Boarding principlesBoarding at Epsom is at the centre of the College andour statement of principles.

New boarders inductionA thorough induction programme is arranged for all new boarders at the start ofthefirstterminSeptember.Thetimetable,dailyandweekendroutine, Collegelayout,medicalanduniformmatterswillallbecovered.

Parental contactYoursonordaughterwill,inevitably,experienceawiderangeofemotionsintheinitialsettling-inperiod.ThisisquitenormalandasexperiencedHousestaffweadvisethatyouallowthemtosettleintotheirnewenvironmentbyencouraging them to mix with new friends and take part in the activities. Please,inthefirstfewdaysandweeks,planthephonecallstoyoursonor daughter so that they do not become a daily event. Pupils generally settlequitequicklyintoboardinglifeandthesecurityofaroutine.House receptions for pupils and parents of new boarders take place on the Induction Day shortly before term starts. CommunicationCommunication is thekey toaneffective relationshipbetweenyou,yoursonordaughterandtheCollege.Keepingintouchisimportant,evenmoreso if you are overseas or many miles away from your son or daughter. You arealwayswelcometovisitortakeoutyoursonordaughter,butpleaseletusknowbeforeyoucome;anemailtotheHousemasterorHousemistress(HMM)issufficienttoorganisethis.Yoursonordaughterhavevariouswaysofcontactingyou:e-mail,Skype,Face-timeand,ofcourse,mobilephone.

Mobiles should not be used during lesson times, during prep in the eveningsorafterlightsout,butotherwiseyoursonordaughterisabletocontact you when they wish. A list of all electrical devices should be given totheHMMatthestartofeachterm.Wehopethatyoursonordaughter will feel able to talk to staff about any issues. Often pupils will talk to certainteachersormatron;itdoesn’tmatterwhomtheytalktoaslongaswecanhelpandbethereforthem.Allstaffaretrainedtodealwithissues, understandconfidentialityandtheneedtorefermattersatothertimes.

Arotaofdutystaffispublished,togetherwiththedutymobilenumberforeachHouse.Yoursonordaughtershouldmakesurethisnumberisintheirmobile.AllstudentsmustprovideupdatedmobilenumberstotheHMM.Pupilsupdatephonesfrequentlyandweneedtobeabletocontactthem.

The HMM is normally the first point of contact. Youwill receive regular academic and pastoral reports throughout the year and we will contact youonanyspecificissuesrelatingtoyoursonordaughter’seducationorwelfare.HMMswillmakecontactwithparentsearly in thefirst termand exchange contact details. At other times you may be contacted by your sonordaughter’sTutor,withwhomtheymeetanumberoftimesperweekto discuss academic and pastoral progress. The Tutors also undertake evening duties in the BoardingHouses and can provide support duringPrep time.

The House

Practical informationTheBoardingHouseshavearangeofaccommodationandwetryveryhardto ensure room allocations are made fairly and appropriately. Any concerns shouldbeexpressedtotherelevantHMM.

Inadditiontonormalbedroomfurniture,boardersalsohaveadeskwithalockabledrawerandwardrobe.Weexpectall tokeeptheirroomstidytohelpthecleanerswhocomeintothehouseseachmorning.Weencourage boarders to personalise their room as it is important that the ‘House’ becomes a home away from home.

Communal areas and facilitiesEach house has a kitchen for eating and preparing snacks. All food must be stored in the kitchen and consumed within the communal areas. No take-away food is permitted between Monday and Friday nights inclusive and are only permitted at weekends with HMM’s permission. Take-awayfoodmustnotbeconsumedinbedrooms.Boardersareexpected to go to all meals.

Houseskeepkitchens stockedwith suitable foodanddrinks.Pupils areencouragedtowashuptheirowndishesandcutleryand‘familyteams’ofstudentsdoafinaltidyupeachevening.

Games Rooms comprise a range of activities and the TV room has a large screentelevisionandfacilitiesforage-appropriatemovienightsandwatching sporting events.

