Teasdle (LYON), Amy Rosen (WHLK), Ed Rutkowski (BRIT), Anne Hage (HTWD)

Members Absent: Toni LaPorte (LVCC)

Others Present: None

Guests: Anne Neville (TLN), Angie Michelini (TLN), Jim Pletz (TLN), Celia Morse (TLN), Rita VanBrandeghen (TLN Board)

McCann called for additions to the agenda. Motion to approve agenda by Smith, seconded by Braden. Agenda

approved (Yes 8, No 0, Absent 1)

McCann called for approval of the November 5, 2015 minutes. Motion to approve minutes as presented by Rutkowski,

seconded by Teasdle. Minutes approved (Yes 8, No 0, Absent 1)

Reports

Budget: First month in fiscal year. Mileage and travel is high due to lots of mileage and flight to Boston. Supplies a little

high but includes costs for technology forum. Contractual services include software expenses and costs related to

technology forum. Contingency cost is TLN ILS consultant.

TLN Board Meeting: McCann attended last TLN board meeting. McCann provided updates to them about Ex Comm’s

activities. Plymouth board member inquired about circulation statistics for his library and libraries of comparable size.

Also updated about EnvisionWare and Comprise.

Symphony Update: Neville reported a Symphony upgrade service pack has been received and an update is on the

horizon. Some fonts will be adjustable.

Technology Services Update: Michelini reported AT&T equipment removal now scheduled by end of January 2016.

Rochester Hills is now on WAN. Grosse Pointe three branches are going on soon. Regarding PC management, AAM

module for EnvisionWare pilot project has been installed. November 6 SAM meeting decided to upgrade SAM. January

22 meeting of SAM at Romulus for SAM version 10. Remaining SAM libraries will be upgrading to version 10 in February

or March. TLN will be moving to VOiP in mid-December. Contractor for project is AT&T and Ring Central.

Unfinished Business

Update on Catalog Enhancements: Neville reported that phone lines used for hold notices and phone renewal not

moving to VOiP. John announced upgrade to Sirsi scheduled for December 15 to resolve issues with PayPal payments

and results sorting. MeLCat NCIP discussion is ongoing. Neville presented four options moving forward with the project.

The committee discussed various elements of MeL and its use. Lending and sharing preferences within the cooperative

and with MeL should be discussed by SAS libraries again to gauge current opinions. Neville and McCann will lead the

discussion at the SASUG meeting. Odilo is still in beta testing for Odilo content in the catalog.

Update on Hartland-Cromaine SAS – Hartland-Cromaine is now live. Launch went fairly well. Kudos to the TLN team for

making it a smooth transition. It will take three months to move Hartland-Cromaine onto TLN’s DCB server for MeL.

Braden asked about Enterprise fact sheet from TLN. Neville reported it is in process.

Contract extension for Celia Morse – Pletz cited Morse’s work as a major help with the Hartland-Cromaine project.

Proposal is for additional work from Morse for seven months between January and July 2016. McCann suggested

looking at other cooperatives or library systems who have transitioned to a new ILS to learn about their experience.

Smith felt a survey of patrons would not be helpful. Smith wondered about elements of outreach and liaison for

contract work. 320 hours maximum under new contract. Morse has been 20 to 30 hours under each contract previous.

Motion to accept Pletz’ recommendation to extend Morse’s contract for January to July 2016 not to exceed 320 hours

by Braden, seconded by Rosen. Contract approved (Yes 8, No 0, Absent 1)

New Business

Report on library visits by Celia Morse – Morse distributed report on library visits to Ex Comm prior to meeting and

discussed her findings with the group. Four regional meetings in May and June may be helpful to get greater feedback

and participation from TLN SAS libraries.

Other Items from Committee Members

Braden inquired about agenda items for the SASUG meeting. She’s leaning toward cancelling at this point.

Teasdle motioned to adjourn meeting at 3:13 PM. Seconded by Rutkowski. Meeting adjourned (Yes 8, No 0, Absent 1).

Respectfully submitted,

Matt Church
