2020 ANNUAL GENERAL MEETING NOTICE IS HEREBY GIVEN that the 71st ANNUAL GENERAL MEETING of CAMDEN GOLF CLUB LIMITED will be conducted in the MEETING ROOM of the CLUB’s PREMISES on MONDAY 19 OCTOBER 2020 at 7:30pm. AGENDA

1. Attendance/Apologies.

2. Confirmation of the minutes of the 70th Annual General Meeting held on Monday 28th October 2019.

3. To declare the results of the nominations to elect TWO (2) DIRECTORS. This is

conducted in accordance with Clause 25 of the Club’s Constitution.

4. To receive reports from:- The President The Treasurer The Captain [Golf & Greens] The Members/Marketing Director [Members House & Social] Club Professional [Junior Report] The Women’s Captain The General Manager

5. To receive and consider the Directors and Auditor’s Reports, the Financial Trading Statements and Balance Sheet.

6. To consider if thought fit, pass the following ordinary resolutions:

6.1 That the Board of Directors, will set the following concession rates for golfing members for the 2021/22 financial year: a) 20% for Commonwealth/Veterans Affairs, Aged and Disability Pension Card

Holders and Self Funded Retirees.

Explanatory Note: Concession applies to self funded retirees using the normal age requirements associated with a Commonwealth Aged Pension. Concession does not apply to 5 Day Membership.

6.2 That members agree to the following expenditure and benefits for certain

members of the Club: (i) The provision of a meal to Committee Members where a meeting of the

Committee corresponds to a normal mealtime. (ii) The provision of refreshments for persons attending Committee Meetings. (iii) Reasonable expenses incurred by members of the Board or a Committee in

relation to their duties, including entertainment of special guests of the Club, attendance at inter-Club activities and other promotional activities performed by them.

(iv) Reasonable cost of attendance at functions with their spouses or partners where appropriate to represent the Club.

(v) Preferential allocation of starting times for the President and Captain, together with their playing partners on days where there is a time sheet for competitions.

(vi) Specified car parking spaces reserved for the use of the President, Captain, General Manager, Operations Manager and Directors at all times.

(vii) Directors’ expenses not to exceed $20,000 annually. (viii) Preferential allocation of starting time and fees concession for a member

who performs the function of Course Marshall. (ix) Preferential allocation of starting time for sponsors who in the opinion of the

Board require priority recognition on days where there is a time sheet for competitors.

(x) Four (4) reserved starting times for women members in Wednesday competition with such reservations to be overviewed by the Women’s Captain and Match Committee.

Members acknowledge that the benefits set out above are not available to members generally, but only those persons specified in the resolution.

7. By Special Resolution

7.1 That James Dowse be awarded Life Membership of Camden Golf Club in

recognition of his significant service to the Club over 40 years of membership. Explanatory Note: James (Jim) was a Board Member between 1989 and 1991 and

an active Committee Member during the period when the Club was struggling and needed everyone to support wherever they could. He was an integral part of fundraising events to support the continual development and growth of our Club. He sponsored the 5th hole for a significant sum for 4 years which was a major financial support for the Club during the difficult times.

He was an avid supporter of Junior Pennants and a promoter of junior golf within

the Club. He assisted in the Pro Shop and helped in the running of the day’s golf events and generally did all he could to support our Club. His commitment and dedication to Camden Golf Club continues to this day.

PRESIDENT’S REPORT 2019/2020

It is with great pride that I present my 20th and last Annual Report to members as President of Camden Golf Club. In no way did I ever think that I would be fortunate enough to be President of our great Club for such a long period of time but I have enjoyed every day and I am honoured to have been given the privilege this past 20 years.

I have worked with a number of Board members over the past 20 years. Each and every one of them has served the Club extremely well, showing great dedication and commitment to help our Club move forward. Their commitment and dedication to improving facilities, both clubhouse and golf course, for all members, is a great credit to each and every one. Our Club is very lucky to have members who are pre-pared to give freely of their time and energy for our Club. The boards of the last 20 years and the 10 before them have given our Club great stability.

