    Glossary of Terms

    Act ivi tyAn activity is a service you provide for a pet that involves some action. It can beanything, such as a walk, playtime, swimming, etc. It could also be some quiet timewith a staffer solely for companionship.

    Each activity can have its own price and frequency. Each reservation or folio canhave as many activities as you want.

    Each activity is an item in the price list. Each can have its own price and you canspecify any schedule on each reservation or folio. Each activity must be entered intothe price list before it can be selected on a reservation or folio.

    Actual

    The actual date/time is when something happened, typically arrival or departure on areservation or folio, according to the computers clock.

    This may be different from thereporteddate/time, which is when you saidsomething happened.

    Adjustment

    An adjustment is a way to force an owner's account to have a certain balance. Itdoesn't involve real money. You will normally make an adjustment to correct a smallmistake.

    For example, if the charge is $1.10 and the customer gives you $1.10 but you

    mistakenly entered $1.01 as the payment, the owner's account would say they owedyou $0.09. To correct this you would make an adjustment of $0.09 to force theowner's account into balance.

    Check In

    A check in occurs when the pet arrives at your facility and its owner transfersresponsibility to you.

    When a pet checks in, its reservation is converted to a folio.

    Check Out

    A check out occurs when the pet leaves your care and you transfer responsibilityback to its owner.

    Once a pet checks out, its folio is converted to a history and is made a permanentpart of the database. History can't be changed.

    Clone

    Cloning is the process of creating duplicates.

    When you click the Clone button at the top of a reservation or folio, you will see awindow listing each date for the next year. When you select dates by clicking theirassociated boxes, KennelSuite will create a reservation for each date.

    Cloning is normally used for bookings where the details of the service stay the samebut the dates change, such as daycare (every day next week) or grooming (samething every 6 weeks).

    Note that cloning requires extra attention on your part. KennelSuite can rememberthe services from the last visit but it can't know the date range for the current visit, inthe case of boarding, or any new information about the pet's feeding or medschedule. You must talk to your customer and verify the details.

    A clone will bring the previous details forward but you must be vigilant. Forexample, the last time Spot was under your care, he needed 1 tab of Phenobarbital2x/day. It could be that his vet has changed the dose to 2 tabs since then. Spot mayget the wrong dosage while under your care if you accept the previous settingswithout talking with your customer.

    Event

    An event is something of significance that happened and is listed in the Events reportas well as on the Events tab for each owner and pet. Examples include but are notlimited to:

    A new reservation is created, changed or deleted

    A pet checked out

    A payment was received

    A folio was deleted

    An e-mail reminder was sent

    Events are stamped with the date/and the current user. In Basic, the current user willalways be "Administrator" since Basic does not include user security and works only

    with the administrative account.

    Folio

    A folio is an active document that records a pet's charges during its visit to yourfacility. It is essentially a copy of the original reservation and was created when thepet checked in to your facility.

    The term folio is derived from Latin meaning "leaf". In this application, it is aleaf/page in a book. This is a standard term in the hotel industry and accuratelydescribes a living, yet temporary, document that records the charges against a guest'saccount during a specific visit.

    You may add, subtract and change items on a folio during the pet's visit. The only

    thing you can't change is the check in date & time, since that has already happenedand you can't change history.

    When a pet checks out, the folio is converted to a history.

    Group

    This does not apply to the Basic Edition

    Each person who uses KennelSuite is a member of at least one security group

    History

    A history is created from the folio when the pet checks out. It remains in the databasepermanently.

    In KennelSuite, as in real life, history can't be changed. If you discover a mistakeafter a pet has checked out, you can enter adjustments by clicking theAdjustmentsbutton on the owner'sAccount tab.

    The ability to preserve history, yet allow for adjustments, helps protect you fromfraud and maintains an accurate trail of what happened.

    Location

    Location is a generic term that means the place where the pet is housed while underyour care. It may be a run, a room, a cage, a crate, a condominium, etc. KennelSuiteexpects that each of your locations will be numbered with a code.

    You should limit your location code to about 6-7 characters because space is limitedon many run card and reports.

    If you choose, you can incorporate identifiers in your location codes that will helpyour staff understand their meaning. You should also try to keep your locationnumbers approximately the same length

    KennelSuite uses alphanumeric sorting, which allows you to mix letters and numbersin your location system.

    We encourage you to spend some time thinking about the way you identify yourlocations. Some planning on your part now will make life easier in the end.

    For example:

    BW012

    This might mean that the location is in building B on the West wall and is number12.

    Or:

    CM05

    This might mean that the location is a Condo, is Medium in size, and is number 5.

    The important thing to remember is that KennelSuite sorts the locationsalphanumerically, not numerically, so you shouldn't number 0, 1, and 2. Instead,number 000, 001, and 002.

    None of this matters to KennelSuite. You can develop your own system andKennelSuite doesn't care one way or the other. Locations are identified with a codethat you create by clicking Tool-Options-Locations. When you are working with a

    reservation or folio, the locations you created will be available from the dropdownlist in the Locations section.

    A pet under your care must be located somewhere. If you don't tell KennelSuite thepet's location, KennelSuite will assign the pet to the "?" location, which means"unknown" and may cause some confusion among your staff.

    Mean

    The sum of a list of numbers, divided by the total number of numbers in the list. Alsocalled arithmetic mean

    Median

    The "Middle value" of a list. The smallest number such that at least half the numbersin the list are no greater than it.

    If the list has an odd number of entries, the median is the middle entry in the list aftersorting the list into increasing order.

    If the list has an even number of entries, the median is equal to the sum of the twomiddle (after sorting) numbers divided by two.

    Mode

    For lists, the mode is the most common (frequent) value. A list can have more thanone mode. A data set has no mode when all the numbers appear in the data with thesame frequency. A data set has multiple modes when two or more values appear withthe same frequency.

