Love, Loyalty, Friendship

Dear Ohio Daughters,

Here we are beginning the third and final year of the McCann Administration and I want to say a huge THANK YOU to the Ohio Daughters for your remarkable accomplishments over the past two years. Your participation is outstanding and your chapters are doing some incredible work in your communities. We have much cause for CELEBRATION! as we continue our efforts in Historic Preservation, Education and Patriotism. I look forward to visiting more chapters and greeting the Daughters who make OSDAR such a very special organization.

The State Information Packet (SIP) is one of the tools you will use in your committee work as it is the go to resource for your officers, committee chairmen and members to use. Please take the time to become familiar with the contents. The SIP will also be available to download at www.ohiodar.org/members after Fall Fun Fair. Please share this information within your chapter, as well informed members are essential to the success of your chapter.

The State Board of Management and State Chairmen are available to your chapter for programs, workshops and other assistance as needed. Contact them by email, phone or mail. You can find their contact information in the SIP and in the 2015 OSDAR Directory. Our primary objective is to help you accomplish the work of DAR. You will find an amazing pool of talent in these knowledgeable ladies and the sole purpose of their jobs is to help chapters succeed.

Wishing you all the best for a successful DAR year!

With Love, Loyalty and Friendship,

Sandy

State Vice Regent

Nancy Schirm Wright, State Vice Regent12 N. High Street, Canal Winchester, OH 43110-1109614-920-3835 (H); 614-271-8983 (C)[email protected]

It is exciting to see the continued enthusiasm of our members as we start the final year of the McCann Administration. Our Ohio Daughters are so creative in carrying out our objectives of Historic Preservation, Education and Patriotism, while following our State Regent’s Theme of “Love, Loyalty, Friendship.”

One of the gems in the Ohio Society’s crown is the Christian Waldschmidt Homestead (CWH) and your Vice Regent is so honored to serve as Chair of the Board of Trustees and as its liaison to the State Board of Management. With the Visitor’s Center work basically complete, the focus of our efforts have shifted to the other buildings and the grounds. A great date to plan a visit would be September 19h when we will have the Constitution Day at the Homestead event. Besides touring the buildings, you will learn so much about our wonderful Constitution.

Our team of officers and chairmen is here to assist you with whatever questions or problems you may have with any part of DAR. This officer wishes you a successful year and looks forward to hearing about your great accomplishments in 2015. Let’s show them how exceptional our Ohio Daughters are. O-H…

State Recording Secretary

Yvonne Yerian Hiteshue2770 US Hwy 42 SWLondon, OH 43140-8719614-560-4219/[email protected] Chapter Regent Report: Each year the chapter regent is required to submit a report of the activities of the chapter for the year to the State Regent, State Recording Secretary and District Director. The report should include any special programs, events or accomplishments and be summarized in 300 words or less.

Send the report as a word document attachment to the State Regent, State Recording Secretary and your District Director by February 15, 2016. Do NOT scan the report or send as a PDF, j-peg, or other format that will not let me edit. I need to be able to cut and paste. I don’t mind if you need to send the report within the body of an email. I just would like to avoid having to retype your work.

Do NOT send the report through the state website. I have been receiving those emails, BUT the format makes it difficult to cut and paste.·         Stay within the 300 word limit.·         Send in Times New Roman (although this is easy to adjust)·         Write in paragraph form. Remember that this is for a book and space is costly. So, avoid including lists.·         It is not necessary to begin the report by sharing that the chapter begins each meeting with the Ritual, National Defense, etc.

Annual State Officers and Chairmen Reports: Please send the report that you will be delivering at State Conference to me via email by March 5, 2016. State Officers are allotted three minutes and state chairmen have two minutes to give their report.

6

Page 7: ohiodar.orgohiodar.org/members/docsforms/0_old_forms/SIP_2015.d…  · Web view“Betty Zane – Fort Henry ... docx extensions) cannot be read by older Word versions. ... white

Send your report as a basic word attachment. You may just give it to me in the body of your email if you are not comfortable with attachments. Do NOT send me a picture of your typed report. Do NOT send me a pdf that cannot be edited.

Write your report in proper paragraph form. Do NOT send me a report with bullets, lists, charts. I cannot use that much space in the Proceedings Book. For your personal copy, and for ease of reading, you may prefer such lists. Just keep that version to yourself and give me the "proper essay format."After you give your report at State Conference, hand me a printed version of your report. This will ensure that I have it and have any changes you made at the last minute.

Some helpful hints to State Chairmen for the conference: Practice giving your report at home. Two minutes go quickly, and you WILL get the bell! If you are cut

off, I will print your entire report as long as it is not excessive. Watch the agenda at the conference Saturday and make sure that you are in the room and ready to move

to the jump seats. Follow the pages' directions. Enter and exit the platform as requested. Only address the presiding officer. Do not acknowledge anyone else! Simply state: "Madam State

Regent ...”. Give another copy to the Recording Secretary (Yvonne) before you exit the platform. Don't forget to check the picture schedule in the back of the program book to make sure you are in the

group photo Saturday. State Chairmen process Saturday evening into the banquet.

Annual Proceedings Book: This officer compiles the complete record of the State Conference, the Chapter Regents Reports, and the State Bylaws and Standing Rules as a document which is distributed to the State Executive Board, Honorary State Regents, State Chairmen, other elected and appointed members, and to the Chapter Regents for the chapter records. The recipients will receive the Proceedings Book as a PDF email attachment. A limited number of books will be printed. Payment and the order form must be received by the State Recording Secretary by July 1, 2016. The order form will be in the State Newsletter.

Chapter Master Report (CMR) – Chapter Regent, Treasurers & Chapter Committee Chairman

The Chapter Master Report (CMR) reflects your chapter activities and contributions January 1, 2015 through December 31, 2015. This report is accessed through e-membership and is to be completed by the Chapter Regent, Chapter Registrar and Chapter Committee Chairman if needed. This report is to be completed by January 25, 2016. CMR results are used by State and National Chairmen for committee awards and official reports. If you need help or are a new Regent, please contact me by email or phone and I will help you. Access the CMR soon and read through the questions, you might get some ideas for your chapter meetings. You can begin work on the CMR soon and go back in and add more events and activities as you progress through your program year. Save your work every time you access the CMR. You will be able to go back in as many times as you want to update the information until the deadline. Do not wait until the last minute to start your Chapter Master Report. You will be contacted by this officer, your District Director and other state officers if you do not access your report in a timely manner.

A webinar to help you with the CMR can be found at: https://www.youtube.com/watch?v=LNYBFWdBY54&feature=youtu.be There are several things to remember when filling in the various committee sections: 1. Don’t immediately discount what your chapter may have done during the year, read the questions; it is likely that your chapter accomplished or had an activity on committees that you did not submit a sheet on last year. 2. The reporting period for chapter activities and donations is from January 1, 2015 to December 31, 2015 . The chapter membership count is entered automatically. 3. To ensure accurate monetary reporting, all contributions and donations FROM INDIVIDUALS must be sent through the Development Office accompanied by the DEV-1003 Donations and Contributions form by December 25, 2015. All Chapter contributions and donations continue to be sent through the proper DAR reporting structure: Chapter Treasurer to the State Treasurer to the Treasurer General. The exception is monetary assistance to Veteran hospitals/homes. 4. Chapter Regents: Please check with your Chapter Treasurer in order to verify correct amounts for all monetary contributions/donations that will be reported in the CMR and used for your Chapter Regent’s report.

Chapters should answer EVERY committee page. If your chapter has no report for a specific committee, please indicate “NO REPORT”. This will allow the State Regent and Chairmen to determine that all chapters have reported.

When you have completed the CMR, you may click on “Mark Survey Complete”. You are done!

If you do not have access to a computer please contact this officer to help you!If you are mailing a paper document to this officer the deadline to be submitted to this Officer is January 15, 2015 . Skip the committee pages for which you have no report; you do not have to submit those pages. In other words don’t print out the page, write “no report” and then mail it, save the paper and time.

