Test Coordinator Responsibilities• Read Test Coordinator Manual and
Test Administration Directions• Order Materials for shortages• Train Test Administrators & Proctors, • Collect and store signature on Test
Security Agreement • Organize and distribute Test Materials• Secure Test Materials during Testing
Cycle• Collect and secure Sign-In sheets
from all sites• Return materials to testing warehouse
10
Training Test Administrator & Proctors
• Review testing schedule for each day of testing.
• Review Test Administration Directions – have teachers highlight and make notes in manual as needed.
• Procedures including review of Test Security Agreement.
• Preparing classroom/testing site – appropriate test environment and permissible visual aids.
11
Training Test Administrator & Proctors Continued
• Handling of test materials before, during, and after testing.
• Discussing procedure of students requiring test accommodations (Ell, SpEd, or 504 students).
• Preparing test booklets and answer documents: barcode labels, bubbling accommodations, transcription of answers to regular answer document for students receiving certain accommodations on writing.
12
What is New for Spring 2007 ?
• Testing Accommodations • Field Testing• Sign-In Sheets• Testing Issues
13
Testing Accommodations• Please review the document concerning
accommodations provided in the testing packet.
• Every Test Administrator and Proctor must read the New Test Accommodation Guidelines for 2006-2007 prior to administering the AIMS Test. (Copy in your packet)
• New accommodations titled Universal Accommodations are now available.
14
Who Gets Which Accommodation?
• Universal Accommodations are available to all students.
• Standard Accommodations are available to ELLs ,504s and Special Education students – but each group has specific ones – check list in guidelines.
• Alternate Accommodations are available ONLY to Special Education students with an IEP.
15
Field Testing
• AIMS HS Science Field Test
(Please refer to slides 52 – 54)
16
Sign-In Sheet• ALL Testing Sites will have a Sign-In Sheet
(example in test packet).
• These sheets need to be secured by the Test Coordinator. (ADE randomly reviews Sign-In Sheets.)
• Sign-In Sheets provide documentation
of who was testing in the room as
well as verification that students were
provided the opportunity to test.
17
Testing Issues• When in doubt …call Cindy Hurley
225-5418!
• Call Cindy to report any and all inappropriate testing incidents.
• Use the Testing Incident Report Form provided in your packet and return to Cindy.
• Inappropriate handling of incidents may result in liability issues.
18
Testing Issues - Continued
• When you follow proper testing procedures ADE can assist us.
• Only Cindy can invalidate an answer document once she has permission from ADE.
• Removing students who are disruptive does not mean you do not allow them to finish in another environment.
19
AIMS Test Administration Procedures
20
AIMS Testing Protocol• The AIMS test is not timed.
• Approximate times represent the estimated time necessary for the vast majority of students to complete the test.
• Arrangements must be made to allow students to have as much time as is needed to finish the test.
• No AIMS testing session may carry over to the next school day.
21
AIMS Test Forms
• HS Reading/Mathematics uses Forms A – J
• HS Writing uses Form A
• HS W/R and Math Make-Ups use Form T
22
Preparing to Test
• Please review the Test Coordinator’s Manual and Test Administration Directions prior to training Test Administrators, and Proctors.
• Many important items are covered
in the manuals that will not be discussed today.
23
Preparing to Test - Labels
• Student data is extracted from SAIS on January 16 for AIMS HS W/R.
• Student data is extracted from SAIS on February 13 for AIMS HS Math (Science) bar code labels and TN answer documents.
24
AIMS Labels
• Student Bar Code Labels will contain ALL required demographic information except for information regarding accommodations.
• Student Bar Code Labels are to be placed on the front of the answer document. Do not use the Master Label.
25
AIMS Labels• If a student has a label use it!
• Some missing or incorrect demographic data in the labels can be corrected for the test reports.
• To do so, use the label and have school personnel bubble the correct information in the lower half of the back of the answer document after testing.
26
AIMS Student Demographic Data Grid
• For students without a bar code label, the grid on the back must be completed by school personnel.
• The top half is to be completed before testing.
• The bottom half is to be completed after testing.
• Full instructions are in the Test Administration Directions
27
Private School or Home SchoolStudent Demographic Information
• Fill in the top half of the back side of the AIMS answer document and since there is no SAIS #, put in student’s phone number.
