Welcome to Bays The Committee would like to thank you for volunteering to be a coach, an assistant coach and/or manager for Bays 2016 season. We are looking forward to another great season and wish you and your teams all the best. PRESIDENT James Dickson is your new Club President. James will be well known to many of you given his long association with Bays. For those new to the Club, we trust you will get to meet him over the course of the season. Respect for Rugby Bays Junior Rugby Union Club has a long and proud history as a village based club, managed and supported entirely by volunteers. Bays is committed to nurturing a fundamental appreciation and enduring passion for the game of Rugby amongst young players between 5 and 12 years of age. Rugby Union is a “game steeped in tradition and is renowned for its respectfulness and consideration towards all participants. However, with this tradition comes a great responsibility; a responsibility to maintain the respect towards all that participate and contribute to making our game great” (*). As parents, carers, referees, coaches and managers it is our responsibility to provide a positive, nurturing and fun environment for ALL junior players to help make the sport “inclusive, safe and fair” (*). At Bays we: • Expect all players to attend and participate in the official training sessions on

Tuesday evenings (players must notify the manager or coach if they are unable to attend).

• Expect players, parents and supporters to respect the referee • Expect players to give 3 cheers for the opposing team after the game and

their shake hands • Encourage parents to take an active interest in the team and the Club • Encourage parents and supporters to praise good play by both teams. • Expect mature sideline etiquette. We discourage the use of excessive

barracking. • Encourage all parents /carers to take photos and videos throughout the

season. These can be posted onto the Bays Website and can be used in the Annual Year Book.

Working with Children Check All Coaches are required to complete a Working With Children Check form. This is a mandatory requirement. There is no cost for this application and it is valid for 5 years. In summary, the process is as follows: Step 1: Fill in an online application form Go to http://www.kids.nsw.gov.au/Working-with-children/New-Working-With-

Children-Check/apply. Select "Apply for your Check" and fill in the Application form. • In the section, "Purpose for Check", select "Volunteer, authorised carer, adult

household member, student on a professional placement, prospective adoptive parent". The child-related sector to select is "Clubs or other bodies providing services for children".

• Once you have submitted your application, save and print your New Application

Receipt and make a note of your Application Number which will look like this, "APP0422789". This will also be emailed to you.

Step 2: Attend a NSW Motor Registry

• To finalise the Application, you will need to attend a NSW Motor Registry. You will need to take with you:

Coach Duties This should be read in conjunction with the Code of Conduct for Players and Parents which can be found on the Bays website under About Us > Code of Conduct

Coaches have a special responsibility within the Club. It is a responsibility that should not be taken lightly. The players are in their formative years and will respond to the influence of the coach, an influence that could have a lasting effect on the boys. Remember we are dealing with young children and our behaviour and language should reflect the age of those that are being coached.

The following are the Club’s expectations of our coaches:

• You must be at training 10 minutes before the scheduled start and at least 20 minutes before the start of a match to conduct a proper warm-up.

• All training sessions should be carefully planned and organised to include a warm-up, basic skills and match play (refer Bays website – Resources > Coaches > Manuals & Tips).

• It is the coach’s responsibility to ensure that good sportsmanship is displayed at all times by Bays players and supporters. The Coach must insist on the appropriate standard of team behaviour on and off the field.

• Coaches are responsible for all equipment supplied by the Club.

• Be fully informed of Rugby requirements and matters relating to your team.

• In conjunction with the manager ensure that all players get equal time on the field where there is a surplus of players.

• Ensure all players and managers are aware of the match draw and time for the match and which players are to take the field at the start of the game.

• Closely monitor what is going on with the team and refer any concern to the relevant people as soon as possible.

! Meet & confer with all other coaches in order to select evenly balanced teams. Teams should be balanced with regard to ability, & schools should be evenly spread within reason.

Coach Accreditation All Coaches for U8 and older must be Smart Rugby accredited by 1st May 2016

Coaches for the younger years may do the course voluntarily.

At Bays we encourage all coaches to do the course as it not only helps you in your coaching but it ensures our boys are taught safely.

Grading Policy Bays is committed to creating an environment that facilitates enjoyment of the game of rugby and enables the development of the skills of all our players.

Research and experience suggest that children participating in teams comprising of players that or of a similar ability have higher involvement and ultimately more enjoyment of the game.

Commencing 2016, Bays will grade players in age groups U10 and above

The Process

• Where an age group has two or more teams, Bays will grade the teams on ability and enter the teams in the graded Sunday competition.

