Marketing Plan

I. Executive Summary: The Raleigh Rescue Mission Charitable Turkey Shoot Lacrosse Tournament is a non-profit program that gives lacrosse teams within the South East region of the United States to participate in a lacrosse tournament, while also supporting a great cause in the Raleigh Rescue Mission Charity. This tournament will attract local lacrosse fans and players. Below we identify our goals and objectives for the marketing section of our tournament followed by the organization analysis, potential collaborators and the selected marketing strategies.

II. Marketing Goals & Objectives

1. Promote the tournament throughout the South East Region of the United States to ensure 32 teams sign up for the tournament by September 10, 2014.

• Send out 60 invitations to well-known lacrosse teams in the South East Region of the United States

• Advertise the tournament throughout the lacrosse community by having fellow lacrosse clubs inform teams about the tournament

• Provide incentives for early registration to the tournament 2. Promote to participating teams about the canned food drive and raising money

for the Raleigh Rescue Mission up until the tournament is completed on November 23, 2014.

• Within the invitations sent out, the cause of the tournament will be the focal point of the invitations

• Establish a website for the tournament promoting awareness for the Raleigh Rescue Mission Charity

• Encourage participants and spectators to donate canned goods to receive a free t-shirt at the tournament

3. Promote the tournament throughout the Raleigh area to gain spectator attendance between September 20, 2014 and November 23, 2014.

• Place advertisements in the Raleigh News & Observer to increase spectator’s attendance and awareness of the cause

• Distribute flyers throughout North Carolina State University’s campus to encourage students and faculty to attend the tournament or even volunteer

• Establish a website for the tournament that gives possible spectators information about the tournament and reasons to attend

III. Organization Analysis

Goals – The main goal of the lacrosse tournament is to provide a fun spirited atmosphere for the lacrosse teams while raising money and awareness for the Raleigh Rescue Mission Charity. Focus – Our focus for this tournament is to make sure everyone has an exciting time and to make them more aware of homeless families within the community. Culture – The tournament will provide a great opportunity for players and spectators to come together as one for a good cause while enjoying the game of lacrosse.

Page 19: Turkey Shoot Lacrosse Program - mlsweezy.files.wordpress.com · The Raleigh Rescue Mission Turkey Shoot Lacrosse Tournament will be held from Saturday November 22 to Sunday November

19

Strengths – This tournament is very unique as it brings the lacrosse community together to compete in a tournament, while raising awareness and money for those who are less fortunate and the Raleigh Rescue Mission Charity. Weaknesses – The main weakness of this tournament is that is it new and in its first year. We are preparing for all possible situations, but we do not have anything to go off of, so we are not exactly sure what to expect. We hope that with promoting the event, having the N.C. State Club lacrosse team make an appearance and donating the profits from the tournament to the Raleigh Rescue Mission, we will be able to have a successful tournament. Market Share – As this is the first year of this charity tournament, we don’t have a market share. If the tournament is successful this year and for years to come, then eventually we may start to gain a bit of a market share

IV. Collaborators

Potential collaborators for the Raleigh Rescue Mission Turkey Shoot Lacrosse Tournament could be small businesses around the university area as well as NC State students. The businesses could continue to help us and many other in helping raise money for the Raleigh Rescue Mission Charity, while also helping us generate interest from potential participants and spectators. With the positive influence from the local area businesses, it can only help create and even more positive image and brand awareness for our charity tournament. Local lacrosse apparel stores have expressed interest as well as the North Carolina State University Club Lacrosse team.

V. Selected Marketing Strategies

We chose these three marketing strategies because we thought these strategies would be the most effective in allowing us to reach our target markets. Our website/social media, flyer campaign and advertisements in local newspapers and news stations will help spread the word about our charity lacrosse tournament and will hopefully bring 32 teams from the southeast region of the united states to participate and bring local spectators to our event.

Website (See Appendix B)

Our website/social media marketing campaign will most likely be the most important marketing promotion for our tournament. Once invitations have been sent out to 60 teams within the southeast region of the United States our website will provide information on all the tournament details. Our website will be the easiest and most effective way to get the word out about our tournament to spectators as well.

The website will include information for teams and spectators. Information will include, schedules, rules, deadlines, contact information, directions, accommodations, sponsors names, and volunteer opportunities. The website will include background information on the Raleigh Rescue Mission Program and what the goal of our tournament is. A link to donate to the Raleigh Rescue Mission will also be included on the website.

The only cost for the website would be the domain name. The domain name would cost around $10.00 a month, which comes to be around $120.00 per year. The

Page 20: Turkey Shoot Lacrosse Program - mlsweezy.files.wordpress.com · The Raleigh Rescue Mission Turkey Shoot Lacrosse Tournament will be held from Saturday November 22 to Sunday November

20

website is available to anyone who has access to the Internet and is more than welcome to browse the site.

News & Observer (See Appendix B) The second marketing strategy for our lacrosse tournament we will use is advertising the tournament in the Raleigh News & Observer Newspaper. The News & Observer is North Carolinas second largest newspaper and covers the Durham, Cary and Chapel Hill areas. We will run an advertisement in the paper starting September 20, 2014 up until the day before the tournament begins on November 22, 2014. The advertisement will include the location and time of the tournament as well as the goal of the tournament to raise awareness for the less fortunate in the Raleigh area. It will include our website link where they will be able to find out more information on the tournament. The typical cost of an advertisement in the News & Observer runs around $800 a week for a quarter page. The total cost of advertising in the News & Observer will be around $3,200.00 for the month. This marketing strategy will be aimed at bringing in more spectators to the tournament. Those who do not necessarily use the Internet will be aware of the tournament because of the ad in the newspaper.