    Percentile Rank

    Your customers' percentile ranks are one of the most informative ways to gauge their

    relative importance to your business in terms of the amount of money they spend.A percentile rank is the proportion of points in a distribution that a specific point isgreater than or equal to.

    For example, if Mrs. Smith spent $2,000 at your business last year and this amountwas greater than or equal to the amount spent by 90% of all your customers, thenMrs. Smith's percentile rank would be 90 and she would be in the 90th percentile.

    You will notice that the percentile ranking divides your customers into 100 groups(0-99), and each group has approximately the same number of members. This makesit easy to see the reason for the "80/20 rule", which says that 20% of your customerstend to provide 80% of your income.

    RangeThe range of a set of numbers is the largest value in the set minus the smallest valuein the set. Note that the range is a single number, not many numbers

    KennelSuite sometimes uses this term to refer to a span of dates, e.g., a SalesSummary report may contain all sales that occurred between Jan 1, 2007 andDec 31, 2007. In this example, the range is 365.

    Reported

    The reported date/time is when you said something happened, typically arrival ordeparture on a reservation or folio.

    This may be different from theactual date/time, which is when something happenedaccording to the computers clock.

    Report

    A report is data that KennelSuite can print on paper. Sometimes we use the term torefer to information that you may view on your monitor, which you may also chooseto put on paper.

    Reservation

    A reservation is something that is scheduled to happen in the future. KennelSuitecounts reservations when creating your forecasts, such as occupancy and revenue,but a reservation hasn't happened yet and the situation may change.

    All visits to your facility begin with a reservation.

    Sale

    A sale occurs at the moment of check out. Although you may have provided servicesor products during a pet's visit, KennelSuite does not consider them to have beensold until the folio is finalized during the Check Out process.

    Sales are listed on the Sales Summary reports.

    Surcharge

    A surcharge is added when you provide a special service. A surcharge is normally

    used when an owner arrives late or early for their appointment, or even before youhave opened or after you have closed.

    If you have configured check in and out times (Tools-Options-Days & Times),KennelSuite compares those times with the actual time of the check in or out. If theactual time is on the wrong side of your threshold, it will ask you if you want to addthe appropriate surcharge.

    You always have the option to select "do nothing" and the surcharge will be ignored.

    There are other types of charges you may add for extra services which could beconsidered surcharges, such as charging for the extra work of brushing a pet that ismatted, but KennelSuite considers them regular services that you add to the folio.

    KennelSuite's standard surcharges relate to the time of the check in and out.

    Transaction

    A transaction occurs at the moment when money changes hands. The DailyTransaction reports (detail & summary) list the payments you have received.

    Transactions are not coupled with sales. Your transaction reports will show thepayments you received but this is not related to your sales. The transaction reportsare usually used to balance the till at the end of the day and prepare bank deposits.

    There are many reasons for a transaction, such as a customer paying their charges atthe moment of check out, paying in advance for a service (someone else will collectthe pet), a deposit to hold a booking for a future holiday, paying after the service(they forgot their money and you extended credit), etc.

    The transaction reports list the actual payments you received, for any reason, on thedate you selected.

    Worksheet

    Worksheets are fundamental components of KennelSuite and to the operation of yourbusiness. There are many types of worksheets and each has a specific purpose.

    Worksheets contain specific instructions to your staff regardingfeeding, medication, activities, and grooming.

    You should print worksheets immediately before they will be used.

    Your instructions to the staff should be "If it's on this worksheet, pleasedo it, initial it, and give it back to me when you are finished".

    You can file the initialed worksheets for some period as documentationthat you did what your customer asked you to do.

    Since the worksheets contain only instructions for a specific part of each day, yourstaff can do their work quickly and efficiently. The Morning worksheet will probablybe different from the Afternoon version but staff doesn't need to be concerned withanalyzing or interpreting the details: If it's on this worksheet, please do it.

    You will normally print worksheets as a group immediately before they are used.This assures that the information is current and that all pets under your care willreceive their correct service at the correct time.

    It's usually a bad idea to print worksheets early. If you print the afternoon worksheetin the morning, there may be a problem. For example, if a new guest with medschecks in after you printed the afternoon worksheet, he won't be on the list, and maymiss his afternoon meds because staff didn't know.

    Printed reports about the future may not be trustworthy. They can become obsoletewith the next phone call. You should try to work with the most current informationavailable.

    Getting Started

    Welcome toKennelSuite IX Help

    To your left you will find a table of contents divided intobooks and topics. There is also an index. You should findthe answers to your questions here.

    If you prefer working with a printed manual, we haveincluded theKennelSuite IX User's Guide. This manualcontains the same words as this help system but isformatted for printing.

    You can take your CD to any printer or reprographicsshop. They will print the manual (Users Guide IX.pdf)and bind it for a reasonable cost. The manual is in colorbut you will save a considerable amount of money byasking them to print ingrayscale. You should ask them toprintdouble-sided.

    InstallingInstalling KennelSuite is mostly automatic and requires little input from you. Unlessyou have a specific reason for not accepting the default choices, you should simplyclickNext when prompted.

    Installing the Basic and Professional Editions

    1. Insert the CD and the installation will begin. Or you can access the CDwith My Computer and double-click the executable, typically calledsetup.exe

    2. Follow the prompts from the installer and make the choices that suityour needs.

    3. For installation type, make sure you chooseStandalone(default).

    Installing the Enterprise Edition

    You should consider hiring a professional to install and configure your network andinstall KennelSuite for the first time. Plane Software's technical support can help youinstall our software but we can't help you with installing, configuring or maintainingyour network.

