Student Support Services
About the division:
The Student Support Services division of the Academic Council mainly takes care of the basic requirements of the students like tutorials, registration, personality development, Language and Communication skills center, relations, learning issues etc. It has many components entirely dedicated for each of the above-mentioned purposes.
Work done so far:
● UG Information Booklet UG Information Booklet serves to disseminate information on topics like registrations, additional courses, IDDP, BTPs and DDPs, semester exchange, the role of faculty advisors, plagiarism and policies against it and several other things that most students of the institute are unaware of. It is an all-encompassing booklet catering to various aspects of academics of IIT Bombay released for the very first time. The booklet was released on online platforms.
● TSC Portal: The TSC Portal was launched 3 years back with an aim to automate the process of conducting TSCs and to provide a proper interface for course-related discussions between the students and the TAs. It was, however, not utilized in further years. This year, the TSC Portal was relaunched with many added features on the portal.
● Grievance Helpline The Grievance helpline is a helpline number that will serve to aid the freshmen to connect to hostel affairs council and the academic council for queries related to tutorials/scholarships/maintenance etc. We are currently working on making the user experience better and we will be launching the helpline service in the next semester.
● Branch Induction Session Every year around 10 percent undergraduate branch change to some other branch at IITB. Many times their decision is influenced by the trend followed previously. So, to help the students take a better and informed decision, the Branch Induction sessions were conducted at the end of the previous academic year.
● IDDP Video The interdisciplinary dual degree program has been implemented in IIT Bombay and we have seen two students participating in this in the previous year. Since the process is new and many people are unaware of the complications involved we decided to make a video which would help the students understand the complete process and also get to know the experience of the two students who did an interdisciplinary dual degree switch in the previous year.
● TA Feedback
9
The TA feedback program was implemented for the first time ever after being proposed 3 years ago. The TA feedback program was conducted for all theory undergraduate freshmen courses. The responses of the feedback program were then shared with the course instructors so that they can take appropriate action and better the learning experience of the students.
● Comic Series for Counselling In the light of the increasing number of cases of mental health issues/depression amongst students, we prepared a comic series aimed to promote students to talk to their parents/ counselors and create awareness about such issues in the students’ community. The comic series was released on online platforms and was much appreciated by all.
● Paper Repository A comprehensive paper repository has been prepared which consists of question papers of students of all the 3 years and of all the branches. A process to collect their mid-sem papers from the students has been initiated for the first time to upload in an online drive which would, later on, be released for everyone’s use.
● Kyunki Prof Bhi Kabhi Student The IIT Bombay has often seen a huge barrier between the interaction of professors and students. To bridge this gap and to satiate the ever-growing wonder that students have about their professor’s college days, we conducted this session for the very first time. The session witnesses professor Soumyo Mukherjee talking about his IIT and JEE days, when and why he decided to become a professor and how he became the Dean of Student Affairs.
● Proposal of opening of LCH rooms as additional study space all around the year Due to the grievances from a lot of students who wish to study during night hours that there is a lack of a common place to study in the institute which is open in the late hours of the night we decided to propose to open two LCH rooms permanently at night. The proposal will be presented to the authorities in the next semester.
● Proposal of helping the Differently Abled To help the differently abled and make IITB a disabled friendly campus we proposed various changes in the infrastructure and policies of the institute. A feedback form was floated and various changes are being suggested to the Institute on the basis of the responses.
● Proposal of Dead Week before examinations The short period between the end of classes and the start of final exams each semester is meant to live up to its name. Most departments have quizzes, homework and assignment submissions right up until the first scheduled final. The intent of the proposal is to provide students with time for review and preparation for the final examination. The proposal would be presented to the institute authorities in the next semester.
● Catered to problems and grievances during registration Catered to registrations related issues of over 4000+ undergraduates of IIT Bombay.
● TSCs and ExCeL sessions
10
Conducted tutorial and help sessions of various first year and second-year courses all around the year to help students perform well in their examinations. ExCeL ( Explaining Concepts and Lectures) sessions are also being conducted in PH 107 and MA 105 to help the weak students and students with language barriers.
● TAs for summer courses Procured undergraduate teaching assistants to help the professors taking summer courses and conduct the course in an efficient manner.
● Used the TA Portal to get UG TAs for freshmen courses Used the TA portal to get undergraduate applicants for teaching assistant for all first year and common second-year courses. This year we also encouraged professors to consider undergraduate TAs for CH 105 and CH 107 which previously had just post-graduate TAs.
● Branch Change reviews We contacted several people who did a branch change to a different department and also some who chose not to. We compiled the reviews collected and released it on an online platform so that the concerned take an appropriate decision.
● Journey Reviews Released a series of journey reviews where seniors reflected upon their lives in the institute and gave tips to their juniors on how to make their institute experience better. The reviews were released as blog posts.
● Information dissemination regarding DAMP Often counselors get to know that students who are in their senior years do not find someone who can guide them. The DAMP team of IITB is especially for this purpose. We thus released posters and created awareness about them through online and offline platforms so that students get to know their DAMP mentors.
● Basic Computer Learning A need of conducting elementary computer classes for a select group of entrants in the institute was identified. For this, a test consisting of basic objective questions in computers was conducted in association with the SMP Teams and with due approval from professors. We then identified a group of 20 students who required immediate help and conducted 4 sessions which served as a crash course in basic computers.
● Moodle-ASC-GPO Session Many freshmen are not comfortable using basic institute resources such as Moodle, ASC, GPO, CDEEP, Bighome etc. We thus conducted a session for all freshmen and help them get acquainted with these and get comfortable using it. The session witnessed an attendance of 800+ students and was much appreciated by all.
● Updation of Course Info Booklet The Course Info Booklet has been an important source of information for all the students in order to gather more information about the reviews and factual information about the various minor courses being offered by various departments. The booklet and the content
11
within were revised through information from various online resources, DAMP Teams, and department offices.
● Course Info Session The Course Info Session is organized every year for the to-be-sophomores in order to educate them about various academic policies, rules and regulations, and the related differences from their first-year curriculum and academic structure. This year the session was attended by 300+ students and was covered by IIT BBC.
● Registration Live Query Sheet Since the academic council is responsible for addressing all the issues related to registrations,, we maintained a live query sheet for keeping track of all the common issues and kept on updating it constantly according to the updates received from the ASC Office and the Academic Section. The sheet bolstered transparency into our work, and also enabled the students to look up the solutions/updated regarding the common issues, thereby streamlining the whole process.
● Freshie Resources and Senior Resources The Freshie Resources drive provides various academic resources, ranging from lecture slides to previous years’ papers and solutions. The senior resources drive contains course content, tutorials and past year papers of common senior year courses. The resources are being constantly updated.
● Synergize 1 The first Synergize session was organized in association with the MnP club, IITB. The aim of the session was to motivate students to study Quantum Physics and understand its applications in real life. The session witnessed an audience of over 100 students.
● Additional study space to aid preparation for examinations Factilated the students with additional study space in the lecture hall complex from a week before end semester and mid semester examinations.
● Joint Freshmen Orientation in convocation Organized the freshmen orientation in the convocation hall on the first academic day of freshmen.
● Moderating the Student Support@IITB page The student support@IITB serves as a common platform for resolving of common academic queries. Students also use this platform to connect to seniors and alumni of IITB and take their advice. There’s also an option to ask queries anonymously, keeping in mind that certain queries could be sensitive to the identity of the person.
● Registrations Video From the beginning of sophomore year, a student of IIT Bombay is allowed to take additional courses as per his/her choices and is also supposed to do some courses as per institute requirements. The registrations videos were made to help the students complete their registrations with ease.