Flyer Campaign (See Appendix B)

Our final marketing strategy for the lacrosse tournament is posting flyers around North Carolina State University’s campus to raise awareness for the cause and attract spectators and possibly student volunteers. The flyers will have graphics including a lacrosse symbol and the Raleigh Rescue Mission logo. The flyers will provide information about the tournament and the goal of the tournament. A link to the website will be provided on the flyers as well as a statement regarding volunteer opportunities for students. The cost of 500 flyers will be $143.00. Flyers will be distributed beginning two weeks before the tournament by the local lacrosse teams.

Evaluation Plan

Overview A questionnaire will be distributed to each of the teams, volunteers, and referees. The questionnaire will be divided into sections based on the topic of the question including Facility/Equipment, Event, Staff, Overall, and Volunteers/Referees. The findings from this evaluation will be used to improve the tournament for following years to come. Purpose The purpose of the evaluation for the Raleigh Rescue Mission Charitable Turkey Shoot Lacrosse Tournament is to ensure that the event is administered in the best possible way to achieve the goals and objectives of the program. By getting feedback from the participants, staff, and spectators of the tournament, the program can continue to grow and improve for the years to come. The best way to find out if the goals and objectives of the tournament are being met is to provide a questionnaire for the participating teams, staff and spectators to fill out. After reviewing the findings of the opinions of the tournament, the administrators will collectively decide what improvements need to be made. If it is found that the facility and equipment are a concern for the participants, then we will look to other providers of equipment and locations for the tournament for the next year. We will continue this process of modifying the different areas based on the evaluations. In addition to the questionnaires we will meet with supervisors and residents at the local homeless shelter to determine if the donations that were made had a positive impact on the shelter and what else we can do in future tournaments to have an even bigger impact. Program Tournament Goals and Objectives

1. Hold a successful tournament to raise money and canned food for the local Thanksgiving food drive and raising awareness for the less fortunate by Sunday November 23, 2014.

• Promote the cause of the tournament with appropriate marketing strategies • Have all safety, financial, and ethical procedures in place • Have qualified personnel and informed volunteers

2. To provide youth lacrosse players with a positive, fun and competitive tournament on November 22 and 23, 2014.

• Provide awards to winning teams and participation medals to all players at the completion of the tournament

• Have the NC State club lacrosse team involved in the tournament to give players insight into the sport

• Alter the rules to equal the playing field between the age groups 3. To provide a family environment during the Thanksgiving Holiday for all

participants and spectators to enjoy on November 22 and 23, 2014. • Provide a family movie night at the end of each day to participants and families • Provide hotel recommendations to ensure that participants and their families will

be in close proximity • Ensure that the staff and volunteers provide a friendly caring environment

Page 26: Turkey Shoot Lacrosse Program - mlsweezy.files.wordpress.com · The Raleigh Rescue Mission Turkey Shoot Lacrosse Tournament will be held from Saturday November 22 to Sunday November

26

Performance Measures We will know if we are successful if the questionnaire returns positive feedback by the dates listed in the goals and objectives. We will be satisfied if we receive 4s and 5s (Somewhat Agree, Completely Agree) on the questionnaire for the different topics. However, if certain areas receive 1s and 2s (Somewhat Disagree, Completely Disagree) on the questionnaire then we will know that these areas need to be reviewed for improvement in the following year’s tournaments. Description of Evaluation Process

All participating teams, referees and volunteers will be given a questionnaire to fill out. At check in on the first day, the printed questionnaire will be given to each participating team. Referees will receive the questionnaire after they complete their duties of refereeing and no longer have any more games to call. The distribution of the questionnaire to volunteers will occur once the tournament has come to a complete end.

In order to collect all questionnaires, participating teams will be responsible for turning in their completed questionnaires in order to receive the teams participation medals. Once the participating teams, volunteers, and referees have completed and turned in their completed questionnaires, we will begin the analysis process. Analysis will include inputting data into an excel data spreadsheet. After all data is entered, appropriate tests will be administered in order to find tendencies in the different sections of the questionnaire. The comments and suggestions portion of the questionnaire will be looked over by all administrates to see tendencies in the responses. Based on the conclusions retrieved from the date, appropriate measures will be taken to ensure that tournaments in the future have resolved any issues.

In regards to measuring how effective the marketing for the tournament was we have put additional questions at the bottom of the questionnaire to gather information on how the spectator and participants heard about the tournament. From this we can gather which marketing strategy was the most effective and what adjustments need to be made for future tournaments. We will also have a counter on the tournament website which will keep record of how many visits the website received.

Within the month after donating to the local homeless shelter we will meet with the supervisor and review the impact the donations had on the shelter. We will also interview people who are regularly at the homeless shelter in order to receive their input on whether the donations had a positive impact. From the information we find we will then begin to find ways that we can further increase the impact on the homeless shelter with future tournaments.

The limitations we might face by providing a questionnaire could be the bias received from participating teams because of the impersonality from a ranking question. This can however be partially eliminated by the comments and suggestions box located at the end of the questionnaire. In addition, some criticize that questionnaires do not capture the full event. We tried to eliminate this issue by providing many questions from the different areas of the tournament. Survey Instruments (See Appendix C)