    Network & Windows

    1. Decide which computer will be the server. There is only one server. Allother computers are calledclients. The server may or may not be themost powerful machine. Many factors, including physical securityshould be considered. KennelSuite does not require a dedicated server.

    2. Your network must be up and running.

    3. We do not recommend wireless. KennelSuite runs on a wireless

    network but wireless is very slow and unreliable compared to copperwire.

    4. Each computer and the hub or router should be supported by anuninterruptible power supply (UPS), also known as a "battery backup".

    5. All peripheral equipment, such as printers, modems, etc. should besupported by good-quality surge suppressors.

    6. The drive or folder that will contain the database must be shared.

    7. Security must be set on the server computer to allow clients to connectand modify the database.

    Installing KennelSuite on the Server Computer

    1. Insert the CD and the installation will begin. Or you can access the CDwith My Computer and double-click the executable, typically calledsetup.exe

    2. Follow the prompts from the installer and make the choices that suityour needs.

    3. For installation type, make sure you chooseServer.

    4. The location for the program must be the folder you shared in step 6 ofthe network installation phase.

    5. When the installation completes, KennelSuite will give you theopportunity to license the program. Only the server needs to belicensed. If you don't install your license, KennelSuite will run as anevaluation at the Professional level and you won't be able to access thedatabase from multiple computers.

    Installing KennelSuite on the Client Computers

    1. The network must be up and running and KennelSuite must be installedon the server.

    2. Insert the CD and the installation will begin. Or you can access the CD

    with My Computer and double-click the executable, typically calledsetup.exe

    3. Follow the prompts from the installer and make the choices that suityour needs.

    4. For installation type, make sure you chooseClient.

    5. You will be asked to browse across your network to locate the sharedfolder you created on the server that has the database.

    Licensing KennelSuite

    When KennelSuite starts as an unlicensed evaluation, you will have the opportunityto install your license. Only the computer with the database must be licensed.

    When you purchased your KennelSuite license, you received your credentials. Theylook something like this:

    Enter this information exactly as shown into the licensing window. If you areworking with an e-mail you received, you can copy/paste.

    Documentation

    Take a moment to document what you have done and put it in the file for futurereference. For example:

    KennelSuite's location on the hard disk

    The name and location of the server (Enterprise)

    The data folder's sharename (Enterprise)

    The license serial number

    The location of the original program disk

    The location of the data backup disks

    The name and phone number of a local technician who knows you andyour hardware.

    StartingDuring installation, a KennelSuite icon was added to your desktop and new itemswere added to your Program Files menu system under the WIndows Start button.

    To start from the desktop icon, double-click it with your left mousebutton.

    To start from the Windows menu system, clickStart-Programs-Plane Software-KennelSuite IX.

    The evaluation copy of KennelSuite includes a sample database that already containsplenty of data. When you purchase your KennelSuite license, it will delete this andyou can begin adding your own information for production.

    Logging InThis section does not apply to the Basic Edition. Since Basic has no security, andtherefore no concept of individual users, it's not necessary to login or logout.

    To login to the Professional and Enterprise editions:

    1. Enter the username and password assigned by your administrator.

    2. Click OKor pressEnter

    If you are just getting started, login with the username 'Administrator' with nopassword. You will configure your security settings later.

    Main Window

    The main window is your gateway to all the features of KennelSuite

    The Main List is located on the Main Window, which is what you see when you startKennelSuite. The Main List has two parts.

    The bottom part lists your customers (KennelSuite calls them Owners) and their pets.

    The top part is a search tool that gives you various ways to locate them. You canalways scroll but it's usually faster to let KennelSuite find what you are looking forby using the search tool.

    To search:

    1. Choose thetypeof search by selecting an item from the dropdown listor by clicking theup/down arrowson the right side.

    The image will follow along with your choice and give you a visualindicator of what search type is active.

    If a Beginning search is selected, only names that begin with thecharacters or digits you entered will be found. If an Anywhere search isselected, all names that contain the characters you entered will befound.

    Example:

    Characters =stein

    Type =BeginningResults:

    SteinbergSteinhart

    Type =Anywhere

    Results:

    BernsteinSteinbergSteinhart

    It works the same for other types of searches.

    2. Type a few characters or digits and press the Enter key or click the Gobutton. They do the same thing.

    3. If your search found more than one match, you will see a window thatasks you to select the one you want. You can click or use the arrowkeys to select and then press theEnter key or click theOKbutton.

    They do the same thing.

    The selection in the main list will reposition itself to what you selected.

    Main List Settings

    When you right-click on an owner or pet, a popup menu gives you more choices. Thechoices apply to the item selected in the list. The Display options apply to the listitself.

    QuickLook Click the triangle to see a list of items under the QuickLook button.These are frequently used views of the status of your facility.

    Reservations This will display a new window with a list of the selected pet'sreservations. If there is none, you can create a new one. You can alsoselect an existing reservation to view or modify. A pet must be selectedin the main list.

    Folio This will open the folio for the selected pet. Only pets that are in thefacility (have checked in) have folios.

    History This will display a list of the selected pet's previous visits. By markinga box next to a previous visit, you can view the details and print a copyof the original receipt.

    Check Out This will begin the process of checking the selected pet out. If anowner is selected, and if the owner has one or more pets in your

    facility, KennelSuite will allow you to check any or all of them out as agroup.

    View Clicking this button will open the record for either an owner or a pet. Itdepends which is selected in the main list.

    to the owner selected in the main list.Reports This button will display a new window where you can select reports to

    view or print.

    Product Sale Click this button to make a retail sale that is not related to a pet's stayin your facility. This would be somebody who simply stopped by tobuy something.

    Logout Click this when you leave the computer. It will log you out ofKennelSuite, secure the system, and present the login dialog so the nextperson can quickly login.

    Exit Click this to exit KennelSuite and return to your Windows desktop.

