BIDD: Birth Index Data Database

Introduction For User As a California Department of Motor Vehicles investigator it might be necessary in your duties to verify California Birth Records. The Birth Index Data Database system is designed to allow you, as an investigator, to search the California Birth Records via a Web Browser on the DMV Intranet. This section of this document will walk you through the use of the BIDD System Step-by-Step. Step-by-step guide on how to use the BIDD System: Step 1: Launching Internet Explorer:

Step 2: Navigating to the BIDD Webpage:

You should now see the DMV Webpage in your Internet Explorer Window. The Webpage should look similar to Webpage that is displayed in Figure 2. In the Address field type the following Web Address: http://168.0.0.2:8080/bidd/user/biddsearch.jsp Step 3: Entering in your Password:

You will next be asked to enter in your User Name and Password. Use the following User name and Password:

User name: bidduser Password: bidduser

You should be now be presented with the BIDD Search Interface.

Step 4: Using the BIDD Search Interface:

To perform a search you have two choices; the first choice is the Simple Search, which is displayed in Figure 4 and is described in Step 4.1. There is also Advanced Search Interface, which is displayed in Figure 5 and is described in Step 4.2.

The Simple Search Interface allows you to search by the Birth Month, Day or Year, the Event Place, Gender, Child’s Last Name, First Name and Middle Initial. The Advance Search Interface allows you to search using all the options from the Simple Search along with Mother’s First Name, Mother’s Maiden Name, Father’s First Name, Father’s Last Name, State File Number and Local Registration Number. If you wish to use Simple Search read Step 4.1. If you wish to use Advanced Search read Steps 4.1 and 4.2. Step 4.1: Using Simple Search Interface: To enter a value, move the cursor to the appropriate field. Valid data entry values:

Field Acceptable Values Month 1 to 12 Day 1 to 31 Year 1905 to 1988

Event Place 1 to 58 Child’s Last Name Letters A to Z with a length up to 33 Child’s First Name Letters A to Z with a length up to 25

Child’s Middle Name Letters A to Z with a length up to 18

After you finish entering the search data, click the Submit Button. You should now see the results of your search. If you wish to print the results go to Step 5. Step 4.2: Advanced Search: To request an advanced search click on the Advanced Search link then follow the Steps in 4.1 but do not click Submit button. Valid data entry values:

After you finish entering the search data, click the Submit Button. You should now see the results of your search. If you wish to print the results go to Step 5. Step 5: Printing the Search Result: To print your current search result click on print under File option on the menu Bar. Select the printer you wish to print with and click Print.

Introduction for BIDD Administrator As a California Department of Motor Vehicles worker it might be necessary in your duties to maintain the BIDD System. The Birth Index Data Database system is designed to allow you, as an Administrator, to:

• Add or delete Birth Index Data records from the database • View and maintain the user audit information • Start and stop the BIDD System • Add users or administrators to the BIDD System • Assign roles to users • Set the maximum query size on the Auditing Database Query and the BIDD Query.

This section explains how to perform these Administrator Functions. Knowing your Administrator Name and Password Access to any part of the BIDD System that is password protected, so that only BIDD Administrators can access the web pages. You must know the username and password for the BIDD Administrator. The Name and Password are the following:

Administrator Name: admin Administrator Password: cat

Accessing the BIDD Administrator Control Panel In the Address field type the following Web address: (You will be prompted to enter in the Administrator Name and Password given in Knowing your Administrator Name and Password.)

Adding Records to the BIDD System To add records to the BIDD System follow the steps listed in Accessing the BIDD Administrator Control Panel and click on the link that is labeled “Add/Delete Birth Index Data Records from Database”. You should then be redirected to another webpage. Click on the link labeled “Add Birth Index Data Records”. You should then see the screen that is in figure 6.

Now enter in the exact pathname for the file. It is assumed that the file is on the root directory of some device. Example: d:\1941.dat You can only load Birth Index Data from the Birth Index Data CD. All other attempts to load Birth Index Data other from the CD from Vital Statistics will not work. . Once you click Submit the files will be downloaded from your CD-ROM into the BIDD Database. You will then be presented with a “download complete” message and the number of records added to the database. You can repeat these steps as many times as needed to load in all the Birth Index Data into the Database.

Deleting Records from the BIDD System To delete records to the BIDD System follow the steps listed in Accessing the BIDD Administrator Control Panel and click on the link that is labeled “Add/Delete Birth Index Data Records from Database”. You should then be redirected to another webpage. Click on the link labeled “Delete Birth Index Records”. You should then see the screen that is in figure 7.

To delete a year of Birth Index Data select the year you wish to delete from the Database from the pull-down menu and then click Submit. You should be presented with a message informing you that the year of Birth Index Data has been deleted. This procedure can be repeated as many times as needed or until the whole Birth Index Data Database has been purged.

Searching the User Audit Database To Search the User Auditing database of the BIDD System follow the steps listed in Accessing the BIDD Administrator Control Panel and click on the link that is labeled “View Auditing Database”. You should then be redirected to another webpage. Click on the link labeled “Search for Users access log”. You should then see the screen that is in figure 8.

Enter a BIDD System user’s name. (Currently all queries are saved under the user Jdoe. So use this name when searching.) Now, click the submit button. You should then be presented with a list of all the queries that the user performed.

Deleting the Auditing Database To delete the User Auditing Database follow the steps listed in Accessing the BIDD Administrator Control Panel and click on the link that is labeled “View Auditing Database”. You should then be redirected to another webpage. Click on the link labeled “Delete Auditing log”. You should then see the screen that is in figure 9.

To delete the Audit Database click ok. Note: You cannot recover the log once it’s deleted.

Stopping and Starting the BIDD System In the address field type http://168.0.0.2/manager/html. You will be presented with an authorization box. Enter in the administrator username and password from the step labeled Knowing your Administrator Name and Password. You should then see the screen that is in figure 10.

To Stop the BIDD System look for the Application labeled /bidd. Under the column Commands click on Stop. The BIDD System will be stopped. To Start the BIDD System look for the Application labeled /bidd. Under the column Commands click on Start. The BIDD System will be started.

Adding or Deleting an Administrator or BIDD User In the address field type http://168.0.0.2:8080/admin. You will be presented with an authorization screen. Enter in the administrator username and password from the step labeled Knowing your Administrator Name and Password. You should then see the screen that is in figure 11.

To your left you should see Folders. One of the folders is named as User Definitions. Under this folder you should see an icon of a person with the name Users next to it. Click on this icon. You will then be presented with the User Control Panel that is listed in Figure 12. From the pull-down menu in this window you can add or delete a User.

Adding or Deleting a Role In the address field type http://168.0.0.2:8080/admin. You will be presented with an authorization screen. Enter in the administrator username and password from the step labeled Knowing your Administrator Name and Password. You should then see the screen that is in figure 11.

On the left you should see a list of folder names. One of the folders is named as User Definitions. Under this folder you should see an icon of a multicolored people with the name Roles next to it. Click on this icon. You will then be presented with the Role Control Panel that is listed in Figure 13. From the pull-down menu in this window you can add or delete a Role. Associating a User with a Role To associate a User with a Role in Tomcat you must edit the tomcat-users.xml file in the /conf directory under the Tomcat directory. Load tomcat-users.xml into a text editor on your machine. Now save the file. The edited .jsp page will now use the new maximum set value for the return query size.