• Grading will occur 4 weeks prior to the start of the 2016 season.

• The teams will be selected based on the performance over 4 matches.

• Teams will be carefully chosen by a 4 person Selection Panel.

• The members of the Selection Panel will not have any affiliation with the children participating in a match that the selector is observing.

Managers Duties Team managers are essential to the smooth running of a team, both at training and at competition games. The following are the Club’s general expectations of our managers: • Encourage parents/carers to take an active interest in the team and encourage

them to praise good play by both teams.

• Discourage supporters from using excessive barracking.

• Provide administrative assistance to the coach.

• Be fully informed of Rugby requirements and matters relating to your team.

• Encourage all parents /carers to take photos and videos throughout the season - these can be used in the Annual Year Book

The following are the Managers specific duties:

• Ensure all the players are registered with the ARU (refer to the Club Registrar, [email protected]).

• Ensure all team members are aware of the match draw and time for the match.

• Distribute contact list to all team members.

• Look after any injured player. If there is an injury that requires medical attention please ensure the Serious Injury Protocol is adhered to (hard copy in C & M Folder and soft copy on the Bays website under Resources > Injury Protocol).

• On Saturday locate the field and the opposition. Confirm starting time and agree the number of players to start the game with other manager.

• Manage replacements during the game ensuring all players get equal time on the field.

• Arrange roster for parents to provide oranges/refreshments/treats on match day. A sample hard copy suggestion is in the C & M folder and a soft copy is on the Bays Website at Resources > Managers > Forms

• For U10s and up you must take a passport size photo of all players and upload this to Buddha (www.srju.com.a/buddha/ ). You must print this out and be able produce it upon request on game days (see example of the form at Resources > Managers > Forms)

• The Manager, or their delegate, must keep score.

" For U6-U9 you must use the Bays Game Evaluation form. These can be found on the Bays Website at Resources > Managers > Forms. Refer also “Tips for Managers”

This form must be completed and sent to [email protected] before 9.00am the first Tuesday following the date of the game.

" For U10 and up, you must use SRJU. Prior to the match, print out the Sign-on sheet on Buddha at www.srju.com.au/buddha/

(See example of the form at Resources > Managers > Forms)

All players in a game must sign their name (each team does their own on their own sign-on sheet). Scoring is done at the bottom of the page. At the end of the game, get the ref and the manager of the other team to sign the score sheet (There’s room for loads of other signatures but, in practice, rarely have all of them been completed).

This score sheet must be submitted before 9am on the Tuesday following the match either by fax to 93687326 or by email to [email protected]

Player Awards - Weekly

and End of Season

Weekly Awards

We have found that a great way to encourage the kids is, in addition to the Best and Fairest points, to present a weekly Recognition Award. Examples of such Recognition Awards are:

Most Improved Award

Best Attitude Award

Players Player Award

Prizes are awarded to players by the coach after the game. The Best and Fairest, a 3 point winner, might get a jumbo python. The 2 point winner a Freddo Frog. The 1 point winner a Chuppa Chup (use your imagination on what kids perceive to be a declining scale of desirability!). The recipient of the “Recognition” award might receive 2 snakes alive.

It is further recommended that a packet of snakes alive then be distributed to the other players if you wish to avoid the proletariat barricading themselves inside the winter palace.

The Bays Game Evaluation Forms have a section for Best and Fairest points and for a Recognition Award. The forms are located Resources > Managers > Forms

You can use one of the Recognition Awards on these forms, or chose your own.

Obviously the key with these awards to say ‘well done’ in a fun way!

End of Season Awards

At the end of the season coaches are asked to nominate two players for special mention at our prize giving ceremony. The first award is for the Best and Fairest player and the second award is for the Best Team Player. To make this process as objective as possible, we recommend that the coach award points to the best performers in the team following each match. This is not only a good way to ensure your kids are equally recognized over the course of a season but that the player that accumulates the most points over the season is unequivocally the Best and Fairest (the latter adjective means they can’t be guilty of bad sportsmanship as well, of course). The best team player is typically one that turns up to all trainings and matches and is well liked by his peers. This requires a separate tally to be kept for attendance at training, of course. Given the coach is on the field with the kids during a match at this age (U9s for the first half of the season only), the Manager may wish to ask a different parent each week to complete this form to not only make them feel involved but to also ensure a representative sample is attained. Parents generally enthusiastically accept this responsibility. It is perfectly acceptable to weight tries, tackles and runs equally and to sum these scores horizontally and award the points for the match accordingly. The Manager could prepare a roster whereby each player takes a turn at being captain, which may also earns the parents of the recipient the duty to provide half time oranges and full time prizes.

