Introduction

What is protel Genius? protel Genius is a data analysis and visualization product. As part of the protel.I/O platform, data is collected and processed in the protel Genius analysis core. With the help of this "Big Data Collection", cross-vendor analysis functions can be offered that can map history, and can illustrate real time and future forecasts. In this manner, protel Genius offers possibilities for optimizing reporting, dashboarding, as well as increasing sales figures through "predictive analytics".

The protel Genius Dashboard is an innovative tool for the intelligent evaluation and visualization of data coming in from the big data environment of the hotel industry. protel Genius bundles all of the hotel's business-relevant data sources and presents all important KPIs on an intuitively operable dashboard.

protel Genius made its debut in March 2019 at the ITB in Berlin and was received with much interest and excitement by hotel-industry specialists. Since the ITB, we have been receiving several enquiries on a day to day basis with regards about how to obtain the dashboard in the new protel Service Marketplace (protel SMP), and how to install it.

This document describes the installation of protel Genius. You will learn in detail how to

prepare the installation and install protel Genius.

You will also learn about what kinds of dashboards protel Genius offers you and what information it provides you with.

Important! For the time being, protel Genius is only available for our customers in Europe and in the United States. Unfortunately, customers using our server in Sydney won't be able to use the data analysis tool, yet. As soon as the protel Genius Dashboard is available, separate information will soon follow for our customers in Asia and Australia.

Requirements protel Genius is one of the many applications that we make available to you through our protel SMP. To be able to use protel SMP, you must first register here. To do this, call up the protel SMP.

Use the buttons at the top right to log in [Sign in] or [Sign up].

Please note: The requested login data here is not identical with your protel Air login data! If you do not yet have a login for protel SMP, you will first need to create it.

Enter the required data into the registration dialog box and confirm with the [Sign Up] button. You will receive a confirmation link by email and can start immediately as soon as you have confirmed the link.

In order to properly connect your protel Air property management system to protel SMP and to ensure that your hotels are displayed accordingly, you must be assigned the "SMP role" in the protel Air User administration. Information on assigning and managing user rights can also be found in our protel Air HTML 5 Online Help. You also need the access rights to protel SMP via the protel Air user interface; otherwise you will not see the [Service Marketplace] button. You can do this yourself if you have the appropriate admin privileges, otherwise our Support will be happy to help you.

Installation To use protel Genius, you will first need to install the application via protel SMP.

Click on the [Service Marketplace] button located in the protel Air menu bar.

Please note: If protel SMP is called up using the button in the protel Air user interface, the rights of the logged in protel Air user are transferred in the background. If you are not logged in to protel SMP (i.e., do not have an active session), you will be redirected to the login page where you can log in. Your protel SMP user will then receive the same rights as your protel Air user.

Afterwards, you can select the desired application.

The configuration of protel Genius is controlled by the hotel. It is therefore essential to make sure that you have selected the correct hotel. You can see the current hotel under your username located in the upper right corner.

If no hotel or the respective hotel has been specified, you can change the hotel by clicking on your username and then on [Change Hotel]. If you click on [Subscribe & Install] in the desired application, you will also be notified if you have not yet selected a valid hotel.

In the following pop-up menu, simply select the desired hotel by entering the hotel name. The automatic completion function allows you to select your hotel. Confirm with the [Confirm Selection] button.

Now you can install protel Genius using the [Subscribe & Install] button.



Hints If you do not see the [Subscribe & Install] button, there may be several reasons for this.

If you can see the [Missing required services] button: The hotel you have selected is a protel SPE/MPE property. Unfortunately, the protel Genius dashboard is currently only available for protel Air hotels.

You will see the [Uninstall] button: The protel Genius dashboard has already been installed for your selected hotel.

You can find more information in the lower pane of protel Genius' protel SMP page. Here you can also check whether all of the required connections have been established. Beneath the "Required Services" heading, you can see what you need for installation. If the protel products listed here do not have a green checkmark, despite you are using them, please contact protel Support.

Because protel SMP is structured like a conventional App Store, apart from confirming the General Terms and Conditions, you don't have to do anything else after clicking on the [Subscribe & Install] button. The protel Genius dashboard is now ready for use.



protel Genius Dashboards The main part of protel Genius consists of intuitive dashboards that redefine conventional reporting.