State ChairmenState Committee Chairmen will have access to the CMR after February 1, 2016. State Chairmen can access the results (both narrative and statistical) by chapter for their committee. The report generated through the electronic CMR should be forwarded by email to the Division or National Chairman for your committee.

Pin access codes for accessing the CMR for your committee will be provided by your National Chairman.

DeadlinesJanuary 15, 2016 – Last date for CMR submitted on paper to this officer. Again, do not send pages with “no report”. January 25, 2016 – Last date to submit CMR electronically on eMembership website.

Organizing Secretary

Betty (Betsie) M. Gricar Goad319 Sandrala DrReynoldsburg OH [email protected]

The State Organizing Secretary will provide guidance for developing new chapters and for strengthening existing ones. The main goal is both gaining and retaining members of OSDAR. Assistance will also be given to chapters whose last resort is merging and disbanding. Any chapter that encounters challenges, whether short term or long-term, should contact this officer for assistance. Workshops for chapters or prospective members are available upon your request. Encouragement is a phone call or email away. Don't wait until options are limited. Communication and Commitment are the essential keys of an active chapter.

The Organizing Secretary General's page on the National Members' Only web site offers step by step instructions for organizing and merging chapter. The DAR Leadership Webinars have valuable information on keeping your chapter up-to-date and active.

State Treasurer

Kathleen (Kathy) Dixon 1236 State Route 507West Liberty OH 43357-9651 [email protected] Welcome to the 2015-2016 OSDAR Program year! Fall is a busy time for treasurers and we have exciting changes this year to enhance our duties! If you are new treasurer this year, don't hesitate to ask questions. Assistance is only a click away.

Deadlines for National and State dues remain the same- December 1, 2015. Failure to submit dues on time will prevent your chapter from sending Voting delegates to Continental Congress or State Conference.

National dues- Beginning this year Chapter Treasurers will complete the Dues Invoice online using the Dues Invoicer found in eMembership. You will not be receiving a paper invoice form National. This change will save on paper usage as well as mailing costs. Webinar and complete instruction will be available online. After completed, the invoice will be printed and mailed along with a chapter check to National. This process sets the stage for online submission next year.

State dues - included in this SIP are copies of the 2015-16 Annual Chapter Remittance form and the Interim Chapter Remittance form. These forms are also available on the OSDAR website under FORMS.

State Historian

Rose McIntyre3583 Randolph RoadCleveland Heights OH [email protected]

I look forward to continuing to work with you to achieve the many historical goals and activities the NSDAR.

One of the major responsibilities of the State Historian is to share information with the chapter historians so you can plan your projects and activities for the coming year. Most of the forms of the Historian General’s office including all markers, essay contests, the Outstanding Teacher of American History contest and the History Award Medal and the NSDAR Excellence in American History Book Award, are available in the National Information Packet and/or from the Members’ Website. See http://members.dar.org and click on Forms and Publications under Historian General.

Here is some additional highlighted information.

The NSDAR Outstanding Teacher of American History Award honors notable, full time teachers of American History (and related fields such as social studies, government, and citizenship education) in public, private and parochial schools in grades 5-12. Nominations are due to me no later than November 14, 2015.

The DAR History Award Medal is to honor an individual or group whose study and promotion of American history on the state, regional or national level has significantly advanced our understanding of our nation’s past. A nomination for this prestigious award may be submitted by either a DAR chapter or state society to the Historian General, who with the assistance of her staff, makes a complete review of the proposed recipient’s dossier before a decision is made. The criteria for the award are strict and not all nominations are successful.

NSDAR Excellence in American History Book Award. This award is to recognize distinguished historical literary works on non-fiction and/or biographies that have made original contribution to the body of historical knowledge or added new information to previously familiar materials.

DAR Historical /Commemorative Markings. Advance permission must be obtained from the Historian General to place a new DAR historical marker or to move or rededicate an existing one. Please get your requests into the Historian General’s office far in advance and do not schedule any dedication events until approval is received.

Markings for Revolutionary War Soldiers and Patriots and Patriots and their Spouses and Daughters. Advance permission from the Historian General is required A minimum of 6 months is required to process the requests.

DAR Member Markers. In most instances now, no office at NSDAR National Headquarters grants permission for this marker. Permission is secured from the regent of the chapter to which the member to receive the marker belongs/belonged. In instances where a DAR member is or was last listed as a member-at-large, or was a member of a now disbanded chapter, then those requests are referred to the Office of the Historian General.

11

Page 12: ohiodar.orgohiodar.org/members/docsforms/0_old_forms/SIP_2015.d…  · Web view“Betty Zane – Fort Henry ... docx extensions) cannot be read by older Word versions. ... white

Please send all copies of permission to place markers to the State Historian. Also, marker approval letters are accompanied by the two part report Form to Report the Installation and Dedication of Markers that is to be completed immediately after the dedication ceremony and returned to the Historian General, along with any material used in the ceremony. The upper part of the form is to be returned to the Office of the Historian General and the lower part to the State Historian.

Digitization of Records. The NSDAR does not have specific standards or regulations for digitization. However, these practices adhere to established archival best practices and are adapted to meet the needs of DAR members. Digitization provides easier and quicker access to information, as well as a means of preservation for fragile or endangered items.

DAR Chapter Property Agreement. It is recommended that every chapter and state society maintain updated inventories of all their records. Please see DAR Chapter Property Agreement form. For further detailed information and assistance please feel free to contact me. Your support in preserving our history is very much appreciated.

HAS YOUR CHAPTER DONATED TO THE DAR LIBRARY?

The DAR Library in Washington, DC is a world class facility. In order to keep the library current we need your help. The “Ohio Wish List” is online. If you cannot find it contact Joyce Peters, your State Librarian. The library will also take monetary donations to purchase needed books.

Please contact your State Librarian if you need any assistance. Also, don’t forget to send me a list of anything your chapter does donate.

District Directors

The official responsibilities of the District Directors include hostess duties for state meetings and supporting the chapters of their districts.  Each chapter Regent will be personally contacted to offer support to the chapter and its officers.  Communication is a priority and is important whether the Regent and officers are using email or regular mail.  Please use the contact information listed in the State Directory and below for your District Director to make use of their services.  During the three year term, these officers make every effort to visit each chapter at least once and all are available to do programs for chapter meetings.  When the Chapter Report is sent to the Recording Secretary, a copy must be sent to the District Director as well.

State Parliamentarian Bylaws State Chairman

Rosanne Harrison Fisher24888 St. Rt. 34Stryker OH [email protected]

The State Parliamentarian is a consultant on parliamentary procedure that helps to expedite meetings in accordance with the bylaws, standing rules, and the adopted parliamentary authority, Robert's Rules of Order Newly Revised (RONR). 16 The parliamentarian’s role during any meeting is purely an advisory and consultative one – since parliamentary law gives to the chair alone the power to rule on questions of order or to answer parliamentary inquiries. Chapter regents and members should consult their state parliamentarian with all questions and procedures pertaining to chapter bylaws. These should first be referred to the state parliamentarian before contacting the National Parliamentarian. A copy of the chapter bylaws involved should be included with the question.

It is recommended that each chapter review its bylaws to ensure that the chapter is following its bylaws and to also ensure that they are still current. If you find that a revision is necessary, please refer to pp. 210-221 and 277-289 in the DAR Handbook and National Bylaws 2014 for a Chapter Bylaw model, which you should follow.

Your State Parliamentarian has the "Model for Chapter Bylaws" in a Microsoft Word document and will be glad to e-mail it to you. This will save you having to retype the entire document. NOTE: National has made a Bylaws Change: For a reinstatement, the member only has to pay one year’s dues plus the reinstatement fee, no matter whether she resigned in good standing or was dropped.

Now is the time to review bylaws for possible amendments. The Parliamentarian does not recommend annual amendments rather, a review to ensure compliance and efficiency. Before submitting the revised bylaws to your members for approval, please send your State Parliamentarian a copy to review for any necessary changes.

Bylaw amendments adopted by Continental Congress that also pertain to states and chapters automatically become part of the state and chapter bylaws. Your State Parliamentarian needs to have a copy of each chapter's bylaws on file. If your bylaws are not contained in your yearbook, please e-mail a copy of them to this State Parliamentarian.