    Guests

    This list includes all pets that have checked in and are in your facility. Theirscheduled departure date is shown in the Chk Out column. If any guests werescheduled to depart before today, the date will display in red.

    It's common to have overdue departures because customers often change their plansbut you should avoid having overdues. If your customer has been delayed, youshould double-click the row to open the folio and then advance the departure date.

    If there are medications, special feeding or activities, you should also adjust those.These schedules are tied to arrival and departure dates so the pet may not get thecorrect service. For example, if the pet was scheduled to go home yesterday, its

    medication requirements won't print on today's worksheet.

    Arrivals

    This list includes pets with reservations that have not yet arrived and checked in.

    Today Arrivals expected for today. If the are any reservations that were scheduled for anearlier day, they will be listed too but the check in date will be red to indicatethey are overdue.

    All All reservations. Depending on how far ahead you schedule your bookings, thisoption may produce a very long list.

    Date Use this option to see arrivals that are expected on a certain date.

    Status

    This section shows that general status of your facility as of now.

    Arr ivals & Departures This shows the number of pets who are arriving anddeparting today. The bars labeledpendingshow the eventsthat are scheduled but haven't happened. Thecompletebarsshow the events that have happened.

    Boarding, Daycare &Today's Grooming

    These bars show the number of pets who are checked in andare scheduled for these services.

    The table at the right shows the number of guests grouped by different criteria. Thetable will change when you select a group from the dropdown list above the table.

    Account

    The Account tab shows all charges and payments relating to the pet or ownerselected in the main list. When the balance is zero, it is displayed in blue for easyidentification.

    Report Toolbar

    Print Prints the report to the default Windows printer. This option doesn't allowyou to change the printer but you can control which pages you want to print.

    Export Click this to get a selection of formats for exporting the report data.

    Zoom This sets the way the report fills the screen. KennelSuite normally selectsthe best choice but you may want to change this. Your changes apply onlyto the current view.

    First Click this to go to the first page in the report

    Previous The page before the current page, if there is one.

    Pages The number of pages in the report. When some reports are first opened, thiswill be "1 of 1+". To improve performance, KennelSuite only loads the firstpage and therefore doesn't yet know the total.

    Next The next page in the report, if there is one.

    Last The last page in the report. Clicking this on a multi-page report will reset thePages display to indicate the total.

    Search Click this to search the report for any type of data.

    Events

    The lists important events actions that occurred in KennelSuite, who did it, andwhen.

    Logo

    This view is useful if you will be away from the computer and don't want a casualobserver to view any information. A better solution is to click theLog Out button onthe toolbar, which will secure the system.

    Main Status Bar

    This status bar appears at the bottom of the main window. It is divided into sectionsand each section contains one or more panels.

    Depending on what is selected in the main list, and the current user's groupmembership, different panels will be displayed.

    Depending on the available information and on the width of the main window, someinformation may be truncated. You can click a panel to get the full details.

    If neither a pet nor an owner is selected, only the calendar and the progress indicatorare visible.

    If an owner is selected, then the calendar, owner and progress sections are displayed.

    If a pet is selected, then everything is displayed.

    Actions

    Clicking a panel in the owner section will open the owner's record to the appropriatetab.

    Clicking a panel in the Pet section will open the pet's record to the appropriate tab.

    Passing the mouse pointer over a panel cause a popup that explains the panel.

    Security

    Members of the Staff group cannot see the owner's phone number and cannot openthe owner's record or the pet's record.

    Status Bar (Calendar)

    The calendar automatically adjusts its format to your locale and updatesapproximately every 10 seconds.

    Even though a clock normally displays on the Windows task bar, we have put one onthe KennelSuite window so you can maximize your viewing area by hiding theWindows task bar, yet still be able to see the date and time from KennelSuite.

    To hide the Windows task bar

    1. Right-click in an empty space on the Windows task bar

    2. Select Properties from the popup menu

    3. Mark the box labeledAuto-hide the task bar

    4. Click OK

    To display the task bar, drag your mouse to the very bottom of the screen and it willappear.

    Keeping CurrentEach time KennelSuite starts, it checks with the Plane Software server on the internetto see if there are any updates available. If there are, and if you are a member of the

    Administrators or Managers group, it will ask if you would like to install the newsoftware.

    Minor updates are very easy to install. You won't have to answer any questionsexcept "do you want to install this update?"

    If you have the Enterprise edition, you must update all computers on the network. Ifnot all computers can access the internet, you have several options.

    From a computer that does have internet access, download the updateand make it available to the other computers. Y ou can do this byputting the update on a disk or other portable medium and taking it toeach computer.

    Download the update and put it in a shared folder on your network thatthe other computers can access.

    If the previous options don't work for you, you can be sure to alwayshave the most current version by subscribing to our CD DeliveryService. If you subscribe to this optional service, we will mail a freshCD each time we release an update. You can order from our website orcall our sales office.

    You may notice that some of the size assignments don't necessarily agree with yourpersonal experience. The sample database was generated by computer so there aresome idiosyncrasies.

    You may change existing items and add or subtract from this list to suit your needs.

    The size refers to the size of the animal and not the size of the enclosure in which itwill be housed.

    The size list is populated from the list you defined on theSizestab.

    You can't delete a breed if there are any pets in the database that are of that breed.

    Vaccinations

    Species Add the vaccinations for each species. Selecting the species in the leftcolumn will show only the vaccines appropriate for that species.

    The items in the Species column come from the definitions you entered ontheSpecies tab.

    Vaccine When you click theNew or Changebutton, you can name the vaccine.

    Required Mark the box if you require this vaccination.

    If you want to track a pet's vaccination status for shots you don't require,you should enter the vaccines here. They will display on the pet's recordbut KennelSuite won't warn you about expirations because you don'trequire them.

