POLICIES & PROCEDURES

Exhibit Location/Hours/Set-Up/Dismantle The Exhibits will be located in the Potomac Room - Located on the Ballroom Level, two levels below the lobby. Platinum Exhibitors will be located in the Regency EF Ballroom Foyer. Exhibitor Set-Up: Tuesday, 12/17, 1 pm- 4:30 pm Show Hours: Tuesday, 12/17, 4:45pm- 7pm, 12/18, 7am- 7pm and 12/19, 7 am- 2:30pm Exhibitor Break Down: Thursday, 12/19, 2:30 pm- 4pm.

Exhibit Hall Table and Services Your Exhibit Table includes a 6 foot draped table and 2 chairs. For additional services (internet, electric, telephone, audio/visual, package handling) please complete the appropriate attached form and fax it to the number show on the form.

Exhibit Hall Policies and Procedures for Exhibits Hyatt Regency Crystal City's display rules and regulations are based on a philosophy that all Exhibitors should be given an equal opportunity to present their product to their audience in an effective manner.

The following apply to all Exhibits:

Adhesives - No pins, tacks, or adhesives of any kind are permitted on any wall, door, or column. Exhibitors may not give out adhesive backed stickers.

Signs/Banners - All signs must conform to show management rules and regulations and ceiling limitations. Signs must be placed

on self-supporting stanchions, easels or hung from the pipe and drape. No signs are to be hung from the Exhibit space ceilings or walls.

Non-Flammable Materials - All materials used in the Exhibit space or any other part of the Hotel must be non-flammable in order to conform to the fire regulations of Arlington County.

Compressed Gases - Compressed gases are not allowed inside the Hotel. Heavier than air gases like propane, butane, or liquefied petroleum gas (LPG) are also not allowed,

Motorized Vehicles - There is no the ability to get a vehicle into the exhibit space.

Liability - The hotel is not responsible for any injury, loss, or damage that may occur to the Exhibitor, the Exhibitor's Agent, employees or property, or to any other person's property, prior, during or subsequent to the period covered by the exhibit contract, provided said injury, loss, or damages not caused by the willful negligence of an employee of the Hotel. Each Exhibitor hereby expressly releases the Hotel from such liabilities and agrees to indemnify the hotel against all claims for such injury, loss, or damage.

Insurance - Exhibitors who desire to carry insurance on their own exhibits must do so at their own expense.

Security - Please note no security is being provided in the Exhibit space. We recommend not leaving anything of value in the hall.

Food and Beverage - Any food or beverage dispensed or given away at a booth must be supplied and prepared by the Hotel staff.

Balloons - Helium filled balloons are not permitted within the Exhibit space.

Tape - Exhibitors are responsible for the removal of all tape and residue marks.

Smoking - Smoking is prohibited inside the hotel.

Right to Inspect - The Hotel's Security personnel reserves the right to inspect any carton, container, briefcase, luggage, or package brought in or taken out of the Exhibit space.

Exhibitor Equipment - All equipment, decorations, freight, etc. must be removed from the premises at the expiration of the Contract. Items left beyond this time will be treated as abandoned equipment.

Access for Deliveries - All articles, exhibits, fixtures, displays, and property of any kind shall be brought in to and out of the Exhibit space only at and through such approved loading areas as the Hotel may designate.

Package Handling Any package being shipped to the Hyatt Regency Crystal City must be prepaid and addressed as follows:

As the hotel as very limited storage facilities, a limit of (10) boxes weighing no more than 50 pounds each can be shipped to the

hotel three (3) days prior to the function. Shipments received prior to the three- (3) days will be returned. For shipments larger than this please check with your Event Planning Manager. Larger packages must arrive on the day of setup.

Any package being shipped OUT of the Hotel must be prepaid, addressed, labeled and ready for mailing. Please ask your Event Planning Manager for a Shipping Request Form.

There is a labor charge $7 .00 per box or $150.00 per pallet for storing and transporting boxes to or from meeting/exhibit locations.

Below are the prices for packages, boxes and pallets shipped to and from the hotel.

Delivery of exhibit materials must occur through back-of-the-house, not foyer, areas.