This State Parliamentarian is looking forward to working with you and to answering any questions that you may have pertaining to your bylaws.

This year’s theme is, “Celebrating the Arts from the Time of Our Founding Daughters to the Present.”

Contest categories include Art and Sculpture, Fiber Arts, Crafts, Literature and Drama and Music. This year in addition to works made by an individual DAR member the committee is also accepting contest entries created by groups of DAR members. For example, a group (two or more members) create a quilt together, they can now submit this with all names who contributed to making it included.

All entries must be the original work created by an individual DAR member or group of DAR members. It must have been created while they are DAR members and must incorporate this year’s theme. You will need to submit a paragraph or more, but not to exceed one page, stating how your work reflects the theme. For group entries include on a separate sheet of paper list each member of the DAR Group and how she contributed to the entry. All members should be involved in both the planning and creation of the entry. The entry form and more information about each category and how they are judged is available on the committee webpage, http://www.dar.org/members/committees/national-committees/american-heritage/committee-objectives Please remember, DO NOT SEND your original works. You submit photographs. Be sure to include a photo of the entire work and at least one or more close ups to show the details. All entries, except for those in the Fiber Arts category, go directly to the National Vice Chairman, addresses are available on the webpage. A copy of the entry form MUST be sent to this state chairman. Entries must be received between January 2, 2016 and February 15, 2016.

Fiber arts entries are sent to this State Chairman no later than January 3, 2016 so they can be judged and submitted to the National Vice Chairman in a timely manner.

Finally, please consider selecting someone in your community for the Women in the Arts Recognition Award. We have not had anyone submitted for this award in some time. Information can be found on the committee website.

The American History committee goals are to promote our American history through ACTIONS! Chapters are encouraged to reach out to the communities with programs, parties, pageants, displays, and contests that bring pride and purpose to our Past.

The American History Essay Contest and the Christopher Columbus Essay Contest topics, guidelines, and judging forms can be found online at the ‘[email protected]’ site. Click on ‘committees’, click on ‘American History’, click on ‘essay contests’, and then click on ‘forms’ to get all the vital facts.

The new judging rules instituted last year worked efficiently. Those rules of requiring three judging sheets for the Chapter level winners, an additional three judging sheets for the District level winners, and three more judging sheets for the State level winners (for a total of 9 judging sheets per essay) will remain in place this year. Thank you for your assistance with the changes.

The deadline for Chapter essays being forwarded to the District Vice Chairmen is DECEMBER 11, 2015. This means that Chapter winners MUST BE IN THE HANDS of the District Vice Chairmen no later than DECEMBER 11, 2015.

March is Outstanding Woman in American History month. Last year we celebrated WE ARE FAMILY. This year we will CELEBRATE by TOURING OHIO…..THE DAR WAY! We will celebrate our DAR history and the work of our OSDAR Daughters by traveling the four Ohio Districts and CELEBRATING the sites maintained, proclaimed, and preserved by our Chapters.

The American History Committee relies on Chapter donations to support the funding of the cash awards given to our essay winners. Your support of our authors is essential to the continuation of these gifts. Your gift of $5.00 per Chapter would allow us to meet our yearly goal.

Americanism

Mary Ellen Atwood850 Sumner Parkway, Apt 303Copley OH 44321330-524-3423 [email protected] purpose of the Americanism Committee is to promote knowledge, loyalty and love of country in the hearts and minds of American citizens, whether naturalized citizen or citizens by birth. It is possible to award one of two Prestigious DAR Medals honoring patriotism.  The DAR Medal of Honor may be awarded to an American citizen by birth and the DAR Americanism Medal may be awarded to an individual who has been a naturalized citizen for 5 years.  The information and forms for both medals are located on the DAR web site.  Many Chapters participate in the Naturalization ceremonies for citizenship, participate in patriotic parades and events, and distribute patriotic information in the form of bookmarks historic and leaflets at ceremonies, schools and events.  Members assist with naturalization classes or distribute U.S. Flag Pins, U.S. Flag Bookmarks, and copies of the Pledge of Allegiance to the U.S. Flag or copies of the American's Creed. The printed items are available for purchase through the DAR bookstore.

Cameo Society

Rachel Borchers507 James Street PO Box 931 Jackson Center OH [email protected]

Would you like to join Cameo Society? OSDAR members who can prove active membership in conjunction with a mother, daughter, grandmother, or granddaughter, are eligible to join! Our objectives are to promote understanding and fellowship between generations and to encourage the passage of genealogical information, family histories, and patriotism to subsequent generations. Our Society hosts an annual breakfast at State Conference in the spring where we hope to “give back” to another OSDAR committee and shed light on their cause! Please keep an eye out for news and updates in the Ohio Newsletter and on Facebook! Our membership application is attached.

Note: Cameo Society will no longer be sending an annual dues sheet to each member. With the rising cost of postage and the implementation of Lifetime dues, we are hoping our members will take it upon themselves to send in their necessary payment. Members may also pay their dues at State Conference at our Cameo Society table. (Lifetime dues = $30 per member). Please indicate if you would like to receive an email confirmation of your new membership or dues payment.

*Please be sure that your membership is current as we will be voting on new by-laws this coming year.

Celebrate America!

Margie Saull2406 Owens Road West,Prospect OH 43342740-528-2110 [email protected]

DAR members are to be commended for their diverse community service. This year was an easier year to record hours having become aware of the process of reporting. Remember community service includes activities benefitting those outside the chapter and DAR to promote our motto of historic preservation, education and patriotism. It is exciting to see the numbers on the website change.

As your state chairman, I will continue to help you and find answers to your questions. It is very important that I have the correct contact information for your local Celebrate America! Chairman, most importantly their email. As not everyone feels comfortable with the computer, please be supportive of each other and help other members get their hours recorded electronically. I would like to suggest that hours be recorded on the website every month or every other month so it is not overwhelming at the end of the year. Hours are to be included from January 1, 2015 to December 31, 2015. Whether your chapter is small or large, you can make a difference in our communities. My challenge is for all 102 chapters in Ohio to participate in reporting their hours, so others know that Ohio DAR members are very much involved in volunteer service. Each chapter should have a minute in their meetings to share some of the volunteer service members have done recently. Let’s continue to be electrified and report those hours to make an even greater impact on our communities to Celebrate America!

Chapter Achievement Awards Kimberly K. Lewis3963 Homeworth RdHomeworth OH [email protected]

This committee recognizes chapters for achieving the annual historical, educational, and patriotic goals and objectives as set forth by the national officers and chairs through the presentation of Chapter Achievement Awards certificates. The 2015 Chapter Achievement Award report reflects chapter activities and contributions for the period January 1, 2015 through December 31, 2015. All chapters are required to complete the Chapter Achievement Awards report electronically through the Chapter Master Report BY JANUARY 25, 2016. Award certificates will be distributed to the state regents during Continental Congress.

OSDAR Treasurer and this chairwoman make sure the Required Chapter Contributions match the information the state treasurer has. Please note these important changes to Section 1 & 2 of the CAA:

(1) In order to comply with the National Bylaws, chapters may no longer resign non-responsive members. A member who provides her chapter with a resignation communication may be removed from the chapter roll; however, chapters may not resign any member from whom they have not received a communication. The unresponsive member whose dues remain unpaid shall be considered a “delinquent member” and will be automatically dropped by the National Society on the last day of February, as per our National Society’s Bylaws.

(2) Please also note that the CAA & Chapter Master Report have been adjusted to provide chapter credit to reach the goals of fulfilling this bylaw and maintaining a healthy membership roster. The following fields will be automatically filled: * Section 1 will provide all chapters that collect dues from 90 percent or more of their members with 20 points of credit (rather than collecting national dues for ALL members), on the condition that the chapter’s dues are postmarked on or before December 1, 2015;  * Section 2C will provide 10 points for a net increase in chapter membership, as we strive to both retain our existing members and welcome new women;  and* Section 2D will provide 10 points to those chapters that post a 10 percent or higher net increase in membership. In Section 2C & 2D, a “net increase” will be determined by calculating the difference between chapter membership from January 1 to December 31. All new members, transfers in and out, deaths, resignations, and re-reinstatements will be included.