    On each pet's record, you can indicate that that pet doesn't require a certainvaccination, even though you require it for other pets.

    When you are working with a reservation, KennelSuite will tell you thatthere is a problem with a pet's vaccinations but it won't prevent you fromaccepting the pet.

    General Lists

    You can add whatever items you need for the way you operate your business. Theitems you add here are used in other parts of the program as a way to enforceconsistency and reduce typing.

    Medications You use these items when you schedule meds on a pet'sreservation or folio. You may change existing items and add orsubtract from this list to suit your needs.

    Special Diets You use these items when you schedule a diet on a pet'sreservation or folio. You may change existing items and add orsubtract from this list to suit your needs.

    Feeding Quantities You use these items when you schedule a diet on a pet'sreservation or folio.

    This list is sorted alphanumerically.

    Credit Cards These items are available when you receive a payment. You maychange existing items and add or subtract from this list to suityour needs.

    Grooming Skills You use this list of skills to match a certain grooming servicewith the groomers who have the skills necessary to do the job.

    KennelSuite Basic does not support Grooming Skills.

    If you will be using the skills matching, this is the first step increating the system. After you list your skills here, you must then

    assign them to the grooming services in your price list and toeach groomer.

    Referrals You use this list when you are working with an owner's record.You can use it to indicate how the owner heard about you.

    Veterinarians

    Before you can select a vet on a pet's record, the vet must be in this list. As part ofyour initial configuration, you should add your local vets to this list.

    The "None" vet is required by KennelSuite and can't be deleted. Each pet must havea vet but if you don't know, assign "None".

    Facility Options

    Location Your company's name and basic address are encoded in your licenseand you can't change them by yourself.

    If you have changed your business name or moved to a new location,we will issue a new license with the current information. Please contactus if you need a revised license.

    Tax/VAT ID If your government requires you to display your tax number on receiptsand invoices, enter it here. If there is data in these fields, KennelSuitewill print it at the top of quotes, receipts and invoices.

    Holidays This lists the dates that you consider holidays. KennelSuite uses thesedates to set the colors on many calendars and to warn you if you arescheduling something for a date when you are closed.

    Split Mark this box if you close for a period during the day.

    Display times onSnapshot

    Mark this box if you want KennelSuite to display the check in and outtimes on the snapshot tab on the main window.

    If you don't enforce these times, you can save space and make thesnapshot easier to read by not selecting this option.

    Grooming Options

    Groomer Select the groomer whose schedule you will be working with.Only members of the Groomers group are listed here.

    Open The time the groomer begins work on the selected day

    Close The time the groomer stops work on the selected day

    Holidays These are dates the groomer will not be working because of apersonal holiday

    Appointment Length The default length is used when you schedule an appointment ona reservation or folio. When you enter the appointment time,KennelSuite calculates the Promise time, or the time you say thepet will be ready, based on this value. You can always change

    the promise time on a reservation or folio.Appointment Day For a boarding pet, many facilities try to groom on the day the

    pet will go home but many others prefer to do it the day before.

    Enter your preference here and KennelSuite will pre-set thegrooming calendar on a boarding reservation if you choose toadd grooming.

    Prevent check out Each folio with grooming has a checkbox that indicates whetherthe grooming is complete and the pet is ready to go home. Whenthe groomer completes a pet, she marks the box.

    If the receptionist begins the checkout process on a grooming petand the pet is not ready, KennelSuite will give you a warning.

    This feature is normally used with the Enterprise edition whenthere is a computer in the grooming room.

    Files & Backup Options

    These items tell KennelSuite where it will find its data. Unless you have a specificreason to change the defaults, it's usually better to work with KennelSuite's standardsettings.

    The exception is the backup location. Youmust tell KennelSuite the correct location.This information depends on your preference and your computer's hardware.

    DatabaseLocation

    This is the path to the main database. Do not change this unless youhave a specific reason. Making a mistake here may preventKennelSuite from starting.

    If you have the Basic or Professional, it will look something like this:

    The locations for images and templates are always below the data folder.

    BackupLocation

    KennelSuite will use this path for writing its backup.

    This can be any placeexceptthe same folder as your active database.

    This path should be on a removable medium, such as USB flash drive,Zip drive, tape drive, or CD-RW. It can also be a folder on anothercomputer on your network.

    If you run an automated backup process, you still must manually backupthe KennelSuite database daily because it does important maintenance tokeep the database healthy.

    ImageLocation

    This is the path to the images (photos) you have added to the pets'records.

    When you add a photo to a pet's record, only the path to the image isstored in the database. If you store photos, you must decide on thelocation of the actual files and be consistent.

    TemplatesLocation

    This is the path to the HTML templates KennelSuite uses to send e-mailto your customers.

    Verify backupdisk label

    If you are backing up to removable media (USB, CD-RW, etc.) youshould use a different disk for each day of the week. If your hard disk can

    fail, so can a backup disk. One technique is to have one disk for each dayof the week and give each avolume label, e.g., MONDAY, TUESDAY,etc.

    If you select the Verify option, KennelSuite will check to see if the labelon the backup disk matches the current day of the week.

    Compression Backup compresses the database into a single file thats compressedaccording to standard WinZip format. We recommend the Low setting.

    Encryption Backup can secure your compressed backup by encrypting. AESencryption is a standard used by industry and government for sensitivedata. Its essentially unbreakable sodont lose your password and keepit secret. Write it on paper and keep the paper in a secure location, suchas a fire safe. If you forget your password, you will never be able to usethat backup.

    General Options

    Inactivity In this context, inactivity means that you are not typing on the keyboardor moving the mouse.

    If a computer is in a semi-public place, it's good practice to logout whenyou leave the area, which secures the system and prevents someone fromusing your login for his or her own purposes.

