1. Purpose

Material movement within external as well as internal is an inevitable activity to keep the business

pulsating. It is highly imperative to keep the track of Asset In-Out record. Maintaining information

through the use of a soft-utility reduces handling time around a request processing. It also allows

execution in controlled manner that supports prevention of fraudulent mal practices that may take

place by manipulating loop holes of the system. Records can be conveniently searched and problem can

be easily traced, and workforce can take proactive action for the follow-ups.

2. Terms 1. Gate Pass Type :

1. Returnable Gate Pass [RGP] – Material sent out of the Company premises and

should be returned within Excepted Return Date.

2. Non-Returnable Gate Pass [NRGP] - Material sent out of the Company

premises and may not return.

2. Gate Pass Number :

Unique identification number given to each gate pass.

3. Material :

Any object owned by company that is not allowed to be taken out of the

company premises without explicit permission from authorized personnel.

3. Icons

1. - Edit current Request once approve send back request for correction.

2. - View approval History of current gate pass request.

3. - Delete the current gate pass request.

4. - View current gate pass details.

5. - Approve Gate pass request.

4. Prerequisite

o In order to use the Gate Pass system predefined authorization is required for Gate Pass Approver. If you are a new user please contact Admin Department to get information on enrollment for the same.

5. Material Gate Pass:

a. Login

Open following link in web Browser.

URL: http://portal.cadilapharma.in/gatepass

Enter HRIS Employee id and Password login into portal.

Successful login will place you on Home Page.

b. Request o Click on Create Gatepass from Transaction Menu.

o Select appropriate Gate pass type, and fill other relevant details.

o To add a Material item click on .

o Once click on fill material item and .

o After adding material click on to generate gate pass request.

o On Successful gate pass request generation, System will send email notification to user as well as approve, selected while filing gate pass request.

c. Pending Request

o Click to view request approval history with approval remarks with action taken Date & Time.

o Click to view gate pass details.

o Click to print the gate pass.

d. Approval

o Click on Approve Gatepass from Transaction Menu.

o Click on to take an action on current gate pass request.

1. Approve Remarks, Note that remark is compulsory.

2. Approve Gate Pass Request, will send request for security gate approval and execution.

3. Send back request to Requester for correction.

4. Reject request.

5. Close request close the approval dialog box.

o On Successful gate pass request action, System will send email notification to user, approve as well as respected location security gate.

e. Security Gate o Click on Gate RGP / NRGP from Transaction Menu.

o Click on to search the gate pass request.

o Double click on gate pass number to take the action.

o When you click on gate pass number dialog box is closed and data of gate pass is filled automatically as below.

o Fil relevant details and click on to inward or outward the quantity and click on .

o In the case of Non-Returnable gate pass there is no need to enter Inward Quantity once pending quantity is 0[Zero] then material item is closed.

o Finally Material Inward / Outward from the gate then click on to close the gate pass request.

6. Limitation

o Valid company Email-ID is required to get email notification.

7. Logout Click on Logout Menu item.
