India is becoming education hub with more number of applicants competing per
seat for the educational courses. Centralized admission management is going to be
critical for effective admission process execution. There are many entities which
play critical role in success of centralized admission process. If centralized
admission process is managed effectively then it can result in substantial savings of
administration and would reduce all the hassles faced by students and parents.
Introduction
1.Student/ Parent: Student should be able to define preference for his /her
colleges
where he/she is looking to take admission. If within particular area 100 institutes
are available then student should be able to provide options ranging from 1 to 100
or depending upon his/her eligibility and based on preference of the college.
So, instead of visiting each individual institute student can fill single form to apply
to all colleges under that University OR Government controlled admission process
OR Group of Institutes . Admission form needs to be comprehensive which would
cover all the aspects including category, reservation (quota) for (EBC/ SBC/
Defense / Physically Handicapped etc). Students should also be able to upload
photograph/signature, marksheets, category certificate, leaving certificates through
the system
In centralized admission process there is University quota and Other State quota of
in most of the cases, apart from this there is reservation for female candidates.

Centralized admission process allocates students to individual colleges. Student
needs to report to their allocated college to confirm/ cancel admission allotted in
the respective rounds.
College admin should be able to login to the system to see the list of admitted / to
cancel / Reject students allocated to the respective college. College can admit
student if student fulfils criteria of admission and all the required documents are
according to online form filled by the student. College can export admission data
from the system to sync in with their internal systems if any.
5.University
It is crucial for university representative to have access to live admission statistics
of day to day process. University admin can login to the system to see total number
of allotted students in their respective university.

stakeholders then only it’s worth a dime!

individual. When Application form is submitted and online payment process is
completed by the candidate , an automated email/ sms should be sent to the
candidate about confirmation of the application reception.
In some cases candidate sends demand draft or Challan copy to institute or at
admission center after filling online form. In such case email/sms notification is
essential to convey reception of demand draft or Challan copy.
Grievance/ Error Communication:
In the centralized admission process, admission team scrutinizes application form of
the applicant and if there is any error or missing document then it should be
conveyed through sms. Quick process of communication with the candidate helps
to reduce anxiety and provides more time to the applicant to rectify the error.
Admission / Allotment Communication:
After admission form processing is over, institute need to convey about first round
shortlisting to the applicant. Some of the institutes display list on online/ offline
notice board. However in order to reduce anxiety institute should send sms and
email to individual applicant. Such communication helps applicant to make travel
arrangements to travel to institute and confirm his/her admission.
Admission Vacancy Position:
In case of centralized admission process admission committee displays list of
vacancy for the subsequent rounds. It is better to communicate it over internet and
email/sms. Individual college/institute vacancy should be displayed so that
candidate can get the idea of admission prospect for the next round.
Continuous communication about next step reduces anxiety and helps to execute
admission process efficiently. ePravesh® provides mechanism to execute this
continuous communication of admission process.

“We will be using ePravesh® for our LKG admissions for the third time
this year because it has most certainly proved to be beneficial. Naturally
it saves the administration time and man power when compared to the
old way of issuing forms. Most importantly it saves parents a very long
and uncomfortable overnight wait outside the school gate to ensure
they get a form. As every stage in the admission process can be
communicated by email or sms messages it once again saves many
hours of answering telephone and walk in inquiries. The Notice Board is
a very convenient way of keeping parents updated at all times. As all the
students data is compiled in an excel sheet it is convenient to arrange
and sort as required. “

students across the country. Not only has it helped us to increase
awareness but their excellent technological knowhow have made the
process of admission cost effective and swift for us. The human
resource that we needed to deploy previously has gone down and so
has the manual error. All in All it has help us set up an organised system
into place which makes the entire process transparent and effective for
both the institute and the students