After you have installed protel Genius via protel SMP, a new menu appears in your protel Air hotel software. Beneath the [Office] menu item, you will notice that there is now an additional item: [protel Genius Dashboard].

This menu allows you to check whether the dashboard has already been installed, or not. If you manage several hotels, please note that protel Genius must be individually installed for each hotel.

If you installed protel Genius by yourself, you will automatically be assigned the ''Genius Reporting'' user right. If other hotel employees are to see and use the protel Genius dashboards, you will need to manually assign them the user rights. If you have any questions, please contact protel Support.

The protel Genius dashboard opens and shows you an overview of your hotel's data. You can use the three menus on the left to display the data sorted according to various criteria.

Note: The protel Genius dashboards provides you with information about sales figures and reservation-related revenues. This means that only sales from services that were posted together with the reservation, are taken into account. Payments made after check-in will not be considered in full!

Property Pulse The "Property Pulse" function provides you with key figures about reservation-related revenues for the selected day. In the upper pane, you can see a graph showing the average occupancy rate of your hotel in percent per day for the respective month.



You can use the [Back] button to display the graph for the annual level. Click on a month to return to the detailed view.

Beneath the graph, you can adjust the filters for the other displays on the page.

You can select for which day and which room type you would like to see the evaluation and whether or not any membership types should be included in the evaluation. You can also use the checkboxes on the right to show or hide taxes, pseudo-rooms, children, and passerbys.

When you adjust the filters, all of the displays on the page change respectively.

Beneath the filters, you will find general information about the hotel occupancy.

A tooltip which can be accessed via the question mark button located in the corner of each field, reveals the exact breakdown of the key figures. ''Rooms Occupied'' shows the absolute number of occupied rooms. Out of order rooms are not taken into consideration for this.

''Occupancy'' shows the relative occupancy rate of the hotel (total occupied rooms, out of order rooms deducted).

The value for "Total Revenue" shows the hotel's total reservation-related turnover for the selected day.

''ADR'' stands for ''Average Daily Room Rate''' and shows the average rate for a room for the selected day.

The revenue status shows you the precise amount of turnover that has been generated for a certain area - broken down by room, food and beverage, and other revenues.

The graph beneath ''RevPAR'' shows you the revenue per available room in the hotel. This value is calculated by multiplying the average price per room by occupancy.



At the bottom of the Property Pulse page, you will see the ''Inventory Status'' graphs, i.e., the total number of rooms that can be sold, as well as the ''House Status'' with an overview of available rooms.

''Inventory Status'' displays a pie chart showing the number of rooms available for sale compared with the number of Out of Order rooms. You can also see the number of rooms that can be overbooked.

The "House Status" also clarifies this by using a pie chart. Here you can see the available rooms, as well as the maximum occupancy for the rooms. In the lower part of the pane, you can see the percentage values for the maximum occupancy (confirmed reservations plus option without deduction), as well as the minimum load (definite reservations only).

Reservation Pulse The ''Reservation Pulse'' provides you with an overview of the reservations, such as arrivals and departures, as well as movements in the hotel. In the upper pane, you will again see the graph showing the percentage for the occupancy of the property per day of the month.

Beneath that, you will find the same filters as in the Property Pulse: including date, room type, membership cards, as well as checkboxes for taxes, pseudo-rooms, and children.

The displays in the net line give you an overview of the arrivals and departures for the respective day.

The numbers for "Rooms" show the number of arrivals and departures of the day "counted" in rooms. The ''Inhouse Status'' is a general overview of the occupied rooms as well as the total number of guests for a particular day. The VIP guests also have an exclusive overview: how many guests marked in the guest profile as "VIP" arrive on the selected day, are at the hotel and then depart. The same applies to guests with the membership types selected in the filters.

"House Movement" located at the bottom of the overview shows you general movements in the hotel: Arrivals, "Stayovers", Departures, Day Use, and Walk-ins - all listed by rooms, persons in general, VIPs, guests who are staying at the hotel for the first time, return guests, as well as holders of membership cards and birthdays.

The bottom line shows the "Average daily room rate" (ADR).



Using the sliders in the right-hand corner, you can switch to ''Today's Changes'', i.e., the changes in the occupancy for the selected date. Here you can see arrivals, departures, extensions and cancellations, again sorted by rooms, persons in general, VIPs, guests who are at the hotel for the first time, returning guests, as well as holders of membership cards and birthdays.