At the Annual General Meeting last year a Resolution was approved by members to reduce the number of Directors on the Board from 9 to 7. Accordingly, at the AGM this year, we will only be electing 2 Directors and the same next year so that after the AGM in 2021 we will then have 7 Directors. Director David Kidd has decided not to seek re-election this year and is retiring. I sincerely thank David for his significant contribution to the Board over the past few years and for his exceptional work in run-ning golf administration for many years.

I have worked with six Club General Managers over the 20 years and I would like to particularly thank Phillip Cleaton who successfully managed our Club for 12 of those years. Phillip served our Club extremely well, steering us through some dif-ficult times, but also some periods of excellent growth. I also sincerely thank our current Club Manager Donna Bernard who stepped up to the role 2 years ago and is doing an exceptional job managing the business and guiding us into what I have no doubt is a very exciting future.

Our staff are perhaps our greatest asset and I thank them all, both past and present, for their excellent service to our Club and our members. The staff are the face of our business and much credit for the ongoing success of our Club must go to them. I thank Operations Manager Shaun Selvon for his leadership of our bar and gaming areas and I pay special personal thanks to our office staff who are ever supportive, always willing to help.

This financial year has been the most extraordinary that I can remember with a series of natural disasters from bushfires to floods and then Covid-19. Covid-19 has cer-tainly impacted on our country and our world in a major way and resulted in the clo-sure of our Club for over two months. Fortunately, the Commonwealth Government support programmes through JobKeeper and Cash Flow Support enabled the Club

to maintain all golf course activities (restricted at times to comply with Covid-19 regulations) and to keep the half-way house open. We were also able to retain all permanent and part-time employees and a large number of our casual staff.

Since re-opening in early June, the Club has traded extremely well with members obviously enjoying the opportunity to get back to some form of normality. The Club has been very diligent in maintaining a very high standard of Covid-19 awareness and compliance and members have been very supportive of the necessary restrictions to meet State Government Covid-19 Guidelines.

Despite the closure we have been able to exceed our budgeted operating profit for 2019-2020, the Government support programmes being a factor here (making up for 2 months of lost revenue), and trading in the new financial year has been extraor-dinarily good with an all-time record monthly profit being achieved in July. I refer you to Treasurer Colleen Versluis’ report for the details of what has turned out to be a very good year financially, despite the difficulties, one of the best cash profits in recent times. I also refer you to all the Director Reports for a summary of events over the past 12 months.

All golfers would affirm that our golf course is in perhaps the best condition it has ever been. The consistently high level of presentation and playability is a great credit to Course Superintendent Justin Bradbury and his hard working and enthusiastic staff. The playing surfaces of the course present in great condition day after day, week after week. We have gained many new golfing members to our Club this year and I am certain that the condition of the course is a major factor in attracting people to our Club. I look forward to watching the course continue to improve in the coming years under Justin’s leadership and direction.

A special ‘’thank-you’’ to our small group of golf course volunteers who continue to carry out projects around the golf course. This group of enthusiastic volunteers continue to make a big difference to the appearance of our golf course and I am sure they would appreciate a few more members to join them.

Covid-19 has impacted everyone and our Club and golf course are no exception. The limit of 2 players per group for a short time caused major logistical issues for Golf Course Professional Stuart Meani and his staff and with so many people either working from home or not working at all the golf course has been extremely busy during the Covid-19 restrictions. Stuart and his staff have worked tirelessly to ensure that everything has run smoothly and I sincerely thank him and his staff for the great effort they have put in. The Board decision to appoint Stuart as the Golf Course Professional and a couple of years ago the extra role of Golf Administration Manager is certainly among the best decisions made in recent times. The Board has recently signed a new 5 year contract with Stuart and is looking forward to a long relationship.