EachHousehasmonitoredwirelessinternetthatpupilswillbeabletolinktheir laptops up to. All students will be expected to sign the ‘Acceptable UsePolicy’andmustnotbeoncomputersafterlightsout.Irresponsibleorinappropriate usage will result in the facility being withdrawn.

Personal relationshipsOurguidelinesattheCollegeforthisareasfollows:• Thereshouldbenoovertaffection.Itisembarrassingforall,youngand old,whoencounterit.Pupilsshouldexpectamemberofstafftoputan immediate stop to such behaviour. • Sexual intimacy isanaltogethermoreseriousmatter.Pupils foundto have been involved in any form of sexual intercourse or in any other intimate sexual act may forfeit their right to remain in the College. • Itisabsolutelywrongtoengageinverbaland/orelectronicexchanges of a sexual nature. • TheserulesandguidelinesapplyonallCollegetrips,bothduringterm time and in the holidays.• Whileitisimpossibletogiveexactrulesforeverysituation,theseareas clear as we can make them.

Further information about rules and regulations can be found in the ‘Guidance for Pupils’ document which is provided to every pupil upon joining the College.

Property and damagePupils should take care of their own property and show respect for the property of others and of the College at all times. Please make sure that your son or daughter’s belongings, including laptops and phones, arenamed and insured. Personal items are not covered by the College’s insurance.Studentsshouldnot‘borrow’itemsfromotherswithoutasking.Intherareeventofasuspectedtheft,itshouldbereportedswiftlyandwillbe investigated.

Valuableitems,suchaspassports,shouldbehandedintoHouseMatronsorHMMforsafekeeping.DamageshouldbereportedtotheHousemastersothatrepairscanbemadequickly.Ifdamageiscauseddeliberately,thecost of repair of property belonging to either the College or another student maybechargedtoaparents’billandparentswillbeinformed.

MoneyIt is recommended that large amounts of money are not stored in bedrooms.TheHMMhasasafeforstoringlargeamountsofmoney.Anyother smaller amounts of money should always be locked away in your son ordaughter’slockabledrawerorwardrobe.

Clothes and laundryCustomised labels for all clothes are compulsory and these will be provided by the laundrycompanyandautomaticallyadded toTerm1 fees.Whilstwaitingforthecustomisedlabels,pleaseensureeverythingistemporarilynamed prior to your child arriving at Epsom.

Clothing requirementsBoarders wear appropriate College uniform until the end of activities at 17:30 when theymay change into their own clothes. Flip flops are not appropriateforeitherbreakfastorCo-curricularActivities(CCA).InadditiontoCollegeuniform(asoutlinedinthejoininginstructions),wesuggestthatyour son or daughter should have:

• Appropriate footwear–blackshoesandtrainers (non-markingsoles), astro/footballboots• iPads,kindles,phonesetc.• Sportsattire• Casualattire• Moreformalattireforendoftermsocialsanddinners• Classroomequipment(Pens,pencils,calculatoretc.)

The laundryLaundrywillbemanagedbytheHouseMatronbut ishandledbyanex-ternal company. Each student will have a named laundry bag that will be collectedonMondays,WednesdaysandFridays.EachboarderwillhaveanamedshelfintheHousetostorespareandwashedclothes.ThecostoflaundryisincludedintheBoardingfees,thoughthereisanextracostifstudentswishclothestobedry-cleaned.

Bed linen is changed weekly and pupils place used sheets and pillowcases in the laundry basket in the laundry room. They must then make up their bed with the clean linen provided.

Fire regulations and practiceFire-extinguishing equipment is checked monthly, fire safety checksarecarriedout regularlyandfirepracticesareheldat leastoncea term. Allboardersarebriefedonfireevacuationproceduresduringtheinductionprocess.

