To initiate the recruitment process, please create a vacancy on the online recruitment system

When you have logged in, you will see this screen:

Click ‘vacancies’ on the left menu and click ‘New Vacancy’ which is the last option on the list. On the next screen, select either ‘New Vacancy’ or ‘Copy an Existing Vacancy’

Tip: If you have created a similar vacancy in the past, you can select it from the list under ‘Copy an Existing Vacancy’ and update it, rather than creating a new vacancy from scratch.

Please complete the fields on the vacancy template. Fields highlighted in blue are mandatory fields.

Some fields are dependent on responses selected in a previous question. For example, if you select ‘Fixed term’ in response to the field ‘Duration of the Post’, you will see specific questions related to the reason why the post is fixed term and the length of the post.

Where there is this symbol next to a field you will find additional help text to explain how to respond to the question. Please click on the question mark to see the help text

This symbol indicates that the response will be visible to candidates on the vacancy summary, when the post is published on the online system.

Leave the following section blank and scroll to the end and click ‘Confirm’:

Search Criteria:

Select the search criteria that best match the category of your vacancy, for example;• If it is a research vacancy select ‘research’• If it is a lecturer vacancy, select ‘academic’

Candidates may use this search criteria to help them find the role when they are looking for it on the online system and so choosing the most appropriate category will help make your vacancy more prominent.

If you feel that your vacancy fits more than one category, you can select all that apply.

Salary criteria

The salary criteria help candidates quickly find vacancies that match their salary expectations and these reflect generic ranges which are used on other job boards rather than specific LSE salary ranges.

If you feel that your vacancy fits more than one category, you can select all that apply.

Pre-screens

Pre-screening questions help to reduce the number of potential applicants by preventing some applicants who do not meet a minimum set of criteria to

These allow you to attach pre-screening questions to the vacancy or to use any specific ones that you have created.

Definitions of the pre-screen questions are as follows:

Support - Work, English & Foreign LanguageThis pre-screen is usually used for Academic Support vacancies. This pre-screen asks candidates to confirm that they have eligibility to work in the UK, good standard of English and that they meet a foreign language requirement as set out in the person specification before they are able to submit an application for the post. If candidates select ‘No’ in response to this question, the system prevents them from applying for the post.

Vacancy Specific CriteriaThis relates to the ‘vacancy specific criteria’ field as stated in the vacancy template. If you have included specific criteria in this field, these will be displayed to the applicant before they apply. The applicant will be asked to confirm whether they meet the criteria before they are allowed to submit an application for the post.

Academic - Work & PHDThis pre-screen is usually used for academic and/or research vacancies. This pre-screen asks candidates to confirm that they have eligibility to work in the UK, as hold a PhD before they are able to submit an application for the post. If candidates select ‘No’ in response to this question, the system presents a message stating that these are essential for the role, and applicants are allowed to proceed with their application if they wish to do so.

Support - Work & EnglishThis pre-screen is usually used for Academic Support vacancies. Select which pre-screen you would like to use for your vacancy, or ‘None’ if you do not wish to use any.

Select ‘confirm’ to continue.

You will then see a vacancy status screen. If there are any mandatory fields that have not been completed, these will be highlighted here.

Once all mandatory fields have been completed, the vacancy will be able to proceed to the HERA, funding and HoD approval sections.

You can edit any of the information in the vacancy template at any time (before it goes live) by returning to the vacancy and clicking ‘View/Edit Vacancy’.
