It gives us a great pleasure on behalf of the Hong Kong Sterile Services ManagementAssociation (HKSSMA) to invite and welcome you to the 21st World Sterilization Congresscum HKSSMA Symposium to be held from 25 to 28 November 2020 in Macao and HongKong.

Following the footsteps of the previous successful congresses, HKSSMA will work closelywith WFHSS to provide you with a valuable opportunity to learn new advances in the fieldof sterilization, an interactive platform for exchange of experiences and a warmatmosphere for establishing collaboration networks.

HKSSMA has a strong connection withthe colleagues in Asia especially those in the Mainland China. The Congress was only heldin Asia once in Osaka of Japan in November 2012 with an attendance of about 1,300delegates. We believe, with your active participation, the 21st Congress will attract wellover 2,000 participants from around the globe.

Macao and Hong Kong are interesting places with perfect blending of East and West. The‘Historic Centre of Macao’ was inscribed on UNESCO World Heritage in 2005. About HKSSMA

Hong Kong Sterile Services Management Association (HKSSMA) was founded in March1997 by a group of enthusiastic nursing staff working in Central Sterile SupplyDepartments (CSSD) in Hong Kong. HKSSMA is actively involved in promoting bestpractices with a view to improving the level of service quality delivery in hospital CSSDs aswell as enhancing patient safety.

Our major objective is to promote and provide training and development opportunities forthe enhancement of the professional knowledge and management skill in the field ofdecontamination and sterilization services for our members.

The Venetian Macao

The Venetian Macao is at only 5 minutes away from the Macao International Airport via the complimentary Venetian

shuttle bus.

The venue offers large possibilities for organizing events and international conventions with an arena, a theatre, 2exhibition levels with more than 70 000 sqm surfaces, a ballroom and many meeting rooms.

Strategic Location

Visitors can use the Macao International Airport for travelling to several destinations in the region on direct flights orcatch connecting flights to different ports on all 5 continents. The airport is located on Taipa Island and is 5 minutes away from the Venetian. The Venetian Macao provides transfer services which can be booked in advance or arranged upon arrival. A taxi ride from the airport to The Venetian Macao cost approximately USD4.

An airport ferry service is available for passengers travelling to Macao via Hong Kong International Airport. Passengers can arrive in or depart from Macao via Hong Kong International Airport as a transit stop without having to pass through Hong Kong Customs and Immigration formalities and also without the inconvenience of carrying their luggage to the Ferry Terminal. The ferry trip from Hong Kong International Airport to Macao takes approximately 70 minutes.

There are several high-speed trains that connect Macao to most cities in mainland China. Visitors can now connect from cities such as Beijing and Guangzhou, a trip of only 8 hours with the new high-speed trains compared to 20 hours previously. From Guangzhou, visitors have the choice of a 46-minute non-stop train to Zhuhai, the Macao-mainland China border, or 3 hours by coach.

The Hong Kong-Zhuhai-Macao Bridge (HZMB) is now open. This means you can now get here by coach or car from Hong Kong in addition to arriving in Macao by ferry or plane.

GENERALE SALES AND SPACE RENTING TERMS

ART. 1 – GENERAL TERMS AND CONDITIONS: The sponsor or

exhibitor is willing to accept with no reserve the terms of the present

rules and regulations of Hong Kong Sterile Services Management

Association (hereinafter called HKSSMA) and the provisions of public

law applicable to events organized in Macao. They shall accept all

new measures generated by circumstance or for the event benefit

that the organizer reserves the right to indicate, even orally.

ART. 2 – ADMISSIONS: The reservation requests signed by theexhibitor will not be valid unless drawn up on the official reservationforms provided by HKSSMA.

The reservation forms should be sent by email to the HKSSMASecretariat: [email protected]

The applications will be submitted to the Organizing Committee whowill decide on the outcome after examination. In case of refusal, theorganizing committee will not have to justify the decision notified tothe applicant. In no case whatsoever will the applicant have the rightto request compensation for refusal on grounds that he was invitedto apply by the Organizing Committee.

ART. 3 – PAYMENT: For any reservation made before the 10th ofOctober 2020 the payment is to be made on 30 days from date ofinvoice.

For any reservation made after the 10th of October 2020 thepayment is to be made on receipt of invoice.