''Complimentary and House Use'' is the third possible view of the table. Here you can see an overview of rooms that will not generate revenues. The breakdown is the same as for the previous ones, with corresponding arrivals, stayovers, and departures with ''complimentary'' and ''House Use'' status.

History Pulse The "History Pulse" compares the selected day with either the last seven, 14 or 30 days (or seven, 30 or 90 days for the statistics in the lower pane). If you see exactly how, for example, total reservation-related sales have changed in the course of 30 days, you can easily draw conclusions about further behavior and related actions.



The graph at the top shows the average monthly occupancy. By clicking on one of the points, you will see a detailed daily overview for the month.

In the History Pulse, the key figures are related to the total revenue, the occupancy rate, the average room rate (ADR) and the revenue per available room over a selected period of time.

You can select the desired period using the buttons in the right-hand corner. If you navigate the cursor to a point on one of the graphs, the tooltip will show you the exact value.

Even a kind of trend analysis is also possible with the graphs. With the mouseover, you can see, e.g., the revenue per available room compared to the previous time period.

The time period for which the current graph view is valid can be seen above the graphs.



In this example, the period from 29 April 2019 to 12 May 2019 is displayed graphically. The comparison values are from the period from 15 April 2019 to 28 April 2019. You can see the deviations from the graphically displayed values to the comparative values in the small trend analysis below the total value.

In the lower pane, you will find graphs showing the statistics and sales for a selected period of time. Here, too, you can see directly above the graph which time span is displayed.

Using the buttons in the upper left corner, you can again select the period of 7, 30, or 90 days. On the right you can choose whether you want to see the statistics for the reservation-related revenues, the journeys, the departures or the in-house guests.

In the middle section, you see the graphs color legend. By clicking on one of the displays (in the example "Total", "Rooms", "F&B" or "Other") the corresponding values are hidden and you only see the other values. This, for example, enables you to hide all but one value and take a closer look at this key figure.



In the upper right corner, you can choose between "Revenue Stats", "Arrival Stats", "Departure Stats" and "In-House Stats".

In the statistics on arrivals, departures and in-house guests, the legend changes; the graph now shows the total turnover generated by all rooms, returning guests, guests who are at the hotel for the first time, as well as VIP guests in each reservation phase (arrivals, departures, in-house).

If you select one of the points in the graph with the cursor, you will see the specific values generated on that day.



Pick Up Pulse The Pick Up Pulse shows you future bookings and cancellations on a daily basis (e.g. the current week or a longer period of time). This makes it easier to make assessments about the hotel's booking situation. You can also analyze historical data - bookings that have already been used.

The graph at the top displays the proportion of booked rooms (white columns) to cancelled rooms (orange columns). Use the buttons at the top right to select the time period for which the values are to be displayed. The date selected in the filters (see below), is located at the center of the display. To the right and left of it, you can see the values for 7, 30, or 90 days in the future and in the past.

If you move the cursor across one of the columns, a pie chart appears in a pop-up. Here you can see the distribution channels via which the bookings (proportional) came in.

Use the filters below the graph to adjust the display at the top. Here you can select the date, restrict the display to one room type, or restrict the view to a specific membership type. You can also choose to only display a specific distribution channel.

The checkboxes allow you to include taxes, pseudo-rooms, or children in the view. You can also supplement the graph with the display of the revenue per available room (RevPAR), the total revenue in relation to the available rooms (TRevPAR), the average daily room rate or the general occupancy. Even the noted revenue from reservations as well as cancelled and booked rooms can all be displayed graphically.



In this view, the time span has been extended to 30 days. The date 27 July 2019 from the filter bar can be seen in the middle. In addition, the bar chart was supplemented by a graph showing the average daily room rate (ADR – yellow curve in the chart).

In this way, you can have the key performance indicators (KPIs) for your booking situation displayed on a daily basis and therefore enable you to make statements about the next steps. For example, do you need to sell more rooms in order to achieve the optimum occupancy rate? Or have you already sold too many rooms? With this knowledge, you can adapt the pricing to the respective situation.

At the bottom of the Pick Up Pulse, you can display the "Reservations on the books" as a chart. At the top right you can select the month and year that you would like to display. In the table, you will see the rooms sold for the respective date, the average rate, occupancy, average number of nights, average number of persons per room, as well as the revenues for your rooms.