    This may or may not be important to you in your environment.

    The timer is calibrated in seconds, so 600 seconds is the same as 5minutes.

    When the time has elapsed, the program will be suspemded and the Logindialog will appear.

    Required atCheck Out Select these options to require your receptionist to collect extra dataduring check out.

    ConfirmationNumber

    Each new reservation is assigned a unique confirmation number. If thisitem is selected, the number will be displayed when you save thereservation for the first time.

    A confirmation number is a unique, arbitrary series of letters and numbersthat form a code. You shouldn't be concerned with its meaning.

    If you make a reservation while your customer is present or on the phone,you can immediately tell them this number.

    Overdues When KennelSuite starts, it checks to see if there are any reservations thatshould have checked in before today. It also checks for any folios thatshould have checked out before today.

    It's important to keep your database current so you should deal with theoverdues promptly.

    If it's an overdue arrival, it may be necessary to delete the reservation if

    the owner has changed their plans and won't be coming.If it's an overdue departure, you should open the folio and advance thedeparture date.

    Members of the Administrators will always see the overdue list whenthey login to KennelSuite. If you want others to see it, typically managersand receptionists, mark the appropriate boxes.

    Text These control the size of the text on the toolbar and alphabet buttons.

    Location Filter When working with a pet's reservation or folio, you have the opportunityto assign its location. This setting applies to all reservations and folios.

    You can change the setting while working with any reservation or foliobut it will revert to this setting the next time it is opened.

    All: All locations are listed.

    Vacant: Only those locations that are vacant for all the days in of thepet's stay are listed.

    The Vacant setting won't help you unless you set the arrival and departuredates before selecting the location.

    Override Color When you work with a pet's reservation or folio, KennelSuite will go tothe price list and get the correct price for the selected item.

    In some circumstances, you may want to override the regular price orquantity.

    When a quantity or price is manually changed, the background willchange to this color as a visual indicator.

    Frequent manual changes indicate that you should spend more timeconfiguring your price list so KennelSuite can do the work for you, andyour bookkeeping will be more consistent.

    Main ListPictures

    The Main List is the list at the left of the main window that contains theowners and their pets.

    This setting changes the way KennelSuite displays the small boxes nextto each owner and pet name.

    You can also change this setting by right-clicking on an owner or petname in the list and selecting from the popup menu.

    User DefinedOwner Data

    On the Status tab of an owner's record, there is a section called UserDefined. This is a place where you can store bits of information for yourown use.

    To help your staff remember what this special field is for, you can addyour own label here.

    The text you add will be automatically preceded by an underscore underthe first character, so you can use the Alt-combination to select itquickly.

    KennelSuite will also automatically add a colon (:) at the end to beconsistent with Windows conventions.

    Logo Options

    KennelSuite can display an image, such as your logo both on the screen and on theprinter. You may want to consult with a graphics professional to develop images thatwill work well both on the screen and on paper.

    The images must be in BMP, GIF, JPG, or WMF format.

    Screen This image appears on the Logo tab on the main window.

    A good starting point when designing an image for the screen is about450x400 pixels at 72 dpi.

    To add an image, click Select and browse to locate it. I f you later movethe image or change its name, KennelSuite won't be able to find it andwill display an error.

    To remove an image, click Clear.

    Print This is the image that appears at the top of some printed reports, such asquotes, receipts, and invoices.

    Your printed image will be centered at the top and should not exceedabout 2 inches (50mm) on a side at 300 dpi. KennelSuite will try toaccommodate a larger size but it may encroach on other information,such as your business name and address.

    To add an image, click Select and browse to locate it. I f you later movethe image or change its name, KennelSuite won't be able to find it andwill display an error.

    To remove an image, click Clear.

    Border Style This controls the appearance of the border that frames your logo on the

    main window. It doesn't apply to the print logo.

    Hardware

    You do not need any special printers to use KennelSuite. Almost any modern inkjetor laser printer that uses standard (Letter/A4) paper will do everything you need.

    If you want to take advantage of KennelSuite's advanced printing abilities, you maywant to have different printers for different jobs.

    KennelSuite will automatically route print jobs to up to three different printers. Theavailable printers are the ones you have installed in the Windows Control Panel.

    KennelSuite reads the list provided by Windows and doesn't know anything aboutthese printers. They are just names. Since you are the only one who knows whatthese printers are, you must be careful to select the correct ones and choose thecorrect paper sizes.

    If you have only one printer that supports standard full-size paper, select it in each of

    the three sections.

    Receipt Printer

    This printer will print receipts. If no printer is selected, receipts will not print. Becareful to select the paper size that matches your printer.

    Run Card Printer

    This printer is dedicated to printing run cards (cage cards, kennel tags, etc.) If noprinter is selected, no run cards will print.

    Options

    Owner address The owner's home address will print at the top of the full-size run card if this option is selected.

    You may want to turn this on if you will include thecontract section for the owner to sign

    You may want to turn it off for security if you will beposting the run card in the kennel.

    Contract The contract text you defined inTools-Options-Contractwill print on full-size run cards if you select this option.

    Signature line If you want the owner to sign the contract, turn this on and asignature live will print at the bottom of the full-size runcard.

    Diet details The preferred method for giving your staff feedinginstructions is with a worksheet(Reports-Worksheets-Special Diet) but, if the diet issimple, and doesn't change, you may want to print it on the

    run cards.

    Be careful because space is limited and the completeinstructions may not fit.

    Use color If you have a color printer for run cards, selecting thisoption will print the indicators for medication, activities andspecial diet will print in colored boxes, and the run cardalerts, which you defined inPets-Miscellaneous-Alerts orat the bottom of a reservation or folio, will print in red.

    You may want to reduce expenses by turning this off andprinting in grayscale.

