Overview

The Profile User permission is used in Concur Travel for two purposes. First, in a setup using only Concur Travel, or Concur Travel integrated with Concur Expense, or Concur Travel integrated with Concur Request and a Book then Approve workflow, it allows customers to assign this permission to users that should not have access to the Travel Wizard to book travel (yet), but should already have access to all Travel-related fields in their user profile to fill in (for example, preferences on seats and meals, frequent traveler numbers, etc.).

Also, this permission can be used with a setup where Concur Travel is integrated with Concur Request and an Approve then Book workflow. It can be used in this context to restrict user access to the Travel Wizard to book travel prior to receiving Request approval, while still enabling travel booking from an approved request.

To make a clear distinction between these two use cases, SAP Concur solutions plans to introduce a new Approve then Book permission user that will enable travel booking from an approved request.

In the future, users with only the Profile User permission will be unable to book travel from an approved request. No other changes to this permission are planned. The Profile User will still have access to all Travel-related fields in their Concur Travel user profile as before.

SAP Concur solutions plans to assign the new Approve then Book permission to all existing users with Request User and Profile User permissions but without the Travel Wizard User permission so that the planned code changes will have no impact on existing customers in a scenario with integrated Travel and Request and an Approve then Book workflow. Any user assigned to an Approve then Book workflow that has the Travel Wizard User permission assigned is not affected by this change, as this permission allows one to book travel from an approved request; the additional Approve then Book permission user is not required.

USER/CUSTOMER BENEFIT

This change provides a clearer separation between users who are not able to book travel under any circumstance (the Profile User permission) from users who are only allowed to book travel from an approved request (the Approve then Book permission).

What the User Sees

No visible changes will display in the web application. Admin users with respective permissions will see the new Approve then Book permission on the User Permissions admin page.

Configuration for Professional Travel

SAP Concur solutions plans to bulk update all existing users in a setup with Concur Travel integrated with Concur Request and an Approve then Book workflow that have the Request User and Profile User permissions but not the Travel Wizard User permission, so that existing customers will not be affected by this change.

To assign the new Approve then Book permission

1. Go to Company > Company Admin > User Permissions.

2. Under Modify Permissions by, choose the applicable option (Users, Groups, Rule Classes).

3. Find the Approve then Book permission from the Available Permissions list.

4. Click the permission name and then click Add.

5. Click Save.

Configuration for Standard Travel

There are no configuration steps. Concur Standard Edition users will have the Travel Wizard User permission assigned by default, so they are not affected. The Profile User and the new Approve then Book permissions will also not be available for Concur Standard.

Overview

SAP Concur solutions has changed the behavior of the Password field, located in the XML Sync Authorization page. XML Sync Authorization is used by TMCs with the Profile Sync Administrator permission to configure XML synchronization for their individual customer sites.

Previously, when viewing this page, the existing password would be displayed to the user as asterisks “****”. With this update, the password does not display. When a new password is entered, it overwrites the external profile management system password to access Concur Travel with the new password.

NOTE:For first-time configurations, a password is still required and is displayed as asterisks.

Overview

Because of the COVID-19 pandemic, Southwest Airlines has extended the validity of unused ticket credits multiple times. SAP follows these changes and ensures that travelers do not lose their ticket credits. Due to system limitations, these updates in Concur Travel will happen in multiple iterations and, in certain cases, the expiry date in Concur Travel may not reflect to what was communicated by Southwest Airlines. The effected ticket credits, however, will not expire and will be available to use until the extended expiry date.

The latest expiry date update occurred on June 5, 2020; all entries created before this date have the expiry date set to September 7, 2022. Manual unused ticket credit entries created after June 5, 2020 will not be updated before September 2020. Please make sure that the expiry date of any new entries is in accordance with the latest official communication of Southwest Airlines.

The next unused ticket credit update is scheduled for September 2020. Airline policy updates may cause this date to change.

Overview

As part of our ongoing commitment to e-receipts and the effortless expense report, air e-receipts generated by SAP Concur solutions, based on ticket and coupon data from GDS and some TripLink transactions, has a new look.

The new e-receipt format is being released in stages throughout June/July 2020.

