage completion (15/25 x 100) 60%

Viewing who has taken the Survey

To view who has taken the survey, you can expand the dropdown, by clicking the ‘Summary’ button. This will show everyone who has completed the survey and who has chosen to give their name.

You can view their personal scores by clicking on their name in the list, shown in the picture below:

Viewing Verbatim Comments

To provide as much insight as possible, you can view verbatim comments left by your Direct Reports. In order to see the verbatim comments for other teams in your area you must drill into the reports of your Manager. However, if the individual has selected to remain anonymous, you will not be able to see their name.

Survey ‘Hints & Tips’ and Accessing Further Learning Resources

The biggest area for improvement i.e. the question which received the lowest score, will provide you with a “Hint” for possible action you could take to resolve / improve the score.

A ‘Hint’ will also be available if…

• An individual answered “no” to Q1 to Q4• The total score is lower than the company average

To view your ‘Hint’ press the ‘Show Hints’ button, and it will appear underneath the question which it relates to.

Within the hints is a link to the Great Days at work learning resources which is hosted in your Learning Portal and accessed via Connect. Click the link, enter your connect password, click on 'My Learning' and select the relevant module for some great insights and ideas for making improvements with your team in this area.