Injury Protocol Any suspected head or neck injury

Any injury requiring medical attention

1. GET HELP FAST - Call 000 for an ambulance

! Address at Easts = Woollahra Oval, 22 O’Sullivan Rd, Bellevue Hill

! Address at Nagle = Nagle Park, Walsh Avenue, Maroubra (ambulance entrance at Holden Street)

2. DO NOT MOVE THE PLAYER

! DO NOT MOVE THE PLAYER unless directed by qualified medical personnel.

! A player suffering from a severe neck injury may still be able to move all limbs. Moving such a player before stabilising the neck may increase the chance of permanent paralysis.

3. DO NOT APPLY CERVICAL COLLAR unless specifically trained to do so.

! Non-medically qualified first aiders, referees and coaches should err on the side of caution and seek assistance of qualified medical personnel in the event of any suspected spinal or potentially serious injury.

4. Keep player comfortable and warm. 5. Manager to notify parent(s) if not in attendance.

Always set out to enjoy coaching.

TRAINING SESSION PLANNING - Key factors

" Preparation is vital……In a busy day find 10mins to plan your session (use a small

pocket size notebook).

" Always have a session OUTCOME i.e. improve passing, improve lower body tackling.

" Start each session with instant action, lots of movement.

" Keep comments and instructions short.

" Use easily understood terminology, i.e. spread fingers, reach for ball, hands out ready etc.

" Always warm up using a ball.

" Use overload games, i.e. more attackers than defenders to develop passing and space awareness.

" At the end of each session remind and ask players for the key points from each session.

" Young players like to play games so don’t overload with too much technique work. Take the technique work into a small sided game.

Tips for Managers You are the contact person for all information pertaining to your team. You will be given the information you require, but it is your responsibility to disperse the information to your team members.

Forms and manuals can be found on the Bays website at Resources > Managers

The free app “TEAM APP” is recommended for setting up team lists, rosters and communicating with your team. www.teamapp.com The following provided some tips and tools to help you in your role as manager. 1. Match Day Duties.

TIP – Create a roster at the start to the season

It is difficult to get parents to volunteer for team duties so delegating jobs is highly recommended. Send your roster out at the start of season. All parents know then well in advance when they will be required to help and they can arrange for someone else to take their place if they cannot do their week. DO NOT TAKE IT FOR GRANTED parents will remember when they are rostered on. You will need to remind them every week!!!!!

Send out an email early in the week to remind parents when and where this weeks match is on and who is responsible for match duties. Arrange a rendezvous each week 20 minutes prior to the game (or however long you require), so that the players can warm up, and then go to the field from there. Ask parents to advise you well in advance if players are not available to play. This will make your life as a manager much easier!

On Saturday, be at the ground 20 minutes prior to the game starting. DON'T be late. If the manager is late, everyone else will start to be too, and that's disconcerting for all when your team hasn't shown up, the other team is ready to go, and you're not even warm yet!

Introduce yourself to the referee and the manager from the other team before the game begins. Ascertain who will be keeping score from the other team. All kids must have mouthguards in before the game begins or they can't play.

Match Day Duties include the following:

Scoring

A parent is required from each team to score. After the game, check your score with the opposing team and get manager and referee signature. (This is not mandatory in U6s however good to get in the habit early!).

Oranges and Treats

The former for half time, the latter (a highlight especially for the younger kids) for after!

Match Day Subs

Appoint a parent each week to sub the kids on and off. It's efficient, avoids tears from the lids and is a great way to get everyone feeling involved and important on the day. It's a job for the assistant coach if you have one though).

Match Reports

The manager is required to write a brief match report. During the game you (or someone you have rostered on as scribe) will need to make some notes to help when you write your weekly match report.

Captains and Points/Prizes

You will need to keep track of who has been captain and who received points/prizes each week. You will need to provide this information back to the coach on how the boys are performing each week.

2. Training Duties.

On Tuesdays, liaise with your coach to see if anything is required of you. It is good to call the team in at 5pm, under 6's disperse easily, and collect all their named drink bottles and take them out onto the field. Also watch for late arrivals who will need to be escorted out to the coach. At the end of training, ensure all the drink bottles go back to the right child.

3. Recording of match statistics

It is important to keep a record of no of tries, runs, tackles, passes etc. for each player. This will help coaches to identify what skills players need to develop. Statistics can help also determine who gets prizes at the end of each year.