In accordance with the above payment deadlines and inaccordance with the law on payment terms, any delay inpayment automatically results in the application of late paymentpenalties at a rate equal to 1.5 times the legal interest rate.

If the total amount of the invoice has not been paid at least 30days prior to the date of the event (26/10/2020), the organizerreserves the right to reassign the sponsor’s of exhibitor’slocation.

Similarly, if the total amount of the invoice has not been paid atleast 7 days prior to the event the organizer reserves the right torefuse the sponsor’s or exhibitor’s access to the event.

ART. 4 - CANCELLATION: In case of cancellation by a sponsor orexhibitor prior to 25/09/2020, the organizer will retain 60% of the totalamount of the invoice as compensation.

For any cancellation request occurring from 25/09/2019 onwards, theentire amount of the invoice will be due and will be retained as acompensation for contract breach.

ART. 5 – SUBLEASE: The admission certificate is personal,incommunicable and inalienable. It is strictly forbidden for theexhibitors to sublease or share in return of remuneration or for free apart or their entire booth.

ART. 6 – OCCUPATION OF EXHIBITION SPACES: The exhibition

map is drawn up by the Organizing Committee. The allocation of

spaces is made by HKSSMA in collaboration with the Organizing

Committee while taking into account the reservations’ order of arrival.

After the allocation, no change can be made without written approval

by HKSSMA.

HKSSMA reserves the right to modify as many times as it seemsnecessary, the location, the size and the layout of the requestedspaces by the exhibitor.

If the Organizing Committee is compelled to partially change the

layout or set ups, no claim will be acceptable and the exhibitorsundertake to abide by the decisions taken.

For any dispute, decision of the Organizing Committee shall be finaland conclusive. The allocated spaces shall be occupied by theexhibitor from November 25th to 27th November 2020; otherwise,they will be considered vacant and could be allocated without anycompensation or refund that the failing exhibitor might request.

ART. 7 – RULES AND SAFETY INSTRUCTIONS: A technical file for

the exhibitor will be sent at a later date to the company reserving a

stand. This file will include all the booth layout and furniture renting

rules as well as the safety regulations and information on all

necessary services (phone, maintenance, storage, customs

clearance...)

The exhibitors, their employees and subcontractors engagethemselves to respect and abide by the rules of the Venetian Macaoand the instructions specified in the technical file.

More generally, the exhibitors shall abide by the laws and regulationsapplying to fairs and exhibitions as well as the safety measuresdecreed by Macao Authorities. More particularly, they shall abide bythe regulations and safety instructions of the Venetian Macao.

The exhibitors are liable for the material they exhibit as well as theone they will rent or set up at their booth.

ART. 8 - EXCLUSIVITY: The reservation and rental of a booth oradvertising space compel the exhibitor not to organize or privilege,any meetings or gatherings on the conference topics that hadn’t beendeclared or authorized by the Organizing Committee.

ART. 9 – DISTRIBUTION OF DOCUMENTS: Distribution ofadvertisements or tracts is only permitted on the booth.

ART. 10 – RIGHTS AND LIABILITIES OF THE

ORGANIZER:

The organizer will have the right to decide on all unforeseen mattersin this present regulatory document. All its decisions will be takenwith no possible recourse and shall be immediately implemented.

Any breach of any one clause of this present document shall give riseto immediate, temporary or definitive exclusion of the failing exhibitorwith no possibility for the latter to claim any refund or compensation.The organizer shall have total freedom to decide accordingly.

This shall occur also in case of non-respect of the terms andconditions article 3: the organizer will send the debtor a legal noticewith acknowledgement of receipt. In case of non-payment within 15days by the debtor, the contract will be cancelled. The organizer shallnot be held liable for a small number of registered delegates or anylack of interest for the whole conference.

ART. 11 – CANCELLATION OF THE EVENT: In case of force

majeure, the dates of the congress and the exhibition could be

changed or simply cancelled. In this case the available amounts after

payment of the expenses incurred will be shared between the

exhibitors on a pro rata basis with no possibility of recourse against

the organizer.

ART.12 – DISPUTES: All disputes resulting from the interpretationor execution of this agreement shall be brought to the exclusivejurisdiction of the courts of Hong Kong after the parties haveendeavored to reconcile their respective points of view.

In case of dispute, only the Laws of Hong Kong are competent.