For more information, refer to the E-Receipts Travel Service Guide. To locate, refer to Additional Release Notes and Other Technical Documentation in these release notes.

USER/CUSTOMER BENEFIT

This change brings air e-receipts up to SAP Concur’s standard e-receipt format, providing users with a more consistent experience in SAP Concur products. This change also eliminates a performance issue for end users who would sometimes experience a delay in new air e-receipts delivery.

Overview

When Travelfusion Direct Connect was made available to SAP Concur solutions customers, the flights offered through this channel were mostly non-refundable. When booking any Travelfusion flight in Concur Travel, users were informed during the booking flow that their booking was non-refundable. More traditional airlines have been offered through Travelfusion and, with the evolution of the airline industry and the introduction of the NDC standard, more refundable fares have become available for booking through Travelfusion. The message shown to customers that any booked flight was non-refundable is no longer accurate.

The information on whether a fare is refundable is available in the fare rules and restrictions link. As this information was not available in a structured way for all available flights, Concur Travel did not have a consistent way of messaging whether or not the flight was refundable.

To provide a more accurate messaging to users, in this release SAP Concur solutions will inform users that they can obtain more detailed information on refundability by reviewing fare rules and restrictions.

Previously, when users clicked the Shop by Fares > View Fares button for any Travelfusion flight, a Fare Details link and the message Ticket is Non-Refundable was displayed. With these changes, this information has been removed.

Overview

With this update, Vendor Partners are now considered a single Custom Hotel Sourcing provider that can manage all hotel content in the Concur Travel online booking tool for a given Concur Travel configuration.

USER/CUSTOMER BENEFIT

Customers will have access to curated content with hotel rate discounts from many sources, including vendors, third party aggregators, and GDSs.

Travelers will be able to shop and book hotel inventory and access supplemental services, such as virtual payments.

Some Custom Hotel Sourcing providers may be able to aggregate multiple content sources in ways not yet possible in Concur Travel, where aggregation is limited to one GDS and one Direct Connect per company and/or country.

Some Custom Hotel Sourcing providers, by managing all hotel content, are better able to provide value-added services like reporting, rate discounting, and payment method program integration.

The Custom Hotel Sourcing provider is able to manage all hotel content in an enhanced experience that includes:

NOTE:The Secondary Rate Details call is used to retrieve Cancellation Penalties information. Custom Hotel Sourcing providers who are serving GDS rates, needs to have access to the Cancellation Penalties when the user views the policy details. To avoid making numerous calls to the GDS, the Cancellation Penalties and Meals Included have been made optional through the API.

What the User Sees

Hotel search results aggregated by the Custom Hotel Source provider from various sources is presented in a customized sort order, specified by the provider.

When the user selects a hotel property, they will see the various rates and details available for that hotel, indicating the rate source. Depending on the connector configuration, rate attribution can be disabled or displayed in different ways.

Configuration for Professional Travel Only

Not all content providers who connect to the Concur Hotel Service are eligible to be Custom Hotel Sourcing providers. Content providers wishing to establish Custom Hotel Sourcing in Concur Travel must contact SAP Concur Business Development to establish a contract agreement and authorization.

Once an agreement is in place, follow these steps for initial setup: Establish contact with the partner engagement team. Provide a new connector name to be used in Concur Travel Configuration. Provide a service endpoint URL for new Hotel Connector. Validate that the service endpoint is able to support appropriate requests and

responses.

As of June 2, 2020, when user data is removed in accordance with a data retention policy, the country code associated with removed users is obfuscated by setting the country code to XX (Inactive).

Previously, the country code for removed users was set to US by default.

SAP Concur solutions will soon begin the deprecation process of removing Hash-Based Message Authentication Code (HMAC) as an SSO option. The replacement service for HMAC is SAML SSO is a self-service method of setup whereby client admins have access within SAP Concur solutions to complete their SAML connections.

Clients currently using HMAC are encouraged to migrate to the SSO self-service tool as soon as it is released (targeted for Q2 2020). The new SSO self-service tool allows multiple portals (Identity Providers) to be added.

