This guide will take you through the steps to organise your product list in a chosen outlet / store.

Stock positioning

You can customise the order in which products are listed in the outlet’s product tab, this will also update the stock take count sheets (csv export, pdf) allowing you to set out the sheets to match the product layout you’re in the bar / store.

The stock take count sheets can be printed off and a copy taken to the bar /store allowing you to record the closing values of stock for each product

Stock take count sheet will display in the order as set in the product list for the bar

Guide:

There are three ways in which you can set a products position:

Onscreen via the product tab Product list csv export Stock count csv export (used to update the order once the original set up has been

completed)

Note: Each outlet / store products position must be updated separately i.e updating the position of products in the cellar will not affect the position of products in the function bar.

Assign a products position on screen via the product tab:

Click on the Advanced Stock Control tab and select ‘Outlets / Stores’ from the submenu

A list of your current outlet and stores will display on page.

Click on the view products icon to take you to the list of product in this outlet / store

A list of all products in the outlet / store will display on screen.

Next to each product will state its current position number.

All products which have yet to be assigned a position will be set to 0 as a default and will be arranged alphabetically by order of Category/Sub Category/Tertiary Category.

To re-organise the products positions to the required format assign each product a position number.

Position allocation must be entered as a whole numerical figure.

The system will arrange the product in ascending order with the smallest position number located at the top of the page ( with the exception of products with a value of 0 will default to be at the bottom of the list)

Once you have assigned the position numbers, scroll down to the bottom of the page and press ‘Save Bin, Position and Par Setting’ button

The below message will display on screen to indicate the positions have now been saved.

You will be required to reload the page for the product list to display in the new order. To do this simply click on the yellow ‘Products’ tab at the top of the page.

If you assign two products with the same position number the products will be ordered by the following: Position Number/Category/Sub Category/Tertiary Category.

You can reorganise the position of a product at any time by assigning a new position number to the product and pressing the ‘Save Bin, Position and Par Setting’ button.

Please note: it is not possible to set a products position number back to 0 once it has already been assigned. If attempted the current position number will be held.

Custom products

Custom products are kept in a separate table in the product list therefore it is not possible to order these products and full products together.

You can set the order in which the custom products are displayed in their own table, by assigning them their own position number in the same way as the full products.

Assign products position numbers via csv export

Products can also be assigned a position number via the product list csv export.

To export the product list please follow the below guide.

Click on the Advanced stock control tab and select ‘Outlet / Stores’ from the submenu

A list of your current outlet and stores will display on page.

Click on the view products icon to take you to the list of product in this outlet / store

Located at the top of the page will be the ‘Import / Export’ yellow tab.

From the list of available options click the ‘Export Product’ button to open up the product list for this outlet in the csv file.

The csv export will contain all active product listed in the chosen outlet. Please note any product that has been binned will not display on the export.

To assign a product a position number simply enter in the number into column T next to the required product.

Note custom products will always display below true products but can be organised between themselves by assigning them separate position numbers. (Custom products are indicated by the PID number containing the letter C before the number e.g C18896)

Once the products have been assigned save the document (you must save the file type as a CSV file)

Importing the changes back to system

Once you have saved the file you will then need to import the changes back into system

From the ‘Import Export’ tab (where the csv product list was originally exported from) will be the ‘import settings’ box.

To Import you file click on the ‘browse’ button

From the pop up double click on the file you wish to import back into this outlet / store

The file name will then display in the import box

Press the ‘Import’ button to complete the upload. If successful the below message will display at the top of the screen

Click on the products tab will now display the products in the assigned order

Updating the product position will also update the products positions in following areas

Selling and cost prices: product list (screen), csv export, Stock taking: product list (screen), csv export, PDF stock count sheet