    Cash Drawer

    If you have a supported cash drawer and you want KennelSuite to open it when youreceive a payment, make your selections here.

    Display

    If you have a customer (pole) display, make your selections here. For a serial deviceyoull need to know the port and speed required by the device and the settings foryour computers serial port. Youll get this information from the manuals thataccompanied your display and computer.

    Report & Invoice Printer

    This printer prints everything that isn't a receipt or run card. You should select thecorrect paper size that is supported by your printer.

    Problems may occur with certain printers when printing specialty jobs on odd-sizepaper or card stock. This is especially true when printing index cards on some inkjetor laser printers, or receipts on some dedicated receipt printers.

    We cannot guarantee that everything will print correctly on your specific printer orpaper size

    Receipts and run cards will print correctly on the dedicated receipt printers we selland support but we don't have a way to test on all the other brands and modelavailable on the market.

    PetDetect

    If you print collars and labels with the PetDetect system, select the PetDetect printerhere. If there is a printer selected, you will see this dialog when you print run cardscollars & tags.

    If a pet is scheduled for medication or special diet, the Count field in the Tag sectionwill update automatically.

    If you dont want to print anything, you can click Cancel or press theEsckey.

    Location Options

    Locations This is where you add your locations and assign your own identifying locationcode. The locations are grouped by the Sizes you defined in Pet Detailssection of theListsconfiguration. Note that the sizes refer to the pet's size andnot to the size of the location.

    KennelSuite does not understand the significance of your numbering system.The location codes are simply a way for you to keep track of where a pet isbeing housed.

    You should keep your location codes short, perhaps a maximum of 7characters, because there is a limited amount of space available on somescreens and reports.

    ThePhysical column contains the number of locations you have configured inthe Locations list at the left of this dialog.

    TheWarningcolumn is where you put the threshold where KennelSuiteshould warn you that you are approaching capacity.

    TheCapacitycolumn is where you put the threshold where KennelSuite

    should warn you that you have reached or exceeded your capacity.You should use your experience to set your thresholds. For example, if youhave 50 large runs and you know that large runs tend to sell quickly duringbusy times, you may want to set theWarningthreshold to 35. This will alertyou to start being more selective in the bookings you accept so you can savespace for your good customers who may call late.

    If experience has shown that there tend to be 3-4 cancellations at the lastminute, you may want to set theCapacity to 53.

    KennelSuite will never prevent you from accepting a booking based on yourphysical capacity because it can't understand the nuances of your policies. Itsimply changes the colors on your Occupancy Forecast when a threshold hasbeen met or exceeded and you decide how you want to handle it.

    Contract Options

    This is where you enter the text of your contract. The contract prints on the full-size(Letter/A4) run cards if you have enabled that feature.

    You should keep the size of the contract small enough so it fits in the space providedon the run cards, which may take some experimentation.

    If your contract is long or has special formatting, you should print your contractsseparately using word processing software.

    Localization Options

    Localization refers to the adaptation of a product, application or document content tomeet the language, cultural and other requirements of a specific target market (a"locale").

    Most of KennelSuite localizes itself automatically by getting your preferences fromWindows. This includes formats for dates, numbers, currency, collating sequences,etc.

    This is where you set your preferences that are specific to KennelSuite.

    Language The user interface (what you see on the screen) is available indifferent languages. The French version is mostly in English butmany words involving finances have been translated. KennelSuiteproduces financial documents that conform to the requirements of

    some bi-lingual locations such as Quebec, Canada.Address Format Select the style you want for your default address.

    This format is used for your owner and veterinarian addresses. Youcan switch the format for each customer and vet if he or she lives ina place that uses a different format than the default.

    Country This should normally be set to your own country.

    Telephone Format This is where you define the format (appearance) of telephonenumbers. Phone numbers are stored in the database as strings ofdigits and the formatting is applied according to these settings beforethey are displayed on the screen.

    Number with less than 5 or more than 16 digits are not formatted.

    To apply your own formatting style, select each and clickChange.

    The "#" will be replaced with the actual digits. You can enter anyletter or punctuation you want.

    Alphabet If your alphabet has more characters than the English alphabet, youcan add them here.

    FlexRate Options

    FlexRates apply only to services in the Boarding category. You set your FlexRatesprices in the price list (Lists-Prices-I tems). Y ou can enable or disable FlexRates foreach boarding service.

    Flex Names You may wish to change the default names to suit your preferences. Thenames you enter will be used by KennelSuite and will print on yourcustomers' quotes, invoices, receipts, their pet history, and in their account.

    Days Select which FlexRate level applies to each day of the week. KennelSuitewill automatically adjust the pricing for each day of the pet's visit.

    Dates You can select individual dates or ranges of dates. The selected dates takeprecedence over the days of the week.

    For example, let's say you selected Wednesdays to use the Economy level,

    and you selected Dec 27, 2009 to use the Premium level. Even though thatdate is a Wednesday, KennelSuite will use the Premium price.

    FlexRate Pricing

    In addition to KennelSuites regular FastPath pricing, there is another dimensioncalled FlexRate. You can assign individual days of the week, or different dates (orranges of dates) to a different FlexRate level: Standard, Economy or Premium. Eachlevel can have a different price.

    A date takes precedence over a weekday when the price is calculated. For example,if you have set each Wednesday to have an Economy price, and you have set eachday between December 20 through January 2 as a Premium day, then eachWednesday in that date range will be a Premium day.

    Once you have enabled FlexRates and set the days and dates, KennelSuite willautomatically calculate the correct mix of prices for the boarding services onreservations and folios.

    If FlexRates is active, the boarding items on receipts, invoices and quotations, will

    be listed on separate lines so you and your customer can easily see the differentquantities and prices for each FlexRate level.