The HMAC deprecation includes two phases:

Phase I: Clients must have an Identity Provider (IdP) or a custom SAML 2.0 solution. Clients begin testing the new SSO self-service tool. (See below for more

information.) Travel Management Companies (TMCs) prepare for onboarding new SAP

Concur solutions clients using the new SSO self-service tool, which is targeted for release in Q2 2020.

Once the SSO tool is available, customers will be notified via release notes about the official deprecation date of HMAC. As of the official deprecation

date, no new clients can be onboarded using HMAC; new clients must be onboarded using the new SSO self-service tool.

Existing clients using HMAC need to be migrated using the new SSO self-service tool.

Phase II: TMCs continue migrating existing SAP Concur solutions clients from the HMAC

service to the new SSO self-service tool. Shut down the HMAC service after everyone has migrated from HMAC to the

new SSO self-service tool. Phase II is targeted to end mid-year 2020.

USER/CUSTOMER BENEFIT

This change provides better security and improved support for users logging in to SAP Concur products and services.

Important – Migration for TMCs

TMCs will be largely impacted and should begin testing SAML SSO now to prepare for migration to the new SSO self-service tool.

TMCs need to set up SAML SSO instead of HMAC for their new clients. Setting up SAML SSO now allows more time for TMCs to test the SSO self-service tool and train internal staff to assist clients.

To prepare for Phase I of the HMAC deprecation: TMCs first need to support SAML 2.0. TMCs need to contract for or develop

their SAML 2.0 solution. TMCs need to have an Identity Provider (IdP). Once support for SAML 2.0 is complete, TMCs that need more information can

open a case with SAP Concur support. TMCs do not need to use the online order form to request setup.

Important – Migration for Legacy HMAC Clients

Clients should begin testing SSO immediately to prepare for migration to the new SSO self-service tool.

To prepare for Phase I of the HMAC deprecation: Clients need to have an Identity Provider (IdP) or a custom SAML 2.0 solution. Clients can configure the SSO self-service tool as soon as it is released in Q2

2020.

This release note is intended for the technical staff responsible for file migrations with SAP Concur solutions. For our customers and vendors participating in data exchange, SAP Concur solutions is maintaining our file transfer subsystem to provide greater security for those file transfers.

SAP Concur solutions will begin migrating entities that currently use a legacy process for moving files to a more efficient and secure file routing process that relies on APIs.

Clients whose entities are currently configured to use the legacy process will be migrated to the more efficient process sometime between now and the end of 2020. After they are migrated to the more efficient process, clients will see the following improvement:

With the legacy process, clients had to wait for the file move schedule to run at a specified time. With the more efficient and secure API-based process, extracts and other outbound files from SAP Concur solutions will be available within the existing overnight processing period shortly after the files are created.

Overview

The User Accounts page in Product Settings has been redesigned. The functionality remains fundamentally the same. The redesigned UI is being implemented for clients incrementally. The new UI was implemented for some clients on April 30 and has been implemented for additional clients over time. The new UI will be implemented for all clients as of June 25.

Until June 11, the legacy user interface will be the default interface and clients have the option to switch to the new interface. Beginning on June 11, the new interface will become the default user management interface, and clients will have the option to

The Include Inactive Users checkbox has been replaced with a filter that is set to Active Users by default. The filter enables the administrator to display all users, only active users, or only inactive users.

The Search field has been moved and includes text that indicates which search parameters can be used to find users.

Wildcards are no longer required when searching by partial name or email address.

The number of users in the current list (filtered list or search results list) is displayed at the bottom of the list of users.

In the User Permissions – check all that apply section, permissions are grouped for visual clarity.

NOTE:On entities with Concur Expense, when users are created through the redesigned Users page, the Can Approve Expense Reports permission is disabled (unchecked) by default. With the legacy Users page, this permission was enabled (checked) by default.

EDIT INVITE MESSAGE

On the Edit Invite message page, the administrator sees the following changes: The page has been redesigned. Some field labels have moved. The following changes have been made to the toolbar:

The tool for changing the size of the text in the message has been updated.

The icons for some tools have been updated. The tool for changing text alignment is now a drop-down menu. The window for entering a hyperlink has been updated. The source editing tool has been replaced with a tool that clears text

formatting. Character count and character limit now appear below the message text

field.

