Many achieve desirable results with “end-to-end” visibility into the creation, submission, workflow, approval, and reimbursement of T&E expenses. In a developing trend, mobile applications are also leveraged to make expense reporting easier and faster. These solutions reduce hassle for travelling employees. They also drive more consistent compliance with corporate policies. This Analyst Insight, based on 170 responses to Aberdeen Group’s 2013 Travel & Entertainment Expense Management survey, will focus on the direction of end-to-end T&E expense management solutions and the impact of mobile applications for achieving the highest possible return on investment (ROI) for T&E expenditures. Top T&E Expense Management Solutions When looking at the March 2013 study, the report uncovered the top challenge (51%) currently facing organizations: poor visibility into travel and expense management. Best-in-Class organizations have moved dramatically toward mobile T&E expense applications coupled with end-to-end expense management solutions for a robust travel and expense management suite to address this pressure. So what is “end-to-end” expense management? For this report we define end-to-end as the complete process a traveler will undertake once they are aware of the need to travel, the travel itself, and the post-travel reporting and analysis. Depending on the organization and its policies, it can begin at the pre-authorization stage through post-travel report and everything in between.  Why Invest in End-to-End Organizations struggle with ROI, especially in the business travel vertical. For example, how do you quantify a sales person traveling for a week on a leads expedition? It’s easy if t hose leads turn into signed contracts, but what if several of those leads were more seed planting? How do you calculate that seed-planting cost and is the investment worthwhile? To further understand the advantages of companies using an end-to-end T&E expense solution, we divided our survey into two classes, those with an end-to-end solution and those without.     percentage of organizations that use analytics to calculate ROI. However, end-to-end solutions offer greater ROI simply because all of the data is centralized, allowing them greater ease and visibility to calculate the ROI for this complex spend.

    ROI on Expense Processing Cost and Compliance The ROI cost to process a single expense report has three clear delineations in cost. See Table1below.

    Users of end-to-end solutions emerge as the top-performing organizations, even beating out the Best-in-Class in mean aggregate performance. Users of end-to-end solutions report a processing cost of $11.28 per report versus $18.03 per report than those that do not have such a solution in place. The Best-in-Class was $15.84 per report. If, for example, a mid-market company processes approximately 1,000 expense reports a month, using an end-to-end solution will save $7.18 per report when compared with All Others; this will result in an approximate yearly savings of $86,160. In addition, investing in an end-to-end solution will allow for greater visibility and automation while increasing savings, creating the ultimate win-win solution.

    Another key element in the expense management study is compliance to corporate travel policies and guidelines. Again, the end-to-end users far outpace those without end-to-end with a 13% greater compliance to corporate policies. This is important to note because the separation between Best-in-Class and No End-to-End is reflective of a 26% variance from the more refined, adopted policies and guidelines of legacy organizations.

    The question may come up as to why the organizations with end-to-end solutions wouldnt surpass the Best-in-Class organization in this category as we have seen before. Aberdeen believes this is based on Best-in-Class organizations having well-defined policy and guidelines that are well executed on and communicated clearly across the organization and have been embraced by the organization. While organizations with end-to-end solutions may have better visibility in areas, they also may not have such robust established policies and guidelines as more mature organizations.

    Mobility in End-to-End Expense Management Mobile applications are relatively new to the T&E space and many solution providers are adding mobile apps to their end-to-end solutions to provide additional flexibility. Figure 2 below shows how end-to-end solution users utilize mobile applications. The end-to-end users are far more likely to leverage mobile (53% vs. 13%) compared to a standard back-office financial suite that not only manages travel bookings and itinerary management but captures expenses, all the way through the approval processes.

    The app revolution has made travelers expense reporting a simple tap away from submitting. And this holds true for organizations that now have greater visibility into spend that can track and approve expenses faster than before. The trick for organizations will be harnessing the app revolution to better meet their business needs and not lessen the buying power of negotiated contracts with key vendors, while maintaining compliance and efficiencies with policy.

    According to Aberdeens research Your 2013 Guide to Travel and Expense Management (March 2013) organizations create more web portals than before. This is now allowing travelers, suppliers, management, etc. to access and post data from just about anywhere. It also allows smaller organizations the ability to compete on more of a level playing field with larger global companies.

    Growing Mobile Application Usage In viewing this transformation, by increasing operational efficiency, accelerating time-to-decision, deepening customer engagement, and streamlining workflow processes, budget management has changed significantly; organizations will attribute some budget toward standard T&E. However, larger percentages are being attributed to tablet devices, with the largest projected growth being spent on mobile apps and portals managing T&E budgets for 2013, as seen in Figure 3.

    In todays mobile end-to-end world, capabilities are still being developed to aid in this report function. Greater traceability into the traveler is used to monitor compliance to travel policy.

    Smarter system developments are being deployed for:

    Benchmarking expense spend against industry peers

    Travel sourcing strategies and leveraging partnerships

    Visibility thru the authorization and approval process

    Linkage between travel booking process and expense management To remain competitive, an organization requires quantifiable data to track its investments and remain compliant to policy, all the while meeting the goals of its customers by providing real-time data at the touch of a finger.

    These new technologies also assist the user by being able to inform them of emergencies, directions once they arrive to a new destination, and even the ability to welcome a person to a foreign land with accurate information on where to go, making the business travelers life easier and more efficient than ever before.

    Take-Away The typical company will spend, on average, 10% (or more) of its total annual budget on expenses related to business travel in 2013. To deal with this large expense area, Aberdeen recommends:

    Investing in an end-to-end solution that will decrease processing cost 37% and improve compliance 44%

    Those with end-to-end see mobile as the future for tomorrow with 64% to 76% expected growth

    Invest in mobile apps that will enhance your suite of products based on projected growth for 2013 toward T&E that will remain static, while the projected growth toward apps and mobile devices will double and triple for 2013

    Benchmark yourself against other industry leaders The past several years we have been in a downturned economy only recently showing signs or rebounding. A conservative but constant economic growth has been occurring. Organizations have had time to lean their processes and have learned how to do more with less. End-to-end expense management solutions provide visibility and efficiencies in process that have traditionally been manual and at risk of noncompliance. And with the addition of mobile applications, organizations create flexibility in real-time for their leaner global workforce.