Brenda Cooper5355 N Dayton Lakeview RdNew Carlisle OH [email protected] For those of you who don’t know me, I am Brenda Cooper, the 2014-2016 Senior State President of the Ohio Society C.A.R. The Ohio Society is somewhat younger than the National Society; we’ll be celebrating the completion of our 80th year in 2016. One of my goals has been to share pertinent information about the decline in C.A.R. membership and the loss of societies due to the decline in DAR senior leadership. Over the last 2 years, we’ve lost 3 societies. I believe in letting you ladies know the facts, and that will not change.

The N.S.C.A.R. is the nation’s oldest patriotic youth organization, founded in 1895 by the NSDAR at the behest of Mrs. Harriett Lothrop, and exists to promote good citizenship, leadership, and love of country among young people and is open to children birth to age 22. The Children of the American Revolution helps develop many of our DAR leaders through its structure, programs and close interaction. There is an annual theme and project at both the National and State levels along with contests within various similar committees. Local societies plan their yearly activities according to the National Program Packet (NPP), available on the national website at www.nscar.org, under the National Program & Project tab. The Resources tab contains many great links for developing fun meeting programs.

The 2015-2016 State Theme is “Preparing and Connecting: Supporting the Red Cross and Our Service Members”. The State Project is to raise funds for the American Red Cross’ Service to the Armed Forces (SAF) Program and the Project Prepare program. More information on the State Project and the Ohio Society C.A.R. can be found at www.ohiocar.org. The Buckeye Briefs, a quarterly newsletter published by the Ohio Society C.A.R., can be downloaded from the members-only side of this website. Please contact this chairman for the password.

You can help by volunteering your time in a senior leadership position at the local, state, or national level. Using the Ohio website, locate a Society near you and bring your children, grandchildren, and friends to a meeting. Invite C.A.R. members to participate in the meetings and activities of your DAR chapter and the youth essay contests in the NIP. For more ideas, see the National Information Packet (NIP), Part I, page 23, and the C.A.R. Committee website at http://www.members.dar.org/committees/CAR/index.htm. To increase participation of DAR chapter members, there will be state recognition for any DAR member participating for the first time at either the state or local level with C.A.R. Each DAR chapter will need to provide the name of the member, what position they are filling (state officer, state chairman, society officer, society chairman), and the society in which they are volunteering. Please send the information to this chairman not later than March 15, 2016 in order to be eligible for a recognition certificate.

Community Service Award

Carol J. Olson289 Avalon Drive SEWarren OH [email protected]

All Ohio DAR Chapters can give a Community Service Award. Volunteer work and services are being performed every day in all our communities. The purpose of this award is to recognize these individuals for their noteworthy, outstanding voluntary community activity/achievement in the categories of heroic, civic or benevolent service or in educational; humanitarian; environmental/conservation; patriotic or historical endeavors.

In 2014 ten CSAs were presented by seven chapters, Akron, Canton, George Clinton, Fort Industry, David Hudson, Lima, and Lucy Knox. So far in 2015, four awards have been presented in the categories of civic, education, historical and patriotic. This year’s participating chapters are Commodore Preble, Ripley-Lieutenant and Urbana. Applause and kudos to the deserving recipients and the chapters who made the effort to apply for this award. Every chapter has community members deserving of recognition for their special community volunteer service. Look in your local newspaper or watch the local news for ideas.

Any chapter may present 2 awards each year (January 1- December 31). I hope each chapter will set a goal to give a Community Service Award to one deserving community volunteer in 2015.

This award is not a judged contest. The state chairman approves the award based on the documentation and the letters of recommendation submitted by the chapter that validate approval of the award.

Criteria:The recipient’s contribution to the community was through heroic, civic, educational, humanitarian, and environmental/conservation, patriotic or historical achievements. Or the recipient is involved in organizing or participating in community activities. The service must be voluntary and benevolent. No money was received for the service. The achievement must have taken place in the past 5 yrs.

20

Page 21: ohiodar.orgohiodar.org/members/docsforms/0_old_forms/SIP_2015.d…  · Web view“Betty Zane – Fort Henry ... docx extensions) cannot be read by older Word versions. ... white

A DAR member may receive the award, but only for services that are not related to DAR activities.

Requirements for submission:The regent must write a letter of recommendation on letterhead with detailed description of the service and how she is acquainted with the potential recipient. Two other community leaders must submit a letter of recommendation on letterhead and how (s)he is acquainted with the potential recipient.Send relevant and dated documentation via photos, articles from the newspapers, newsletters, websites, etc.Limit documentation to 8 pages, not bound or laminated. Send 2 copies of the completed and signed recommendation form. Use only latest on-line copy of the form.Send a chapter check for $7 made payable to the Treasurer General NSDAR for the pin and certificate, include a stamped envelope for mailing approved form to NSDAR.

Do not tell the individual (s)he will be receiving the award until your chapter receives the pin and certificate from the DAR store. It can take 6-8 weeks.

I truly enjoy reading the applications and am very impressed and astonished by all the wonderful, benevolent individuals we have living in our Ohio communities. Some of the chapters proudly share their Community Service Award information in the OSDAR Newsletter for all Ohio chapters to read.

I applaud and thank all the chapters who have made the effort and taken the time to participate in presenting this worthwhile award to a member(s) of their community!!

DAR Genealogy Preservation

Martha Herrnstein59 Logan Ave.London OH [email protected]

The DAR genealogy Preservation Committee was established on September 30, 2003. The purpose of this committee is to preserve and make accessible our DAR records. The original project was known as the Descendants Project. There were an estimated 1.2 million applications to be entered by volunteers. All available applications through 2011 have been entered online and into the data base at DAR headquarters. This information can be found on the Genealogical Research System (GRS) Descendants tab

The current project is Supporting Documentation. There are over 6 million documents used by members to support the linage submitted with applications. Volunteers are assigned sets of these documents to categorize by the different types of documentation. These records are checked and/or corrected by another volunteer.

Volunteers complete and sign a non-disclosure form which is found on the National Committee website. Once it is received by the National Chairman the volunteer is invited to start the project. Information on the Supporting Documentation Project and instructions are available on the committee website.

As we begin our work for 2015, may we revisit the wonderful way to describe the work of the Good Citizens Committee in Ohio by reading again the words of our National Chairman, Melodye G. Brown. She writes “What better way to Honor our Heritage, Focus on the Future, and Celebrate America! than to recognize outstanding young people who exhibit the qualities of a good citizen? The DAR Good Citizens Award and Scholarship contest is intended to encourage and reward the qualities of good citizenship: dependability, service, leadership and patriotism in their homes, schools, churches and communities.

Each district in Ohio has a Vice-Chairman who will provide each chapter in their district with all the necessary information, sample letters and forms to successfully participate by using our link (www/gemmarker.com/G). Much of the work of this award/scholarship is able to be completed on line. A two minute personal contact with each high school principal in your area is a great way to begin.

Our goal is to personally contact every accredited high school in Ohio and to honor an outstanding senior student. This award is actually two-fold: An outstanding senior is selected by the high school faculty based on the above criteria. Each is given a certificate, a wallet card and a pin, usually at their senior awards assembly. The scholarship portion is OPTIONAL. If the senior chooses to participate in the scholarship portion of the award, they will be given the requirements for participation (official transcript, two letters of recommendation, a listing of school, community, and church activities/awards and the completion of a two hour timed essay.) Local entries are judged at the chapter level and the winning student essay moves on to the District level and then on to the State level. The Ohio DAR awards the state winner a $500 scholarship. Many chapters also reward their local winners in a variety of ways. The state winner moves on to the Regional and National competition with a $5000 scholarship awarded by the NSDAR at Continental Congress. This year two scholarships were awarded.

The Good Citizens Award and Scholarship Program is an excellent way to recognize outstanding high school seniors as well as a wonderful way to put the DAR name out into our communities and show the many good things that we do. All of the information regarding this award and scholarship is very detailed and is provided to each Chapter Regent and in turn to the Good Citizens Chapter Chairman.