NOTE:The total character count includes hidden html tags for line breaks, paragraph breaks, and html tags that apply formatting to text such as bold, underline, highlighting, and text size. For example, if you apply an underline to a line of text, the (hidden) <u> and </u> html tags are added at the beginning and end of the line which adds seven characters to the character count.

The Import Users window has been redesigned.

Configuration for Standard Travel

Between now and June 25, administrators can click the Click here to try it out link to try the redesigned pages. During the trial period, if the administrator wants to switch back to the legacy design, they can click the switch back to the old interface link.

Beginning on June 25, the new design will become the default interface and administrators will see the new user interface when they navigate to the Users page in Product Settings.

Administrators will still be able to click the switch back to the old interface link to switch back to the legacy design temporarily. However, if the administrator switches to the legacy interface and then navigates away from the Users page, when they return to the Users page, they will once again see the new user interface.

Overview

The certificate provided by the SAP Concur SAMLv2 service, which is used to establish a Single-Sign On (SSO) connection with an IdP, will expire on June 25, 2020. Unless the certificate is renewed before the June 25, 2020 expiration date, the certificate expiration might prevent users from being able to successfully sign in to SAP Concur products.

SAP Concur solutions offer SSO to help make the user sign in process easier and more secure. SSO requires that trust be established between the Identity Provider (IdP) and the Service Provider (SP). This trust is established in part by cryptographic use of certificates provided by the service provider; in this case, SAP Concur solutions.

Only ARC/BSP accredited airlines are available through ATC. Concur Travel does not support the exchange of unused tickets or credits on

file; this limitation is due to Concur Travel’s inability to view the original electronic ticket shell if not issued in the same PNR.

Changes may only be made on live flight segments with no support for past date travel.

PNR’s with more than four segments or coupons may not be changed online.

Items under investigation: In limited cases, the exchange process is unable to determine if the booked

ticket is refundable or non-refundable; current logic defaults to non-refundable.

A. ATC is a ticket re-pricing solution, which automatically researches old and new fares and rules, generating new, accurate pricing in seconds. The newly calculated price reflects appropriate rules, taxes, additional collections, refunds, penalties or administrative fees.

Q. How does ATC work?

A. ATC employs a pricing engine with a comprehensive “Fares and Pricing” database, offering 13 months of historical fare and rule data. It utilizes pricing construction based on historical, current, or a combination of historical and current fare and rule data.

Q. How can I look back at a previous ticket change?

A. Ticket changes with Concur Travel and ATC will cause historical fare quotes (TTHs) to be retained, with all the elements of the ticket change criteria; including old ticket booking date, place of issue, base tax and totals of old ticket.

Q. How many times can I change a ticket?

A. Once a ticket has been changed, it cannot be changed again.

Q. Will ATC work for international fights booked in Concur Travel?

While this connectivity change should be seamless for end users, it does require an access-related change that will affect agency fulfillment partners (TMCs). With this change, Concur Travel will require the Host Access Profile (HAP) for the booking pseudo city code.

The HAP combines several types of identifiers into one "master" identification profile: the Pseudo City Code (PCC), Structured Data Identity, Host Sign On, Password, Host Identity, and additional identifiers for certain components. As such, the HAP identifies the customer to Galileo Web Services, provides permissions to specified services, and provides permissions and access to various GDS functions.

SAP Concur teams are working with Travelport to perform a mass update for existing customer configurations, but new customer implementations will require TMCs to obtain and configure the HAP in Concur Travel directly. The TMC Reseller Toolkit now provides updated implementation guidance for Apollo/Galileo agency partners.

By end of June 2020, all European and US Data Center Apollo and Galileo customers will be migrated to Galileo Web Services. After the June limited release, the HAP field in the Agency Configuration will become:

Visible for all Apollo/Galileo Agency Configurations, regardless of datacenter. A required field for Apollo and Galileo agency configurations in the EU and US

datacenters (agency admins will not be able to save changes to an Agency Config without specifying HAP information).

