Publication Process


When to provide or not a PDF?

Provide the PDF when the content is allowed to be publicly accessible– E.g., We do not provide the PDF of a private Deliverable

because it will end up to be publicly accessible either in the CSG publications DB, or in Merlin

Provide the PDF in case of a presentation when it was presented in a public event– E.g., We do not publish JC or RR presentations


PDF’s Sources (1)

Official Publications and Miscellaneous Publications– IFI files (present solution)

• Solution managed by IFI

– Official URL from the publisher (if available by the time that the CSG publication entry was created)

– Research gate URL?• Rely on a service that we don’t know that will be available for ever

• We have stats– Scribd?

• Rely on a service that we don’t know that will be available for ever

• Bad idea since the content is not accessible without log in

• We have stats– ownCloud?

• No point to migrate since all past publications need to be migrated– CMS e.g., Lenya/Magnolia (old solution)

• Bad idea because links break when we move a stuff member

• The CMS is not a file storage solution– Other?

• Again a strong reason to migrate is needed

PDF Publication in the CSG Publication DB with the IFI Files Process

Learn how to use IFI files for your OS– Google for “IFI files UZH” and click on the first link

Once you mounted IFI files folder go to the CSG folder and

navigate to the respective publication folder– Add your PDF file (avoid special chars and spaces use ‘_’ instead)

The link of your PDF file will be:– https://files.ifi.uzh.ch/CSG/..........your path goes here.....

Paste the URL in the URL filed of your entry in the CSG

publications system

Migration to Merlin

Once the publication is migrated to Merlin each responsible person for the publication should check carefully and update any missing information before accepting the publication– E.g., additional URLs