Deadlines:Student Awards/Scholarship entries must be to the Chapter Chairman by October 15, 2015.Chapter winners must be to the District Vice-Chairman by November 15, 2015 for judging at the District Level.District winners must be to the State Good Citizens Chairman no later than January 1, 2016.

Members can become involved by participating in the docent programs and/or by donating funds to support the educational programs and conservation/restoration of the collections. Chapters are encouraged to educate members about the historic treasures in the DAR Museum by providing programs at meetings, inviting a correspondent docent to do so, and/or having a DAR Museum Gift Shop trunk showing.

The DAR Museum relies on the generous support of members for exhibitions, educational programs, and publications as well as acquisitions and conservation of objects. Participation by state organizations, chapters, and individuals in these programs guarantees the preservation of the DAR Museum’s artifacts. DAR Project PatriotPaula Calcaterra1904 Dunkeith Dr. NWCanton OH [email protected]

Objective: DAR Project Patriot is the official Daughters of the American Revolution committee that supports America’s service personnel in current conflicts abroad. Initially this committee was created to coordinate DAR support of the war against terrorism following the events of September 11, 2001. DAR members will be Honoring our Heritage by continuing our supportive efforts for the men and women currently serving in our military and Celebrating America through their achievements which have allowed us to keep our Nation’s independence. How You Can Help: Focusing on the Future. Today with military troops serving overseas and under fire, DAR members are Honoring out Heritage by a supporting our military men and woman by providing them with comfort items. At the National level DAR support is focused on these four groups.

Wounded service personnel receiving treatment at the Landstuhl Regional Medical Center in Landstuhl, Germany. At Landstuhl, phone cards are given to the chaplains for distribution, and requested clothing item for the Chaplain’s Closet are purchased and donated by the National society.

Wounded service personnel receiving treatment at San Antonio Military Medical Center in San Antonio, Texas. DAR provides basic clothing items for distribution by the Warrior and Family Support Center.

Wounded service personnel receiving treatment at Walter Reed Military Medical Center in Bethesda, Maryland. DAR provides basic clothing items for distribution by the Warrior and Family Support Center.

Service members from all over the United States who are deployed overseas through the Mobilization Training site –Camp Atterbury in Indiana are given phone cards prior to deployment so they may call their families.

DAR Women Supporting Woman in Military Service. Deployed military women in current conflicts abroad appreciate comfort items from home, which may be difficult to replenish when they are away from home and stores for an extended time. A box filled with feminine items would be graciously accepted.

CHAPLAINS serving in Afghanistan. Phone cards are provided to chaplains to distribute to Troops with whom they are serving in remote areas of Afghanistan; thus allowing servicemen and women to call their families. Monetary donations from chapters and individuals to the DAR Project Committee are sent to the NSDAR Office of Development on Form DEV-1003 and designated to DAR Project Patriot. These donations enable this committee to provide requested items in bulk.

CHAPTERS mail care packages to troops who are friends or relatives of your members.

CHAPTERS mail manufacturer’s coupons to overseas bases for use by military families on bases. Webpage: http://ocpnet.org. DAR Scholarships

Barbara Lee Rice943 Clark Road NorthLaRue OH [email protected]

NSDAR ScholarshipsOn the National DAR website, http://www.dar.org , place your cursor on the “National Society” tab. In the third column, select “General Information” under Scholarships. Anyone can access the application and Financial Need forms. Applicants need to download both forms and follow the instructions.

This is newer that anyone can access these forms without assistance from a member. If a potential applicant does not have access to a computer, please request that a chapter member print the DAR scholarship information for their use. It is imperative that the application is complete and received by the National Scholarship Chairman no later than February 15, 2016. Please encourage applicants to address any questions to her at [email protected].

OSDAR ScholarshipsWhile the NSDAR no longer requires a chapter sponsor, the Wings of Eagles Scholarship does require an OSDAR chapter to sponsor any candidate. You do not need to interview the student in order to sponsor her/him, but it is recommended. Sponsorship is not necessarily an endorsement, but may be if the student is known to the chapter. The Wings of Eagles Scholarship endowment fund was established by Honorary State Regent Marcia Seifert, Past Vice President General.

Each scholarship award is funded by the interest income on the fund and through the generosity of the chapters and contributions from individual members. To be able to award scholarships each year in the future, monetary contributions from the individual chapters and our members is essential because interest rates are so low. Please encourage your members to include the Wings of Eagles Scholarship fund in your new chapter budget.

Scholarship Applications must be postmarked by February 1, 2016 and received by February 6, 2016. The Wings of Eagles Scholarship is offered to all graduating high school seniors, including those completing a certified home school program, who are citizens of the United States and legal residents of the State of Ohio. These scholarships are based on academic excellence and financial need. The forms are found in the State Information Packet (SIP) and also on the OSDAR website. The required forms must be copied on separate sheets of paper. The application packet must be complete and arranged in the order as listed in the instructions. Every document that is required must be a part of the application package when submitted to the State Scholarship Chairman including the FAFSA form. Every year applicants say they cannot get their form in time. Yes, they can. Apply for it January lst and estimate their income at that time. Incomplete applications will not be considered.

Each chapter scholarship chairman should review the application package before it is submitted to the State Chairman. This will enable you to assist the student in anything that is missing or answer any questions they may have. The State Chairman must receive the complete application package that has been postmarked by February 1, 2016 and received by February 6, 2016. Remember, incomplete applications will not be considered. Only winners will be notified. We are thrilled to consider all applications for this opportunity that the OSDAR provides through the Wings of Eagles Scholarship program.

SERVING THOSE WHO HAVE SERVED

Women of the DAR have a long history of supporting veterans. Ohio has a large veteran population and a busy network of VA hospitals and outpatient facilities. As the Department of Veterans Affairs is working toward the elimination of veteran homelessness within the next few years, the needs in the community are tremendous. We can best serve the men and women veterans by supporting area projects to meet these needs. Women veterans often have a special need with children to support.

Please work with your VAVS Representatives and Deputies to coordinate your chapter committees’ events and donations. These ladies require your records of hours and mileage for their annual report each October. The VAVS calendar coincides with the VA’s recording calendar which is October 1 through September 30. Report your activities to this chairman from January through December.

This committee sponsors three awards each year: 1) DAR Outstanding Veteran Volunteer, 2) Outstanding Youth volunteer, and 3) Outstanding DAR Service for Veterans. Details, instructions, and forms are available in the NIP, located on the NSDAR website. Entries for the awards are due to this chairman by December 15 each year. You can also locate information about the Service for Veterans Committee on the member only website.

As you volunteer, bake, knit and say “thank you for serving”, you are serving those who have served. As you assist at Stand Downs and information fairs for veterans, you are “getting DAR out there” into the Veterans community. When you march in a parade and carry the DAR banner, you show the support we feel for our veterans.

This chairman is honored to serve as your Service for Veterans Committee chair. Please let me know how I can help you.

The objectives of this committee are to promote feelings of patriotism, respect and love of our flag.  Chapters are encouraged to achieve these goals through a variety of activities such as distribution of the Flag Code, participation in flag retirement ceremonies and making known the Flag Holidays.Contact this chairman for information on flag folding, flag history and flag etiquette.Inform this chairman of your chapter programs, activities and suggestions relating to flag education.

Genealogical Records

Pam Stinehart437 Westgreen LaneWesterville OH 43082614-286-7956 [email protected]

The objective of the Genealogical Records Committee is two-fold: to collect, preserve, and increase the holdings of unpublished genealogical source materials in the DAR Library and to make those same records available worldwide through an online, every-name index. Whether you enjoy visiting historic archives, tramping through cemeteries or prefer to work in the comfort of your home GRC has a project tailor made to fit you. Chapters and members have the opportunity to participate in three projects: 1) the collection and indexing of unpublished records, 2) GRC Every Name Indexing Project, and 3) GRC Book Sync Project.

Project 1 - Collect and Index Unpublished Records: Chapter members identify unpublished primary source records of genealogical value to copy or abstract. Chapter members then send the copied records to the state GRC chair for submission to the DAR Library. Instructions for gathering and transcribing source records can be found on the committee webpage in the publication Instructions for Copying Source Records and Their Preparation For Library Use.