We are currently undergoing some major changes to the clubhouse which I am sure will be very well received by members. We need more room for our poker machines due to Covid-19 space restrictions so they will move to a new area taking up the existing dining area and part of the lounge. The current poker machine area will be turned into a sports lounge and the dining and the lounge areas will be moved to the back of the clubhouse to create much better flow through to the outdoor area. These changes will further add to the family ‘’feel’’ of the Club as the new lounge area will create a great indoor/outdoor space for members to eat and relax. The Board thinks that these changes will have excellent long-term benefits for the Club.

As members are aware, a Development Plan for Studley Park House was lodged with Camden Council last November and was withdrawn following the public exhibition period. Peter Moran and his team are currently looking at issues raised by Camden Council with a view to submitting arevised DA. The eventual development of the Studley Park House land will, I believe, have some major benefits for our Club in the future.

As unfortunately happens, a number of our members passed away over the past 12 months. Our condolences go to their families and friends. I would particularly like to mention Life Member John Berry, an iconic member of our Club, who contributed immensely to our Club over many years. John will be greatly missed.

I thank all members for your ongoing support of our great Club. As I have often said, the very best part of our Club is the members and the great camaraderie shared.

As mentioned, I will be standing down as President at the AGM but will continue as a Board member for the next 12 months. Our Club has a great potential for future growth and I am sure that the new leadership team will guide Camden Golf Club to a very successful future.

TREASURER’S REPORT 2019/2020

I am pleased to report that Camden Golf Club has had a very profitable year. The 2020 financial year has been a challenging year for everyone with so many issues to deal with. The Covid19 pandemic resulted in the Club being closed for ten trading weeks during the year, a 19% loss of trading, which certainly impacted on some areas of our results. Fortunately, our Club has come through this period extremely well. Our net trading profit for the 2019/2020 year was $729,224, our best result in recent years. Government support through the Covid19 period contributed towards this result.

This Trading Profit was achieved through the following results:

BAR: Sales were $1,414,965, 11% less than last year but given we had 10 weeks of non-trading, this is a good result. Expenses were $11,675 higher than FY2019 due to the members Family Fun Days being included this year. The result was a net profit of $366,907.

FOOD SERVICES: The food service area has operated through a contractor over the last few years. The loss of ($73,128) was higher than the ($41,880) loss in FY2019 by 75%. This needs to be viewed in terms of the $72,291 member benefits that add to the costs in this area. The benefits include member tiering ($47,312), Tuesday and Thursday special member deals ($24,979). The Family Fun Days costs of ($17,216) were also a member service which contributed to expenses in this area.

GREENS: Revenue this year was $1,038,054. Expenses were lower than last year resulting in a net profit of $45,220. We thank Justin and the Greens team for the excellent management of the budget in this area and the great condition of our course.

GOLF: The cost of running our competitions and participation in various pennant competitions throughout the year resulted in a ($81,334) loss compared to the FY2019 loss of ($51,373). The income from competition fees of $279,715 was 40% higher than in FY2019 a reflection of our increased golfing membership. The major cost in this area is the special works levy $169,540, which provides a much-needed income for our Greens budget. Affiliation fees ($36,371) have increased by $1,760 from the previous year. CARTS: Cart hire increased during the year providing an income of $427,255. This was an increase of $10,654 from the previous year which had also been a good year. After expenses the result was a net profit of $183,011, 4% less than last year.

POKER MACHINES: the gaming area continues to be a significant contributor to the Club’s profitability. In support of this, we have continued to update our machines to provide a popular games area for members and guests. Revenue was $1,905,370 resulting in a net profit of $1,319,733. Whilst the net result was 16% lower than the 2018/2019 profit, the result was good given we were open for 19% less time. The Club is excited to be making some significant changes to the ambience of the Gaming area for the benefit of our members and visitors.

KENO: The result of a net profit of $27,133 is in line with the previous financial year.

