31st ASIA PACIFIC REGIONAL SCOUT JAMBOREE

Travel Arrangement FormIn order to plan the transportation from the Entry points to the Jamboree Site, we request each Contingent to complete the “Travel Arrangement Form” (Appendix 4a in this Bulletin) and return it to the Jamboree Office by the end of May 2017.

Actual travel arrangement of individual IST members or Units shall be informed by Participant Registration.

Registration for the Jamboree (update)As of the end of March 2017, we have following coun-tries and territories registered:

Asia Pacific Region: Australia, Bangladesh, Brunei Darussalam, Hong Kong, South Korea, Taiwan, Ma-cao, Malaysia, India, and Vietnam

Other Regions: United Kingdom, Slovak, Sweden, Germany, France, Finland, and USA.Registration closed, therefore please send your Jam-boree fee before 1 April, 2017.

Transport ArrivalsOn the main IST arrival day (Tuesday 25th of July) and main Participant arrival day (Thursday 27th of July), Greeting team will welcome and help Contingents at the Entry points in Mongolia. There will be also a lim-ited service available for those arriving on other dates with prior arrangement with Jamboree Office.The Greeting teams will be located at the Entry Points (Chinggis Khaan International Airport and Ulaanbaa-tar Railway Station).Bus transfers will be available from designated En-try Points to take IST members, Unit and CMT to the Welcome Centre at the Jamboree Site for check-in

DeparturesAt the end of the Jamboree, bus transfers will be avail-able from the Jamboree Site directly to Departure Points. The main departure period is from morning at 09:00am to evening at 09:00pm of Wednesday 2nd August 2017. The Transport Department will sched-ule the time of departure from the Jamboree Site in order to meet flights, etc. Confirmation of departures from the Jamboree Site will be done by Contingents during the Jamboree or please send us Transporta-tion form available in this Bulletin.

Jamboree ProgramThe motto for the 31st APR Scout Jamboree is “Go Nomad”. The Program will include Module activi-ties and a Cultural day Programm patterned after the Mongolian nomadic life.

The Jamboree agenda is for both scouts and non-scouts who are interested in the scout movement. The agenda will include the following themes: Team Work; Innovative Learning; Overcoming Tasks To-gether; Physical, Mental, Spiritual, Psychology and Social Development. All of these themes support the Scout movement and purpose.

From the Jamboree’s opening ceremony on July 28, 2017, until the closing ceremony, all the Module Ac-tivities, the Sub Camp Activities, and the Ceremo-nies will be focused on these themes.

Jamboree Module Activities consist of 5 activity cen-ters including Jamboree on-site 4 activities centers (Adventure, Science, Better world Village, Brown sea), Jamboree off-site 1 activity center (Nomadic). Participants will visit each main activity center, which occupies a day and only foreign participants will visit Nomadic activity center.After visiting Main Activity Centers, participants will be invited to participate to the Free Time Activity cen-ters.

Module Activities

When you visit this module, many interest-ing activities will be waiting for you, such as: Different National Mongolian costumes and accessories. You will try them on, play traditional games, deepen your under-standing of Mongolia and its peoples, be treated to a national banquet, ride horses and camels, and enjoy performances of traditional Mongolian art, dance, and mu-sic.

Nomadic activity center:

This Activity Center will be full of adven-ture and tasks. Through these module activities, your patrol will be tested by tasks which require patrol’s skills, unity and co-operation with in many different activities.

Adventure:

(Global Development Village): This ac-tivity center is designed to help you and your friends learn how to live correctly in the fast paced globalized society that surrounds us. What can you do to protect the environment? How can you and your friends create a better world? This will be a great opportunity to share your desires and opinions; also, to share your goals and aims with others.

Better World Village:

In this module you will participate in a vari-ety of interesting activities about science, nature, and ecological. You will test your own knowledge and learn how to live in an environmentally friendly way.

Science and Knowledge:

When visiting this module you will learn how the first scouts lived in the great out-doors. What they did when they camped and cooked. You will develop the same skills, to live in nature, which were used over a hundred years ago.

Brown Sea Island:

This module includes various sport games, board games and other fun games and activities to help participants to spend their free time enjoyable.

Free time activity:

This zone will be working for scouts who have varoius diferent religios beliefs. It is a place where you can find an area to practice your own faith and perform your own worship.

Ceremonies and Official Activities

There will be 6 Sub Camps at the Jamboree. Par-ticipants will live in 4 Sub camps which named after 4 seasons Spring, Summer, Autumn and Winter.

All IST will stay and living in IST Sub Camp, Or-ganizing Committee members and Special guest will stay in Adults Camp. Each sub camp will have 1500 participants expect IST and Adults camp.

The Sub Camp is where participants will spend much of their time at the Jamboree with other mem-bers of your Patrol and Unit. You will prepare your meal on your own. Eat and sleep in a tent. The Sub Camp is the Scouts’ home, where they can reflect on what they have done during the day and share their experiences with others . It is where everyone can learn and follow the scout oath, law, motto, and slogan.

In the Sub camps, participants will construct things they will need to live comfortably, such as: A kitch-en, toilet facilities, shade covering, meeting area, and activity areas.

Sub camp activities will help participants develop friendships and will include a variety of competi-tions, shows, participant nights, fireworks, etc.

Each sub camp will have representatives from 10 to 12 countries. Because participants will be living a whole week with many other scouts from differ-ent countries, in their sub camp, they will make a wide “friendship network” by exchanging and learn-ing from each other’s lifestyles, cultures, and cus-toms.

A Friendship Award will be awarded to the scout who has the most friends at the Jamboree.

Lunch (packet lunch) should managed by each unit by their own during activity center.