• Mark box 6 (not enrolled) on bottom half of the back side of the AIMS answer document.
If a student does not have a bar code label, do NOT write the information in place of a label.
DO NOT DO THIS!
28
29
TerraNova Test Administration Procedures
30
TerraNova Testing Protocol
TerraNova Test Directions for Teachers go against AZrules. ADE not able to modify the test manual so followthese rules instead …
• Teachers can not invalidate a test –only the district testing coordinator can.
• Can not use a calculator (except for
IEP).
31
During Testing
• Administer test exactly as directed in the Test Administration Directions.
• Monitor that all students who should be tested are being tested.
• Monitor that Test Administrators are “Actively” proctoring.
32
During TestingActive proctoring includes:
• Confirming that only the appropriate students test
• Verifying that students testing on both Writing and Reading use the same answer document for both days
• Maintaining the scannability of the answer documents
33
During Testing Active proctoring also includes:
• Maintaining accurate sign-ins and test material inventory.
• Watching for student misconduct.
• Confirming that the correct student name is handwritten on both the test book and answer document and the form code is bubbled.
• Confirming that all test materials have been returned prior to dismissing students
34
During Testing
Watch for student misconduct/cheatingincluding:
• Use of calculators or other electronic devices
• Use of scratch paper (No for AIMS, Yes for TerraNova)
• Use of inappropriate reference materials• Working in incorrect session or test• Disruptive behavior• “Imposter” students
35
Test Security• Test materials must be inventoried upon
arrival and the inventory should be maintained through the testing cycle.
• Test materials must be kept in locked storage when not in use.
• Test must be administered exactly as stated in the Test Coordinator’s Manual and the Test Administration Directions.
• All test materials must be returned to testing warehouse.
• Do not reproduce any test materials.
36
More Test Security
• Do not disclose any actual test items.• Do not EVER discuss any test items.• Do not provide answers to students.• Do not change a student’s answer.• Do not allow students to share
information during testing.• Do not preview, read, study, or examine
the actual test or student responses.• Do not allow scratch paper for AIMS and

• Do not allow talking during the test.
• Do not help students during the test.
• Walk the halls of the schools prior to testing to be sure appropriate modifications to classroom environments have been made.
38
More Test Security• Violations of test security are a serious matter
that could result in disciplinary actions including revoking of certification and withholding of school funds.
• All school/district personnel who have access to the HS AIMS and TerraNova must sign a “Test Security Agreement” prior to each test administration.
• Keep these agreements on file at schools except for the Principal's agreement – return it with testing materials.
39
After Testing• Collect all test materials.
• Complete demographic information for students without bar code labels.
• Confirm that the proctor who administered the test to any student receiving accommodations properly completed the inside front cover of the answer document.
• Inspect answer documents as instructed in the HS Test Administration Directions Pg. 31.
• Package and return materials as directed to testing warehouse.
40
Reportable Testing Incidents
• Problems with testing materials- Defective test books or answer documents- Lost or missing test materials, etc.
• Misconduct by students**- Cheating- Stealing test materials, etc.

48
Testing Accommodations Inside Cover of AIMS Answer Document
See Pg. 40 of AIMS HS Test Administration Directions
Note: ThereAre 2 mistakes Here:
#1. 504s can not have a scribe for writing
#2. There is no such thing this year as :”another alternate accommodation….on”
49
TerraNova Answer Documents
• There are no bar code labels for TN.
• Most students will have a pre-coded answer document – no demographics need to be filled in
• If there is no pre-coded answer document for
a student, then fill in all student-identifying information on a blank answer document – see slide 50.
• If student has used an accommodation, then boxes AA and possibly BB must be filled in on answer document – see slide 51.
50
Filling in Demographics on TerraNova Answer Document
Note: There are two sections that we do not fill in: “InView Level” and “Special Codes”, so ignore these sections
This detail (Level 19, Form C) is not in the Teacher Directions
This information is taken directly from the Test Coordinator Manual – Pg. 14. It also can be found in the Test Directions for Teachers on Pg. 6, but it is not as user friendly
51
Filling in Sections AA and BB on TerraNova Answer Document
Note: This information can only be found in the Test Coordinator Manual – Pg. 14.