RAFFLES: The total income of $84,322 was ($57,497) less than the previous year. Costs were also down significantly resulting in a net loss of ($22,175), $20,799 less than last year.

BINGO: Revenue of $43,800, was 14% lower than the previous year. Cost of sales has reduced by $4,959 and expenses were also lower than the FY2019 year by $3,036. This resulted in a ($23,735) loss for this year.

TAB: Income was down by ($2,903) but expenses were also down so the net loss of ($11,842) was in line with the previous year.

HOUSE: Successfully operating our Club to provide the best services for members requires significant expenditure. This cost ($1,034,958) in FY2020 compared to ($1,162,614) in FY2019. The net loss this year is ($678,163) compared to a loss of ($930,616) for FY2019. We have some significant power issues due to the age of our building and some of these reached critical points during the year. The club needed to run on a generator for some time whilst essential work was carried out to stabilise our power needs.

ADMINISTRATION: The loss this year was ($382,844) which is lower than the ($446,303) loss for last financial year. Government support through Job Keeper greatly assisted us. Wage costs were also reduced during the shutdown period.

Our Club has provided donations this year to Kids of Macarthur, Youth Off the Streets, Shining Stars Foundation, Men’s Shed Narellan and some local sporting groups.

During the year we made repayments against our loans and paid off some loans. Regular repayments of capital have been scheduled to be made during the coming year. We will be undertaking some renovations to the Club House in the next financial year which will require further borrowing but we believe this will result in a significant benefit for the Club.

and a Profit on Sales of Assets, Camden Golf Club’s Net Profit for the 2019/2020 Year was $260,415.

Henry Ratajczak of Partlett, Chave and Rowland has audited our accounts and continues to provide appropriate advice and assistance to ensure Camden Golf Club complies with all aspects of accountancy practice. We thank him for his expert advice. We are pleased he will continue to work with us for the next financial year.

I particularly want to thank Jo North who does an exceptional job in managing our accounts. Jo is ably assisted by Hayley and I thank them both for all the work they do on our behalf.

Thank you also to Neville Hoskin, Jim Blaker and Ian Goodall for your support on the Finance Committee. Sadly, Ian has decided to take a step back and is leaving the committee, you will be missed.

I would also like to thank the Directors of our Club and our General Manager who give generously of their time and take care to manage our financial position in the best interest of our members.

The 2020 financial year has been very positive for our Club. I believe the planned changes to the Club will bring exciting opportunities for members and improve our profitability so that we can continue to provide excellent services for our members. CAPTAIN’S REPORT (GOLF) 2019/2020

Members I have great pleasure presenting this year’s Captain’s Report.

The year was off to a good start and then along came COVID-19, causing all sorts of issues, which the Club needed to work through in relation to playing golf, running the Club and trying to generate income to keep the Club running. All in all, I feel that everything has worked out well, albeit not everyone getting a game of golf when they want to.

During this time, the greens staff did an outstanding job keeping the course in tip-top shape through the summer months despite temperatures around 40 degrees on some days, plus with smoke filling the air and causing all sorts of issues. Then came the rain, flooding the course, filling the dams and giving some much needed relief to Justin and his team for the rest of the summer months and leading into winter.

Not much more can be said about how well the greens staff are going, providing a fantastic playing surface for all members and visitors to enjoy. Course revenue is on the increase and membership levels are also increasing due to the hard work and dedication of our greens staff. Thank you again.

What more can be said about Stu and his staff in the Pro Shop, Paul, Cameron, Warren, Brandon and Kaya. Nothing less than an exceptional job, especially during the COVID-19 lockdown with the issue of cleaning the carts between usage and managing changeover between groups finishing and starting, just a fantastic job!

All this and still running his business and keeping all members and guests satisfied with their experience at Camden Golf Club. Thank you again, Stu.

As far as competitions this year, the Match Play was played and won by the following members:

Men’s: A Grade – Darren Cummins

B Grade – Brian Beavan

C Grade – Bradley Spinks

Well done to all who participated in the Match Play this year.

