Early Alert Process Instructors are sent an email during the 4th and

12th weeks of the semester with a link to class rosters where they can alert which students are at-risk.

Students receive an email detailing the reason for their alert and which instructor sent the alert.

Advisors have the ability to see which students have been alerted on a daily basis and contact them to follow-up.

Once a student has been contacted, advisors log any communication details specific to each student.

Early Alert DataUse performance indicators such as GPA and

credit completion rate to determine the effect Early Alert has had on students:◦ Week 4 Alerts: Have students completed their

courses? Are the credit completion rates higher than last year?

◦ Week 12 Alerts: Have the number of withdrawals increased? If so, have the number of Fs and FNs decreased?

Determine the most effective types of intervention. Are students who engage in one-on-one meetings with advisors more successful than students who limit themselves to phone conversations with advisors?

CommunicationsWe have the ability to segment the

population by specific attributes (i.e. major and age) to send more precise communications.

Multiple means of communication are available, including phone calls, texting, letters, and emails.

Several departments around campus have the desire to utilize the communication tools in Retain.

Tracking how often emails are opened and by whom is possible.

Surveys

Another way to identify and follow-up with at-risk students.

Based on results of surveys, we have the ability to follow up with specific communications.