52
HS Science Field Test • This test is given to students in Cohort 09
who are enrolled in a Life Science course that is aligned with Strand 4 of the Arizona Science Standards in selected schools.
• The test administrator or proctor will have to advise students taking the test on how to fill in the bubble on the answer document related to the course they took last year.
• Administration time is approximately one hour.
• Students must be allowed to finish the test.
53
HS Science Field Test
• There are five numbered forms.
• Answer documents must be bubbled with the correct form number to indicate which form students used for the test.
• Test administrators or proctors must ensure that each student bubbles the correct form number on the answer document.
54
HS Science Field Test
• “In what kind of Science course were you enrolled in last year?”
• Life Science• Physical Science• Combination• None
55
Returning Test Materials to TUSD Warehouse
56
Critical Dates for Return of Test Materials
• March 1, 2, and 5 for early return of AIMS W/R answer documents (scorables).
• March 8, 9, 12 for return of remaining AIMS W/R scorables and non-scorables.
• April 12, 13, 16 for early return of AIMS Math scorables.
• April 18, 19 for return of all other test materials (scoreables & non-scorables for AIMS Math, TN, and Science.
• PLEASE CALL BERT (617-8187) TO SET UP A TIME SLOT TO RETURN MATERIALS.
57
Returning and Checking-In Test Materials
• Each set of tests (W/R and Math) has an early return time immediately after the test dates .
• Then after each make-up test date, the remaining test materials are returned.
• So for each round of testing you will need to make two trips to the warehouse to check in your test materials.
• It is imperative that you be on time for the time slot you have selected. If you arrive late, we most likely will need to reschedule you. We are on a very tight timeline this year.
58
Packaging Scorables and Non-Scorables
Scorables:• Answer documents that are to be scored are considered scorables and need to be boxed and labeled separately.• Do not mix any scorables with non-scorables – may result in lost
tests and/or late-receipt scoring fees.
Non-Scorables:• Test books and unused barcode-labels are considered non-scorable and should be boxed and labeled separately.• Keep all unused or damaged answer documents grouped together and returned with the used answer document.
NOTE: Box test materials in the original boxes sent to you – these must be used for return of materials to CTB.
59
Organizing the AIMS Answer Documents• Check bar-code label placement.
• Check back of answer document: - if there is a label then nothing should be filled in on back - if there is no label then the back should be filled in
• Check answer documents to ensure loose sheets of paper, paper clips, or sticky notes have not been left inside.
• Check test booklets to ensure answer documents have not been left inside.
60
Organizing the AIMS Answer Documents
• All answer documents must be separated by content area and then by cohort.
• Answer documents should be arranged face-up and separated by colored sheets of paper.
• Unused or damaged answer documents need to be grouped together and returned with the scorable (used) answer documents.
• Do not band answer documents in any way.
61
Organizing the AIMS Answer Documentsfor Field Tests (If Applicable)
• Keep field test (Science) materials separated from regular AIMS Writing/Reading and Math.
• Just like regular AIMS test materials, keep scorables (used) boxed separately from non-scorables.
• Bring in Science Field Test test materials at the same time as the AIMS Math Make-ups.
62
Organizing the TerraNova Answer Documents
• Confirm that Testing Accommodations (Sections AA and BB) if needed have been filled in on all
answer documents.• Verify that all student-identifying information on non pre-coded answer documents has been filled in.• Check answer documents to ensure loose sheets of paper, paper clips, or sticky notes have not been left inside.• Check test booklets to ensure answer
documents have not been left inside.• Answer documents should be arranged
face-up.• Do not band or clip answer documents .
63
Need-to-Know & Need-to-Remember
• Use of scratch paper for AIMS is a test violation.
• Students must use a No. 2 graphite pencil to mark their answers – answers written in ink will not be scored.
• Test coordinators and administrators are responsible for reading the test administration directions thoroughly – “No one told me that,” can not be an excuse used if a test violation occurs.
• Students who become ill and must leave during the test administration of any AIMS content area are ineligible to continue the test for that content area or to make-up that testing session (See page 8 of Test Administration Directions).