The visibility and requirement of the field indicates that SAP has completed the GWS migration, the mass update of existing configurations is complete, and that HAP management is now the Agency Partners’ responsibility.

Q. What will happen if a TMC does not populate the HAP, if their Agency Configuration is one that does not successfully get populated during the mass update?

A. Today, Concur Travel will fall back to the legacy connectivity when no HAP is specified. SAP Concur representatives will reach out to affected TMCs to address missing HAPs before the legacy connectivity is retired. Ahead of that, the HAP field would be exposed in the Agency Configuration and would be a mandatory field for the purposes of saving any changes. Once the legacy connection has been retired, Apollo and Galileo will be managed similarly to Sabre and Amadeus, where the credential (HAP) will be required as part of the implementation process.

! UPDATE: SAP Concur solutions has resolved the previously identified issue with storing discount codes with brand modifiers for Apollo/Galileo customers. A small pilot has been in place for one week and no new issues have been reported. TMCs and customers are again welcome to request SAP Concur solutions enable the new functionality for testing and validation.

Overview

In 2017, SAP Concur solutions announced limited support for branded fares for all Apollo, Galileo, and Worldspan customers.

SAP Concur solutions has been in development, in partnership with Travelport, to deliver true branded fares support for all Travelport customers. Specifically, this development changes the way Concur Travel stores fares in GDS PNRs; fare stores will include brand modifier(s) for branded fare airlines. This new fare store functionality was made available via pilot starting the evening of February 24.

During the pilot/preview phase, the fare store changes only occur for simple and complex airlines as described in the Airlines Supported Using Concur Travel's Legacy Custom Solutions section of the Branded Fares Travel Service Guide. As part of this feature, SAP Concur solutions also requests additional branded fares (upsell fares) for itineraries. This functionality is being piloted in conjunction with the fare store changes.

Customers interested in participating in this pilot are encouraged to notify their agency fulfillment partner and/or their SAP Concur contact.

There will be several changes over the next few releases in support of moving to a general availability state with Travelport Branded Fares. In light of the pandemic impact, SAP Concur solutions is revising some dates to ensure our agency partners have enough time to validate these changes. These dates are tentative, in the event an agency partner requires additional time due to resourcing challenges. Please see the table below for details:

Q. Will Concur Travel store fares with brand modifiers for all fares?

A. Not initially. The pilot limits this functionality to non-lowest branded fares. Once SAP Concur solutions has received general acceptance from our TMC partners on the functionality, all limitations will be removed, and Concur Travel will store fares with brand modifiers in all cases where Travelport provides it.

Overview

The legacy Credit Card Feed is used by fewer than five Concur Travel clients to import credit card information. However, this method of transferring sensitive information does not reflect SAP Concur’s security best practices. Due to the small number of clients still using this feature, and given that there are more secure alternatives, we are deprecating the Credit Card Feed. Targeted for July 1, 2020, existing credit card feeds will no longer be operable.

USER/CUSTOMER BENEFIT

Reducing the number of supported mechanisms for exchanging data allows SAP Concur solutions to focus on providing better security and ease-of-use for our clients.

Some alternatives for a more secure and supported way to import or update credit card information in Concur Travel include:

For all clients, allow users to manually update credit card information via their User Profile Screen in the user interface.

For Concur Expense & Travel clients, use the Employee Import > Record Type 650: Enhanced Card Account Import Format.

Suggested Alternatives

In Concur Travel, users can be assigned the “Self-assigning Assistant” permission via User Permissions. For more information on the Self-assigning Assistant permission, refer to the Travel Company Admin Guide. Overview

In the current Travel Profile 2.0 API, the request to get travel profile summaries has one required parameter: LastModifiedDate. This allows users to get profile summaries of other users whose profiles have changed since that date. SAP Concur development discovered a defect where this required parameter is not enforced. So today, if a user omits the parameter LastModifiedDate, they receive profile summaries for all of their users.

Beginning with the July release, SAP Concur development will enforce the inclusion of the LastModifiedDate parameter, as documented. Users who omit LastModifiedDate, will receive an error.

For users who would like to get profile summaries for all of their users, they can set LastModifiedDate to 1900-01-01T12:00:00.
