IntroductionAt Trinity College Gawler Out of School Hours Care (OSHC) we provide our children with a safe and nurturing care environment that fosters a sense of belonging for all. The foundation of our service is built upon the positive, trusting relationships that we build with our children and their families. These relationships support our children to feel empowered, included and valued which allows them to thrive as confident and involved learners.

Trinity College Gawler OSHC operates from the Trinity College OSHC Building, located next door to the Montessori Pre-School on the North Campus on Alexander Avenue, Evanston South.

Our Mission

At Trinity College Gawler OSHC our goal is to provide inclusive and child-centred care that allows children to develop skills and independence through quality programming and positive child-educator relationships. We aim to offer our children recretional experiences that provide for their social, physical, emotional and intellectual development, whilst also drawing upon the interests of individual children to create a child based programme. We encourage a collaborative culture that creates a strong sense of belonging within Trinity and the wider community. At Trinity College Gawler OSHC we support, train and educate our staff to certify their skills and ensure that their knowledge is constantly developing, ensuring safe and inclusive practices for all of the children within our care.

We believe in a child-centered approach whereby our educational program reflects the ideas, needs, wants and interests of the children. CancellationsEach child can claim up to 42 absents days in a financial year where the Child Care Subsidy (CCS) will apply.

Parents must notify the service of their child’s inability to attend as soon as possible. A minimum of days’ notice is necessary to avoid fees being charged unless non-attendance is due to illness (a medical certificate is required), or extenuating circumstances which will be assessed at the discretion of the Director.

Full Fee will be charged to any families that do not notify the service that your child (ren) will not be requiring their booked session.

The management of Children’s behaviour is essential to the provision of a safe, stimulating, relaxed learning environment. Behaviour management is essential for:• The safety and security of children and Educators• Respect for the rights and feelings of the children and staff• The successful implementation of the program• Facilitating the development of children’s self-management

In Out of School Hours Care we strive to:• Reinforce positive behaviour• Be consistent• Have clearly established expectations• For the OSHC Responsibilities to be clearly known and understood by children, parents and educators, with ongoing discussion

and review• Have parental support for our strategies• Play co-operatively together by: - sharing - being friendly - looking after each other• Which means no: - going out of bounds/leaving without permission - fighting/play fighting - hitting, kicking, spitting or pushing - swearing, teasing, threatening or harassing

We care about our program and therefore we:• Keep our grounds tidy• Clean up after activities• Be co-operative and obey reasonable request by leaders or adults

Failure to follow these procedures will result in the implementation of the following strategies:Warning 1: Asking the child/ren to stop what they are doing and listen to the educator talking to them Warning 2: Apply 1st warning and identify inappropriate behaviour by asking the child/ ren one of the following responsibilities - We want you to be safe. - We want others to be safe. - We want our things to be safe. - We want other people’s things to be safe.Warning 3: Apply 2nd warning and re enforcing the responsibilities Warning 4: Offer reflection and feelings scale if required sensory toysWarning 5: Educators and child agree to appropriate actionWarning 6: During school term Educators will notify the child’s teacher/yard duty teacher and parents about the incidents, this is done to ensure that everyone is aware and the child can be supported if needed during their school dayWarning 7: If behaviour continues, parent is notified of behaviour, child is removed from the OSHC service for that day.

AGGRESSIVE BEHAVIOUR & INAPPROPRIATE SOCIAL/ EMOTIONAL BEHAVIOURThe OSHC service has a zero tolerance to aggressive behaviour & Social Emotional Behaviour. Aggressive/ inappropriate social behaviour is defined as:• Physical violence to Children or Educators• Throwing items to cause injury• Excessive threatening/bullying to Children or Educators • Excessive abusive language to Children or Educators• Verbally sexual discussions• Inappropriate touch – physical gestures • Social inappropriate discussions between Children or Educators

If any of the above behaviours are used in the OSHC Service the following procedures will be implemented:Step 1: The child is removed from the OSHC Service for the remainder of the day and is suspended for the next day care is required.

IF THE BEHAVIOUR CONTINUESStep 2: The child is suspended from the OSHC Service for a period of time determined by the Director.

AIM To ensure that all children signed in have been collected/dropped off, ensuring the safety and wellbeing of the children at all times and that no child is unaccountable for at any time.

RELEVANT DEFINITION Authorised Person: a person whom has been given authorisation to collect a child from the Service by the Parent/Caregiver.