The Cosgrove/Whear was cancelled for 2020 due to COVID-19 and scheduling issues with the rest of the golfing program, this also related to Master Pennants and Ladies Pennants. Super Senior and Warren Gibson Pennants went ahead

and then were put on hold due to COVID.

Higlett Edwards is being played at time of writing report with semi-finals and final to be played. Good luck to the remaining teams.

I would like to remember those members who sadly passed away during the past 12 months. Your memory lives on and your presence will be missed by many.

Volunteers run by Peter Tanner, thank you again for your efforts during the year, and the greens staff for your input on and off the course. Well done guys.

GREENS REPORT 2019/2020

Firstly, I would like to congratulate Course Superintendent Justin Bradbury and his greens team on the condition and presentation of the golf course. They should be extremely proud of the improvements, and the consistent high standard of the course week in week out. The great feedback from members and visitors is a testament to their hard work and expertise, especially through some trying weather conditions.

The past 12 months has seen several projects carried out and completed on the golf course to enhance and improve the overall experience for the members. Most notably was the completion of a new 10th tee and the addition of a new championship tee at the 2nd. Most recently we have utilised the availability of material to make some improvements to the 12th hole with some greenside mounding. A new back tee on the 14th hole has been created. Some soil was also added and smoothed in the gully area of the 8th, 11th and 12th.

The past 12 months has provided some challenging weather conditions. The greens were managed through the summer months with a good water management program. Other strong management practices and programs have also provided steady improvement in the greens surfaces and overall playability of the golf course. Greens renovations were moved from August to November and this proved to be a success for a variety of reasons.

A tree and landscape area improvement program commenced and is ongoing using the expertise and experience of member Arthur Kelly, under the guidance and direction of Justin. The improvement is gradual but noticeable. Over the coming years we will see these areas and plants mature.

MEMBERS (HOUSE & SOCIAL) & MARKETING REPORT 2019/2020

Another successful year has been had by Camden Golf Club and I would like to thank all members, both golfing and social, and their guests for their continued support.

Overall, the Club has performed well in trying times in many areas during the 2019/2020 financial year. Due to Covid-19 our marketing program has been on hold for the past six (6) months. We have E-News and Social Media keeping us up to date more broadly.

The Club and Board have been investing in upgrades internally and externally making patronising the Club a more comfortable experience for social and golfing members whilst observing government regulations.

• Happy Grillmore are providing quality food and have received plenty of great feedback about the quality of the food. I would like to thank Martin Sinclair and his team for their great work.

• Members Lounge continues to be popular with members and guests.

• There has been a continued replacement and upgrading of poker machines.

• Complimentary snacks and the drink service within the gaming area for patrons continues.

• We have increased the number of electronic sign-in portals which is working well.

• The Club is complying with government standards with a Marshall and Security at the front door checking temperatures and sign-ins complying with social distancing and numbers allowed in the Club.

• General Manager Donna Bernard and Operations Manager Sean Selvon are working hard to continually improve the service, facilities and your experiences when visiting the Club.

JUNIOR REPORT 2019/2020

Camden’s Junior Program has experienced some challenging times in 2020 due to COVID-19 but we have maintained a level of participation. Junior golf started the year with record numbers however during this pandemic all coaching sessions came to a standstill for nearly five (5) months.

As restrictions started to ease our focus turned back to junior golf. Our chippers class (5 to 9 years old) was a huge success, with juniors showing up in droves. This exciting class allows chippers a chance to learn new skills and grow to love the game of golf.

As we move into spring and summer Camden Golf Club will target junior golfers for our academy class (10 to 16 years of age). This program provides juniors with golfing skills they will have for life and a love for the game.

Camden Golf Club’s junior programs cater for all levels of skill acquisition and maturity. The junior development program creates an environment that is both competitive and social that will cater for the beginner through to the elite. Having this pathway program provides all juniors with an opportunity to be the best they can.