Boarders should be careful not to overload plug sockets and all electrical applianceswillbecheckedregularlybytheHouseMatron/Steward.SecurityandSafety

The safety of our students is of paramount performance. The Boarding Housesarekeptsecureandthesafetyofboardersisenhancedthroughthefollowing processes;

• Collegegatesarelockedandmannedbysecurityguards24hoursaday. • Thereisan8-foothighanti-climbsecurityfencearoundtheperimeterof the College.• Dutystaffareprovidedwithamobileandcontactnumber.• AllboardershaveadirectcontactnumbertotheirHousedutymobile and/orHMM’smobile.• ElectroniclockingsystemsarefittedtoalldoorsleadingintotheBoarding Housesandindividualbedroomshavealockablespacefortheboarders’ personal possessions.• BoardingHousesarelockedat21:45dailyanddonotopenuntil06:15.

Signing out and signing guests inAsigningoutfileisavailableineachHouse.BoardersareexpectedtosignthemselvesoutiftheyareleavingtheHouseafterco-curricularactivitiesonweekdaysandweekends.AnystudentsvisitingfromotherHouseswillonlybeallowedtodosowithexpresspermissionfromthedutytutor,AssistantHousemasterorAssistantHousemistress(AHMM)orHMM.PupilswillnotbeallowedtoenteraHousebelongingtoastudentoftheoppositesex.Thiswillonlyoccurifasupervisedeventisorganisedbystaffandwillbelimitedtothegroundfloorareas.

AllparentsandguardiansareaskedtocontacttheHMMinadvanceandnotentertheBoardingHousewithoutpermission.ParentsandGuardiansarenotallowedupstairsinbedroomsduringtermtime,butmayassistwithbagsatthebeginningandendoftermswithpermissionfromHousestaff.

Students off-siteWe are very lucky to have a small shopping outlet next to theCollege. Studentsareallowedtovisitthisundercertaincondition:

• Theymusthavea‘signingoutslip’whichcanbecollectedfromtheir HMMinadvanceandwillbehandedtothesecurityguardondeparture.

• Only 6th formers are allowed to visit after CCA, Monday - Friday between17:30and18:45.

• Year9-11studentscanvisitonSaturdayafternoonafterCCAoron Sundaysatgiventimesbutmustalwaystravelingroupsof4orabove includingatleastonestudentwhoisover16yearsofage.

• StudentsfromCarrandWilsonmustbeaccompaniedbyamemberofstaff.

In or out at weekends?Weekly boarders go home on SaturdaywhenCollege commitments arecomplete and should return to the House between 17:00 and 21:00 on Sunday evening or on Monday morning by 08:00. If a student arrives outsideof these times theymustcontact theHMM inadvance. If aday student wishes to stay overnight, they must also contact the HMM in advance. This is obviously subject to availability.

Weekend leave for full boardersFullboarderswishingtogoawayfortheweekendmustgetthepermissionoftheHMMinadvanceinperson.

TheHMMwillrequireparentalauthorisationfrombothsetsofparentsforapupil to stay with another family. Early notice is expected and must always be in writing.

ExeatsExeats occur throughout the year. This is when the whole college closes and students are expected to leave site by 16:00 on the Friday (unlessotherwisestated)andreturntoCollegeafter17:00ontheSunday(unlessotherwisestated)orby08:00onMonday.

Transport/travel arrangementsWe recommend that parents contact their guardian to make transport arrangements between the airport and College.

It is assumed that parents are willing for their children to travel in a minibus orcardrivenbyamemberofstaff.

BicyclesBoarders may keep bicycles at College. They may ride their bicycle around the College campus but helmets must be worn at all times.

The role of the staffTheboardingHMMhasoverall responsibility for thewelfareofboarders in their House and are in loco parentis. They are ably assisted by a residentAHMM,Matron/StewardandateamofTutors,bothresidentialandnon-residentialandateamofcleaners.

Amemberofstaffisondutyeveryevening,asaredutyprefects,withtheHMMattheendofthephoneshouldtheyberequired.Prep(homework)issupervised,withdutystaffassistingboarders.TutorswillmovearoundtheHousetomakesurethatworkisbeingdone,andanyboarderwishingtoworkoutsidetheBoardingHouse(e.g.inMusic,ArtorSixthFormCentre)hastorequestpermissionfromthetutorfirstandsignouttosaywheretheyhave gone.