PROCEDURE - BEFORE SCHOOL CARE Session starting time: 6:30amSession finish time: 8:30am

6:30am • The service is opened, unlocking the doors and toilets• iPads are put on ready for children to be signed in• Breakfast bar and craft setups are finalised7:00am• The games room is opened. Throughout the morning Children are encouraged and reminded to eat breakfast before

playing (hands are to be washed before eating breakfast).7:30am• Weather permitting, outside is opened up to provide students with an environment for them to stretch their legs.7:45am • An educator will go around and ask if everyone has had breakfast to ensure all children have eaten.8:00am• Children are given a 5 minute warning that it is nearly pack up time and breakfast is packed away.• Children are asked to go brush their teeth if they haven’t already.8:05am • Children are asked to pack up and come sit down for group time. The children are notified that it is time to pack up by

either the bell or a chosen ‘pack up song’8:15am• The Niina Marni Song is sung and an acknowledgement to country is done by the children, they are then told any relevant

information before they are dismissed one by one by the group time educator.• South line up by the lockers, North line up by the back gate and the Montessori children grab their bags and then come

line-up inside by the office.• Once headcounts have been done and educators have communicated with one another, the children are then walked to

their respective schools.• The receptions are walked to their classrooms and are helped with their daily tasks before school.

SOUTH• South children are escorted over in the mornings by 2-3 educators, a head count is done before leaving and at the library to

ensure numbers are correct.• Children are then dismissed when the group gets to the South Canteen with the exception of the Early Years students who

are walked to their classroom and helped with any daily tasks by an educator.• The Early Years lists for the BSC and ASC sessions that day are also handed to the three Early Years teachers.• Any children who also need extra assistance in the morning (i.e. help carrying things, daily tasks, settling etc) are helped by

one of the educators as well.

NORTH• The North children are escorted out the back gate of OSHC and dismissed once they get to the playground with the excep-

tion of the Early Years children who are walked to their classroom and helped with their daily tasks.• Any children who also need extra assistance in the morning (i.e. help carrying things, daily tasks, settling etc) are helped by

one of the educators as well. MONTESSORI• Montessori children are walked over via the gate between Montessori and OSHC. The Montessori list for that day is handed

to a Montessori educator and the children are helped with getting their things organised and then taken into their respec-tive classrooms.

8:45am• Educators come back to the service and do dishes, wash down tables, sanitize and clean up any leftover toys and

environments.

PARENT DROP OFF Upon arrival at the Service the parent/caregiver will sign their child/ren in on the iPad or sign-in sheet stating the time of arrival and providing a signature. An educator will prepare the Early Years attendance sheets for the Early Years teacher, a second educator will then cross check the lists prior to leaving for South. The educators who are going to South will place the sheets inside the classroom.

AFTER SCHOOL CARE Session starting time: 3:15pm Session finish time: 6:30pm

Sign-in sheets and the Early Years Lists will be prepared for the North teachers by an educator at 2:30pm every day. A second Educator will then cross check the prepared sign-in sheets and Early Years Lists. Two or three educators will remain at the service during collec-tion time to greet children, help with sunscreen and facilitate group time.

SOUTH• An Educator will wait at the meeting point with another Educator (the metal tables and benches in the courtyard near the South

Canteen) with the Sign-in sheet, whilst one Educators will walk to the South Early Years Classrooms to collect the Early Years chil-dren and escort them back to the meeting point. Making sure that the group has the south backpack and at least 3 walkie talkies.

• Children in Years 1 and above will walk to the meeting point and inform the Educator that they are here, the Educator will sign the child in at the time of arrival.

• The first 10 students to arrive at the meeting point and be signed off will then be escorted by an Educator back to OSHC. Once all the remaining children are signed in the Educators and children will line up and a head count will be performed.

• Children are to all walk together with an Educator, at the designated meeting points the educator will stop and perform a head count near the Library/Chapel and as the children enter the shed gate at the service.

• Once the children have walked back to the service and have been greeted by an educator wearing a pink vest. They then place their bags in the bag racks, put on sunscreen if the UV is 3 or above, then head into the games room for group time where they will be signed in on an iPad by an educator.

• Once Group Time has been completed an educator will send the children outside to receive their snack and play outside until homework is finished.

NORTH• A qualified educator will be waiting on the lawn out the front of the North Office in a pink high visibility vest ready to greet and

sign in the North Children as they head up to OSHC. Students who are Year 1 and above walk from their class and get signed in by the sign in educator, once signed in they then head up to OSHC where they are greeted by an educator at the gate.