COVID-19 has made 2020 a very difficult year to hold events such as Camden Futures, Jack Newton Junior Masters, all events have been cancelled for the reaming for the year. Camden Golf Club looks forward to hosting these events in 2021.

I would like to thank Camden Golf Club for their ongoing support of junior golf development, Greg Matheson for his continual help and enthusiasm that he brings to the Chippers programs. Plough & Harrow SGC for their continued support through a tricky year, and lastly all the parents who continue to support Camden Golf Club’s fantastic junior program.

GENERAL MANAGER’S REPORT 2019/2020

It is with much pleasure that I present to you my Camden Golf Club Annual report for the 2019/2020 financial year.

Well it has been quite a year for everyone, firstly the bush fires, then the storms/floods, followed by the shutdown of the Club due to COVID-19 on Monday 23rd March. This was a very emotional day for everyone not knowing when we would be allowed to reopen and what the future would be for the hospitality industry. We were extremely lucky that golf was permitted to continue, and our greens staff carried on working fulltime to maintain the course. The halfway bar was also allowed to operate selling food and beverages to our golfers. Our Clubhouse and administration staff continued to work on a reduced roster throughout the pandemic. During our time of closure, we did some renovations to the Club which included:

• Painting the interior of the Club

• Installation of new beer taps

• New timber panelling on the bar

Earlier in the year we saw the construction of the children’s playground completed mid-March, upgrading of gaming machines, a new electronic sign-in terminal with a second one recently purchased. The Club experienced power issues after the January storms, which were resolved in early March. The Club reopened its doors on 1st June and after 1 week of trade we once again experienced power issues and had to hire a generator for our power. The Club has since upgraded the power and we are no longer using the overhead power lines from Camden Valley Way and have installed a new underground supply from the transformer on Lodges Road. The Club also has some major renovations about to commence with the gaming room moving to the dining room and taking up part of the lounge area to ensure all gaming machines are socially distanced. The existing poker machine room will be our new sports bar. The dining area will move to the function area of the Club and new furniture will be purchased.

Up until COVID-19 the Club was trading great and well above budget, due to COVID-19 we were forced to close our doors for two months however the government assistance has given us a net profit result of $260,415.00. During COVID-19 we were able to keep our course open with limitations and I am pleased to report that during these two months greens, golf and carts exceeded their budgets. A detailed analysis of our financials is provided by our Treasurer Colleen Versluis in her report.

Greens Superintendent Justin Bradbury and his team have done an outstanding job again this year with all types of conditions thrown at them and as you can see our course is looking its best thanks to all their hard work and dedication to the course.

I would also like to thank our group of volunteers led by Peter Tanner who regularly help around the course.

A big thank you to our Club Professional Stuart Meani and his staff Paul, Warren and Cameron working through a very difficult time with the changes that were thrown at them during April and May, when everybody wanted to be a golfer and the course was constantly booked out. Our golfing membership has increased, and it is great to see that we have had a lot of younger males joining the Club.

Thank you to our contract caterers Martin and Vanessa Sinclair and their team of staff for providing quality food for our members and guests.

Thank you to our Operations Manager Shaun Selvon and his team of staff who have done a great job this year particularly with all the changes that COVID-19 has brought to the running of the Club i.e. the introduction of COVID-Safe Mar-shalls, social distancing, temperature checks, sanitising stations and extra cleaning. The team have worked really-well together to keep everyone safe. Thank you to our Maintenance Engineer Peter Southby for always being available to the Club should any issues arise.

A big thank you to the administration staff Hayley, Jo, Mandy and Sharon who are a hardworking and reliable team who have provided outstanding support to me throughout the year.

I also take this opportunity to thank the President Stephen Humphreys and the Board of Directors for their ongoing support in moving the Club forward.

I would also like to thank our Club Sponsors whose continued support and dedication to our Club is greatly appreciated.
