BOOKING FORM
GENERAL The terms in this section shall apply to all bookings for marketing activities in Durham Students’ Union. Additional terms – noted below – apply to activities during the period relating to the student enrolment period and induction week (“the welcome period”).
1. The booking form must be completed in full before a booking can be accepted.
2. Full payment for all marketing activity must be paid in full no later than one month prior to the activity taking place. All bookings made after this date must be paid for in full at the time of booking. Failure to make payment will result in your booking being cancelled without further notice and Durham Students’ Union shall in no way be liable for any costs incurred resulting from the cancellation.
3. All exhibitors carrying out an activity under these terms and conditions agree to indemnify Durham Students’ Union and its employees, officers and agents against all costs, claims and liabilities sustained by any persons or to any property as a result of the actions of the exhibitor.
4. Durham Students’ Union operates a strict no smoking policy in all its buildings and venues.
5. Food samples may not be given out without prior consent. Exhibitors will be required to provide evidence that appropriate product insurance is in place.
6. All advert specifications for marketing activity will be provided following booking, with copy deadlines. The copy deadlines and specifications must be adhered to or you risk your booking being cancelled without prior notice or recompense.
7. All on-site marketing activity – including flyering – must strictly be contained on Durham Students’ Union property and must not spread beyond this onto public or other university property, unless otherwise agreed in advance and confirmed in writing.
8. All material submitted must comply with Durham Students’ Union policy at time of publication. Durham Students’ Union reserves the right, at its absolute discretion, to refuse material deemed to be inappropriate.
9. Durham Students’ Union does not hold
responsibility for any of advertising media should it be stolen or vandalised whilst on display within the Union.
10. Corrections, changes and amendments must always be confirmed in writing by Durham Students’ Union.
11. Any company that collects data whilst promoting at Durham Students’ Union must be compliant under the Data Protection Act 1998. In addition, any exhibitor collecting personal data must ensure that the student supplying the data is fully aware of the purposes for which the data is being granted.
12. In the event that Durham Students’ Union shall cancel all or any part of a publication, or be unable to perform their obligation under this agreement, the liability of Durham Students’ Union shall be limited to those payments made by the exhibitor to Durham Students’ Union under this agreement.
13. Alcohol and drinks offers should not be promoted in any advertising materials.
14. Imagery that is deemed sexist or explicit in advertising may be refused.
UNION FAIR 1. Full payment for all welcome period marketing activity must be paid in full no later than 2 September 2017 or one month prior to the activity taking place (whichever is sooner). All bookings made after this date must be paid for in full at the time of booking. Failure to make payment will result in your booking being cancelled without further notice and Durham Students’ Union shall in no way be liable for any costs incurred resulting from the cancelation.
2. All welcome period activity cancelled between the dates Wednesday 2 September 2017 to Wednesday 30 September 2017 will be charged at 50% of total amount payable. Welcome period marketing activity cancelled after Wednesday 30 September 2017 will be charged the full amount payable.
3. All Platinum Stall packages are positioned in a prime location in a raised area. Prices include a 2m x 1.2m space, with a table and up to two chairs (if required). Free wifi is available and a power source can be requested in advance. This will be adequate to supply a laptop or similar.
4. All Gold Stalls are positioned in a raised area. Prices include a 2m x 1.2m space, with a table and up to two chairs (if required). Free wifi is available and a power source can be requested in advance. This will be adequate to supply a laptop or similar.
5. All Silver Stall packages are positioned in a sunken ‘well’ area within the centre of the room. Prices include a 2m x 1m space, with a table and up to two chairs (if required). Free wifi is available and a power source can be requested in advance. This will be adequate to supply a laptop or similar.
6. Exhibitors must keep their stalls, displays and activities within the space allocated to their stall.
7. Exhibitors must not stick anything to walls or windows.
8. Stalls are non-transferable. The content of a stall must not be substantially different to that indicated by the name of the stall on the original booking form.