• The Early Years students are picked up by 1-2 educators depending on numbers. Upon collection they are given a yellow high visibility vest to wear as they are escorted first to the sign in educator and then once ALL EARLY CHILDREN are signed in, they are then walked up to OSHC by the educator/s.

• Once the North children get to OSHC, they put their bags in a locker, if the UV is above 3 they also put on sunscreen, wash their hands and then head inside for group time where they will get signed in by an educator.

COLLECTION FROM THE SERVICEEducators should be aware of adults entering the Service and should make every effort to be able to recognise the Parent/Authorised Person. If there is any doubt the Educator should:• Seek clarification from the NS • The NS will check the child/rens Enrolment Form and perform an ID check• If there is a discrepancy with the Enrolment Form and ID the NS will contact the parents

It is expected that if the Parent/Caregiver cannot collect their child they will notify the Service and inform who will be collecting their child so it can be documented by the Supervisor on the IPad or sign-in sheet.

The Parent/Authorised Person collecting the child must sign the child/ren out by stating the time the child/ren were collected and initialling in the appropriate boxes.

PURPOSETo ensure that all information is restricted to those who need the information to fulfil their responsibilities at the Service or have a legal right to know..

RELEVANT DEFINITIONConfidentiality: Is an agreed set of regulations or affirmation that restricts access or places boundaries on certain types of information.

POLICY IMPLEMENTATIONThe Privacy Act 1988 (SA) ensures that all personal information is protected. It also regulates how personal information is handled and that information will only be collected that relates directly to the service and in line with relevant legislation.

All Educators are provided with written guidelines detailing what information needs to be kept confidential and by whom. This includes knowing:• Who has a legal right to obtain particular information• Conversations that Educators have with parents or the Director will be away from others and in a formal environment i.e.

the office.• Personal information is stored securely in locked filing cabinets.• Information about Educators will be accessed only by the Director, the Educator or an authorised person.• All matters discussed at meetings must be kept confidential.• Educators are not to share personal information about other Educators either within, or outside the Service.• Tertiary students, work experience students and volunteers will not discuss or use family names of Educators, children or

families from the Service including oral, recorded, photographic or tutorial information.

The following records for each child are confidential and will be kept in a secure and accessible place:• Personal details (name, address, date of birth).• Relevant medical details (if any).• Relevant custody details (if any).• Details of people authorised to collect children from the Service.• Permission for a child to leave the service unaccompanied (if applicable).• Forms for signing children in and out at the beginning and/or end of day.• Name, home and work address and phone numbers of parents/approved persons.• Name, address and phone numbers of people who may be contacted in an emergency.• Name, address and phone number of the child’s Doctor.• Authorisation to seek emergency medical, hospital and ambulance services (or the chosen alternatives of the parents/ap-

proved person).• Any special needs or considerations relating to the medical needs/emotional needs.• Authorisations to administer medication, and details of medications administered.• Written authorisations to take children outside the service e.g. excursions.• Race or Ethnic background or any information about the persons past history.

AIMTo ensure that our children are provided with appropriate, safe and monitored opportunities to engage with Technology and IT based learning whilst at the service.

POLICY IMPLEMENTATION • Evaluate the current use of technology at the service to ensure it is in line with the values, beliefs and practices currently in

place at Trinity College. • Communicate the revised policy and expectations to children and families about the use of Technology at OSHC to ensure

a common understanding. • Communicate policy changes to all staff members to ensure consistency across the service.

PERSONAL DEVICESTrinity College Gawler Out of School Hours Care (OSHC) does not permit children to use any personal device whilst in attend-ance. This includes but is not limited to: mobile phones, tablets/iPads, laptops, cameras and/or any other video recording device. If a child is required to have their mobile device whilst at the service, the device must be immediately brought to an educator and placed in the office for the entirety of their booked session. If any child or parent wishes to communicate with each other via telephone or text messaging, the service has access to a landline and a mobile device which can be made available upon request. Any child found to have a personal device that has not been signed into the office will immediately have their device confiscated and handed to their parent/caregiver upon collection.

GUIDELINES FOR ACCEPTED TECHNOLOGY USEAGETrinity College Gawler OSHC has access to a variety of technology and IT devices which contribute to our educational program and leisure time in important ways. These devices include, but are not limited to: laptops, iPads, televisions, gaming consoles (i.e. Playstation & Nintendo) speakers/sound systems, and the computer suite at the North School. Our service strongly believes that technology time should be limited and closely monitored to ensure that it is used fairly and safely among all children within our care.