Types of records needed include Revolutionary War military records; land records; marriage and vital records; wills and estate records; court order or minute books; town council minutes; parish registers of marriages, births, and deaths; Bible records; tax lists; historical funeral home records; school censuses; tombstone and cemetery records; abstracted newspaper vital records prior to 1910; and documented family histories, diaries, papers, and letters found in the manuscript collections in libraries, historical societies, state archives, and private collections.

Volunteers are also needed to index names from primary source records prior to submission to the DAR Library. Often times, chapter members collect unpublished records, copy and format them into a volume but need assistance with indexing the names. Indexing can be done from home using the online GRC Indexing

31

Page 32: ohiodar.orgohiodar.org/members/docsforms/0_old_forms/SIP_2015.d…  · Web view“Betty Zane – Fort Henry ... docx extensions) cannot be read by older Word versions. ... white

website. Please contact the GRC State Chair to volunteer for this work. Indexing instructions can be found on the committee webpage in the publication NSDAR Library Master Every Name Index.

Project 2 - GRC Every Name Indexing Project: Individual members, in the comfort of their own homes, index names found in the GRC volumes currently in the DAR Library collection. The indexing is done entirely online, from digitized images, using the GRC Indexing website. As each GRC volume is indexed, the names, along with the volume and page number, are uploaded to the DAR Genealogical Research System. Indexing instructions can be found on the committee webpage in the publication NSDAR Library Master Every Name Index. Please check with the GRC State Chair prior to volunteering for this project as there are very few volumes remaining in the DAR Library collection that need indexing.

Project 3 - Book Sync Project: This project is designed to match the names indexed in Project 2 to the correct image. The project is done on the computer from the comfort of your home. It requires the volunteer to spot check between 5-10 indexed names against the image, click a button to sync the page and go on to the next page. The syncing goes very quickly as there is very little data entry involved. Instructions can be found on the committee webpage in the publication GRC Book Sync Project Instructions.

Volunteers: To volunteer for any of the above projects, click on the Volunteer Now link on the committee webpage at http://members.dar. org/committees/GRC/index.htm or contact your state chair. Volunteers are to keep a record of the number of names and/or volumes indexed or synced and report this information to the chapter so it may be included in the Master Questionnaire and on the Chapter Achievement Award form. Volunteers are also eligible to purchase the Book Worm pin after indexing a minimum of 2,300 names or book syncing a minimum of 2,300 pages.

Awards: Recognition awards will be presented at Continental Congress to the top three GRC book indexers, to the chapter submitting the most pages of original source records, and to the state in each of the six membership categories submitting the most pages of original source material between January 1, 2015 and December 31, 2015.

Junior Membership

Do you ever wonder what the future holds for the DAR? One word…JUNIORS! The future of our society is only as strong as the leadership we choose for it. It is our duty to encourage and prepare our younger members for future leadership in the DAR.

DAR members from age 18 through 35 (until her 36th birthday) are considered “Juniors”. Juniors hold full membership and may serve at all levels of the organization. Your chapter can help recruit young women and

33

Page 34: ohiodar.orgohiodar.org/members/docsforms/0_old_forms/SIP_2015.d…  · Web view“Betty Zane – Fort Henry ... docx extensions) cannot be read by older Word versions. ... white

encourage their active participation in service to the DAR. One great way to get Juniors involved is to invite them to page at the state or national conference. A personal invitation by a senior chapter member might be just the thing to help cultivate a lifelong enthusiasm for our organization. There are even special events just for Juniors at both the state and national conventions where they can meet and network with other Juniors from around the country. Chapters and individuals can also support the National Junior Membership committee by purchasing items at the Junior Sales table during all state meetings. The proceeds of many of the items benefit the Helen Pouch Fund, which supports the DAR schools.

Does your chapter already have active and hardworking young ladies? Let them know how important they are by recognizing Outstanding Juniors in your chapter. Encourage and support your younger members by nominating a Chapter Outstanding Junior during your September meeting. You can honor that member at one of your chapter meetings with a Chapter Outstanding Junior Member Award certificate available from this committee at no cost. A Chapter Outstanding Junior Member pin ($54.00) can also be purchased from Hamilton Jewelers to help celebrate your chapter junior member’s accomplishments.

Chapter Outstanding Juniors can also be considered for the very prestigious State and National Outstanding Junior contests where they could be honored at the state and national conventions. Contest rules and application can be found on the NSDAR member website by going to “Forms and Publications” and clicking on “National Information Packet” and then look under “Junior Membership” for the most up-to-date information and forms. (http://members.dar.org/publ_forms/?List=NIP). Please carefully check over your application and be sure to contact me with any questions you may have so that the application is accurate and complete. Mail the application to me (7942 Hartman Road, Wadsworth, OH 44281) postmarked no later than October 31, 2015. Thank you and GOOD LUCK!

This chairman is willing to assist in preparation of applications, to help collect documentation, to meet with your group of prospective members, and is particularly interested in clearing those "have written" letters from the files.  If you need assistance with an application, would like to hold a lineage workshop, or have a pending member with a "have written" letter, please contact this chairman.

Literacy

Diane Gosser2731 Sherwood RdBexley, OH [email protected]

Our State Chapters have worked to the utmost to improve literacy throughout Ohio. Chapters have collected and distributed books to the needy throughout their local areas. This includes food pantries, shelters for the abused and homeless, schools struggling to meet the needs of students, people dealing with substance abuse and rescued victims of human trafficking.

Chapters have set up libraries in churches and Veteran Hospitals where people cannot easily get to a library. Little Free Libraries have been constructed and placed in neighborhoods in an effort to reach all people.Wherever there is a need the DAR has been there to help fill the gap and get books into the hands of those that are in need.

Ladies of the Ohio DAR are making a most determined effort and have successfully helped improve literacy in Ohio.

The mission of the Membership Committee is to recruit, educate and instill a sense of commitment in new members. More members increase the chapter’s potential and impact. As members become active, your chapter will thrive and new possibilities for fulfilling the NSDAR mission of historic preservation, education and patriotism will present themselves. In addition, more members enable chapters to conduct more programs that will significantly impact your local community.

Membership requires the active involvement of all your chapter members. Every member of your chapter is an important part of the membership committee. Encourage chapter members to ask their friends to chapter meetings and invite them to join.

Set a chapter Membership goal for next year, using the link of the NSDAR members’ website, http:members.dar.org, link to Membership committee to locate a variety of helpful tools to assist your chapter in achieving that goal. Especially helpful is the informative link: "The Frist 30 Days" for new members.   NSDAR recognizes chapters with a 10% membership increase with a "Soaring High" award.  OSDAR had 16 chapters last year.  That was the largest number in the East Central Division.   Let's aim for more involvement in the coming year.

Every Ohio chapter should use positive publicity about their community involvement and achievements. Don’t be bashful, Daughters!

Your OSDAR Membership Chairman is available to assist and/or direct you to a variety of resources. All the members of Chapter Development and Chapter Revitalization (CDRC) are here to help you.

active in committee work increases your enthusiasm and gives you great ideas. Paging is a way you can support your chapter, especially if you have limited time. Pages are busy women. Many of the current pages work or attend school full time. They take time away from their families and daily routines to spend time with their DAR friends and help the other ladies.

The young women that you recommend will be representatives of your chapter and community. Please review the page manual with her. Please direct any questions about duties or clothing to one of the page chairmen.

If you have a young lady in your chapter who could page, please send us her contact information.

Thank you in advance for your support of the Pages. We look forward to meeting the new Pages that will be excellent representatives of your chapter and renewing friendships with experienced Pages.

Every Daughter is a spokesperson for OSDAR, internally and externally. Every interaction and connection is an opportunity to positively and accurately represent our amazing and

accomplished organization. If your DAR activities are worth the investment of your time, talent and treasure - they are worth sharing with each other and the broader public.