TheHMM,AHMMorResidentTutorwilltakeovereveryeveningatlightsout to oversee the safety and welfare of boarders overnight.

The head of house and house prefectsTheHeadofHouseandHousePrefectshaveanimportantroletoplayintheHouse.TheyareessentiallytheconduitbetweenpupilsandtheHousestaffwhere necessary. Their role is to make the lives of boarders in their respective Houses happy, free from incident and a positive, fulfilling experience. TheroleofallHousePrefectsistosetthehighestpossiblestandardswithinthecommunityandactasacceptablerolemodels.TheHeadofHouseandHousePrefectsdonothavethepowertodisciplinepupils,butcanrefermisdemeanourstotheHMMorTutoriftheyfeelthatbehaviourhasbeenunsatisfactory.TheHeadofHouseandHousePrefectsandtheirHMMtalkregularly toensure that theHouse runssmoothly,and thatallpupilsareengaged.

TheHead ofHouse andHousePrefects share ideas and goodpracticebetweenHouses,andmaysitontheHouseorBoardingcouncilthatmeetstermly to discuss improvements to boarding.

TheHeadofHouseandHousePrefectsresponsibilities includeassisting the staff in the running of the Boarding House and helping in both the pastoral support and safeguarding of welfare of the boys/girls in theirHouse.Theymayalsoactas‘Aunties’or‘Buddies’fornewstudents.

TheHeadofHouseandHousePrefectsareexpectedtousetheirstatusand authority in amature and sensitivemanner, and in turn expect the respect of those under their care. They are given training by the Deputy HeadPastoral in how to carry out their duties and in Safeguarding andChild Protection.

House and college councilsTheHouseCouncilmeetatleastoncepertermtosuggestimprovementstotheboardingexperience.TheHousecouncilcomprisesacrosssectionofeachboardinghouse,chairedbytheHeadofHouse.Therearenumerous other College councils such as ‘Food’ and ‘Service’, which consist of membersofeachHouse,andare ledby theCollegePrefects,who takeforwardtheirideastotheCollegeManagementandotherstaff,andreportback to the council afterwards.

Boarding sanctionsWhereaboarderisinbreachofHouseprocedures,anappropriateinternalsanction will be issued in order to ensure that such behaviour is not repeated. Thesesanctionsare issuedbytheHMMandtutors,notbytheprefects.Typical sanctions for boarders might include:

• Verbalwarnings• Confiscationofitems• Gating(NotbeingallowedouttoSportsHallafterPrepforexample)• Housedetentions(Saturdayafternoons)

For other breaches of discipline, the HMMs and Tutors refer to the sanctions used across the College. The boarding sanctions are applied in the same way that a concerned parent might apply house rules at home –measuredandinproportionwiththebehaviourofthepupil.Thekey isgettingthepupiltounderstandthattheiractionshaveconsequences.Forfurtherinformationseethe‘GuidanceforPupils’documentand‘RewardsandSanctions’Policy.

Peer relations and friendships are particularly important within a BoardingHouse.Weacknowledgethatlivingtogethercanbechallengingand requires thedevelopmentofpatience,considerationanddiplomacy. Allpupilsareencouragedtospeakupswiftlyabout‘bullying’oranyphysical or verbal abuse. Attempts are then made to defuse tensions where they occur between particular students and to repair relations before any pupil istemptedtoengageinverbalorphysicalbullying.Ourpolicyassumesthatsometimes adolescents lack awareness of the impact of their behaviour on other people, which can explain their own behaviour. Our first step, therefore, is todiscuss theeffectsofbullyingbehaviourwith thepartiesinvolved and encourage self-awareness before resorting to disciplinarymeasures.

Drugs, alcohol and smoking Thewhole-Collegepoliciesondrugsandsubstances,alcoholandsmokingapplytoallpupilsatECiM.

Medical supportTheMedicalRoom

The College provides a 24-hour health care service on campus/on-callby registered nurses. The care includes illness and injury management, developmental screening and healthcare advice to students. The nurses will liaisewithHMMs,Matron and parents on concerning health issues.Appointments can be made with a local General Practitioner when needed.

