Position Description – Duty Manager (casual) REPORTS TO: Front of House Coordinator DIRECT REPORTS: NA OVERSEES: Casual Bar Staff, Casual Front of House staff, volunteers Key Relationships INTERNAL : FCAC Staff and volunteers. EXTERNAL: FCAC audiences, guests, external hirers and suppliers. Summary Duty Managers at FCAC are responsible for ensuring that audiences, clients, stakeholders, community members and artists have a safe, enjoyable and fulfilling experience by providing a high-level of customer service and event management at FCAC. The Duty Manager oversees the on the ground delivery of a wide range of events including FCAC produced artistic events through to commercial venue hire events (including meetings, conferences, parties and weddings). FCAC Duty Managers have a strong commitment to service, safety and event management excellence, and are comfortable working with a high-level of autonomy or in a team (depending on the scale of the event). The Duty Manager undertakes the set-up and pack-down of workshops, functions and events that occur at FCAC, and oversees their delivery, including overseeing casual event staff. The Duty Manager is a key conduit between artists and hirers using the FCAC facility and the Front of House Coordinator and Facilities and Resources Manager. The Duty Manager will be a strong communicator, strong problem solver, quick thinker and be committed to promoting FCAC’s values by ensuring FCAC is a welcoming environment audiences and communities. FCAC acknowledges that we are on the traditional lands of the Boon Wurrung and Wurundjeri peoples of the Kulin Nation. Key Responsibi l i t ies Duty Management

• Act at the first point of contact for FCAC Producers, staff and external hirers/ suppliers at FCAC events

while on duty and provide excellent customer service and event support.

• Be responsible for the opening and lockup of FCAC facilities including performance areas, ensuring

effective securing of the FCAC precinct at close of business.

• Be responsible for the set-up of workshops, functions and events including furniture and technical

equipment, or assist crews on larger production or functions setups.

• Ensure requirements of FCAC’s on-premise liquor license are adhered to by FCAC staff, hirers and guests,

and that any temporary liquor licenses are displayed at events.

• Assist producers/ hirers to troubleshoot and solve problems with event delivery where required,

including delegating tasks and liaising with technical staff.

• Effect any interim or spot cleaning within the buildings or grounds as required.

• Monitor, maintain, provide input into and implement FCAC Work Health and Safety procedures, including

inducting visiting contractors and hirers, maintaining first aid kits and fire safety procedures within the

building.

• In conjunction with Facilities and Resources Manager/ Production and Facilities Coordinator act in the

role of fire warden to ensure the safe evacuation of all staff and members of the public in case of emergency.

• Act as first aid officer as required, and record any incidents using the correct incident reporting

procedure.

• Operate and reconcile point of sale at events.

• Prepare Duty Manager Event Reports at the conclusion of events.

Reception duties

• Ensure all calls are answered and/or returned in a timely and professional manner during the operation

of events.

• Ensure reception area is clean and presentable with up to date information about FCAC programs and

other community information.

Administrat ive Support • Assist in producing FCAC’s event signage where required.

• Receive deliveries where required.

• Record the number of visitors at events.

Customer Service and Sales

• Process all front desk sales including FCAC merchandise, memberships, workshops and ticket sales.

• Ensure relevant cash floats are reconciled accurately.

• Box office ticket bookings and payments over the phone and using our Trybooking ticketing system.

• Processing workshop enrolments and payments.

• Recording and processing Gallery sales.

• Monitoring and maintaining exhibition opening and closing.

• Assist with processing bar sales where required.

Key Select ion Criter ia: Essentia l

• Strong social justice frameworks and alignment with FCAC’s core values of Cultural Rights, Access, Leadership, Sustainability and Creativity.

• Availability for weekend and night work as required. • Demonstrated experience in event management/ front of house roles. • Good interpersonal and communication skills in an event context, including team management, customer

service and problem solving ability.

• Demonstrated ability to understand health and safety and liquor licensing compliance requirements in an events context.

• Good understanding of the MS Office Suite and experience operating point of sale software. • Current Responsible Service of Alcohol Certificate.

Desirable

• Experience working within the arts and community environment. • First Aid certificate. • Understanding of basic event tech requirements

Terms and Condit ions:

• This position is offered is a casual position, with hours made available through Open Sim Sim (scheduling

app). Shifts are offered in response to need- and can be offered on short-notice or long-lead times.

Flexibility in availability is a key requirement for this role.

• Hours will be paid on the submission of a timesheet on a fortnightly basis.

• The casual rate offered is:

o Weekdays $26 per hour o Saturdays $32 per hour

o Sundays at $36.44 per hour o Note: All shifts are subject to a minimum 3 hour call.

• FCAC will pay in addition to your base pay minimum statutory superannuation contributions as required

in order to avoid a charge under the Superannuation Guarantee Charge Act 1992 (Cth), currently 9.5% of your base salary when earning more than $450 per month.

• Appointed on a casual basis, subject to an employment contract, which sets out all terms and conditions

of employment including remuneration and superannuation.

• The position is based at FCAC, 45 Moreland Street, Footscray (centrally located 10 minutes from

Melbourne’s CBD).

• The successful candidate will undertake a police check and working with children check at their own

expense.