During the Before School Care session, technology time is strictly prohibited. Children will not be permitted access to any technological device during this time. During the After School Care session, children have the opportunity to use laptop devices to complete assigned homework that has been pre-written into their diaries. Homework time permits the use of word process-ing programs, such as Microsoft Word or Powerpoint, and strictly monitored internet usage when deemed appropriate. Online programs such as Manga High, Cool Maths Games, Prodigy & Lexia are recognised by the service as extra-curricular learning aids rather than assigned homework, and therefore they are not considered appropriate Homework Time activities. Children will be permitted up to 15 minutes of supervised Homework Time using the laptop, as deemed appropriate by the educator present. During the late afternoon the service may decide to screen a movie or an episode on the television. The content of the programs available at the service have been deemed appropriate for all children and will not contain any inappropriate content such as inappropriate language, physical violence or sexual references. These activities are limited to G ratings, but in some cases PG rated programs will be available once individually assessed by the Co-Ordinator, Director, Assistant Director or Supervisor. During our Vacation Care program we aim to provide opportunities for children to engage with technology in ways that fairly cater for all children. Any approved technology use will appear on the Vacation Care Program, and may include activities such as: watching movies on site or at the lecture theatre, a trip to the North School’s Computer Suite and/or access to gaming con-soles such as Nintendo & Playstation. During Vacation Care children will not be permitted to use any laptops, computers or iPads that belong to the service unless permitted by the Director, Assistant Director and/or Supervisor. Gawler OSHC maintains its stance that personal devices are not to be used at OSHC, including in Vacation Care, as previously outlined in this document.

PURPOSE• To provide children with the opportunity to explore and investigate the world and community which they live in.• To ensure children’s safety when participating in excursions, invited special guest/s or outings.

RELEVANT DEFINITIONS• Excursion: When children are taken outside of the Trinity College Gawler Campus grounds.• Invited special guest/s: When an activity is undertaken within the Trinity College Gawler Campus grounds; facilitated by a hired

third party, under supervision of the educators within the service.• Outing: This is facilitated within the Trinity College Gawler Campus grounds; i.e. going to the playground, ovals, the big shed or

lecture theatre. For all excursions, invited special guest/s and outings, parents sign consent for their child/ren to participate in these activities when they enrol their child. More specifically on invited special guest/s and excursion days a separate consent form will be utilised in accordance with the National Quality Standards, providing parent contact details and signed consent for that particular day.

• Risk Assessment: A document that states the potential risks that may be involved with an activity and includes steps to minimise the chances of the risks occurring.

PROCEDURE• Risk assessment must be conducted and made available when the Vacation Care / Pupil Free Day packs are released to parents/

caregivers. Risk assessments will be available within the centre at least 5 working days prior to the excursion/ invited special guest/s commencing.

• Risk assessments for outings will be completed and reviewed annually.• Children are placed into small groups and assigned to an educator/s to ensure child to educator ratios are met. A wrist band with

our service mobile number is placed on each child. For all excursions children are required to wear a RED t-shirt (School PE shirt is encouraged). If children do NOT have a red t-shirt they will be provided with a high visibility vest to wear. (Program will display when the RED t-shirt is required to be worn)

• At any point when children are present there will be a minimum of 1 educator to 10 children, except when water is present, then the ratio becomes 1:5.

• The Vacation Care Packs will outline when invited special guest/s and excursions will occur. Within these packs, details of the excursions and invited special guest/s will be clearly written including; date, times of arrival and return, location, transport method along with links to the National Quality Standards.

• For excursions or invited special guest/s, consent forms will be located at the sign in table for the families to sign and write down their contact details on.

• Children are required to be dropped off at the Service prior to the departure time; or the excursion/ invited special guest/s will commence without them.

• Educators must perform regular headcounts of children at the commencement, during and end of the excursion/ invited special guest/s /outing.