AbriefmedicalinterviewandscreeningwilltakeplacewithinthefirstfewweeksofTerm1forallnewstudents.ThiswillprovidetheHealthCareteamwith a baseline of the students health and developmental status as well as an opportunity for the students and parents to familiarise themselves with theHealthCarestaffandsanfacilities.

Parents must declare all known medical conditions and complete all relevantmedicalquestionnairesbeforetheirsonordaughterareallowedtostart at the College.

MedicationPleaseprovideallmedications(prescription,non-prescriptionandothers,includingvitaminsupplements)takenbyyourchild.Allmedicationshouldbelabelledclearlywithstudent’sname,nameofmedication,dose,strengthand time of administration in English.

Permission to leave Houses during weekday eveningsAllboardingpupilsareexpectedtobeintheirHousesforRegistrationat1845andthenfrom1900theyshouldbedoingPrepintheHouse.He/shemayleavetheirHousetovisitotherpartsofthesiteduringPrep,providedpermissionhasbeengivenbyHMMorTutoronduty,onthefollowingbasis:

• He/she isaSixthFormstudentwho isgoing towork in theGrayling Centre on a Tuesday or Thursday. • He/she is attending a College-organised activity (e.g. a workshop, musiclesson,theLibraryetc.).• He/shehaspermissionfromtheMusicorDramadepartmenttoattend private practice sessions. • He/sheisvisitinganotherHouse,withthespecificpermissionoftheir HMMandtheHMMoftheHousethathe/sheisvisiting;• He/she is leaving campus on an organised trip, accompanied by amemberofstaff(e.g.onatheatretrip,playinginafixture,onatutor tripetc.);• He/she is outwith parents for a special occasion and this hasbeen agreedbytheHMM.

Weekend boarders’ free time on Saturday afternoon and Sunday Weekend Boardersmust attend all Registrations on Saturday afternoonand Sunday unless they have the prior permission of the HMM to be absent,ortheyareontheSundaytrip. WeekendBoardersmaygotoMercatowithpermissionfromtheweekendstaffonduty,buttheymusthaveapermissionslipandtheymustsign-out.Pleasesee‘GuidanceforPupils:Section7’. IftheyarelikelytobeoutoftheirownHouseandelsewhereonsiteforaCollege-organisedactivity,theyshouldsignoutandtexttheweekendstaffonduty.IfvisitinganotherHouse,pupilsarerequiredtosignintotheHousetheyarevisiting,andseekthepermissionofthatHMM/weekendstaffonduty.

Home leave for boarders Boardersmust seekwritten permission from their HMM to return homeduringtheweekoratweekends,iftheywouldnormallystayon-site.Thismust be supported by an e-mail or telephone call from parents. In the caseswherethesehomevisitsoccurregularlyduringtheweek,theHMMwillbringallsuchrequeststotheattentionoftheDeputyHead(Pastoral).

For all leave off site HMMs are expected to know the following; • Wherethepupilisgoing?• Whattimeisthepupilgoingtoreturn?• Doesthiscomplywiththerespectivecurfewdeadline?• Howisthepupiltravellingtoandfromthedestination?• Iftheyarevisitingthehomeofanotherpupil,aretheparentsofthispupil awareofthevisit?• Isthepupilgoingalone,orwithotherpupils,andifsowhichotherpupils? • DotheyhavetheirmobileonthemanddotheyhavetheHousenumber? • Hastherequisitepermissionbeengivenbytheparentsorguardian?• Whereappropriate,are theyawareof thenecessary requirements for signingout/signingbackin?

Beginning and end of termBoardersareexpectedtoreturntotheirBoardingHousesbetween17:00and 21:00 on the evening before the start of term. Boarders are also expectedtodeparttheCollegeshortlyafterthepublishedfinishingtimeonthelastdayofterm.ParentsareaskedtoinformtheHMMofanylatearrivalorearly/latedeparturethatmaybedifferentfromthepublisheddates.

All full boarders will be expected to provide precise details of movements duringEXEATs,weekendsawayandholidays.