Please review the MQ questions that are asked to be completed with submitting Chapter Reports so that you know what to save and account for during the year. Information is requested about chapter newsletters, website / social media, print coverage, broadcast coverage, Today's DAR video, commemorative events and local media awards. Samples of work each are helpful in reporting for each category. Take advantage of brochure templates and fact sheets for approved and ready-to-go resources (see National Members site: http://members.dar.org/committees/pr/index.htm). Use news media (local papers, TV stations, media networks) online self-publishing/posting as today’s way of proactively ensuring your story is distributed by non-DAR outlets.

This committee will be responsible for the Scrapbook this administration. Please send your media clippings (full pages including publication headers/footers) to me, and kindly include your name, chapter name, contact information (phone and/or email).

Special Project GrantsRebecca (Becky) Underhill557 Sherwood Downs Rd SNewark, Ohio [email protected]

The National Society Daughters of the American Revolution Special Projects Grants Program provides local community grant funding to support projects exemplifying the organization's mission areas of Historic Preservation, Education and Patriotism.

The program is open to public charity 501(c)(3) entities only. Grant funding will be awarded to a successful applicant only once during a DAR administration.

Grants of $1,000 - $2,000 are encouraged, with a maximum amount of $10,000. Applicants are required to match the grant award 1:1 in order to allow for broader distribution of funds. Matching funds are not required to originate with the organization applying for the grant, but may originate with multiple donors or completed fundraising.  Projects must be completed within one year of initial grant funding (official grant year is July 1 - June 30).

Are you interested?  For more information on the program and how to apply, go to the national website at www.dar.org/members then to Special Projects Grants, or email your state chairman.

State CertificatesLaurie A. Chase4784 Donegal Cliffs DriveDublin OH 43017 [email protected]

Presenting a certificate is a great way to recognize the outstanding work done by an Ohio Daughter. Recognition is a positive way to let members know that the work they do is noticed and matters. When members know they are appreciated and the work they do is meaningful, they continue to contribute to the Society and encourage others to become more active and involved.

Please send the information for all certificates needed for State Conference by March 18, 2016. Note: requests for certificates that are made after that date may not be fulfilled until after State Conference.

For all other special recognition certificates, please send your requests to this Chairman at least three weeks before the date the certificates are needed.

State Conference Credentials

Jeanine FairfieldPO Box 476Russells Point OH 43348 [email protected]

The Credentials Committee is responsible for receiving credential forms for the annual State Conference delegates and alternates and handling registration at the conference. This packet contains the Ohio State Credentials Instructions and Credentials Blank. The Instructions page lists the number of delegates and alternates, depending on the number of Paid Members in the chapter. It is important that dues be paid by December 1. State delegates need to be elected by the chapter on or before February 1 and the Credentials Blank must be mailed to the Credentials Chair no later than February 8, 2016.

State Regent’s Project

The McCann Administration State Regent’s Project will focus on the following three areas:

The first will be to provide storage units in which to store OSDAR records at our Waldschmidt property. These items will be placed in the “bump out” in the visitors’ center to give us an office like area.

The second part will be to take care of repairs to and painting of the caretaker’s house at CWH. The painting was approved by the State Board of Management during the last term, but emergency expenses depleted the funds available and the work was not done. The building is in dire need of paint.

The third part will be to finance project to benefit NSDAR. This may be to fund an item from their Wish List or other project yet to be determined.

43

Page 44: ohiodar.orgohiodar.org/members/docsforms/0_old_forms/SIP_2015.d…  · Web view“Betty Zane – Fort Henry ... docx extensions) cannot be read by older Word versions. ... white

The projects will be funded through the sale items at the State Regents Project Table and from donations from individuals and chapters.

The Waldschmidt Donor Pin will be available for a Donation of $100.00. Designed by Honorary State Regent Sharlene Jackson Shoaf, the pin sales will raise money for the capital improvement fund of the Christian Waldschmidt Homestead.

Celebrate our 125th Anniversary at Continental Congress

If you have never been to Continental Congress, 2016 is the year to go. NSDAR is planning a great anniversary celebration, and you will want to be there. Don’t wait too long to decide, reservations are first come, first serve. Your first payment and forms are due by October 15, 2015

National Congress dates for 2016 are Wednesday - Sunday, June 15th - 19th. The Ohio bus will leave on Monday, June 13th and return late on Sunday, June 19th, as we stay for the installation of our new State Regent and national officers.

Included in the price are the hotel costs, bus transportation and box lunches while travelling to and from DC, a pizza and salad on Monday night, and the shuttle bus while we are in DC. We are again staying at the State Plaza Hotel. There are three room types, and two have full kitchens and lots of mirrors in the bathrooms. You have the choice of a room by yourself or with up to four people in a room.

The location of this hotel is however, one of its greatest features; it is less than a 4 block walk to headquarters, service is excellent, and taxis are always available. Next door is a CVS with a mini grocery & atm. We will go to a grocery store on Tuesday morning. For 1st timers, there will be a tour of Memorial Continental Hall and Constitution Hall to help get acquainted with our headquarters. The optional All-Ohio dinner will be on Tuesday evening, and a tour on Tuesday is in planning.

As co-chairman, we are available for information or any help you may need. Please contact us at any time.

Go to members.dar.org/committees; scroll down on the left side to Volunteer Genealogist and click on it; scroll down on the right side and click on Genealogy Education Programs. This will lead you to a page with a tutorial, a listing of the different classes and costs. You can do these whenever you would like to do them – even in your pajamas! These classes will teach you not only how

to meet the requirements of the genealogists, but how to research and analyze the data you gather. It will teach you the difference between primary and secondary sources and how to use these as proof in doing applications.

Remember that all applications must be computer generated on the latest form. All accompanying documentation should have the applicant's name, the chapter, the chapter's code, the name of the patriot and all the generation(s) the proof refers to. Then the application must be signed by both the Chapter Regent and the Chapter Registrar, and endorsed by two active chapter members. A chapter check for the correct amount must be enclosed along with the application and documentation, and sent to the Registrar General, NSDAR, 1776 D Street, Washington, DC 20006-5303.

Also remember that this officer is just one of three who is here to help you get those papers filled out properly to send into National. The Volunteer Genealogist, the State Registrar or the Lineage Research Chair are all available to help you do complete and send successful applications, and/or help you.

If you spot a need for any corrections or updates, please email them to [email protected].

All new and updated chapter websites must be approved by the Ohio State Regent as well as by NSDAR. Guidelines and requirements for chapter websites may be found in the VIS Committee section of the NSDAR members’ website - http://members.dar.org/committees/vis2/handbook.htm. Guidelines for social media - such as Facebook - are covered under a separate committee, the Public Relations & Media Committee.

A chapter desiring a website may go ahead and create its own website, or may elect to make use of the stock OSDAR chapter website template. Please see http://www.ohiodar.org/members/vis.shtml for further information, or to conveniently submit your web site to the State Regent for her approval.

Please note: chapter and state email contacts may not have spam filters on their email accounts which require the sender to fill out an approval form. These spam filters do not work with the DAR email system, so email sent to accounts with spam filters will never reach the chapter. If you currently have a spam filter like this, please consider using another web-based email account for DAR business, such as Google, Yahoo! or similar.

You may earn a VIS pin in a number of ways. For more information on VIS volunteer opportunities, and how to earn your VIS pin, please visit http://members.dar.org/committees/vis2/pin.htm or contact your VIS Co-Chairmen.

Internet and VIS Tips

1. Never send an email without a subject. Use DAR in the subject of your messages to make it much easier for your recipient to distinguish your email from spam. This also allows you and your recipient to set up a filter to send all DAR emails into one mailbox folder.

2. Do not send more than 25 copies of a message at one time because a number of internet service providers (including AOL and Yahoo!) may block your email and label it as spam.

3. Make sure to use the blind copy feature “BCC” in your email whenever you are emailing a number of recipients.

4. Documents created in more recent versions of Microsoft Word (.xdoc, docx extensions) cannot be read by older Word versions. Use "save as" in the dropdown File menu and select a “.doc” format to eliminate incompatibilities with older versions of Word. This is also an issue for Excel spreadsheets.

Women’s Issues

CELEBRATE WOMEN!

