Onsite Reporting – Steps Step 5

• Log on to Ultimatix.If you do not have an employee number or password, contact Ultimatix helpdesk on

[email protected],

• Go to HR Management >> Launch HR management >> TCS Employee Self Service >> Other Information (Update - Overseas Details) Add in address & telephone number and submit.

• Go to HR management >> TCS Employee Self Service >> Worklist and open the notification,

• Give your date of arrival in UK (not allocation start date or date of reporting to

project), email ID & location

• Clear the Notification

*After completing your reporting the notification goes to the Onsite BRM for approval. Post approval allow 24/ 48 hrs for this data to get reflected into Globalnet.

If Onsite Arrival form not found in worklist:• Check status of your Overseas Deputation process through the link Ultimatix >> HR Management >> TCS Employee

Self service >> Track My Workflows >> Item Type (Overseas Deputation) to see if any notification is pending with base branch Travel - Admin / FDFU

• Kindly send an email to the stakeholder to clear the notification• <ADD REPORTING FORM> would flow into your work list once these notifications are cleared

Opening a Bank Account

To open a bank account

• Download the HSBC bank account application form

Ultimatix >> Knowmax >> Featured Links >> My HR

>> United Kingdom >> UK & Ireland >> Expatriate

Associates >> Assistance >> First Steps >> Account

Opening.

• Attach a copy of your work permit, your visa in your

passport and the first page of the passport making

sure the passport number and expiry date are clear

• Obtain a TCS cover letter which will be provided by

the UK Helpdesk team [email protected]

• Approach the nearest HSBC Bank

Option 2

You can open an account in UK with either ICICI or HSBC Banks for allowance payments and claim reimbursements .

Open your Bank Account (from India)

• Branch FDFU/Travel will be able to advice any

change in the bank contact details

• It is advisable to open Bank Account from India

when you have at least a week between your

application date and travel date.

If you have not finalised your accommodation, you can provide a colleague’s home address

If you already opened your bank account in India

If you have already opened an HSBC bank account in India:

– Within your first week of arrival, you should receive an email from HSBC

with your sort code, bank account number, other details and instructions

– Please follow the instructions in this email

– Visit the nearest HSBC branch and update your address, where the bank can send you your debit card and cheque book

• You donot need an address proof, but will need to carry your passport

– HSBC would have sent an account opening pack for your NRI account to your India passport address.

Updating Bank Account Details in Ultimatix

You may choose to deposit your

unused travellers cheques into your

bank account

Where

• Logon to Ultimatix

• Go to HR Management >> TCS Employee Self Service >>

Employee Information ( Direct Update ) >> Overseas Bank Details

What

• Click on “add new row” and fill in the following details:

• Country : United Kingdom

• Bank Name : Your Bank Name

• Account Type : must be <CURRENT ACCOUNT> only.

• Account Number – Enter only the account number. Do not enter sort code here. (Ensure that you do not enter any other characters or spaces in between)

• Sort Code :Enter 6 digit sort code

• Present Account : Yes

• Start Date : Date of opening Bank Account

• Please do not End Date your account .

How

• Click ‘OK’.

• Verify all details are correct on the next screen. If not, click on ‘Back’ and correct the details.

• If all Details are correct, click ‘Next’

• Click ‘Submit ‘on next screen

• This complete the Bank Update process in Ultimatix

* Your UK allowance will not get processed until you have updated your overseas

bank account details!

Other Important Things To Do

National Insurance

Number (NIN)

• You must apply for an NI number.

• To apply for an NI number, please send an email to [email protected] with your full name as per passport, employee number, client site, contact number and full UK residence address, to where the form will be dispatched.

• Procedure is available on Ultimatix >> Knowmax >> Featured Links >> My HR > United Kingdom >> UK & Ireland >> Expatriate Associates >> Expats Corner >> New Arrivals >> National Insurance Number.

• Please update the NI number in Ultimatix > HR Management > launch HR management >> TCS employee self service >> overseas identification details

Inland Revenue

• Please complete your Inland Revenue forms (P86 (arrival to UK) & Authority letter 64-8)provided in Ultimatix >> Knowmax >> My HR >> United Kingdom >> UK & Ireland >> Expatriate associates >> Expats corner >> New arrivals >> Regulatory Compliance >> Inland revenue and send to TCS, Finance Department (4th Floor), 18 Grosvenor Place, London SW1X 7HS

• P85 Ultimatix >> Knowmax >> My HR >> United Kingdom >> UK & Ireland >> Expatriate associates >> Expats corner >> Return back to home country has to be submitted prior to leaving the UK

Dependent Details

• Please ensure your dependent details have been updated correctly in Ultimatix

• Ultimatix >> HR Management >> launch HR management >> TCS Employee Service >> Dependent Details

Other Important Things To Do…

National

Health

Service

(NHS)

• Please register with your local GP/ NHS

• Find your local GP at : ww.nhsdirect.nhs.uk

• This must be done within the first month of arrival in the UK

* You will require your residential address to complete activity

Mayfair

Insurance

• Your Mayfair Id is sent to your TCS email after 7 to 8 days of your arrival

to UK

• Log on to <www.mayfairworldwide.com> using this ID & download the

coverage document for self and family (spouse and children).

• Directly contact Mayfair for any queries relating to Claims.

• In case you do not receive the E Mail with insurance details within 15

days of your arrival to the UK, kindly contact [email protected].

• NHS registration and reference is mandatory to make any claims from

Mayfair after the first month with TCS UK.

• Please update your TCS email id In Global Net

• If you are primarily using a client mail ID, do ensure you regularly check

your TCS email or webmail for any important communication

HMRC Requirements – Ongoing formality while in UKHMRC (Her Majesty Revenues & Customs)

• Rent update

• Council Tax

• Water

• Travel Expenses

• Initial One time settling expenses

• Audit of personal accommodation & travel expenses incurred by TCS associates in UK on work permit.

• Needs to be updated by each and every expat employee in the UK, irrespective of grade or when you moved to the UK

• Complete on a monthly / regular basis and send copies of rent, council tax and utility bills to UK Finance

• Non submission of details to HMRC will result in reduction of dispensation and an increase in the expatriate payroll tax/cost. Concerns or queries: [email protected]