• The Nominated Supervisor must ensure the following are taken on an excursion, invited special guest/s (that leaves the service) or outing;

- the number of children present and the roll call - a mobile phone and emergency contacts for each child and educator present - an adequately stocked first aid kit, children’s medications and relevant current action plans/medical notes - the iPads have an alarm set “to take Montessori children to Montessori” at 8:30am each morning

WHO IS AFFECTED BY THIS POLICY?• Children• Families• Management• Educators

AIMWe believe that it is a shared responsibility between families, children and Educators to ensure that all children are protected from overexposure to UV radiation. In line with DECD and Cancer Council SA guidelines, and our services SunSmart status, chil-dren and Educators will use a combination of sun protection measures at the following times:

• Before School Care: Sun protection is not required, as the UV is rarely above 3 at this time.• After School Care: During Terms 1 and 4 and whenever the UV is above 3.• Vacation Care: For all outdoor activities during Terms 1, 3 and 4 (1st August to 30th April), and at any other time when the

UV is above 3.

Educators will check the daily local sun protection times via the SunSmart app, www.myuv.com.au or www.bom.gov.au to assist with implementing this policy. We aim to deliver outdoor environments that provide children and Educators with adequate shade at all times.

A balance of ultraviolet (UV) radiation exposure is important for individuals health. Too much of the sun’s UV radiation can cause sunburn, eye damage and skin cancer. Sun exposure during childhood and adolescence is a major factor in determining future skin cancer risk.

Too little UV radiation from the sun can lead to low vitamin D levels. Vitamin D is essential for healthy bones, muscles and gen-eral health. Sensible sun protection when the UV is 3 and above does not put people at risk of Vitamin D deficiency.We also aim to ensure that families and Educators are informed of, and have the opportunity to have input in to the Service’s Sun Smart policy.

POLICY IMPLEMENTATIONWe have outlined the protocol for ensuring the correct balance of UV exposure at our OSHC Service below;

CLOTHING, HATS AND SUNGLASSES• All children are required to wear tops that cover their neck and shoulders whilst at the Trinity OSHC Service. No spaghetti

straps, tank tops, etc. • For ultimate sun protection, we recommend that children wear loose fitting, long sleeve shirts with collars, paired with knee

length or longer style shorts, dresses or skirts. • All Children and Educators are required to bring a sun protective hat to the Trinity OSHC Service each day that protects their

face, neck and ears, such as a wide brimmed, legionnaire or bucket hat with a brim of at least 5 centimetres. Baseball or peaked caps are not considered a suitable alternative.

• All Children and Educators are required to wear these hats whilst outside when the UV rating is 3 or above.• If a child does not bring an appropriate hat to the Trinity OSHC Service, children will be given a hat from our Trinity OSHC

service for the child to use, and a charge will be made to your account. Families will be informed of the supply of the hat and charge upon pick up of the child.

• Educators are encouraged to wear close fitting sunglasses that meet the Australian Standard 1067(Sunglasses: Category 2,3, and 4) and cover as much of the eye area as possible.

• During Vacation Care, while attending any excursion or incursion which includes water play or swimming, such as inflatable waterslides, ‘slip & slides’, indoor/outdoor pools, etc. All Children are required to wear a rash vest (long sleeved is preferred) and it is recommended they wear board shorts. Children who are not wearing the appropriate Sun Smart swimwear will be excluded from the activity.

If there is any uncertainty of what clothing and hats are appropriate for our Trinity OSHC Service, please feel free to discuss this with one of our Educators.

SUNSCREEN• Sunscreen which is broad spectrum and water resistant with a minimum SPF of 30 or higher is always available for use at

our Service. • We will ensure sunscreen is applied at least 20 minutes before going outdoors and re-applied every two hours throughout

the day, when the UV rating is 3 or above and children are spending time outside.

• Sensitive sunscreen which is also broad spectrum and water resistant, with a minimum SPF of 30 or higher is encouraged to be provided by families that have informed us of an allergy or sensitivity to regular sunscreen.

• Children will be supervised while applying sunscreen, and we can offer assistance to children who are having difficulties if required.

SHADE• Children have constant access to a large shaded area for outdoor play while at the OSHC Service.• Children have access to other shaded areas for outdoor play which include around the OSHC Service and the school on dif-

ferent occasions.• The availability of shade is considered when planning excursions, and all other outdoor activities.• Children are encouraged to use the shaded areas for their play, when the UV rating is 3 or above.• Portable shades are available for additional shade whenever necessary.

INFORMATION AND EDUCATION• Any changes and updates of the Sun Smart Policy at our OSHC Service will be announced through Kidsxap, and updated

versions of our enrolment packs, as well as being displayed within our OSHC Service.• Information about sun protection and UV, will also be incorporated in to our OSHC Service, such as posters, displays, in

group times and additionally, role-modelling a correct attitude towards Sun Safety.