9. If required, a trader’s licence must be purchased if exhibitors wish to sell from their stall space.
10. All goods and services must comply with the Trade Descriptions Act 1968. Any goods and services that do not comply will be reported to the relevant authorities.
11. Exhibitors and their stall are only permitted to flyer/conduct marketing activity in their designated stall space unless otherwise agreed in writing.
12. Exhibitors and their stall/representatives attending the Union Fair will at all times behave in a responsible manner whilst on the University campus, and not inconvenience in any way either the organisers of the Union Fair or other exhibitors. Failure to do so may result in removal from part or all of your Union Fair marketing activity without prior notice or recompense.
13. Exhibitors and their staff/representatives must conform to the accepted safety standards of the day. All equipment must conform to the relevant legislation and standards.
14. All exhibitors are responsible for completing their own risk assessment for their planned activity at the Union Fair.
15. Exhibitors are required to provide information on all displays involving moving equipment before Durham Students’ Union will accept your
booking. Failure to provide such information may result in the non-use of such equipment for the duration of the Union Fair.
16. Any displays involving moving equipment must not at any time be left unsupervised.
17. All off-loading and loading will be carried out by the exhibitor and not by staff of Durham Students’ Union.
18. Exhibitors will be given access to the campus to off-load exhibits, once this has been done you must remove your vehicle to one of the public car parks. Car parking costs will not be refunded.
19. Gangways, stairways, fire exits and passage-ways in the Union Fair must be kept clear of any obstructions.
20. All electrical fittings, wiring and appliances must be constructed and maintained in safe condition. Particular attention must be paid to temporary wiring and the need not to overload electrical sockets. All exhibitors’ electrical equipment must have appropriate PAT testing certification.
21. The use of compressed gas cylinders (e.g. CO2 or LPG) or other explosive or highly flammable substances is not permitted.
22. Loose packaging must be removed once exhibition stands have been assembled. The packaging must be deposited in the designated area notified on the day. Exhibitors must recycle where possible.
23. Exhibitors should ensure that all exhibition materials such as fabric panels and exhibition stands are manufactured from fire retardant materials or have been treated so as to provide a fire retardant surface finish.
24. Durham Students’ Union operates a strict no smoking policy in all its buildings and venues.
25. By participating in the Union Fair, each exhibitor agrees to indemnify Durham Students’ Union and its employees, officers and agents against all costs, claims and liabilities sustained by any persons or to any property as a result of the actions of the exhibitor.
26. Durham Students’ Union cannot accept advance deliveries of items for Union Fair exhibitors.
27. The playing of music or use of amplified sound equipment of any kind is not permitted.
28. The distribution of alcohol is not permitted.
29. The distribution or use of stickers is not permitted.
30. Exhibitors are required to abide by the provisions of Data Protection Act 1998. In addition, any exhibitor collecting personal data must ensure that the student supplying the data is fully aware of the purposes for which the data is being granted.
31. Exhibitors exhibit entirely at their own risk. Durham Students’ Union will not accept responsibility for any losses or damage to persons or property which may occur. Insurance against such contingencies is recommended.
32. Exhibition organisers are responsible for ensuring that all delegates/exhibitors are clearly briefed and understand both the codes of practice and the fire evacuation procedures document. A copy of the appropriate fire evacuation procedures will be issued to each exhibitor as part of their registration pack.
33. Failure to comply with any part or parts of these terms and conditions of booking will result in the removal of permission to exhibit. Durham Students’ Union will not refund any payments under these circumstances.
34. Food samples may not be given out without prior consent. Exhibitors will be required to provide evidence that appropriate product insurance is in place.
35. A rest area will be provided for stall holders, with food and refreshments provided in this space.
36. All advert specifications for other marketing activity will be provided following booking, with copy deadlines. The copy deadlines and specifications must be adhered to or you risk your booking being cancelled without prior notice or recompense.