    FlexRate indicator

    You will notice a small graphic next to the Extended Price field that explains howthe price was derived. Click the graphic to see this:

    The boarding charges for a single visit may be comprised of many different ratesdepending on how you have configured FlexRates.

    Since there is only one space each for quantity and price on the reservation and folioscreen, it may be necessary for KennelSuite to display an average of the prices.

    If this is the case, both the quantity and price fields will be disabled and cant bemanually changed. KennelSuite must control these fields.

    Examples:This indicates that the boarding charge is derived from FastPath's Size level andFlexRates is active but all days are at the Standard level.

    Since all days are at the same FlexRate level, you can manually override the price.

    This indicates that the price is derived from FastPath's Breed level and that the Standardand Premium FlexRate levels are in use.

    Since FlexRates is using different levels, the price displayed is an average and you can'tmanually override the price.

    Color Options

    People have individual personal preferences and requirements regarding colors.These color settings can be customized by each KennelSuite user and are used eachtime that user logs into KennelSuite.

    Calendars This is where you change the colors KennelSuite uses to indicatespecial days on many calendars, especially on reservations and folios.

    To change a color, click the correspondingColor button. If you wantto set the colors back to KennelSuite's defaults, click theReset button.

    On most calendars that use these settings, you can pass the mousepointer over a colored day and KennelSuite will tell you what the colormeans.

    Status Charts These charts appear near the bottom of the snapshot view on the mainwindow.

    Pending means that something is scheduled to happen but hasn't.Complete means it happened.

    To change a color, click the correspondingColor button. If you wantto set the colors back to KennelSuite's defaults, click theReset button.

    Grid This applies to many of the grids used by KennelSuite, such as thoseon the snapshot tab on the main window, and the Performance tab onowner and pet records.

    Internet Options

    Most of the information in the E-mail section will be provided by your InternetService Provider (ISP)

    Servers These are the addresses of your mail servers. Get thisinformation from your Internet Service Provider (ISP). You willalso find it on e-mail program's configuration section.

    Display Name The name that will appear on the From line of the mail yousend

    E-Mail address The address that will appear on the From line of the mail yousend. If the recipient replies, the mail will go to this address.

    User Name The name or ID you use to logon to your e-mail account. Get

    this information from your ISP

    Password The password you use to logon to your e-mail account. Get thisinformation from your ISP

    Send confirmation fornew reservations

    If this is selected, you will be asked if you want to send aconfirmation each time you save a new reservation.

    Send a copy to me If this and the previous box are selected, you will receive aduplicate of the message sent to your customer.

    Subject line The text that will appear in the subject line of the message yousend to your customer

    Template KennelSuite will use this file as a template for yourconfirmation message.

    This is an HTML document that you will edit and customize to

    suit your needs. It is normally stored in the \templates folder,which is located under your \data folder but you can put itwherever you choose.

    Test Settings Use this after you have entered all the information in theServer, User Name and Logon areas. If you entered the correctsettings, it will send a test message to you, which you shouldreceive almost immediately in your normal email program.

    If the test message is not sent or received, verify yourinformation. Please do not call KennelSuite technical supportbecause we cannot help with your personal account

    Errors In order to improve our software, KennelSuite is able to senderrors directly to Plane Software. This data is inserted into adatabase and it helps us identify what problems our customersare having problems with the software.

    The only personal information that is included is your companyname and the name of the computer that had the error. You canremove this information by checking the Anonymous box.

    If you choose to include your companys name and computersname, we may contact you to learn more about the error or tosuggest a resolution. However, our privacy policy prohibits usfrom using this information for any purpose other than to helpyou. We hope you will allow your name to be included in themessage.

    We strongly encourage you to leave the option set toAutomaticbecause we can fix problems faster if we get real-time reports from our customers.

    KennelSuite can detect whether you have an internetconnection and it wont try to send an error if you arentconnected. Its best to leave this setting onAutomatic.

    Alert other computers toupdate their screens(Enterprise only)

    When an Enterprise computer does something that mayinvalidate the data displayed on other computers, it tells theothers what it did and each computer reacts appropriately.

    On large and busy KennelSuite networks, this updating may bea distraction. If you clear the checkbox, the computers wontalert each other and youll have to update the screens manually.

    On a busy network this may not be an inconvenience becauseeach computer is constantly updating its own display as normalwork is being done.

    Before you can use KennelSuite for sending e-mail to your customers, it must beconfigured with your specific information.

    Your computer must have a functional e-mail client installed. If you get your mailfrom a web browser and don't use a local program, you must still have somethingthat KennelSuite can use as a transport system.

    Microsoft has included a simple mail client named Outlook Express (OE) with everyversion of Windows 2000 and XP. Even if you use a browser and don't use or careabout OE, you can enable it for free so KennelSuite will have a way to reach theinternet and send mail on your behalf.

    Perform the basic setup for OE and verify that you can send mail. Once OE or anyother local e-mail program is working, KennelSuite can use it to send mail to yourcustomers on your behalf.

    You can disable the system by clearing the check in the "Send confirmation..." box.

    As an added level of safety, you will be prompted with the destination address andasked if you want to send this message.

    From the main window:

    1. Click Tools ->Options

    2. Click the E-Mail tab

    3. Enter all required information

    4. ClickTest Settingsto send yourself a test message.

    Comment Options

    This is where you define the text that will print at the bottom of the quotes, receiptsand invoices you give to your customers. It can be any text you want.

    Password

    This is the first thing you will see after clickingTools-Security. This is where a usercan change their password. User passwords are confidential and only the user whoowns the password can change it.

    Passwords are case-sensitive and may contain letters, numbers and punctuation.

    Passwords are encrypted before they are written to the database.

    Name The full name of the current user (that's you)

    Old password Your current password, if any.

    New password Your new password. The characters aren't displayed.