At the Opening and Closing ceremony Sub camp staff and contingents leaders are responsible for placing participants in their positions with proper uniform; each sub camp has to prepare unique mottos and greeting in hand.

Ceremony:- Jamboree introduction- Greeting from Chief Commissioner of SAM - Greeting from Chairman of Organizing Commit-tee - Vote of thanks Representatives from WOSM/APR - Tribute line parade- Flag raising- Art performance- Fire work shows…

One of the biggest Jamboree activity is Cultural day. On that day everyone will wear national cos-tumes and set up an exhibition/display which ad-vertises your nations and nationalities.

Treat others with your national dishes and bever-ages also various kinds of competitions, games will be organized by participants.

The Jamboree First Aid Center will provide the emergency service to Jamboree site. If complicat-ed surgery or diagnosis is required, the patient will be transferred to an offsite hospital. Any treatment at the offsite hospital will be available at cost, and Unit

The Jamboree fee covers emergency care in the case of illness or accidents when necessary during the period of the Jamboree including first aid, and counseling. Further medication and any costs re-lated to hospitalization are not included in the fee. This should be covered by participants insurance.

Contingents should be aware of all pre-existing conditions of all their members and should note that medical care for pre-existing conditions is not covered by the Jamboree fee.

Leaders will need to accompany the patient. In ad-dition, cases may arise in which Contingents need to arrange their own transportation to/from the off-site hospital.

Jamboree First Aid Center

There will not be a pharmacy onsite where medi-cations can be purchased. Therefore, Contingents are requested to bring necessary supplies of medi-cations for their members’ pre-existing conditions.

If you need to keep medicine in cold storage, such as insulin for diabetic members of your Contingent, it can be stored at the First Aid Center. Please con-sult the Jamboree Office in advance if you require cold storage for medicines.

Medication

All Units are expected to bring a first aid kit to take care of all minor illness and injury. Contingents should ensure that IST members and assigned Scout Leader have access to basic medical sup-plies, either brought by themselves or provided by the Contingent.

Everyone taking part in the Jamboree should ob-tain own health insurance to cover the cost of any unexpected medical expenses. Contingents are responsible for ensuring that all their members have adequate medical insurance.

Larger contingent’s advice to recruit Scouter-Doctor or health practitioner in their contingent for giving the participants a health check prior to de-parture, to make sure they are free from illness.

Contingents can put on their programes for all partici-pants and visitors in the designated area of the APR Scout Centre. A contingent can also have an office there. The area will be open to everyone, including Day Visitors. Upon request, Contingents can share tents or be placed next to one another.

The exhibition should illustrate Scouting within your country and consist of displays, handouts, etc. Any other practical programmes, such as walk-in activi-ties, can be organized as part of the Jamboree Con-tingent Program.

FacilitiesThe Contingent Offices/Pavilions will be housed in tents equipped with lighting, power supply, tables and bench. If you would like to have contingent office please contact with Jamboree office in advance and this is following.

Contingent Pavilion

At the 31st APRSJ, Contingents are encouraged to plan and deliver their own programs as part of the Jamboree Contingent Program in addition to the Contingent Pavilions in the APR Scout Center.

By widening the choice of activities available at the Jamboree, the Jamboree Contingent Program will help make sure that participants enjoy a rich and varied experience in the time available.

Contingents are welcome to run wide-ranging activi-ties. For example you can run an activity on a theme representing your country.

To help our planning proceed smoothly, NSO’s and Contingents running the Jamboree Contingent Pro-gram are asked to send a description about the idea of your activity and the contact person for the Con-tingent Program.

Jamboree Contingent Program

If any member of your Contingent requires a visa to enter Mongolia, except for those bearing passports of countries that are exempt from the visa requirement, kindly reminding to study again Bulletin 2, page 4.Steps of applying your visa:

1. Send the Contingent Registration Form to the Jamboree Office. (Home address should be in-cluded)2. Send your Registration fee to Jamboree Office 3. Send your passport copy to Jamboree Office (Passport copy must be sent to Jamboree office order to prepare Invitation letter with participant names spelled correctly)4. Apply your visa to Mongolian Embassy in your country. If there is no Mongolian Embassy in your country co-operate with us to obtain the visa upon arrival.

On arrival visa:If there is not any Mongolian Diplomatic Missions, Honorary Consul in your country, applies at border. (Listed countries are Bangladesh, Bhutan, Cambo-dia, Fiji, Kiribati, Maldives, Pakistan, Papua New Guinea, and Sri Lanka)

Jamboree FoodEach Patrol will be purchase raw ingredients from Jamboree store by Food card. Patrols will be re-quired to purchase their food for breakfast and lunch provisions in the morning, and in the eve-ning for dinner.

Each Patrol will receive a copy of the “Jamboree Cookbook” that will explain the ingredients and choices available for each meal as well as offer suggestions on how to prepare the ingredients.

Please note that, with the exception of staple pro-visions, it is forbidden to put ingredients aside for use in other meals.

Any unused ingredients should be disposed of to avoid food poisoning.

Separate ingredients will be available for vegetar-ian and halal diets.

World food festival will be held in the afternoon of 30th July. This will be a great opportunity for Con-tingents to share their cultures with everyone at the Jamboree. Each Unit is asked to host identify providing food representing their culture.

Please note that all cost related to Cultural Ex-change Day should be covered by Contingent budget. Basic food ingredients for World Food Festival will be available in Supermarket at Jam-boree site.

In addition, if you intend to import any items into Mongolia, it is your Contingent’s responsibility to make the necessary preparations for the customs clearances.

The Staff Cafeteria will be open to serve breakfast and dinner to staff, including IST as well as VIP Guests.

Serving time at the restaurant will be long enough to allow everyone to take these meals in the res-taurant. There will be additional provisions for night workers.

Separate menus will be served for vegetarian and halal diets.
