How to engage students in
online meetings 13 essential strategies to
maximise teacher presence and interaction between participants
in an online meeting

Preparation is key!
• Pre-prepare slides and other artefacts
• Set up the room early
• Check your audio and video
• Have a plan for how you want the meeting to run
• What else?
Part 1: Meeting Preparation
Strategy 1: Make sure the layout design of the room is what you want. Have you checked the options available? Have you designed the space you want to work in?
CONSIDER:
A maximised CHAT window will allow for
MORE of the chat to be seen and means
less scrolling up and down

Strategy 2: Upload slides or PDF file Strategy 3: Check your audio and video
To use video or not….that is the
question! Participants like to ‘see’ you! How will you manage this?
• Video using webcam?
• High bandwidth, can be glitchy
• Paused video?
• This is a good solution. Start your webcam before the meeting, smile nicely, and hit PAUSE while you have a good pic. Leave on pause during meeting
• Upload a static image
• You can preload as many as you like and change the image for each meeting

Strategy 4a: Upload a static image - Go to PODS, and SHARE and Add new share
Strategy 4b: Select a document to share (image file) just as you would share your slides on the main screen. Don’t forget you can also make this image full screen!

Strategy 5: Set up any POLLS you wish to run during the meeting. You can open, close and share results as you wish.

Strategy 6: Set up the CHAT Window – Text colour and text size
CONSIDER:
Participants like to be recognised….and
as text flows in a meeting if there are a
few different colours and sizes then
contributions to the conversation can be
more easily identified and responded to –
by participants and presenters

Strategy 7: Remind participants about ‘Status’
CONSIDER:
Have a bit of fun with this one!
Remember – in an online learning
environment these visual clues are important
messages coming from participants and
presenters

Strategy 8: Have online resources ‘at your fingertips’
CONSIDER:
As you talk about the content, or whatever
the discussion is about, make sure you
have websites/resources either pre-
loaded or load during the meeting
(through PODS>Web link) or copy and
paste the URL into the chat window as
the conversation flows
E.G. “Take a look at this new website as a
resource for Assignment 1” (paste URL
into chat)

Strategy 9: Give participants something to do!! - Simple
CONSIDER:
Punctuate your lecture/presentation
with a hands-on activity!
Possible SIMPLE activities for online
meetings…..
• Share something in the chat window – name,
location, weather….link to a bio…..
• Respond to another student (use
@personsname for identity)
• Respond to a Poll
• Open a website and share a comment in the
chat…
• Respond to something on a slide

Strategy 10: Give participants something to do!! – More complex
CONSIDER:
Participants take an active role in the
online meeting – what would this look
like in your subject?
Possible MORE COMPLEX activities for online
meetings…..
• Student presentations
• Group work
• Slides pre-loaded by lecturer
• Online formal debate – students in teams
• Breakout rooms and group discussions
• Scavenger hunt – linked to a Poll?
• Group activity – link with breakouts or simply call
out groups and names
• Watch a video via a URL then share back

Strategy 11: Breakout rooms!
CONSIDER:
Breakout rooms provide for small group
conversations, assignment planning, sharing and
discussion.
Make sure you have a PLAN and a TIME LIMIT
Will participants use audio…or
not? Be very clear about the use of audio/microphones before the meeting……or gremlins may
take over…..
• Do you want participants to actually speak? Is it necessary to your meeting? Can they respond in other ways?
• Will you give them microphone rights just in case?
• How can you take that away as needed?
• What is ‘single speaker’ mode?

Strategy 12: Take a ‘managed’ approach and implement audio parameters
CONSIDER:
Participants may NOT need microphone
rights all the time.
Be able to manage access via the Audio
menu
• Microphone rights for participants – on/off
• Enable single speaker mode – on/off

Strategy 13: Be strict with who is able to speak
CONSIDER:
Many participants in online meetings are not
prepared for audio connections.
• Do NOT expect everyone to comply with
good quality audio.
• Make tough decisions about WHEN to
cut someone off
• Have a purpose for why they will be
speaking