Time to celebrate the amazing American women of the past, those in the present (and that includes us!), and those who will carry on our inheritance into the future. As we try to address current issues important to today’s woman we focus on three categories --- health, career, and family issues. These categories often overlap, so any program highlighting any or all of these issues counts on the CMR as a women’s issues program. Even a short “minute for women would be great! Do you like to share your experiences? Each year there is a Women’s Issues Essay Contest. I would love to read your thoughts in either the category of health, career, or family in an essay of 1800 words or less. The deadline for submission in Ohio to the State Chairman is February 15, 2016. To find out more details, go to the National website and search under the Women’s Issues Committee or check in the NIP.This chairman is also available for programs to portray Ellen Hardin Walworth, one of our four founders of the DAR, and to show the women’s issues Ellen faced and how they are relevant today.Since I will be spending the winter in Arizona, please send your essay to:

Vietnam 50th Commemoration

Kate Lamb10632 Georgia StreetAurora OH [email protected]

History:

The Vietnam 50 Commemoration is a Federal program commemorating the 50th anniversary of the Vietnam War. In 2009, National Defense Authorization Act gave the Secretary of Defense authority to conduct and facilitate the program.

What It Is:

“The Commemorative Partner Program is designed for federal, state and local communities, veterans' organizations and other nongovernmental organizations to assist a grateful nation in thanking and honoring our Vietnam Veterans and their families. Commemorative Partners are encouraged to participate in the Commemoration of the Vietnam War by planning and conducting events and activities that will recognize the Vietnam Veterans and their families' service, valor, and sacrifice.”

Commemorative Event Objectives:

Commemorative Event partners agree to do two events a year in the commemorative period of 2015 - 2017. These events can be large or small and should be dignified occasions displaying a sensitivity and appreciation for the losses and solemn nature of war. The guidelines for activities must meet one or more of the following objectives, with the emphasis being on objective one:

1. To thank and honor veterans of the Vietnam War, including personnel who were held as prisoners of war (POW), or listed as missing in action (MIA), for their service and sacrifice on behalf of the United States and to thank and honor the families of these veterans.2. To highlight the service of the Armed Forces during the Vietnam War and the contributions of Federal agencies and governmental and non-governmental organizations that served with, or in support of, the Armed Forces.3. To pay tribute to the contributions made on the home front by the people of the United States during the Vietnam War.4. To highlight the advances in technology, science, and medicine related to military research conducted during the Vietnam War.5. To recognize the contributions and sacrifices made by the allies of the United States during the Vietnam War.

OSDAR and Chapter Involvement

The Ohio Society Daughters of the American Revolution is a Commemorative Partner. All chapters are encouraged to become a Commemorative Partner. It is free to sign up. Go to www.vietnamwar50th.com and click on the “Commemorative Partner Program and fill out/submit the paperwork. After approval, your chapter

will receive an official welcome kit including a banner and certificate. As a commemorative partner, you can hang the banner at your official events. Under “History and Education”, there are resources such as fact sheets, posters, primary sources (first-hand accounts of the Vietnam War) and maps. Chapters can print these out to distribute.

There are many ideas for programs including but not limited to:

Recognizing Veterans for their service in a special awards ceremony Having a chapter program where either a Veteran, a family member or an organization that offered

support to the war speaks Do a Vietnam War educational session using the materials found online Set up a display at your local library using the materials found online Support any community event honoring Vietnam Vets Lay flowers on Vietnam vets graves Prepare a meal for Vietnam vets at your local VFW, shelter or civic organization “The Wall That Heals” is going across America – have a special trip to visit or work with your

community to see if you can bring the wall to your area. Visit http://www.vvmf.org/twth to learn more.

All members are encouraged to support the Ohio Society in our State Events.

Please report all activities to Kate Lamb at [email protected] so the OSDAR has an accurate representation of all of our state activities.

BASIC RULES OF DAR PROTOCOL

The hallmark and essence of protocol are thoughtfulness, courtesy, and knowing a few simple rules. The following are some simple guidelines, which should be followed at all meetings:

The State Regent is the highest-ranking officer in the State Society and recognition as such should be accorded to her. In the State she outranks a Vice President General or National Officer.

Introduction of Guests at a Chapter or State Meeting

Since the State Regent is the highest-ranking officer in the State Society, she is always introduced first at chapter or state functions. The following is the order of precedence after the State Regent:

o Person presiding (if not the Chapter Regent) o President General or her representative. o Current National DAR Officers in order of official listing followed by Vice Presidents General

(Within the state, the National Office is listed before the Honorary State Regent title.) o Honorary Vice Presidents General • State Senators and Representatives o Honorary State Regents in order of seniority of service as State Regent (Within the state, the

Honorary State Regent title is listed first followed by her past national office(s).) o Active State Officers in the following order: State Vice Regent, State Chaplain, State Recording

Secretary, State Corresponding Secretary, State Organizing Secretary, State Treasurer, State Registrar, State Historian, State Librarian, District Directors

o DAR National Chairmen • DAR National Vice Chairmen o State Chairmen (national committees followed by state committees) o State Vice Chairmen (national committees followed by state committees) o Hostess Chapter Regents o Visiting Chapter Regents (alphabetical by chapter name) (For a more complete list, refer to the

Protocol Chapter in the DAR Handbook) Chapter Meetings

No other program should be planned when the State Regent is the speaker at the meeting. The State Regent is escorted to her seat at the luncheon table or is escorted to be first in line at a buffet

or tea table. At chapter luncheons or banquets the Chapter Regent, as hostess and presiding officer, has the center

seat; or, if a podium is on the table, the first seat to the right of the podium with the State Regent seated at the right of the Chapter Regent.

All should rise when the State Regent is introduced. The guest should be met on arrival, introduced to others and escorted to his/her assigned seat. A guest

speaker sits at the front of the room for a business meeting and at the head table for a luncheon or banquet.

The business of the meeting should be planned so that the guest speaker is not kept waiting after the scheduled time.

It is customary to give a small gift or honorarium as a “thank you” to a guest speaker. When the speaker has traveled a distance to attend the chapter’s meeting, a monetary gift towards the speaker’s gasoline would be very appropriate.

When the State Regent is the speaker, a monetary gift towards her state project is most welcome. State Meetings

All should rise when the State Regent is introduced. All those seated in the audience should remain in their places until the recessional has left the room.

Anyone wearing a ribbon sash is accorded the privilege of going to the head of the line in the ladies lounge. Out of state guests are accorded the same privilege.

Duties of Officers

There are no additions to any minutes, only corrections. Do not sign your report “Respectfully Submitted”, just your name.

Miscellaneous

All should rise when the President General and the State Regent are introduced. At Continental Congress, the state delegation should rise briefly when the State Regent comes forward

to give her report. DAR pins and ribbons are only worn on the left shoulder to over the heart. The Flag Pin should be worn on the left lapel, in accordance with the United States Flag Code. When

wearing the DAR Insignia, the Flag Pin is the only emblem that may be worn on the left and should be worn on the left lapel and not on the official ribbon.

Introductions should be brief but not flowery. Give enough information about the speaker to make the audience wish to listen. Just because you know about the background of the speaker does not mean that everyone else does.

A person who is known to the audience is presented, but a stranger is introduced. It is the presiding officer who thanks a speaker by giving a few gracious words of appreciation on behalf of the organization.

A presiding officer never applauds. A presiding officer never relinquishes the chair unless a motion or action refers to her only. It is the custom to remove the glove from the right hand before placing the hand over the heart while

reciting the Pledge of Allegiance to the Flag of the United States of America and while singing The National Anthem.

Receiving lines should be as short as possible. A general rule is to include no more than one-tenth of the group attending the event.

Customarily, DAR members wear gloves in a receiving line. This is not mandatory and the hostess should set the example. If the State Regent is in attendance, she will set the example.

Guests are introduced in descending order of rank. When giving a report, address only the chair of the presiding officer.

All Chapter Regents and officers should have a DAR handbook, which is available on NSDAR website under DAR Handbook and Bylaws. Answers to 99% of all questions are found there. The 2008 Edition of the DAR Handbook is available from the DAR Store.
