Bibliometrics : a new feature for institutional repositories

Archimer : Ifremer’s institutional repository Launched in 2005, a new version in 2010 2 versions : Internet and Intranet 3 objectives : valorization, conservation and
bibliometrics All records must be associated to full text Several visibility options : Internet, Intranet,

Direction
Centralized deposit system
• Update of publications citations number every night
• WOS references are imported into Archimer
• Corrections request of Ifremer affiliations if errors in the WOS
• Automatic contacts with authors to get their full text
• Documents search• Bibliographical lists export
Archimer Internet
Archimer Intranet
WOS
• Counting of four-year contract’s indicators
• Response to analysis requests
• Grey litterature deposit
• Recall for rules affiliation writing in case of error
• Ifremer’s agents formation
Conservation
Centralize to conserve
Documents centralization and their conversion into an electronic format ensures access to Ifremer’s scientific and technical results for a very long time
This centralization is especially necessary for all grey litterature and particularly for confidential documentation
Valorization
Internal valorization Documents centralization facilitates sharing of
confidential documentation while controlling the access rights
External valorization
Unloads location of Archimer deposits (04/2010)French doc. : France (55%), Algeria (12%), Tunisia (7%), Morocco (5%), Canada (3%), …English doc. : USA (14%), France (13%), India (5%), UK (4%), China (4%), …
Bibliometrics
Publications identification
References of Ifremer publications are exported from the WOS every week and integrated into Archimer
Only publications referenced in the WOS are considered for the indicators
Data obtained are more reliable (duplicate remove, deletion of multiple declarations for same publication)
Ifremer authors identification
The association « document / author / site / department / staff » is automatic and reliable
Informations collectedautomatically in LDAP directory for Ifremer authors
Localization LaboratoryUnitDepartment
Email address of Ifremer authors obtained automatically (rules recalls, stats…)
Affiliations standardization
Automatic normalization based on equivalenceimproved every week
Manual normalization (with assistance) when automatic normalization is unsatisfactory
Automatic normalization of affiliations (organizations and countries) for bibliometric indicators counting related to collaborations
Recall on writing rules
Only 6% of Ifremer publications 2010 have wrong affiliations !
Indicators association
Manual association of a publication to four-year contract indicators
Indicators association
Association by batch of a documents group to an indicator
Records enrichment
Full-text access
Impact factorCitations number
Indicators
Ifremer authors / structures associations
Full-text collect
More than 80% of Ifremer publications 2005-2010 are online for free
Reports and expertises
Reports and expertises must be conserved and their production recorded (indicators)
A mandate was established Expertises centralization and full-text mandate have
allow a more reliable indicators counting (reduction of 30% compared with a counting based on departments declaration)
This system should allow the abandonment of different systems used by staff (EndNote, Access…) : It’s a productivity gain
Reports and expertises
Connexion with LDAP directory allows the association of documents manually recorded to several structures reliably
RTF export
Excel export

Analysis module
Annual synthesis report
Edition in 2010 of a first analysis document of Ifremer documentary production
Only documents registered into Archimer are concerned
A document particularly appreciate by the direction
A major element of the Archimer success : Units now record all their production

Conclusion
Conclusion
Archimer is essential to evaluate the scientific and technical production of Ifremer
Using Archimer, a very large part of the documentation produced by Ifremer is now centralized. Its preservation is ensured.
Archimer project success is linked to its integration : with the same tool, we ensure preservation, valorization and bibliometric analysis of Ifremer documentation
Conclusion
Archimer success is also related to the fact that everyone find benefits : Scientifics : valorizations of their public
scientific production (confirmed by stats) and interne information source
Structures responsibles : efficient exports to automate administrative tasks
Direction : source of reliable bibliometric informations
